GFI BackUp™ is a backup and data recovery
software solution for your network environment,
be it physical or virtual.
GFI BackUp - Freeware Edition enables you to back up
your important documents, photos, music, emails and
program settings using a simple but smart wizard-driven
interface to most popular storage devices (including
local and external disk drives, LAN, CD/DVD, removable
devices, etc.).
Use GFI Software’s backup solution to apply
your backup and disaster recovery strategy by
taking disk image/bare-metal snapshots of your
workstations/servers, with ability to restore to
different hardware or virtual machines. Or take a
snapshot of your entire virtualized environment
host system. Or create policies across your
network applicable at the file and folder level,
encompassing your Microsoft SQL servers – and
more. The choice is yours – based on your own

Freeware version
Monitors and controls devices such as USB sticks,
CDs, DVDs, iPods and also controls port level
access (LAN, Wi-Fi, Bluetooth, etc.).
Only allows administrators to monitor activity of devices
that have been connected and the activity of users once
the devices are connected. For example, an employee
copying the customer database on to an iPod would
show up. This allows the administrator to monitor and
identify what is happening across the network.

All freeware features plus: (1) the ability to
configure policies to grant Full Access, Read Only,
Write Only or Block rights to users. Each user or
group of users can have different levels of access.
(2) Devices can be whitelisted or blocked by

file type. (4) Permit temporary device access. (5)
Checks for real file type. Logs activity to Windows
event logs and to MS SQL where available. Logs

How to handle objections: Why do I need GFI WebMonitor if I’m running desktop-based AV?
It is safer to have all web content cleaned from viruses at server level than to simply depend on the desktop AV engine. There is
always the risk that end-users will click on links or open a download even if alerted that the file is probably infected. Better to be safe
than sorry and deal with the problem at server level. You also do not need to push regular AV updates to all your workstations with
GFI WebMonitor. Furthermore, GFI WebMonitor offers much more than just antivirus; it is a complete web monitoring package.
Can users bypass GFI WebMonitor by using an online proxy server?
No. Downloaded content is always scanned by GFI WebMonitor for malware and viruses, even if this is passing through an online
proxy. GFI WebMonitor also has the technology to block anonymizers, thus blocking access to online proxy servers altogether.
Why is the WebFilter edition more expensive than the WebSecurity edition?
The WebFilter edition requires that an ‘accurate’ database of URLs is constantly updated and maintained to reflect changes in a very
dynamic environment to offer real time protection. The cost of this real-time monitoring/DB updating is reflected in the higher price.
I am an ISA Server/TMG user. Why do I need GFI WebMonitor if I can block websites in ISA?
ISA/TMG server products simply block traffic but with GFI WebMonitor you have so much more functionality. First of all,
GFI WebMonitor ships with a human-reviewed URL database that is updated in real time, offering immediate protection.
Also, with GFI WebMonitor rather than simply blocking websites, you can actively monitor how employees are using the
Internet – using interactive reports which give you the information you need rather than a summary of data, top browsers, top
downloaders, which categories are being hit and others. Reports are interactive such that you can drill down to arrive to the
required information. Additionally, GFI WebMonitor offers you the possibility to define time/bandwidth-based quotas – e.g., allow
users to browse certain categories (News/Sports/Social Networking) for an hour per week, or download up to 10 MB per week
from YouTube. Price for price, you get many more features out of GFI WebMonitor than if you had to go for the TMG subscriptionbased web filtering capabilities.
Why do I need to renew the product every year?
GFI WebMonitor is a subscription-based product – very similar to how antivirus software works. Since it makes use of AV engines
and also has a URL database which constantly needs updating to ensure that it is effective, the software license needs to be

Why do I need GFI MailSecurity if I’m running desktop-based AV?
Installing antivirus software at server level helps to block viruses before they enter the network and complements any desktop AV
that exists. GFI MailSecurity makes use of up to five antivirus (AV) engines to check and clean all inbound email. Desktop AV can
help to check and clean files that are downloaded off the Internet onto that particular workstation if no web security product is
used. However, with server-level AV, any viruses or malicious content can be stopped before it actually gets onto the network and
reduces the risk that a user may try to run any executables from his or her desktop. With server-level AV, you are gaining higher
protection from up to five antivirus engines, something the desktop AV does not provide.

What is the difference between all the virus engines and why I should buy/renew them?
GFI MailSecurity uses multiple virus scanners to scan inbound email. Using multiple scanners drastically reduces the average time
to obtain virus signatures which combat the latest threats, and therefore greatly reduces the chances of an infection. The reason
for this is that a single antivirus company can never always be the quickest to respond. For each outbreak, virus companies have
varying response times, depending on where the virus was discovered, etc. By using multiple virus engines, you have a much
better chance of at least one of your virus engines being up-to-date and able to offer protection against the latest virus. In addition,
since each engine has its own heuristics and methods, one virus engine is likely to be better at detecting a particular virus and
its variants, while another virus engine will be stronger at detecting a different virus. Overall, more virus engines means better
protection. With thousands of viruses released every day, you cannot afford to be caught without the latest virus definitions.

Why is it priced per mailbox rather than per user?
GFI MailEssentials is a product that provides a service on the basis of the number of mailboxes and not end-users; this is because
individual mailboxes receive spam and to be effective, GFI MailEssentials should be deployed across all mail users to protect them
and reduce the load on the mail server, and is therefore priced per mailbox.

Why GFI MailEssentials and not IMF?
GFI MailEssentials has a more powerful features list and is more robust than IMF. Essentially, it captures more spam and has fewer
false positives.
I am concerned that GFI MailEssentials does not function under high load.
GFI MailEssentials is targeted at small and medium-sized businesses (SMBs); however, the product does support certain types of
larger networks. Some entities make use of GFI MailEssentials’s clustering functionality to spread loads.
What are the differences between an appliance (such as Barracuda) and GFI MailEssentials?
If you already have Exchange in place, you don’t need to add an appliance. Install GFI MailEssentials on top of Exchange server. This
way you don’t need to add another piece of equipment to your network.

First of all, email is sent in plain text across the Internet, so it is inherently insecure. Secondly, email messages are not retained by
us but are stored for (at most) 10 days – the length of the quarantine period. Thirdly, we have stringent physical and electronic
safeguards preventing any unauthorized access to our servers.
“Why should I use your service rather than Google (Postini)?”
We have several functional advantages over the Google service offering, including a better queuing architecture that ensures no
message loss, more flexible integration capabilities and a cleaner and easier to use control panel. Last but not least, we provide

How to handle objections:
I do not not use Microsoft Exchange Server
Microsoft Exchange Server is not required. GFI FaxMaker can be used with other email servers such as Lotus Domino and
Mdaemon, VPOP3, Slmail, and others.
Microsoft Windows Server already provides faxing.
Windows faxing does not provide any proper routing, so if you need to route faxes to different users, GFI FaxMaker is the way to
go. Besides, Windows faxing does not feature OCR (optical character recognition) routing either.
I already have a fax machine.
A fax machine is time-consuming and expensive, and does not have the rich functionalities present in GFI FaxMaker. With GFI
FaxMaker, users don’t even need to leave their desks to send faxes, and all faxes are saved in the email client for future reference.
I do not need a network fax server.
A network fax server allows you to send faxes from your desktop. No time is wasted on printing, retrieving the paper, walking to
the fax machine, dialing and waiting for the fax to be sent successfully. You can send and receive faxes from just about anywhere
you have connection to your company email.
Reporting from GFI FaxMaker is not granular enough and I cannot create reports of my own from the report pack.
You also have the option to use a third-party reporting solution to generate reports from the database. We will also in the future
update reporting and provide more functionality.
I use an MFP so why should I consider also using GFI FaxMaker?
It all depends on the fax functions that your MFP provides you with. GFI FaxMaker takes faxing to a different level because it not
only uses your own email client but also cuts down on communication expenses and office resources such as paper and toner.
The MFP is great to have but for cheaper faxing a fax server is a worthwhile investment. GFI FaxMaker centralizes faxing and logs
all fax communications. It is possible to integrate or send a fax from an MFP by scanning and sending via email to GFI FaxMaker
for faxing depending on the MFP.
Why should I purchase the OCR routing module?
The OCR (optical character recognition) feature enables you to convert incoming faxes to text and insert the converted text into
the body of the received fax report or as a separate text attachment. The converted text is then used for OCR routing depending
on your configuration. Searching for incoming faxes becomes much easier, because you can use the search features in your email
client or in your email archiving solution to retrieve past faxes quickly. Without OCR, the actual text in the fax cannot be searched
because it is stored as an image.

If Exchange 2010 comes with archiving, why do I need GFI MailArchiver?
Exchange archiving is an add-on that is at least 20% more expensive than GFI MailArchiver. With Exchange archiving you run

I already back up my email!
A backup is a snapshot in time that can be reverted to in case of disaster. Archiving is so much more: archiving keeps an online,
searchable, self-service email restore, an instantly accessible record of all email communications.
We already use PSTs – why do we need GFI MailArchiver?
PSTs get corrupted. Users delete email from PSTs, and they can be distributed across a wide area, making them difficult to track.
PSTs can therefore be a nightmare to manage.

The competing solutions may be cheaper on the sticker price, but definitely not over the lifetime of the solution. GFI MailArchiver

If my users are offline, they cannot get to their archived email unless they use PST!

Exchange can be configured to delete emails after a certain number of days, weeks or months. The ‘deleted’ email can still be

How does GFI MailArchiver differ from solutions that remove the email from the user’s mailbox and leave behind a link?
(And more importantly, what are the advantages of GFI’s way?)
While this may reduce and limit storage problems for the end-user (as only a link is left), there are considerable effects on the
Exchange server and performance levels. GFI MailArchiver reduces the impact on the end-user by not depending on Outlook’s .pst
files, while the load on Exchange is also reduced. In both cases a better performance is achieved.
What are the performance impacts to Exchange when enabling journaling and using GFI MailArchiver?
Journaling is the Microsoft-approved way and other methods do not provide quite the same level of performance, and could
result in undesired effects overall. GFI MailArchiver integrates seamlessly with Exchange and makes full use of the journaling

Does GFI BackUp support bare-metal/image backup and recovery?
GFI BackUp supports bare-metal/image backup as well as recovery of images to dissimilar hardware (provided the hardware
is supported by the operating system hardware abstract layer (HAL) being restored). This is very important in cases where a
computer gets lost, needs upgrading or needs replacement; this eliminates the need for the administrator to re-install everything
from scratch. Just indicate to GFI BackUp that this is a restore to dissimilar hardware and GFI BackUp will notify the Windows

Does GFI BackUp support Exchange 2007 and 2010 backup and recovery?
GFI BackUp does not perform backup and recovery for Microsoft Exchange. This feature is actively being looked into by the GFI

Does GFI BackUp integrate with VMware or Hyper-V environments for uninterrupted backup of a virtualized machine?
Yes, GFI BackUp supports backup and recovery of virtualized environments including VMware Workstation, VMware Server and
Microsoft Hyper-V. Just point GFI BackUp to the virtualized environment host and GFI BackUp will do the rest. In case of disaster,

It is true that open ports pose a risk if the computer is exposed directly on the Internet. However in this case, in order to mitigate

I like managing my security applications from web consoles, which I cannot do with GFI LanGuard.
The inbuilt console in the product is more responsive and designed specifically to help the administrator; however, it does boil
down to user preference. Both methods have their pros and cons, for example, with web-based you get access without having to
log on; with application-based, you get higher response time.
Why don’t you use an agent, if a machine is offline or on a slow network, and relevance of scans are compromised?
This is not available in the current release; however, in the next one, you will be able to scan using agents. This means that once
the agents are deployed, you get a high level of concurrency. Agent deployment will be transparent to the user, as will the
scanning and agent removal.
Other applications allow me to control multiple installations from a central console, why can I not do this with GFI LanGuard?
Due to the nature of the product, GFI LanGuard was not designed to control multiple installations from a single central console.
However, we do support logging to a central database so that the reports can be accessed from a single location.
How long will it take to scan x number of IPs? (Obviously this depends on the scanning profile but a couple of estimates
would be helpful.)
It depends on the size of the network, but on average around two minutes per IP.
I already use WSUS, why would I need GFI LanGuard?
WSUS is a patch management tool that works only with Microsoft products and it is quite difficult to install and get running. It
installs only on servers, requires Active Directory and IIS, has poor control over deployments and it is extremely hard to manage
computers which are not part of the domain. On the other hand, GFI LanGuard is easy to install on both servers and workstations,
patches Microsoft and other software applications, and is a complete network security audit solution providing vulnerability
assessment and network and software audit.

We support devices encrypted with Microsoft BitLocker To Go. Using GFI EndPointSecurity, one can enforce a policy where only

Why use GFI EndPointSecurity if I can block the drives using the computer BIOS?
Blocking through the BIOS is not practical and not everything can be properly blocked. With GFI EndPointSecurity, you do not need
to waste any time accessing BIOS, changing settings and setting up password protection. Everything can be controlled remotely
and transparently.
Why do I need GFI EndPointSecurity if I can block access using the Active Directory Group Policy?
GFI EndPointSecurity provides a level of granularity that you will not get using Group Policy as well as various functions such as real time
monitoring, more flexibility in applying permissions, and highly granular access. All these functions help keep your endpoints secure.
GFI EndPointSecurity is easier to configure than Group Policy and can be used to protect computers not joined to a domain.
What is the use of GFI EndPointSecurity if my organization requires that most users need access to devices?
Having an organization where users need access to devices essentially makes GFI EndPointSecurity even more crucial. Blocking use
is only half the protection, so in your case, even though users have access, GFI EndPointSecurity enables you to log all operations
performed by the users, generate reports, and keep an eye open for suspect behavior.
Valuable corporate data is not accessible by users. Why do I need to monitor and control their access if there is nothing to protect?
Endpoint protection is not simply controlling who can copy your data. Users may still be able to bring applications, movies or other
material and copy these on to the network. For example, a pirated application containing malware downloaded from home may
be brought in the office via a USB disk and installed, introducing the possibility of a virus outbreak on the corporate network. Joke
applications and videos are also a source of time-wasting.
I do not want the extra cost of purchasing an SQL Server license.

Archive is not the same as backup. Backup is only a point in time solution, i.e., having a copy of messages at a certain time. It
is not designed for rapid searching of messages, and may not be able to recover deleted or historical messages. Additionally,
backup cannot provide a verifiable audit trail of messages, as the archive service can.

“I don’t want my email in the cloud.”
All of your inbound and outbound messages are already being sent through the cloud, in plain text. With regard to the archive
of your email, your data is actually safer in the cloud, stored at multiple geographically-distributed data centers, compared to the
messages being stored on your own premise or in your own datacenter. We have an integrated export mechanism that allows
you to export some or all messages at any time, and the messages are stored very securely to prevent unauthorized access.
Other security-related objections.
All messages are encrypted with 256-bit AES encryption; messages are only visible to users who send or receive those messages,
and to domain administrators - no other people, including any resellers or distributors or GFI itself, have access to the encrypted
messages. The private keys are never stored on the systems used to store the messages, so that even if somebody were to walk
away with the system storing your messages, they would not be able to decrypt or read them.
Company-related objections.

Online vs. on-premise? GFI’s Hybrid Approach
One dilemma facing a lot of small and medium-sized businesses (SMBs) is whether they should choose an on-premise solution
or move their operations online using one of the many cloud-based services. The answer depends greatly on the type of set-up
the organization has. A 10-employee company infrastructure is different from that of a 50-employee company. Their needs are
different and so their options/choices will also be different.
GFI’s approach to the online vs. on-premise dilemma is simple: companies often need a mix of both online and on-premise
solutions. GFI’s Hybrid Approach serves to help companies maximize the benefits of the cloud and on-premise solutions, giving

Why are GFI’s products priced so low?
GFI develops software that meets the needs of an SMB without extra bells and whistles; without bloatware. Unlike most
enterprise products that are ‘downsized’ for SMBs, GFI has built its software from the ground up to target SMBs at a lower price
point. This allows GFI to not only be competitive but also offer highly competitive pricing in our core markets.
If I don’t renew the Software Maintenance Agreement (SMA) on my GFI product, what will happen with the product aside
from just not having free support and version upgrades?
For most of GFI’s products, if Maintenance is not renewed, the product will continue to work but with no support or upgrades. GFI
WebMonitor, which is sold on a subscription basis, will stop working except for its monitoring functionality. This also applies to
any product with virus definition updates, Trojan engine and exploit engine updates, vulnerability updates, anti-spam and antiphishing updates and SpamRazer updates.
What are the product system requirements?
Please refer to the specific requirements on the GFI website (product pages) or the appropriate product documentation. As a
general reply, all products work in a Microsoft Windows environment and on the latest operating systems (x86 and 64-bit).
What happens if I exceed my license limit? Should you exceed your license limit, you can easily purchase the correct amount of seats.
