Covering Your Asset
Your facility’s carpet, flooring and surfaces are expensive and need
to be cleaned properly to maximize their life cycle, but facility budgets
don’t always take this into consideration. Learn why the bottom line
is misleading facility managers into paying more in the long run.

A
ssets take the form of many things. They are
company vehicles, computers, office chairs,
and fax machines, but they also include floors and
carpet. These items are costly when installed, and
costly to replace. It is necessary to include flooring assets in a maintenance program the same way
you would a company vehicle or a photocopy machine. When maintained properly, flooring can last
decades, but if not maintained regularly and properly, you could loose your asset within a handful of
years.
The Carpet and Rug Institute recommends that a
facility’s maintenance program emphasize the following:
-- Effective cleaning systems that maximize restorative cleaning, safety, and ease of use, while
minimizing residue.
-- Cost effective cleaning strategy, planning, and
scheduling.
-- Regular training and recognition of cleaning
staff.
-- Periodic inspections, assessment and review of
cleaning programs.
The development and implementation of an effective maintenance program is integral to maximizing asset life and quality. You may be interested to
know that we are skilled at helping our customers
acheive the four aspects of an effective maintenance
program.
1. Effective Cleaning Systems
When we recommend products and processes to
our customers, there is one thing you can be assured
of - these recommendations are never arbitrary.
We make every effort to match the right equipment,
chemical, chemical system, tools and process to the
facility. Each facility has its own characteristics. A
system that works in one type of facility will be hard
to adapt to another. Perhaps the facility has a staff
demographic with a language barrier, or the facility premisis is unsuited to certain types of cleaning
equipment. A cleaning system needs to be customized, and this is where we excel.

2. Cost Effective Cleaning Strategy, Planning, and Scheduling
Informational tools are important for communicating strategy. We have a variety of process and equipment calculators that determine the best strategy for
your cleaning dollar. Once a strategy has been decided on, our process charts, whether standard or
custom designed, communicate the “how” and the
“how often” for the tasks within the strategy.
For higher level planning, such as building design
and financial budgeting, we are able to provide consulting services. These services help you to back
purchasing decisions that go beyond superficial
savings. We allow you to plan in a way that maximizes asset longevity, cleaning quality, and cleaning efficiency. What does this mean? It means that
the cheapest product does not always produce the
best savings, and we can show you why.
3. Regular Training and Recognition
The trick to an effective cleaning system is to make
it easy. A system that is easy to follow is more likely
to be used consistently by staff.
Our consultants can help train your staff on-site,
demonstrating everything from equipment use, to
cleaning processes, to cleaning ergonomics.

4. Periodic Inspections, Assessments and
Review of Cleaning Programs
Quality control and process review allows challenges within a program to be identified and corrected.
We have created tools for customers that allow for
ongoing review of cleaning performance, both by
facility managers and by periodic Greer Consultant
visits. We have also adopted third-party standards
and use scientific equipment such as ATP meters to
determine cleanliness objectively.

a cheaper floor finish far exceed
the additional few dollars of a pail
of high quality Greer floor finish.
These labour dollars can then be
put to better use in other areas of
the facility, increasing the overall
quality of clean.
It is not enough to just purchase
any cleaner. It must be the right
cleaner at the right dilution, using the right tools within the right
program. To ignore the wider considerations of a cleaning process
puts a facility’s assets at risk of a
reduced life cycle, costing the facility more money in the long run.
Short term-savings lead to longterm expenses.
The ISSA’s Value of Clean White
paper highlights this complexity
when discussing carpet asset longevity:
“[A] planned maintenance program extends a carpet’s life. By increasing the annual cost of cleaning
a carpet by 10 percent, a facility manager can extend the carpet’s useful life well beyond the manufacturer’s estimated life cycle, ultimately paying for
itself in deferred replacement costs.”
The ISSA White Paper goes on to explain that an
unplanned maintenance program will reduce carpet
appearance from new to poor inside of seven years,
requiring carpeting to be replaced between one and
three years earlier than manufacturer lifetime estimates. Alternatively, well maintained carpeting can
last many years over the estimated lifetime.
This goes for hard floor and surface care as well.
Well planned maintenance programs may use
chemicals, equipment and tools that have an initially higher purchase price, but in reality the program
has an overall lower cost due to the increased longetivity of the floor or surface. Better products last
longer as well. Factor in the value added services
we provide to our customers, and you have a program with amazing value.

task times, another typical feature of cleaning work.
MSDs primarily effect the arms, hands, fingers,
neck, back, wrists and shoulders, and can result
in pain, numbness, tingling, stiff joints, difficulty
moving, and even occasional paralysis. Proper lifting, holding, and body-movements are vital for an
ergonomic cleaning program, and new cleaning
tools and equipment are constantly coming on the
market to limit awkward positions and stresses.
E
rgonomics is defined as the “study of work.”
The primary goal of ergonomics is to structure
work in a way that fits with a person’s natural body
movements. Ergonomic issues arrise when a person is forced to move in a way to fit the tool or the
task, or is unaware of a better posture. Everyone
knows that ergonomic posture is important and, in
the realm of the office or the warehouse, ergonomics has been well incorporated into the workplace.
Cleaning, however, is an area that needs a little
more attention at the facility level. The question is:
why?
Partly, the issue is money. Afterall, when cleaning budgets are being eroded, it is hard to justify
spending on new ergonomic cleaning tools, equipment and training. Another reason may be tradition.
Cleaning is viewed as an “old fashioned” job, and
workers can often be resistant to performing tasks
in a new way or learning to use new tools, even
when beneficial.
In response, we have developed a new component
for our “College of Cleaning” training program
called “Cleaning Right: A Guide to Ergonomic
Cleaning Techniques.” It goes through causes of
ergonomic issues, and techniques for performing
tasks in a way that reduce physical stress. So far,
reception to the new training course has been overwhelmingly positive.
We also carry a variety of tools and equipment that
are designed to improve ergonomics.

CLEANING
RIGHT
A Guide to Ergonomic
Cleaning Techniques
Facility managers should be concerned about ergonomics for their cleaning staff, as poor posture has a
significant effect on the bottom line. A study by the
Health and Safety Executive in the UK warns that
poor ergonomics increases absenteeism, increases
reports of injury to worker’s compensation or union
representatives, and creates low motivation and dissatisfaction among workers.
What makes cleaning work so risky is that the majority of cleaning tasks require lifting, repetitive movements, and awkward positions. This puts workers at
risk for musculoskeletal disorders (MSDs). The risk
of MSDs are increased by low task variety and long

CARPET SPOT CLEANING
Stains and spots need to be removed as soon as discovered to minimize or prevent permanent damage to
carpet fibres. Even carpeting treated at the mill to be stain resistant will discolor if spills are not cleaned up
promptly.
Any facility with carpeting and upholstery should also have a carpet spotter on hand. Commercial level spotters with a commercial carpet cleaner such as Airx 80 or 82 are useful for deeper stains or larger areas that
need more than a quick soak and blot.

IMPORTANT: Always test a carpet product you have not used on your carpet before. Pick an inconspicuous area to test on so as to ensure there are no unforeseen issues.

FUNCTIONAL AREA MATTING
Mats are vital when concerning the protection of carpet and hard floors. Wiper (w) style or hard (h) mats are
required in any area where there is soil created or there is a chance of wear to an area. Examples of these
areas include:

◊Maintenance areas (w)
◊Warehouse entrances (w)
◊Office work stations (h)
Small to medium sized wiper mats placed inside the entrance of a soil producing area will keep moisture, oils
and dirt off the adjoining hard floor or carpet.
Hard chair mats at workstations will prevent wear and tear on the carpet and floor area due to repetitive motion from chair casters.
Entrance and functional matting requires regular maintenance in order to perform their jobs well. The more
soil load in a mat, the less it is able to absorb and scrape from footwear.

SPRAY AND WIPE DISINFECTION
Dedicate and label separate spray bottles
and trigger sprayers for disinfectant
cleaners.
• If bottles and sprayers are not new, clean
and rinse thoroughly. Label should include
product names and cautions.
Dilute only enough product for a day’s
use, otherwise use a ready-to-use product
proven not to degrade with age.
• W.E. Greer Ltd concentrated disinfectants
have a shelf-life of three years.
Adjust trigger sprayer between a mist and a
jet to deliver a wet spray over a wide area,
or spray onto a clean cloth.
• Do not atomize spray so finely that it floats
in the air.
Spray to wet surface completely and
liberally enough to remain damp for several
minutes.
• Check for specific directions on the
disinfectant you are using for proper
contact time. Usually 5 to 10 minutes.
Remove loosened soil with a clean cloth or
sponge.
• Rinse, or change wiping cloths and
sponges frequently.
If surface is heavily soiled, consider first
application as a cleaning step, then apply a
second application to disinfect.
• Continue to rinse or change cloths or
sponges as they become dirty.
Wiping cloths used in areas of potential
cross infection should be laundered or
properly disposed of.
• Where cloths are not to be laundered or
discarded, rinse well in fresh disinfectant
solution, wring and hang to dry.
MOP AND BUCKET DISINFECTION CLEANING
Measure both product and water for
accurate dilution.
• Use too little and you may not kill the
organisms. Use too much and you will be
wasting expensive product.
Apply solution liberally to cover surface
and keep damp for full contact time. Use
flat microfibre mops for best coverage.
• Check for specific directions on the
disinfectant you are using for proper dwell
time. Usually between 5 and 10 minutes.
If surface is heavily soiled consider first
application as a cleaning step, then apply a
second application to disinfect.
• Rinse
mop
thoroughly
between
applications. After the cleaning step, mix
a fresh solution to disinfect.
Change solution in bucket as it becomes
dirty.

CHOOSING A PLASTIC BAG SIZE
When choosing a bag size for your waste receptacles, there are a few important things you need to know
about how bag dimensions are laid out.
Polykar brand plastic bags are listed as such: “20 x 24 Black Light Bags”. What does this mean? The first
number – “20” – is the width in inches; the second number – “24” – is the bag height; and the “Light” refers
to the thickness of the bag.
Follow the directions below to pick the right width, height, and thickness for your container:

AIRX SELECTION CHART
All Airx products contain airicide odour counteractant. Unlike air fresheners that simply add a perfume to
the air to cover an order, Airx airicide binds to a odour molecule and changes its shape so that it is no longer

CHEMICAL SAFETY PLANS
Cleaning tasks have hazards that need to be addressed. Here are some things you need to know and plan for:
1. Material Safety Data Sheets (MSDSs). Also known as Safety Data Sheets (SDSs) under the new Globally Harmonized
Symbols (GHS) system (see p. 12), MSDSs provide you with vital information regarding safety for the chemicals you use.
Risks can be extreme or subtle, so reading and following the MSDS will reduce the risk of harm. Make sure staff members
review the MSDS before working with a cleaning chemical. MSDSs should be kept up to date, and must be easily accessible
by staff. Visit our website (wegreer.com) for the most up to date version of your MSDS sheets.
2. Know your WHMIS symbols. Part of the MSDS, where applicable, is the Workplace Hazardous Materials Information Sys-
tem (WHMIS) panel. The panel will also be on the product label, and should be transferred over to any bottle that the chemical
is diluted into. This panel communicates safety equipment required, and what to do if you are exposed to the chemical through
your eyes, skin, inhalation or ingestion. The symbols at the top of the panel quickly communicate the danger posed by the
chemical. Our WHMIS symbol chart is available on our website (wegreer.com/training/training.php), or ask us for a copy.
3. Labeled bottles. As mentioned above, the bottles your cleaning products have been diluted into should be clearly marked
with the product name and safety information from the WHMIS. If you are using Greer manufactured cleaning chemicals,
many of our products come with, or have available, silk-screened bottles with the product safety information on it.
4. Personal Protective Equipment (PPE). Most of our cleaning chemicals require that a person protect their hands and eyes,
but a few of our chemicals require even more protection. The MSDS will outline safety equipment required for handling
cleaning chemicals. Review the chemicals being used in your program, and make sure you have the right PPE on hand.
5. Janitorial closet. The janitorial closet is where your staff mix cleaning products and prepare for cleaning tasks. Make sure it
is well ventilated, uncluttered, and all items are clearly marked. Use the wall space for chemical use charts, safety charts, and
other safety information. Keep a binder of current MSDSs in the closet for easy access. A dilution control system will help
with chemical organization, safe handling, and uncluttering space.
6. Training. The key to a chemical safety program that works is making sure that all staff members who handle cleaning chemi-
cals, or manage staff who do, get WHMIS training, as well as training on the proper use of their facility’s cleaning chemical
program. Make sure to speak with your Greer representative for more information on having us conduct a training session
for your staff.

PROCEDURE 1 - SPOT CLEANING WITH AIRX 83 PEROXIDE STAIN REMOVER
Alternately blot and drench area with water
as soon as possible after occurrence.
Blot the spot with a color safe cloth. Spray
with Airx 83 and allow to sit for 5 minutes.
Blot the spot again, and vacuum when dry.
PROCEDURE 2 - “EATING” AWAY ORGANIC SOILS WITH AIRX 65
If spots from organic matter remain after other spot removal procedures fail, apply Airx
65 to the area.
Cover the area with plastic to prevent evaporation. When the stain is gone, rinse well
with water and blot the area dry.
PROCEDURE 3 - USING SQUEAKY DISH DETERGENT FOR ADDED SOIL LIFT
Mix 1/4 teaspoon Squeaky with 1 cup warm
water and apply small amount to area. Soak
and blot area with color safe cloth to lift the
soil.
Rinse with clean water and blot the area with
a clean color safe cloth until all detergent is
removed.
PROCEDURE 4 - LIFTING STUBBORN OIL AND GREASY STAINS WITH A-BEN-A-QUI
Apply a small amount of A-Ben-A-Qui to
the soiled area and agitate with a clean colorsafe cloth.
A-Ben-A-Qui leaves a pink color behind.
Remove the residue completely with an extrator or a spot-remover.

BE PREEMPTIVE WITH YOUR ICE MELTER
Winter can be treacherous for pedestrians, so being preemptive with your snow removal and ice melter can save you, and your
facility’s patrons, a whole lot of trouble. Here are some tips for clean and safe walkways in the cold seasons:
1. Stay on top of the job. Make sure to remove even small amounts of snow after a snowfall. Ice can build up fast and become
a much larger chore to remove later on. Hate to shovel? Try a leaf blower or a push broom if the snow is light.
2. Apply ice melter before the snowfall. When you know that there will be a snow storm, get your ice melter down early. Surfaces treated with ice melter are easier to clean up later.
3. Use the ice melter that suits your needs. Make sure your ice melter selection is suited to your environment. For example,
you may want to go with Xynyth’s Mountain Organic ice melter if you are concerned about damaging greenery, or Xynyth’s

4. Use the right amount of ice melter. Follow instructions on the package to ensure you are using the right amount. Too little
does not get the job done, and too much is just a waste of your money. If you are doing a larger area, invest in a spreader.

SAFETY PRECAUTIONS FOR CLEANING PROFESSIONALS
Commercial cleaning chemicals have the advantage of being stronger and faster acting then their home-user counterpart, but they
come with more serious side effects if used incorrectly or without the proper personal protective equipment (PPE).
Hazards can range from low-risk to life-threatening depending on the type and duration of exposure to the product. There are four
ways to expose yourself to a chemical risk:
• Absorption – exposure through contact with skin or eyes
• Inhalation – exposure through breathing
• Ingestion – exposure through eating or drinking
• Injection – exposure through skin puncture
All our chemicals have material safety data sheets (MSDSs) easily accessible through our website or upon request through our
offices. The MSDS outlines the risks resulting from the above exposure types.
Most of the cleaning chemicals we sell require the use of gloves and goggles to limit exposure to skin and eyes during use. We also
strongly recommend that your hands be washed after use, and never eat while working. We do carry some more harsh cleaning
chemicals that require the use of suits, respirators, or other PPE, so never use a cleaning chemical until you have read and evaluated the MSDS sheet first.
When reviewing the MSDS for hazard controls, look at the section called “Hazards Identification.” This area will outline the routes
of exposure and the severity of the hazard. Once you have identified the hazards, move to the “Exposure Controls” section, which
will outline the types of PPE required for the chemical.
Always err on the side of caution when using any cleaning chemical. Some symptoms only appear after repeated exposures, so
keep those exposures to a minimum.

FLOOR PAD SELECTION AND CARE
Floor pads are a great way to prepare, clean and maintain a floor. Here
are some tips for selecting and caring for floor pads:
1. Don’t go cheap. Pads are not a one-time-use commodity. 3M pads
offer uniform distribution of abrasives throughout the pad. This
means that as the pad wears down, its abrasiveness remains consistent. When the pad is high quality, you can keep using it until it
is 1/2 inch thick or less.
2. Choose the least abrasive pad for the task first. For example,
if you need to burnish a floor, and you are not sure what the floor
finish can handle, start with a less abrasive white burnishing pad,
then move up to an aqua burnishing pad if you need something
more aggressive. It is easier to move upwards in abrasiveness than
to repair damage caused by an aggressive pad.
3. Pick the right size. A 20 inch pad should be used with a 20 inch floor machine. This will help prevent the pad from being torn.
4. Ensure the pad is mounted centrally on the pad holder. This allows the pad to wear down evenly.
5. Keep your pads clean. Immediately after completing your task, rinse the pad out and hang it to dry. If the pad is very soiled
with floor finish, soak your pad in a stripper and water solution until the finish has dissolved, then rinse and hang.
6. Be frugal with your pad. Every floor pad comes with a hole scored into the middle. When you remove that middle, do not
throw it out. Rather, use it as a scrubber for when you are cleaning your pad. When your floor pad has worn down to less than
a 1/2 inch, cut it up and use it on your 3M Doodlebug pad holder to scrub away black marks on your floor.

USING MICROFIBRE CLEANING CLOTHS
When cleaning, it is important not to recontaminate the area with a dirty cloth. A new cloth surface
should be used on each new area. You can accomplish this by folding your cloth into quarters (see
right), providing you with eight separate sides to clean with. Just turn and refold as necessary to
reveal a clean “side.” When the eight sides are used, change to a fresh cloth. For surfaces with a
higher soil or bacteria load (e.g. toilets), microfibre should not be used. Rather, use paper wiper
towels and dispose after each surface cleaned.
Cloths should also be colour coordinated to the area they are meant to be used in so as to prevent

WINDOW CLEANING
Windows that are clean and streak-free make a building look complete. So what is the best way to clean a window or a pane of
glass? Use one of our high quality glass cleaners (p. 31) or a solution of Squeaky Dish Detergent (p. 29) and water in a window
bucket and follow the steps below:
1. Apply your solution with a window sleeve, and scrub. Vileda Professional window sleeves and swivel T-handles are ideal
for this step. If you have stuck on dirt, carefully use a Super Scraper blade to remove the soil. Angle the blade to approximately
45 degrees, and move the blade only in a forward direction to prevent scratching.
2. Start in a dry area. For best results, keep a dry microfibre cloth on hand and wipe a finger-width edge of your window dry.
Start your squeegee on that edge.
3. Hold your squeegee at a 45 degree angle to the glass. This will keep the blade firmly on the
glass and allow you to pull the water all the way down the glass.

4. Use a continuous “S” motion. This will pull the water across and down the glass. See the
diagram (right) for more detail. If your blade lifts off the glass, wipe the excess water from
the blade onto your window sleeve before placing it back on the glass.
5. Wipe your edges and sills. When you are finished washing your window, wipe the window
edges with a dry microfibre cloth, and clean your sills with a cotton bar wipe.
6. Floor finish to the rescue. If you have an outdoor sill that is prone to getting dirty, try ap-
plying a layer or two of floor finish to the sill. The water and dirt will be less likely to stick
around.

WASTE REDUCTION
Approximately 33% of the waste produced in Canada is comprised of paper products. Another 33% is kitchen and yard waste,
and the balance is glass, metals, plastics, textiles, wood and other materials (Statistics Canada). In commercial and retail kitchens,
50-70% of waste is compostable and the rest is food packaging. Only about 20% of the refuse Canadians produce gets recycled,
so it is important for everyone to do their part to minimize the production of waste in their facilities.
Follow these tips to help minimize waste:
Office Paper
1. Wherever possible, e-mail, make electronic copies, share documents with USB keys,
and generally limit what is being printed to items that require a hard copy. This not
only limits paper waste, it also keeps the office space much less cluttered.
2. When a printed copy is required, make sure to use recycled paper.
3. If possible, print on both sides of the paper.
4. If you have paper with only one side used, before you throw it away, use it
for short-term printing, or cut it into smaller pieces for note pads.
Restroom Paper
1. Use dispensers that limited length of paper. Check out our dispenser
options in this guide; Kruger Products has a number of dispensers that
help control usage.
2. Use “post-consumer” recycled paper towels and tissue.
3. Encourage patrons and employees to reduce their paper consumption in
restrooms.

CLEANING PROGRAMS FOR RECREATIONAL FACILITIES
Recreational facilities are vulnerable to skin-to-skin and surface-to-skin transmission
of pathogens due to use of shared equipment. For this reason, it is important that gyms
and recreational centres develop a comprehensive cleaning program to tackle issues of
infection before they become a problem. Here are the steps you must take to develop a
comprehensive cleaning program:
1. Identify and list all major areas in the facility. Identify high-risk areas (e.g. bath-
rooms/showers) and high-touch areas (e.g. gym equipment), then develop a cleaning, sanitizing and disinfection program for each area. Areas identified as “high risk”
or “high touch” will require targeted sanitizing and disinfection in conjunction with
cleaning. Include the extra steps required if there is an outbreak of influenza or other

4. Train your staff on the cleaning program. Ensure they understand the reason why it is so important that a formal cleaning pro-

by coming in to your facility to demonstrate procedures and equipment use.
5. Measure your cleaning standards both before and after you implement your program. Contact us for assistance. We can conduct

VACUUMING 101
Vaccums are fantastic tools for improving the air quality of a facility, particularly when used on all surfaces, including hard floors,
upholstery, and vents. Unlike brooms and dusters, which allow dust and dirt particles to become airborne, commercial vacuums
with filtration remove these particles from the air. Vacuuming is the first and one of the most important steps in a green cleaning
program.
All Nilfisk-Advance vacuums come with some level of air filtration, but a few, including the Adgility 6XP and 10XP backpack
vacuums, come with multi-level filtration and/or HEPA filtration. This advanced filtration allows the vacuum to remove more than
just regular dust and dirt, it can also remove particles such as bacteria that are only microns in size.
Here are some tips for using your vacuum more effectively:
1. Evaluate your facility’s traffic level in various areas of the building, and build an efficient vacuuming routine. High traffic areas
will need to be vacuumed daily, while lightly frequented areas may only need a weekly vacuuming.
2. Clean from the top of the room to the bottom. Dirt and dust fall, so use your vacuum to do your high dusting first, clean the
other surfaces in the room, then finish with a vacuuming.
