We believe you have made an excellent decision to study in our University College.
At EPHEC you will reinforce your practical and professional approach of business related subjects in a
congenial atmosphere, improve your French language skills while discovering the incredible richness of
Belgium’s cultural heritage.
This guide aims at answering some of the questions you may have on academic as well as practical matters as

1. GENERAL INFORMATION
1.1. Introducing Belgium
Belgium is a kingdom situated in the heart of Europe, a federal state and a constitutional parliamentary
monarchy. It was created in 1830 along the border between the Latin and Germanic countries, by uniting
citizens belonging to different cultures under the same national flag.
It has three official languages spoken : Dutch (or Flemish) in Flanders (the north of the country), French in
Wallonia (the south) and German in the « Eastern Cantons » near the German border. Some areas, like the
Region of Brussels-Capital, have a bilingual status. Belgium is therefore at the crossroads of the European
Union and its various cultures.
1.2. Brussels, the Heart of Europe
Belgium was one of the founding members of the European Union, so it was logical that Brussels should
become the political and administrative centre of the Union. More than 1,100 international agencies
(including NATO) are based or represented in Brussels, which plays host to over 150 embassies along with
some 600 international press agencies.
Brussels counts among the few cities in the world where the fate of part of the humanity is being negotiated
and decided. Within a radius of less than 500 kilometres, tens of millions of Europeans constitute one of the
largest consumer markets on the planet. The choice to make Brussels the capital of the EU and NATO favoured
the development of this cosmopolitan economic and cultural hub, which is rated the 2nd international
congress centre.

2. PRESENTING HAUTE ECOLE EPHEC
2.1. Brief History and Institutional Structure
The Ecole Pratique des Hautes Etudes Commerciales (EPHEC for short) was founded in 1969 by
professionals within the framework of denominational education. It is an institute for higher non-university
education (first cycle), a training centre for junior line executives.
We organise 3-year professional Bachelor Degrees (full-time) in:







Marketing
International Trade
Accounting
Law
E-Business
Information Technology
Automation & Electromechanics
In total more than 4000 students are attending these various full-time degree programmes which are
accredited by the FWB (French Community of Belgium).
In 1997 EPHEC merged with the ISAT Technical school in North Brussels to form the new EPHEC University
Colleg), a model close e.g. to the German “Fachhochschule”. Our ISAT technical department offers 3-year
bachelor degrees in:
 Electromechanics
 Automation.
Besides, EPHEC also offers various adult further education degrees (evening courses) in Marketing
Management, Insurance, Accounting, Personnel administration and Taxation.

3. REGULAR ACADEMIC DEGREE PROGRAMMES
3.1. Bachelor Degree in International Trade (« Bachelor en Commerce Extérieur »)
The bachelor in International Trade contributes to national and international sustainable business development through
the marketing of good and/or services within foreign markets and buying optimization in the context of globalization.
In the fall semester of the 3rd year, students can choose from different pathways :
 International SME Management
 Doing business with emerging markets
 International Supply Chain Management (modules fully taught in English)
 EU Affairs (modules fully taught in English)
3rd-year modules are taught in the Fall semester only (September-January)
3.2. Bachelor Degree in Marketing (« Bachelor en Marketing »)
A graduate in marketing considers the client as the focus of the company. The training incorporates three different
approaches to the definition of marketing: the duty of the organization to manage relationships with clients, a
management type aimed at the development of the company’s target market and a social exchange value process,
taking into account the welfare of the customers and the community (Kotler 2009). The graduate can drive the company,
in compliance with legal requirements and ethical, social and environmental concerns, into marketing opportunities by
observing and conducting market research.
In the 1st and 2nd years, all EPHEC students follow the same set modules.
In the 3rd year, all students follow a major (“core modules”) but also choose to specialise in 5 pathways or so-called
“minors”. Not all specialisations are available on each campus :






SME management (Brussels Woluwé / Louvain-la-Neuve)
Communication (Brussels Woluwé / Louvain-la-Neuve) – in ENGLISH
International Marketing (at the Louvain-la-Neuve campus only)

3.3. Bachelor Degree in Accountancy-Management (« Bachelor en Comptabilité-Option Gestion»)
The main concept underlying this programme is that accounting is a keystone in any enterprise from the profit or
nonprofit making sector. Through case studies, conferences and company visits, students will be confronted to most
situations they are likely to encounter later in the workfield.
They will learn
 to run current accounts and close the accounting year (using both paper and softwares)
 to fill in VAT declarations
 to define costs and build up budgets

3.4. Bachelor Degree in Law (« Bachelor en Droit »)
This 3-year Degree is taught in French at our Woluwé campus only.
Why opting for law studies ? Law studies :




are the key to understand how our private and public organisations are organised
are a living material always reflecting social evolutions
are an integration of social values and ethics
are practical and require imagination and creativity
3.5. Bachelor Degree in E-Business (« Bachelor en E-Business »)
Our latest degree programme was launched on our Woluwé campus with a first intake in September 2012. At the
crossroads of management, web-based communication and IT, future graduates will embrace jobs both in the public
and private sectors such as web manager, web analyst, community manager, online purchasing or sales manager, Emarketing campaign developer.
3.6. Bachelor Degree in Information Technology (« Bachelor en Technologie de l’Informatique »)
This 3-year Degree is taught in French at our Louvain-la-Neuve campus only.
It offers scientific and technical training dealing both with the hardware and software aspects of IT involved in the
digitized transmission of data, sound and image. Upon completion of this programme, the student will be able to set up
local or remote telephone and computer networks integrating service and multimedia components.
3.7. Bachelor Degree in Automation & Electromechanics
Automation
According to the specialty, the bachelor in Computing and Systems:
 Control the automation process and control and manage the complex automated systems (design,
implementation, tuning, programming and troubleshooting)
 Install, maintain and market systems and communication networks of all types and applications, whether it be
local or remote (web)
 Manage monitor applications and real-time control of various devices (industrial, access control, embedded,
automobile, medical, scientific, weather…)
 Provide installation, monitoring, maintenance of micro-computer and office equipment and user support
 Assist in the analysis and the implementation of an energy system and automated buildings
Electromechanics
A graduate in Electromechanics is a multi-skilled person. The multidisciplinary training facilitates them into the
maintenance of industrial processes, energy management in both economic and environmental criteria in mechanical
engineering.
The development of technical projects and assistance to implementation and design is an integral part of the training.

4. INTERNATIONALISATION
4.1. Introduction
EPHEC has participated actively in the
development of the European Commission’s
Erasmus exchange programme since 1990. Our
own regular students can go on a study period
abroad in the fall or spring semester of their 3rd (i.e
final) year of study, while guest students from our
partner institutions usually stay with us in the fall
semester, when a larger range of modules
(including 3rd-year courses and most modules
taught in English) are available. Under the newly
launched ERASMUS+ programme of the E.U.
Commission we have been granted the « Erasmus
University Charter » and are happy to be able to
welcome you for a study period with us. On the
other hand, the Erasmus Belgica scheme enables
similar exchanges between the 3 communities
within Belgium.

5. INFORMATION FOR INCOMING STUDENTS
5.1. Academic calendar
The academic calendar for incoming students is set as follows:
FALL Semester
Application Deadline: 1/06
Recommended Arrival Date: around 8/09 (date to be confirmed each year)
Welcome Week and Orientation: 8/09 – 14/09 (attendance obligatory!)
Lectures during FALL Semester: 15/09 – 20/12 (attendance obligatory!)
X-Mas holidays: 2 weeks between the end of the classes and the beginning of the exams

SPRING
ORIENTATION WEEK
During the first week of the semester (beginning of September and end of January), the participation to the
incoming students “Orientation Week” is compulsory.
Through welcome/information sessions, a campus tour and personal appointments you will get acquainted
with the university facilities, the academic procedures and the study life at EPHEC.
Your course programme and schedule will also be decided during this week. Furthermore various events,
workshops and teambuilding activities will give you the possibility to meet the other international students
and to get familiar with the Belgian culture.

STUDY ABROAD FAIR
In October, a « study abroad fair » is organised. All international students are invited to provide information on their
home countries and universities to our EPHEC students, and maybe cook traditional dishes.
5.2. Prerequisites & application details for guest students
ENGLISH LANGUAGE:
A very good command of English language (generally European level: minimum B2) is requested.
A language evaluation (by phone, prior to final decision of acceptance) might be organized if necessary.
FRENCH LANGUAGE:
Besides the courses offered in English for the guest students (see the list of modules taught in English), the
majority of courses are given in French. Therefore, we strongly recommend that you have a good command
of the French language, both written and spoken, before you actually begin your study period at EPHEC, if
your course programme includes courses taught in French.
A course of « French as a foreign language » is organised at EPHEC for guest students and a special module
centred on “Belgium and Brussels at the Heart of Europe” will help you better understand your new
environment.

5.3. Application Procedure
FIRST STEP:
Your home institution should inform us officially that you have been nominated for a study period at EPHEC.
To help us know you better, please send us (by e-mail only):
 a letter of motivation
 a CV with (electronic) picture


the completed Guest student Info Sheet
your draft Learning Agreement (draft course programme = EU model part A)
 Once we have received the set of complete documents, we will send you a “Confirmation Letter”
Deadlines to receive these documents:
by 15th of June (for the fall semester)
by 15th of December (for the spring semester).
SECOND STEP:
Once your official nomination from your Home International Coordinator is accepted by EPHEC you should
register electronically as follows:







you click on “Registration” under the picture
you complete all the requested data and submit at the end
you receive an automatically generated message
in this message you click on “Click to confirm” : this will transfer your data into our database.
If you have not yet done so previously, complete and send us (by e-mail) the “Guest Student Info
Sheet”
5.4. Course offer in English & Erasmus modules
International/guest students may choose among all undergraduate programmes offered at EPHEC. In
general, courses from our degree programmes are held in French.
However, at EPHEC many courses are also taught in English and are available for incoming students within
our different departments.
A “COURSE OFFER IN ENGLISH” with a complete list of courses offered in English language will be sent to
you by email after you have been accepted. Afterwards you will be asked to send your course selection
(“draft Learning Agreement”) via email to [email protected] as soon as possible.

You are responsible for deciding whether you meet the prerequisites for a course, in terms of language and
content.
Note that some courses are only available to students with certain prerequisites (e.g. the Communication
Plan package). So please be aware of the course contents and learning outcomes before you select a
course!
Your selection is still preliminary and may be subject to change as we will finalize your curriculum together
with you after your arrival in Brussels. Since there may be scheduling clashes between courses we cannot
confirm your course choice beforehand.
At the beginning of the semester you will have an appointment
with our International Office to confirm your preselected courses.
The approved “Learning Agreement” based on your final
choice will have to be sent by you to your home university.
You will be allowed to change some of your courses within the
first 2 weeks of the semester.
Note: attendance to classes at EPHEC is compulsory!
Erasmus modules
In addition to the courses offered in our degree programmes, we offer a variety of courses which have been
designed exclusively for incoming students, and are called “Erasmus modules”. These courses are highly
recommended to incoming students, as they are exclusively held in English and taught by experts in the
respective fields.

5.5. Courses in French
If you have sufficient knowledge French in the language please contact us by e-mail at
[email protected] to receive the list of courses taught in French in the bachelor degree programmes
that you are interested in.

6. ACCOMMODATION
EPHEC does not own student dormitories, halls of residence or flats.
 So you will need to find accommodation in the private sector: rented flats, sharing a room with
families or other students. Previous exchange students from your institution might give you some
useful hints, so it is always wise to refer to their former experience.
Renting a student room or flat in Brussels will cost on average 350-400 € per month.
You might need to sign a contract and pay a 2 months deposit with your landlord.
Suggestions as to where you can look for accommodation:
1. Contact international students who are currently studying at EPHEC (we can give you the list and
contacts). Maybe you can take over their accommodation when they leave.
2. Search for accommodation by using the websites below. You should prepare yourself by getting
acquainted with the Brussels area (see map below):

How to find your way in Brussels?
Brussels is divided in 19 “communes” or districts also identified by a post code (from 1000 onwards for the
central area) to 1200 for Woluwé Saint-Lambert (where the EPHEC main campus is situated).
Check the situation on the map to evaluate the travelling distance and public transport connections.

7. BEFORE YOUR ARRIVAL
Before you leave for Belgium, check with your local Belgian embassy if you require any specific document.
By all means, don’t forget your passport and bring a few passport-sized pictures which will be useful for various
purposes, including a transport pass.
Make sure that you have sufficient insurance coverage for your stay in Brussels BEFORE your arrival.
 Students from EU/EEA-countries should bring their European Health Insurance card with them which
can be obtained from their insurance company in their home country.
 Students from NON-EU/EEA countries have to show their insurance coverage already at the time of
visa application
Ask your personal insurance company for details about coverage of medical treatment and have the E-111,
E-128 (or equivalent) form established for a period covering your stay in Belgium.
8. UPON ARRIVAL
When you first arrive in Belgium, you must confirm your enrolment with EPHEC.
You must then request an enrolment certificate, which is necessary to obtain your residence permit and report
within the 8 working days following your arrival to the communal authorities of your place of residence.
8.1. Getting to our main Brussels campus
By plane : Brussels National Airport (www.brusselsairport.be) is situated at Zaventem, some 14 km east of the
city centre. There are frequent train services taking you to the main railway stations.
By bus from the airport to EPHEC: From Brussels Airport, you can also take bus n°659 operated by DE LIJN
which takes you to Roodebeek metro station. Ask the driver for the stop called “Hof ter Musschen” which is
5 minutes walk from EPHEC.
By train & metro : If you arrive in Brussels by train get off at Bruxelles-Central which has a direct connection
with the metro line 1 heading for « Stockel » taking you to EPHEC (get off at station “Vandervelde” or
“Alma”). See the enclosed route map.
By bus & metro : STIB operates a bus service (n°12 Airport Line or n°21 at weekends) between the airport and
the Schuman Square in the heart of the European Institutions and connecting to metro line 1 « Stockel » taking
you to EPHEC. Get off at station “Vandervelde” or “Alma”.

8.2. When you arrive at EPHEC
It is important to inform us of the date of your arrival. You should write to our International Relations Officer,
Mr Frédéric SIMONIS (Email : [email protected]) to confirm your arrival.
At EPHEC, representatives of our student’s council will be your tutor or ‘buddy’ for the whole period of your
stay. They might arrange to help you upon your arrival and advise you on practical matters. You will meet
them the day of our “Introductory briefing”, and prior to your arrival you might be invited to join a Facebook
“Erasmus group”.
During our orientation week and Introductory briefing (on the 1st day), we will give you important
information on your stay in Brussels, the public transport discount certificate, have a Campus Tour & a
welcome lunch)
In the following days, you will also have an individual appointment at the International Office, in order to
sign your “Certificate of Arrival” as well as finalize your curriculum and timetable.
: when you arrive at EPHEC
1. Attend the welcome meeting and other activities !
2. Read the “Welcome Guide” very carefully !
3. Give us your Belgian cell phone number as soon as you get it !
4. Respect the open office hours of the International Office (B24) and the “bell” system !
5. Prepare your Learning Agreement with the most updated course programme if necessary
6. Go to the individual appointment with all your documents (incl. updated learning
agreement)
7. Check and use your e-perso (intranet platform) personal account every day

9. PUBLIC TRANSPORT IN BRUSSELS
The quickest way to get around in Brussels is the metro. Take metro line 1 to and from EPHEC and alight at
station « Vandervelde » or « Alma » (5 minutes walk).
 The Brussels transport company STIB also runs many tram and bus routes.
A single JUMP ticket (valid 1 hour) costs 2,00 € (or 2,50€ if bought from driver). If you make frequent use of
public transport, it will be cheaper to buy a 10-ride card (13,00 €) or even to get a monthly STIB “MOBIB” pass
(46,50 €) that will give you unlimited travel on Metro, trams and buses in the metropolitan area. You will need
to get your pass (a chip-card) from a STIB Info Agency in one of the metro stations at Porte de Namur, Rogier,
Gare du Midi or Roodebeek. A school pass for 12 months is at 204,00 €. For more info check www.stib.be.

Train
Travelling around Belgium by train is very easy : The SNCB (Société Nationale des Chemins de Fer Belges)
offers attractive prices for young people. Your best buy to explore Belgium by train is the « Go Pass » if you
are under the age of 26 : for only 50,00€ you can make 10 single trips (regardless of the distance) between
any two Belgian stations. Check other tariffs on http://www.b-rail.be/nat/E/.
The major railway stations in Brussels are Bruxelles-Midi, Bruxelles-Central and Bruxelles-Nord where you will
find more information on routes and timetables (see also on www.b-rail.be).
10. BEFORE YOU LEAVE EPHEC
Appointment at the International Office to complete the administrative process
Before you leave EPHEC make sure that you arrange an appointment at the International Office if you need
us to prepare the Confirmation of Stay/”Certificate of Departure” (not compulsory).
We will ask you to fill in an evaluation questionnaire to get some feedback from your side in order to be able
to continuously improve the service that we offer to exchange students.
You will be asked to pay an in invoice for the books and notes you received during the semester.
11. TRANSCRIPT OF RECORDS
A detailed report or “Transcript of Records” indicating your final marks and grades both in the Belgian and
ECTS grading scale will be sent to you and to your home institution coordinator within the 2 weeks following
the end of the exams period.
12. RESITS
“Resits” (2nd chance exam or assignment) are organized in end of August/beginning of September.
So if you need to take a second chance for a subject you failed, you will have to contact our International
Office at the latest in April 2014. Individual arrangements cannot be made directly with the teachers or outside
the indicated period.
