At the Heart of Heartland Truly Moving PicturesTM
Organization at a Glance
Eighteen years ago, a group of visionaries united to create a unique film festival to honor beautifully made films that
emphasize the best of the human spirit and to give filmmakers the things most needed to continue making those films –
cash prizes and opportunities to showcase their work. The non-profit organization has expanded far beyond its regional
founding in 1991. As a result of its growth, a new parent organization – Heartland Truly Moving PicturesTM – was
created in 2007. The change highlighted the organization’s industry award, the Heartland Truly Moving Picture Award,
while at the same time redefining its commitment to filmmakers, studios and distributors whose projects address
challenging subjects, yet provide meaningful storylines and resolution. Heartland also expanded its film festival
programming, year-round marketing efforts and events, and its rapidly growing “Finding Inspiration in Literature &
Movies” project (F.I.L.M.) in association with the National Collaboration for Youth.

To recognize and honor filmmakers whose work explores the human journey by artistically expressing hope and respect
for the positive values of life.

Heartland Truly Moving Picture Award
The organization created the Heartland Truly Moving Picture Award as a way to honor films released theatrically that
align with Heartland’s mission. The award is bestowed on approximately 15-20 films a year that meaningfully impact
audiences. Submissions are received directly from studios and producers for consideration. By bestowing a watermark
to honored films, the award allows studios and distributors to inform potential audiences of a film's uplifting message
and appeal. Heartland hopes the award will become a standard that filmmakers and studios wish to aspire to and, upon
receipt, will use in their marketing efforts. To view the complete list of award winners, visit

Heartland Film Festival
The organization’s flagship event, the Heartland Film Festival, invites independent filmmakers from around the world
to submit feature length and short films in dramatic, documentary and animation categories. The Festival awards
$200,000 in cash prizes and presents its Crystal Heart Awards to the top-judged submissions. This includes a $100,000
Grand Prize for Best Dramatic Feature, a $25,000 Award for Best Documentary Feature and a $10,000 Vision Award
for Best Short Film. The annual film festival in October offers moviegoers a rare glimpse at these independent films
and special events for film enthusiasts of all ages, including a black tie awards gala, a special family movie event, an
education seminar featuring industry experts and much more. Festival attendance has increased the past seven years
with a record of more than 22,500 attendees in 2008.
F.I.L.M. Project
Heartland and the National Collaboration for Youth (NCY) have teamed together in a project called F.I.L.M., an
acronym for “Finding Inspiration in Literature & Movies.” The literacy and film program encourages youth associated
with NCY organizations around the country to screen the program’s featured films, read the books/scripts associated
with the movies, utilize the activity guides and partake in related service projects. Heartland and NCY hope that by
participating in F.I.L.M, youth will gain an appreciation for literature and film and will be inspired to realize their full
capabilities.

Parking:
Parking is available in the Circle Center Parking Garage. We recommend using the Nordstrom
Circle Center Garage located on Georgia Street between Illinois and Meridian. It is connected
to our building on the second floor of the mall. Take the Nordstrom Elevator to the Second
Floor. Take the Omni corridor by the Nordstrom Coffee Stand and at the end of the glass
crossover, turn left. You should continue all the way around this hall until you reach our
office. The mall door connecting Heartland is open 9:00a.m. – 5:30 p.m. Monday through
Friday.
Elevators:
Elevators in our building operate 8:00 a.m. to 5:30 p.m. If you arrive after 5:30, please use the
phone pad next to the elevator and press Heartland Film Festival #2200. A staff person will
come down and bring you up the elevator. Arrangements should be made with the office in
advance of any meeting beginning after 5:30 p.m.
Stairway:
Only use the stairway to exit the Heartland office. You cannot walk up the stairs.

Highlights of Heartland Film Festival’s First 18 years…
1991: Heartland Film Festival was born. The first twocity satellite conference was held between Los Angeles
and Indianapolis to announce the creation of the
Festival.
1992 (October 21-25): The first Heartland Film Festival
premiered to the world its first event with more than
6,000 people in attendance. Six independent
filmmakers were awarded $100,000 in cash prizes,
movie screenings and Crystal Heart Awards. The
World Premiere of the re-release of Snow White and the
Seven Dwarfs saw two sellout crowds. Hoosier Academy
Award®-winning Director Robert Wise (West Side Story,
The Sound of Music) was in attendance to receive the first
Crystal Heart Career Achievement Award.
1993 (October 22-24): Heartland built on its first year’s
success with a 125% attendance increase over the
premiere Festival in 1992. Celebrities visiting the
Heartland for the event included, but were not limited
to: Producer/Director Sydney Pollack (The Firm, Out of
Africa, Tootsie, The Way We Were); Director David
Anspaugh and Screenwriter Angelo Pizzo (Hoosiers,
Rudy); and film critic Jeffrey Lyons (Sneak Previews).
Besides screening Crystal Heart Award-winning films,
the Festival featured a discussion with Jeffrey Lyons
and Sydney Pollack for future filmmakers and film
buffs.
1994 (October 27-31): Celebrities and filmmakers filed
in and out of Indianapolis in scores beginning with the
Walt Disney premiere of Squanto: A Warrior’s Tale on
opening night and ending with the World Premiere of
Miramax Family Films’ Gordy on closing night. Studio
Crystal Heart Awards were presented for the first time
to Director David Anspaugh and Screenwriter Angelo
Pizzo for Rudy; Branko Lustig, Auschwitz survivor and
Producer, for Schindler's List, and Director Sir Richard
Attenborough for Shadowlands. Academy Award®winning Director Robert Wise, Michael Medved (Sneak
Previews) and Jeffrey Lyons (Sneak Previews) Kellie
Martin (Christy, Life Goes On) and Roma Downey
(Touched by an Angel) were also on hand to help
celebrate the achievements of the Crystal Heart Award
winners, including the wife of Sting, Producer Trudy
Styler (Moving the Mountain).
1995 (November 9-12): Festivities kicked off with an
Opening Night Event premiere of Warner Bros.
Pictures’ It Takes Two where the crowd enjoyed
mingling with industry professionals like Academy
Award®-winning actor Karl Malden, and with the sold
out Warner Bros. Pictures’ premiere of Les Miserables.

Hank Aaron and his wife, Billye, were on hand to
receive the Crystal Heart Award for Hank Aaron:
Chasing the Dream and to donate their prize money to
the Chasing the Dream Foundation. Three filmmakers
received Studio Crystal Heart Awards including author
Winston Groome for Forrest Gump, author Jeffrey
Kluger for Apollo 13, and Director/Screenwriter Frank
Darabont for The Shawshank Redemption. Producer
Sterling Van Wagenen (The Trip to Bountiful) and
Director/actor Gary Sinise (Of Mice and Men, Forrest
Gump) presented the Crystal Heart Career Achievement
Award to Screenwriter Horton Foote (The Trip to
Bountiful, To Kill A Mockingbird) and his late wife,
Producer Lillian Vallish Foote (1918).
1996 (November 6-10): Richard Dreyfuss participated
in the Crystal Heart Awards Gala and was honored for
his work in Mr. Holland’s Opus. Angelo Pizzo and David
Anspaugh reunited for the reunion celebration
screening of Hoosiers, 10 years to date from its original
premiere in Indianapolis on November 10, 1986. The
two received Crystal Heart Special Achievement
Awards.
1997 (November 5-9): Judy Stewart Merrill attended the
Festival to accept a posthumous Crystal Heart Career
Achievement Award for her father Jimmy Stewart. The
Festival showcased the World Premiere of the rerelease of Walt Disney’s The Little Mermaid, included a
special performance by Jodi Benson, the voice of Ariel.
1998 (October 21-27): Robert Duvall attended the
Festival's exclusive screening The Apostle. The first
Jimmy Stewart Memorial Crystal Heart Award was
awarded to a selected student filmmaker. Karl Malden
(A Streetcar Named Desire) was awarded the Crystal
Heart Career Achievement Award.
1999 (October 20-28): Heartland added the $50,000
Grand Prize Award for Best Dramatic Feature, raising
the total Crystal Heart Award cash prizes to more than
$100,000 annually and becoming one of the largest
festival awards ever to be given to a single filmmaker.
Wayward Son became the first Grand Prize Award
recipient. The Festival opened with a special screening
of October Sky, which was also awarded a Studio Crystal
Heart Award. Life is Beautiful and Saving Private Ryan also
received Studio Crystal Heart Awards.
2000 (October 18-26): Heartland renamed the Studio
Crystal Heart Award to the Heartland Truly Moving
Picture Award to honor theatrically released films
throughout year whose messages align with Heartland’s

mission. Maureen O'Hara attended the Festival to
receive the Crystal Heart Career Achievement Award.
Heartland hosted the World Premiere of The Amati
Girls with film star Sean Young in attendance. The
Rising Place received top honors as filmmakers Tom
Rice, Marshall Peck and Tracy Ford accepted the
Grand Prize Award at the annual awards gala.
2001 (October 17-27): Heartland celebrated its 10th
anniversary and the granting of more than $1 million in
prize money. Actor Jim Caviezel,
Director/Screenwriter Bill Bindley and Screenwriter
Scott Bindley attended the sold-out premiere of
Madison at the Hilbert Circle Theatre. The Movies on
the Canal series was introduced to the Festival, and the
World Premiere of The Painting was Heartland’s first
Closing Night Event with star Clifton Davis in
attendance. The annual Crystal Heart Awards Gala
honored Charles Champlin, Karl Malden and Robert
Wise with the Pioneering Spirit Award for their
contributions to Heartland. Director Lyndon
Chubbuck accepted the Grand Prize Award and a
$50,000 cash prize for The War Bride.
2002 (October 17- 25): Heartland launched Heartland
Film Festival Video, a new initiative to provide a video
outlet for promising independent films that otherwise
may not gain wide distribution. The first movie to be
released under the Heartland Film Festival video label
was Best Man in Grass Creek, a romantic comedy and
1999 Crystal Heart Award Winner. Attendance
increased as audiences were moved by 17 Crystal Heart
Award-winning films. The annual awards gala paid
special tribute to Roger Courts with the Pioneering
Spirit Award for his contribution to the Festival and
announced the 2002 Grand Prize Award winner as To
End All Wars by Producer Jack Hafer. Heartland also
honored Her Majesty and The Rookie with the inaugural
Truly Moving Sound Award. The award recognizes one
Crystal Heart Award winner and one Truly Moving
Picture Award recipient for demonstrating excellence in
sound as a storytelling element.
2003 (October 17- 25): Heartland opened with the
World Premiere of Blizzard featuring LeVar Burton in
his directorial debut. Burton, Executive Producers
Robert Schwartz and Ralph Winter, Producer Leif
Bristow and stars Zoe Warner and Brittany Bristow
attended the premiere and annual awards gala to accept
Heartland’s Truly Moving Picture Award for Blizzard.
The Crystal Heart Awards Gala honored Richard Cook,
Chairman of Walt Disney Studios, with the Pioneering
Spirit Award for his contribution to Heartland and
Producer Don Hahn (The Lion King, Beauty and the Beast)
received a special Crystal Heart Award for his
Heartland Truly Moving Pictures | 2009 Volunteer Orientation
contribution to animation. Filmmakers Ryan Little and
Adam Abel graciously accepted the Grand Prize Award
and $50,000 cash prize for Saints and Soldiers at the Gala.
Spin and Amandla! A Revolution in Four-Part Harmony
received the Truly Moving Sound Award. Attendance
increased for the third straight year as filmgoers
clamored to see 14 Crystal Heart Award-winning films
and a Truly Moving Animation sidebar.
2004 (October 21- 29): Heartland kicked off the week
of activities with a special screening of the Twentieth
Century Fox and Walden Media’s film Because of WinnDixie. Stars Jeff Daniels and Cicely Tyson along with
Newbery Award-winning author Kate DiCamillo
walked the red carpet and answered questions
following the screening. Emceed by Mary Kay Place,
the annual Crystal Heart Awards Gala honored
Screenwriter Mike Rich with the Pioneering Spirit
Award for his contribution to Heartland. Academy
Award®-winning songwriters Richard M. and Robert
B. Sherman (Mary Poppins) were also honored with a
special Crystal Heart Award for their contribution to
musical films. Filmmaker Jan Sardi accepted the Grand
Prize Award and $50,000 cash prize for Love’s Brother.
Finding Neverland and Love’s Brother received the Truly
Moving Sound Award. Attendance increased for the
fourth consecutive year as more than 17,000 filmgoers
were moved by 21 Crystal Heart Award winners and a
Truly Moving Musicals sidebar. The Kids’ Movie Party
was a true delight for the young and old as they
participated in the Sing-Along version of Mary Poppins.
The audience also enjoyed a special performance by
Richard M. Sherman as he sang favorite classics such as
Chitty, Chitty Bang, Bang, Winnie the Pooh and Jungle Book.
2005 (October 13 - 21): The 14th annual Heartland
Film Festival kicked off in Hollywood style with a soldout premiere of DreamWorks’ Dreamer: Inspired by a
True Story. Actress Dakota Fanning and
Director/Screenwriter John Gatins were on hand to
accept a Truly Moving Picture Award for the film.
Heartland presented awards and more than $100,000 in
cash prizes at the annual Crystal Heart Awards Gala.
Actor Judge Reinhold emceed the formal awards
ceremony with special guests Adam Hicks, Alisha
Mullally, Greg Paul and Amy Reinhold as award
presenters. Heartland paid special tribute to Producers
Mike Tollin and Brian Robbins of Tollin/Robbins
Productions with the Pioneering Spirit Award for their
creative spirit in filmmaking and support of Heartland’s
mission. Producer Bill Ewing, actor Louie Leonardo
and Associate Producer Jen Clymer accepted the Grand
Prize Award and $50,000 cash prize for End of the Spear,
and Laura Neri received the inaugural Vision Award
for her dramatic short A Kiss on the Nose. Bill Paxton,

Patricia Heaton, David Hunt and Sarah Rush were
among the nearly 70 filmmakers and special guests
honored with awards. The festivities continued at the
Kids’ Movie Party screening of The 12 Dogs of Christmas
with special guest appearances by
Director/Screenwriter Kieth Merrill, Executive
Producer Ken Kragen and stars Adam Hicks and
Alisha Mullally. Film students gained an inside
perspective into filmmaking during Heartland’s all-day
education seminar that featured Director Ken Kwapis
and a panel of 2005 award-winning filmmakers
moderated by Angelo Pizzo. The Festival concluded
with a sold-out screening of Duma with Director
Carroll Ballard in attendance to accept a Truly Moving
Picture Award for the film. Heartland also announced
the inaugural Audience Choice Award winners: Innocent
Voices for Dramatic Feature, Earthling for Documentary
Feature and The Man Who Walked Between the Towers for
Short Film. Festival attendance increased for the fifth
consecutive year with an estimated 18,000 attending
special events and celebrating a record 24 Crystal Heart
Award winners.
2006 (October 19 -27): Heartland Film Festival
celebrated its 15th anniversary with an increase in prize
money and attendance. The Festival awarded $200,000
in cash prizes courtesy of the Lilly Endowment, Inc.
and the Max Simon Charitable Foundation. This
included doubling its Grand Prize Award for Best
Dramatic Feature to $100,000 and adding two new
awards: a $25,000 Award for Best Documentary
Feature and a $10,000 cash prize for Best Short Film.
The annual Festival opened with a sold-out, U.S.
Premiere of Samuel Goldwyn Films, Roadside
Attractions and Bristol Bay Productions’ Amazing Grace.
Director Michael Apted and Producer Ken Wales were
present to accept the Truly Moving Picture Award for
the film. Heartland presented awards and $200,000 at
the annual Crystal Heart Awards Gala. Extra
correspondent Carlos Diaz emceed the event with
special guests Lee Meriwether, Judy Stewart and Jon
Voight as award presenters. Heartland paid special
tribute to Producer Debra Martin Chase of Martin
Chase Productions with the Pioneering Spirit Award
for her creative spirit in filmmaking and support of
Heartland’s mission. Screenwriter David Wolstencroft
accepted the Grand Prize Award for Best Dramatic
Feature and $100,000 cash prize for Beyond the Gates
(formerly Shooting Dogs). Producer/Director Matt
Ruskin and featured individual Diana ‘Princess’ Lemon
received the Best Documentary Feature Award and
$25,000 cash prize for The Hip Hop Project, and
Producer Hilary Glaholt received the Vision Award for
Best Short Film and $10,000 cash prize for Shade.
Additional Festival activities included a sold-out, World
Heartland Truly Moving Pictures | 2009 Volunteer Orientation
Premiere screening of Air Buddies with Producer Anna
McRoberts at the always-popular Kids’ Movie Party
and an exclusive peek at clips and commentary with
Director Catherine Hardwicke from New Line
Cinema’s film The Nativity Story. Film students and
filmmakers participated in a sold-out education seminar
with featured industry expert Steven Gaydos
(Executive Editor, Features, Variety) and a panel of
2006 award-winning filmmakers. The 2006 Festival
ended with a sold out screening of Miramax Films’ The
Queen with costume designer Consolata Boyle accepting
a Truly Moving Picture Award for the film. In addition,
Heartland announced the Audience Choice Award
winners: Beyond the Gates for Dramatic Feature, A Man
Named Pearl for Documentary Feature and I Want to Be
a Pilot for Short Film. More than 21,000 attended
special events and celebrated 17 Crystal Heart Award
winners and 10 Official Selection films.
2007 (October 18 -26): Heartland Film Festival
officially changed its organization name to Heartland
Truly Moving Pictures to reflect Heartland’s year round
initiatives while maintaining its dedication to seek out
films and filmmakers whose work exemplifies
excellence in filmmaking. The 16th annual Heartland
Film Festival opened with a sold-out, premiere
screening of Warner Bros. Pictures’ August Rush.
Producer Richard Barton Lewis and Music Supervisor
Anastasia Brown were present to accept Heartland’s
Truly Moving Picture Award for the film. Heartland
presented awards and $200,000 at the annual Crystal
Heart Awards Gala. Extra correspondent Carlos Diaz
emcees the event again and special guests Lisa
Guerrero, Judy Stewart, Angelo Pizzo and Haley Joel
Osment were award presenters. Heartland paid special
tribute to the filmmakers of Invisible Children: Rough Cut,
Bobby Bailey, Laren Poole and Jason Russell, with the
Pioneering Spirit Award for their creative spirit in
filmmaking and support of Heartland’s mission.
Producer/Director/Screenwriter Alejandro
Monteverde accepted the Grand Prize Award for Best
Dramatic Feature and $100,000 cash prize for Bella.
Producer/Director/Screenwriter Irene Taylor Brodsky
received the Best Documentary Feature Award and
$25,000 cash prize for Hear and Now, and Producer/
Director/Screenwriter Kurt Kuenne received the
Vision Award for Best Short Film and $10,000 cash
prize for Validation. Additional Festival activities
include a premiere screening of A Plumm Summer with
several filmmakers, members of the cast and
Producer/Director/Screenwriter Caroline Zelder in
attendance at the Family Movie Event; a special
presentation where Mark Zoradi, President of Walt
Disney Studios Motion Pictures Group, presented
exclusive clips from upcoming Walt Disney Pictures’

films; and special screenings of Invisible Children: Rough
Cut and Renewing American Culture: The Pursuit of
Happiness. Heartland’s education seminar expanded to a
two-day program allowing aspiring filmmakers and
students to participate and learn from industry experts

Benioff in attendance to accept the Truly Moving
Picture Award for the film. In addition, Heartland
announced the Audience Choice Award winners: Man
In the Chair for Dramatic Feature, Hear and Now for
Documentary Feature and Validation for Short Film.

2008 (October 16 -24): The 17th annual Heartland Film
Festival opened with the North American premiere of
Miramax Films’ The Boy in the Striped Pajamas.
Director/Screenwriter Mark Herman, author John
Boyne, actor David Thewlis and Miramax Films
President Daniel Battsek were all in attendance to
accept Heartland’s Truly Moving Picture Award for the
film. Heartland presented awards and $200,000 in cash
prizes at the annual Crystal Heart Awards Gala. Extra
correspondent Carlos Diaz emceed the event and
special guests Angelo Pizzo, Rachel Seiferth and Ralph
Winter presented awards. Heartland paid special tribute
to Marketing and Distribution Executive Bob Berney
with the Pioneering Spirit Award for his creative spirit
in filmmaking and support of Heartland’s mission.
Executive Producer David Pritchard and
Director/Screenwriter Amin Matalqa accepted the
Grand Prize Award for Best Dramatic Feature and

F.I.L.M. Project
The F.I.L.M. Project (Finding Inspiration in Literature & Movies) is a national youth development program
created by Heartland Truly Moving Pictures and the National Collaboration for Youth (NCY). It uses socially
uplifting stories from literature and Truly Moving Picture Award-winning films to channel positive messages
and life-affirming themes into the minds and lives of youth. F.I.L.M. consists of free, downloadable
discussion and activity guides based on movies and books to provoke thought and exploration of important
themes and issues and to inspire participation in theme-based activities and service-learning projects.

2009 Volunteer Committee Descriptions
Administrative Services
This committee provides much needed assistance to the Heartland staff related to in-office duties and
projects. This includes mailings, in-office help, data entry, etc. This committee does not have regular
meetings, but are called upon as needed for specific assistance.
Heartland Film Institute
This committee handles many of the logistics of the Heartland Film Institute, our year-round series of
educational programs for aspiring filmmakers. Committee members will assist in planning and implementing
the seminars, including coordinating food, hosting presenters, managing onsite registration, and evaluating
programs. Committee members will also be involved in researching curriculum ideas for future programs.
Marketing Squad
Heartland volunteers are the base of our grassroots marketing efforts. These committees have a wide variety
of responsibilities, including building relationships with leaders of constituent/target groups, increasing those
groups’ knowledge of and interest in Heartland events, delivering promotional materials, representing
Heartland at various expos and community events, and providing valuable feedback and ideas for Heartland’s
overall marketing campaign. The Marketing Squad is comprised of six target group committees:

♥ Multicultural Outreach
♥ Retirement Communities
♥ Student Outreach
Special Events (throughout the year)
Although the Heartland Film Festival is our flagship event, Heartland Truly Moving Pictures hosts many
other events throughout the year. Due to capricious nature of the film industry, these events are often
planned only one to three months in advance. While we hope to give as much notice as possible, volunteers
selecting this option must be willing to work within ever-changing and sometimes ambiguous parameters.
Festival Events Committees
Volunteers are involved in many of the events that take place during the annual Heartland Film Festival.
Specific duties of committee members may include coordinating invitation mailings (if applicable); working
with event entertainers and caterers, decorating venues; managing onsite registration; ushering attendees;
marketing events (or providing information to the marketing committees to do so); cleaning up after events;
and evaluating events and making recommendations for future programs. Some of the events held during the
Festival include:

Film Screening
Several teams of volunteers screen films for various awards. Each of these groups are highly selective, while
attempting to be representative of the audience Heartland wishes to reach. The Festival Screening
Committee is the first to view all films submitted for the Heartland Film Festival. These volunteers make
recommendations for whether or not films should be selected to show during the Festival and/or forwarded
to the Crystal Heart Awards selection teams.

Gala Support Staff
The Crystal Heart Awards Gala is the largest event held during the Heartland Film Festival. Volunteer
responsibilities associated with the Gala are divided among four areas:
♥ Gala Committee: Plans and coordinates the pre-Gala reception, Gala dinner, and Afterglow
reception, to include food selection, music/entertainment, décor, invitation mailing, and management
of onsite volunteers.
♥ Gallery Seating Committee: Markets the Gallery seating option to the general public. Coordinates
promotional events prior to the Festival to encourage Gallery seating.
♥ Gala Production Committee: Coordinates logistics of the Gala, to include providing stage
directions, escorting award winners, and assisting production staff.
♥ Gala Set-Up and Onsite Support: Assists with setting up the Gala venue the day of the event;
assists with check-in, seating, and guest services.
Gift Bag Preparation
Filmmakers attending the Heartland Film Festival are given gift bags with various local and/or entertainment
related items. All gift bag items are donated; this committee is responsible for soliciting and securing all gift
bag donations. Committee members will also assemble the bags and deliver them to the Festival Hospitality
Suite.
Hospitality for Filmmakers/Guests
Hosting the Festival’s special guests is extremely important in making our filmmakers’ experiences positive
and beneficial. Three committees provide this much needed service:
♥ Airport Hospitality Committee: This committee greets filmmakers at the airport and ensures they
get on the appropriate transportation to their hotel. They will communicate with Heartland staff and
the Hospitality suite volunteers regarding flight times and guest arrivals and work with the limousine
service on guest pick-ups.
♥ Hospitality Committee: This committee manages the hospitality suite at the designated hotel where
most of our filmmakers will stay during the Festival. This involves greeting filmmakers, distributing
gift bags, coordinating a filmmaker welcome reception, hosting the filmmaker orientation, working
with the hotel on room set-ups and catering needs, and assisting filmmakers with any needs that may
arise during their stay.
♥ Transportation Committee: This committee is responsible for planning and implementing the
transportation of filmmakers, celebrities, and their guest to various Festival events. Volunteers will
transport between hotels and event, and will accommodate hospitality during the time they are in the
city. Volunteer drivers must be at least 30 years of age and provide proof of auto insurance.
Theater Assistance
Theater volunteers are perhaps the most visible Heartland volunteers. These individuals coordinate the
seating cards, explain and collect audience award ballots, usher attendees, track movie attendance, manage
group seating, and execute a wide variety of other duties.

Volunteer Hours & Benefits
Tracking Volunteer Hours
All volunteer hours (including hours anticipated to work October-December) must be reported by
September 18, 2009.
• Volunteer hours should be reported on the Heartland Volunteer site – TRS (The Registration
System): http://2009htmp.theregistrationsystem.com
• Volunteers should record their hours for any independent work on their volunteer profile. Hours
reported will be reviewed and verified by committee chairs.
• Time spent driving to or from events, activities, or meetings should not be counted in the total
contribution. Volunteers may be able to receive tax deductions for their mileage associated with
volunteer activities. The current IRS rate (as of February 2009) is 14 cents per mile; consult your tax
advisor for details.
• Time for events, activities, or meetings included on the TRS volunteer itinerary will be tallied by the
system according to the length of the activity.
Volunteer Benefits
Heartland owes much of its success to the dedication of countless volunteers. To honor your commitment,
volunteers are provided the following benefits.
Festival Tickets
Heartland volunteers receive complimentary film screening tickets to the Heartland Film Festival (October
15-23, 2009) based on the number of hours they volunteer.

o Volunteers who anticipate volunteering 20 or more hours must indicate their preferred
benefit on their volunteer profile online no later than September 18. If no preference is
selected, the volunteer will be provided with 10 screening tickets.
T-Shirts
Heartland Truly Moving Pictures t-shirts are given to volunteers who work at various special events
throughout the year.
Heartland Film Festival t-shirts are given to Airport Hospitality and Theater volunteers.

Volunteers: How to Sign-up Using
The Registration System (TRS)
STEP 1:
•
Go to http://2009htmp.theregistrationsystem.com where you will see the screen portrayed below.
•
Thoroughly read the information on the homepage.
•
Click on the blue “REGISTER NOW” button.
STEP 2:
•
Enter your e-mail address.
•
If you are a new user, click the button that reads
“No, I am a new user.”
•
If you already have a password, click the button
that reads “Yes, I have a password” and type in
your password.
•
Click the “Sign In” button.
NOTE: DO NOT USE THE BACK ARROW ON YOUR BROWSER. You will have a chance
at the end of the registration to edit any personal information or your itinerary if you need to.
STEP 3:
•
The “Personal Information” window is
next. In this window, you will fill in your
e-mail address, a password that you create,
your contact information and volunteer
preferences. Please be sure to fill in all fields
are marked with an asterisk (*). These
fields are REQUIRED to go any further in
the registration process.
•
ACCESS CODE: The access code is required
to sign up for some committees. Please use
the access code that you were given for your
particular committee. If you have multiple
access codes, separate them with a comma. If
you do not have an access code, you will be
able to sign up for activities that are open to
all volunteers.
•
The DEMOGRAPHIC INFORMATION section is
optional. Heartland frequently applies for
grants that require reporting the demographics
of our staff and volunteers. Providing this
information may assist us in acquiring
funding for various projects and events.
•
The VOLUNTEER INTERESTS section will help us
connect you with volunteer opportunities that
arise throughout the year, particularly if you
are a new volunteer.
•
INDEPENDENT VOLUNTEER HOURS: You will
come back to this section throughout the year
to record the number of hours you volunteer
each month outside of scheduled meetings
or events. Committee members may spend
time making phone calls, visiting vendors,
creating materials, etc., on their own. This is
your place to record the time you contribute to
Heartland each month.
•
Click “Register” to continue.
STEP 4:
•
Please carefully read over the Terms and Conditions: Release and Waiver of Liability.
•
Enter your initials in the box provided and click “I Accept” to continue.
STEP 5:
•
On the next page, you will see all of the
activities available to you. The list will include
activities that are open to all volunteers, as
well as those for which you have an access
code.
•
Click on the blue “Description” link next to an
activity to read more about it.
•
Please select the committee on which you
serve, as well as any meetings or events
associated with that committee.
•
Click “Sign up for the selected items.”
STEP 6:
•
If your committee has any restrictions or requirements, the next window will ask you to click the box
next to the restrictions to accept them.
•
You will then click the button that reads “I agree that I meet or surpass the above requirements.”
STEP 7:
•
The next window will show your itinerary so you can verify that it is correct. If all of the activities
you intended to register for are on your itinerary, click “Complete Registration.” If you wish to make
changes to your itinerary, click “Edit Itinerary.” To make changes to your personal information, click
“Edit Profile.”
•
In the next window, you have one more opportunity to verify your itinerary. If all is correct, click the
“Complete Registration” button again.
•
The last window is your final itinerary. You can print this and/or download it to your computer calendar
program. At this point, you are logged out; if you need to make any additional changes, you will need to
close your internet browser window and re-login to http://2009htmp.theregistrationsystem.com.
A FINAL NOTE:
•
You will very shortly receive an email confirming your password and an email with your itinerary. You
are welcome to sign in again using your new password to review your volunteer schedule or change it.
Financial Expectations of Volunteer Committees
Budgets
The Director of Administration will provide each Chair with a budget for his/her event or function. The
committee is expected to seek approval in advance from the Director of Administration if it anticipates
exceeding the approved budget or reallocating funds in the budget.
Contracts
All contracts (for venue, catering, entertainment or any other purchased service) must be reviewed and signed
by the Director of Administration for Heartland to be obligated. Chairs will be provided copies of relevant
contracts. Committee input into contract terms is welcomed!
Sales Tax Exemption
Heartland Truly Moving Pictures is exempt from sales tax on purchases. The provided copy of Heartland’s
Not-For-Profit Tax Registration Certificate should be shared with committee members who are authorized
by the committee (within the budget) to make retail purchases on Heartland’s behalf. The exemption
Certificate should only be used on purchases made on behalf of Heartland.
While 7% of a small purchase may not seem like much, it can really add up over many purchases. Claiming
the sales tax exemption on retail purchases may seem to be a bit of a hassle, but it is a great way for
volunteers to help Heartland be a good steward of the monies entrusted to it.
Payment of Bills
Authorized invoices and expense statements will be paid on a timely basis upon receipt of appropriate
documentation in the Heartland office. Support for expenditures should be forwarded to the attention of the
Director of Administration as soon as possible after the expense has been incurred. All reimbursements to
committee members must be pre-approved by the Chair; a reimbursement form must be submitted with all
applicable receipts.
Caterers
For catered events, the Director of Administration will work closely with the Festival’s ticket office and the
volunteer committee to determine the number of guests to guarantee with the caterer. If volunteers are asked
to sign-off on consumption or other amounts during an event, they should do so only after verifying the
accuracy of the information provided by the caterer.
Gifts In-Kind
Heartland welcomes in-kind gifts and encourages volunteer committees to seek donations in-kind, when
appropriate. Documentation describing the nature and value of an in-kind donation, when provided to the
Director of Administration, allows Heartland to properly acknowledge the gift and thank the donor.
