In the previous years, Travelweek Sao Paulo welcomed Exhibitors and High-end Final Consumers for the Welcome
Cocktail, aiming at inspiring top qualified and discerning clients to their future travel experiences. In 2013, all VIP Buyers
are invited to join exhibitors and final consumers at the Welcome Cocktail, for a greater interaction and inspirational evening.
Exhibitors are expected to stay in their work stations to present their products and welcome the End-Consumers.
Exhibitors are welcome to offer catalogues and amenities, but in respect to our VIP Buyers, it is not permitted to distribute
business cards, neither offer special rates nor any other form to persuade direct bookings from Final Consumers.

DMCs delegates are invited and welcome to participate at the Welcome Cocktail as guests.
DMCs formal activities start on Wednesday, April 17th, when their work stations are ready.
Travelweek Sao Paulo Passport - High-End Consumers
Along with the invitation for the Welcome Cocktail, End-Consumers receive the Travelweek Sao Paulo Passport, in
order to join a drawing to win a travel experience.
The 2013 Final Consumers’ Passport is sponsored by Mandarin Oriental, offering all the experiences drawn.
To participate, guests must fill in the passport’s detachable part and complete the spaces by meeting with at least
04 different Travelweek exhibitors, learning about their products. All Travelweek exhibitors have stickers to validate
the Final Consumers’ Passport.

IMPORTANT FACTS
ATTENTION REQUIRED
Sending your brochures to Brazil – Ship your materials in advance!
Please read items 5 and 5.1 carefully (page 19), as there are several essential points to be considered before you ship
your brochures to Brazil. Do not mail any material to Travelweek Sao Paulo´s office address or to the Bienal Pavilion,
as neither one is able to receive or store any material.
Dress-code and climate – Light clothes and no high heels!
Travelweek Sao Paulo´s dress-code is business casual, with no need for ties or high heels. Please consider that the
venue´s floor is uneven and slippery, and therefore rubber or worn shoe soles are mostly recommended. We suggest
wearing light clothes to the event, as the venue´s air conditioning system is installed by Travelweek especially for the
event days, and it might not be capable to keep the air cool enough when it is hot outside. Temperature may vary in different
areas of the venue. Please refer to items 3.7 and 3.8.
Lunch – Buy your lunch ticket in advance!
We strongly encourage all participants to use pre-paid lunch vouchers available at Citron Restaurant and Cafeteria
throughout the day. Payment: Reais (BRL), and Credit Cards (Amex, Visa and MasterCard).
Internet – download your presentations!
Wireless internet is offered on complimentary basis. However, as the venue is inside a park, we cannot guarantee there
will be no signal interruptions. We strongly recommend Exhibitors to download and save in advance all files necessary
to the appointments.
Security – do not leave electronic devices unattended!
Travelweek Sao Paulo has a special security arrangement during the entire event. Nevertheless, do not turn your back
to your belongings and never leave electronic devices unattended. Exhibitors are recommended to use their work
station´s cabinets and to not leave tablets and mobiles unattended on the table. Travelweek Sao Paulo does not take
responsibility for lost items during the event.
Morning Traffic – Leave in Advance!
The traffic in São Paulo is intense, even off rush hours. We strongly recommend leaving with over one hour in advance
in the morning, in order to arrive before the appointments start.
Exiting the Venue – Pre-book your taxi!
Due to traffic matters that run out of Travelweek Sao Paulo´s control, we strongly recommend all Exhibitors and VIP
Buyers based in São Paulo or staying at hotels which are not served by Travelweek Sao Paulo´s shuttles (see item 3.5), to
pre-book a taxi to exit the venue, in order to avoid long waiting lines. Please read carefully the items 3.2, 3.3, 3.4 and 3.5.

ATTENTION REQUIRED
Travelweek Sao Paulo White Party – Bring your badge and photo ID!
Travelweek Sao Paulo White Party is exclusively for the event´s official and pre-registered attendees. The only pass
to admission is the attendee´s individual badge and a photo ID. No extra badges will be available for printing at the
party´s venue and there will be no admission without either of the required identification. Kindly note that the invitation
is individual and it shall not be transferred to third parties.
Admission:
Travelweek participation is by invitation only to Exhibitors, Buyers, Press and High-end Final Consumers.
Official badges and passes are issued for admission at Accreditation Desk. All participants must be formally
registered to attend the event. No other form of admission is valid.
Exhibitors and Buyers are not entitled to invite anyone to the event without Travelweek’s prior consent and registration
of the attendee, if authorized in order to avoid inconveniences, we kindly ask Exhibitors and Buyers not to arrange
meetings with non-registered personnel. Access of non-registered personnel will not be allowed at the venue.
Exhibitors Extra Badges:
Available for sale to formal members of Exhibitor companies only. By March 29th: USD 880, upon request (throughout
Phase 2 of the Pre-Scheduled Appointment System or directly to our team) after April 1st: USD 980, at the venue only
(Accreditation Desk).
Missing Badges:
Reissues are available for Exhibitors and Buyers at the venue’s Accreditation Desk. A fee of BRL 50 or USD 25 applies.
The reissue of new badge automatically cancels the original one’s access.
Work Station Cabinets:
Exhibitor’s cabinets are provided with keys. In case of missing keys, new ones are to be requested on-site at the
venue’s Business Center. A fee of BRL 50 or USD 25 applies.

Venue Address
Travelweek Sao Paulo 2013 takes place at the Bienal Pavilion, home of The São Paulo Art Biennial.
The Bienal Pavilion is a landmark for the National Historical Heritage – and was designed by the notorious modernist
architect Oscar Niemeyer, who was responsible for the project of our capital Brasília.
The pavilion is located inside Ibirapuera Park, a major green area within the heart of the city.

Access to the Venue
For all participants based in São Paulo, we strongly recommend going by taxi. For Exhibitors and VIP Buyers
coming from outside São Paulo city and staying at hotels which are not served by Travelweek Sao Paulo shuttles
(please refer to item 3.6 – Shuttles to the Venue), we recommend the use of pre-booked taxi services with the
assistance of the hotel concierge or front desk.
Due to São Paulo’s heavy traffic, we suggest planning your arrival at the venue with 1 hour in advance, in order to
guarantee you will be there before the appointments start.
Please refer to the following table with the estimated driving time to the venue during rush hours:

Note: The traffic in São Paulo is unpredictable. The driving time mentioned above may vary.

Exit from the Venue
Travelweek Sao Paulo has formally requested taxi corporations to supply the high demand of cars at the end
of each afternoon during the event exit times. Nevertheless, the city´s heavy traffic is unpredictable and runs
completely out of the event´s organizers´ control. There is a number of inconveniences that could prevent enough
taxis to reach the venue and Travelweek Sao Paulo cannot guarantee a constant flow of cars coming into the park
during rush hours.
Therefore, we strongly recommend all Exhibitors and VIP Buyers based in São Paulo or staying at hotels which are
not served by Travelweek Sao Paulo´s shuttles (see item 3.5), to pre-book a taxi to exit the venue, in order to avoid
long waiting lines

Parking Lot
The public parking lot at the Ibirapuera Park has very limited space available and requires the use of “Zona Azul”
parking card, which inside the park is valid for a two-hour period. For participants based in São Paulo, we strongly
recommend going by taxi. Please refer to items 3.2 and 3.3.

Shuttles to the Venue
Travelweek Sao Paulo provides shuttle services to all VIP Buyers staying at Tivoli São Paulo Mofarrej, Meliã Jardim Europa,
Pullman São Paulo Ibirapuera and Mercure Grand Hotel.
VIP Buyers staying at hotels nearby are also welcome and encouraged to use the shuttle service.
Exhibitors are mostly welcome to join the shuttles; however, as the number of vans operating is based on an estimated number of passengers, there is no guarantee of available seats for all participants.
Note: All shuttles are provided in vans with maximum capacity for 20 passengers.
Please be ready at the first scheduled time of departure to guarantee your seat.

In April, the weather in São Paulo is usually pleasant and the average temperature registered at this time of the
year varies from 16ºC to 26ºC (61ºF to 79ºF).
The weather in the city is unpredictable and there might be sudden changes throughout the day, with temperatures
rising or falling, as well as occasional rainstorms in the afternoon.

Dress Code
Considering Brazil is a tropical country, we recommend a casual dress code, creating a relaxed business
atmosphere. We suggest:

Note about air conditioning: The São Paulo Bienal Pavillion does not have a permanent air conditioning system.
Aiming at partners comfort and well-being, Travelweek Sao Paulo provided the installation of an air conditioning
system, especially for the event. Nevertheless, as the pavilion has got wide opened spaces and high ceilings, and
cannot be hermetically closed, the temperature may vary in different areas of the venue.
Note about shoes: We strongly recommend no high heels for ladies, as the venue´s floor is uneven and sometimes
can be slippery. For that reason, ladies and gentlemen should prefer rubber soles instead of wooden soles.

Lunch
During trade days (April 17th, 18th and 19th), all participants have a pre-scheduled one-hour lunch break. Aiming at
a smooth operation, lunch is organized in 3 seating times. Please check your Agenda to view your designated time:
Seating A: from 11:45pm to 1:00pm / Seating B: from 12:55pm to 2:10pm / Seating C: from 2:05pm to 3:20pm

Citron Gastronomia specially operates a buffet lunch restaurant, located at the mezzanine area of the Bienal
Pavilion, from April 17th to 19th during lunch times. To avoid lines, participants can buy lunch vouchers in advance
at the Restaurant.

Prêt-no-MAM Restaurant:
The São Paulo Museum of Modern Art (MAM) offers a buffet lunch restaurant, located right in front of the Bienal
Pavilion, inside the Ibirapuera Park. For your convenience, should you choose to have lunch at MAM, we suggest
making reservations in advance, due to limited spaces available.
3.12
Breaks
All VIP Buyers and Exhibitors have a twenty-minute break, according to each participant´s Agenda.
Citron also operates a snack bar available at the ground floor and at the mezzanine area, serving beverages and
snacks.
Note: Restaurants and Snack Bars do not accept Dollars or Euros. All expenses should be paid in Brazilian Reais
(BRL) or credit cards.
3.13
Smoking
Smoking is strictly prohibited inside The Bienal Pavilion by Brazilian law.
Smoking is permitted on the outside perimeters of the venue only.
3.14
Internet
Although Travelweek Sao Paulo 2013 offers complimentary wireless Internet service in the Bienal Pavilion to all
participants Exhibitors. There is no guarantee of permanent quality signal, since the venue is inside a park, and
there might be unpredictable interruptions.
Therefore, we strongly recommend our partners participants to download and save in advance to personal laptops
and tablets, all files that might be necessary for the appointments.
VIP Buyers are welcome to access complementary wireless internet at in the business center area only.
3.15
Third Party Events
Travelweek Sao Paulo stimulates and supports private parties, dinners and cocktails organized by third parties, as long as
there is no conflict with the event´s official activities. We kindly request our partners to consider Travelweek Sao Paulo´s
schedule when planning a parallel event, or contact us previously to best manage the activities during the event days.

Journalists are invited to cover the event and are allowed to freely interact with Exhibitors, Buyers and guests. We
advise those who would like to receive specific media attention, to contact and send press releases in advance to

vehicles in Brazil, constantly promoting our partners and encouraging the publication of editorial contents.

SHIPMENT PROCEDURES TO SEND MATERIAL TO BRAZIL
5.1
Custom Operation in Brazil
Every package arriving in Brazil via courier might go through customs inspections, which are normally strict and
bureaucratic.
In case the Brazilian authorities judge the material as an imported good for commercial purposes, the package
may be retained in customs for an indefinite period of time. In order to recover it, further documents and taxes may
be required, with no guarantee that the material will be released whatsoever.
Kindly note that Travelweek Sao Paulo has no control or influence on what kind of goods Brazilian authorities may
consider as imported for commercial purposes.
5.2
Travelweek Sao Paulo’s Recommendation
Due to the strictness and unpredictability of Brazilian customs procedures, and aiming to avoid having your material
detained in customs, we strongly recommend you to bring your material with you as accompanied luggage. In case
you are not able to bring all the material along with you and need to send part of it via courier, it is absolutely
necessary to observe the regulations and procedures presented by the courier company.
If you wish to have your delivery handled by a specialized company, Travelweek Sao Paulo recommends the services
of XPO EVENTS & LOGISTICS, which specializes in import and export logistic projects for international exhibitions
and events. Their services include shipment advisory, receiving and delivering the material to its final destination
(São Paulo Bienal Pavilion).

5.3
Shipping your Material to Brazil in Advance
Send your material with plenty of advance in order to have time to prepare collateral in case of a missing shipment.
Make sure to consult the chosen courier company to confirm delivery deadlines.
In case you are not using the services of a specialized logistic company such as the indicated above, make sure
to contact the hotel where you will be staying in advance, to inform about your shipment and request the contact
information of the person who could be responsible for receiving and storing it for you.
Additional fees are often charged by courier companies against the consignee. As you will not be at the hotel to
receive your material, you must pre-pay all taxes or fill in the courier form advising that any extra tax will be paid
by the sender. Hotels may and most likely will reject unpaid shipments.
Bring extra material with you for the case of emergencies or missing shipments.
5.4
Strictly Forbidden (when delivering)
1. Do not include in your package gifts, amenities or souvenirs that may be considered as imported goods for
commercial purposes in case you are using the services of a specialized company, such as the one recommended
by Travelweek Sao Paulo, make sure to follow their specific instructions regarding the shipment of gifts, amenities
or souvenirs.
2. Do not ship drinks, food, cigars, cosmetics and other controlled goods, that require special pre-import permits
from Brazilian Customs authorities.
3. Do not overweight your packages. Strictly follow the regulations informed by the courier or specialized company.
4. It is mandatory to price your material. Do not declare your shipment as zero value.
The disrespect to any of the conditions above might result to indefinite retaining of your material at customs and
you may never receive it.
5.5
Important Notes
Travelweek Sao Paulo does not guarantee that by following the procedures above, your material will be automatically
released by Brazilian authorities and satisfactorily delivered.
Travelweek Sao Paulo is not able to assist delegates to disentangle shipments retained at customs, as this is totally
out of the company’s control.

Travelweek Sao Paulo hosts a cocktail, welcoming approximately 2 thousand VIP guests, high-end consumers,
mainly from São Paulo. The guest list comes from a top qualified database built through a strong local relationship,
and from our Brazilian partners, targeting their premium clientele.
These guests have the opportunity of seeing the exhibition at first hand and meet the professionals behind the
world´s most exclusive destinations, to inspire their future travel experiences.
All efforts and goals towards end consumers are in order to foster and stimulate high-end travels, by offering
access to information and knowledge of destinations and experiences.
During the cocktail, exhibitors are expected to stay in their work stations to present their products and welcome
the guests visiting the show.
Exhibitors are welcome to offer catalogues or amenities to the guests. In respect to our VIP Buyers, it is not permitted
to distribute business cards, neither offer special rates nor any other form to persuade direct bookings from final
consumers. Travelweek Sao Paulo appreciates and expects the Exhibitor’s commitment with this regulation.
Exhibitors should not expect a very active communication from all guests, as some of them might only want to
mingle with friends, enjoying the inspirational ambience, spontaneously learning more about the travelling universe,
destinations and experiences featured at Travelweek Sao Paulo.
DMCs formal activities start on Wednesday, April 17th, when their work stations will be ready.
DMCs delegates are invited and welcome to participate at the Welcome Cocktail as guests.

The majority of Travelweek Sao Paulo´s VIP Buyers is from Brazil, coming from São Paulo, and other cities, such

During the appointments, Exhibitors stay in their work stations and VIP Buyers move around the venue to accomplish
their Agenda of pre-scheduled appointments.
The appointments are 15 minutes long and there is a 5 minute break every 2 meetings. A central panel chronometer
displays the remaining time. Two short sounds work as a reminder for participants. At the end and at the beginning
of each appointment, the sound and the digital panel inform the participants it is time for VIP Buyers to move to their
next appointment. At 7.5 minutes of each appointment the sound indicates there is only half of the time remaining.
Important: The sound only informs the course of 7.5 and 15 minutes. For work stations shared between 3 or 4
exhibitors, managing the appointment time is the delegate´s sole responsibility.
Very important: All appointments start and finish punctually on the scheduled time.

American market; we count on your maximum respect for the meeting’s punctuality as well as 100% attendance.

Latin American and Brazilian agents from outside São Paulo are hosted for 04 nights at selected partner hotels, for
01 Main Buyer (accommodation + breakfast).
Personal charges such as telephone calls, meals, mini bar, laundry service and SPA, among others, are the guest’s
sole responsibility. In case the VIP Buyer wishes to extend their stay in São Paulo, they should contact the hotel
directly and take responsibility for any extra daily rates.
Extra representatives from the VIP Buyer company attending Travelweek should provide their own stay in São Paulo.

VIP Buyers in pairs - agents from São Paulo city
VIP Buyers from São Paulo city who are attending the pre-scheduled appointments in pairs (01 main + 01 accompanying
VIP Buyer) may change the accompanying professional if they wish to do so, alternating days.
The pre-scheduled appointment system contemplates the registration of 01 accompanying buyer per Agenda.
All extra accompanying buyer must send an e-mail to Manoela Andrade ([email protected])
informing their participation and personal data.
Very Important: For each Agenda, there will be only one accompanying buyer per day. Therefore, one Agenda of
appointments contemplates up to three accompanying buyers alternating days.
Note: This flexibility is offered for the accompanying professional only. Main Buyers are responsible for the
appointments and required to join the three days of appointments.
9.5
VIP Buyers - missed appointments
Travelweek Sao Paulo takes very seriously the matter of late or missed appointments.
No more than 3 missed appointments per VIP Buyer during the entire event shall be tolerated. If the VIP Buyer
happens to miss 3 appointments during the entire event there will be a penalty fee automatically charged.
Unexcused missed appointments may endanger your company’s re-invitation to future editions of Travelweek.
Eventual lack of interest in any of the appointments is not an acceptable excuse for missing them.
Travelweek Sao Paulo handles to the exhibitors a form to fill out and return at the end of the day in order to allow
us to control which travel agents have missed meetings.
Additional notes based on previous years´ feedback from suppliers:
- VIP Buyers should be at each appointment strictly on time, as per scheduled. In case the supplier is not at the
work station, Travelweek Sao Paulo´s orientation to the VIP Buyer is to wait for at least 5 minutes and then leave
a business card on the supplier´s table with the number of the appointment written. This procedure must be done
as an exception and solely in the case of the supplier´s absence to the appointment.
- Attempting to forward the meetings in order to end the day of appointments earlier is considered as a rude
practice by many suppliers. We kindly ask all VIP Buyers to stick to their schedule and expect to leave the pavilion
at the end of each afternoon (around 5:30pm).
9.6
VIP Buyers - cancellation or no show
Cancellation
Cancellations seriously jeopardize Travelweek Sao Paulo and its partners’ purposes, and therefore will be subject
to the Cancellation Policy penalties. For more information, please consult the Cancellation Policy document,
available on the Pre-Scheduled Appointment System.
No Show
The absence without prior notice will not be tolerated and shall be considered as a deep disrespect towards
Exhibitors and Travelweek Sao Paulo’s organizers. No shows may endanger the re-invitation to future editions of
Travelweek.

• Exhibitors welcome the high-end final consumers to the Cocktail on Tuesday, April 16th, inspiring their future
travel experiences.
• This year Travelweek Sao Paulo also invites all VIP Buyers from Brazil and Latin America to participate in the
Welcome Cocktail, for a greater interaction and networking in the most pleasant environment.
• During the Welcome Cocktail, Exhibitors are expected to stay in their work stations to present their products
and welcome the guests. Exhibitors are welcome to offer catalogues or amenities to the guests, but in respect to
our VIP Buyers, it is not permitted to distribute business cards, neither offer special rates nor any other form to
persuade direct bookings from final consumers. Travelweek Sao Paulo appreciates and expects the Exhibitor’s
commitment to this regulation.
- DMCs´ formal activities start on Wednesday, April 17th, when their work stations will be ready. DMC delegates are
invited and most welcome to join the Welcome Cocktail as Travelweek Sao Paulo´s guests.
- Travelweek Sao Paulo´s official language is English, but there might be some VIP Buyers who do not speak it
fluently. Since all professionals are very qualified and experienced, an eventual lack of fluency in English does not
jeopardize the appointment or its positive results.
10.2
Exhibitors work station technical information (except DMCs)
Each exhibitor work station includes:
- 01 waste basket;
- 01 table and 04 chairs;
- 01 image panel;
- Carpet, lighting, walls;
- 01 cabinet with a lock for personal and commercial material storage. In case of missing keys, new ones are to be
requested at the Venue’s Business Center. A fee of BRL 50 or USD 25 applies.

- 02 units of 110 W energy outlets with international plugs as shown. Adapters will
be available for sale at the Business Center, but we highly encourage Exhibitors to
bring their own adapter.
Very Important: Travelweek Sao Paulo provides exhibitors complete work station infrastructure and no extra
decoration or additional items are permitted, such as table cloths, banners, rugs, flowers, stuffed animals , dolls,
candles, frames, posters and general supplier amenities.
Note about security: Travelweek Sao Paulo has a special security arrangement during the entire event. Nevertheless,
we highly recommend not leaving any valuable belongings or electronic devices overnight in the cabinet, even if
locked. Travelweek Sao Paulo takes no responsibility for personal items left in the cabinet.
10.3
DMC work station technical information
- All DMCs´ work stations will be ready on Wednesday, April 17th, when DMCs´ formal activities begin.
- The DMC work stations are placed on the aisles, at each corresponding Destination Section.
- There is no energy outlet available on the aisles, where DMCs´ work stations are located. Make sure to bring your
electronic devices fully charged, plus extra batteries and cables.
The DMC work station includes:

MUSEUMS
São Paulo has many great museums and a super intense cultural agenda all year round.
You might get lucky to see a great concert at Sala São Paulo, which is a beautiful revamped old train terminal that
used to be part of Estação da Luz (still active train station). Maybe you get to see a thrilling awarded contemporary
ballet (or a classical one) at Teatro Municipal.
If you stay up all night (perhaps dancing) or if you like to wake up really early, an insider tip is to have breakfast at
Mercado Municipal – the biggest and most traditional market in town where you will find an extraordinary variety
of fruits, Brazilian and international ingredients and delicious snacks as “pastel” and “sanduíche de mortadela”.
Very Important: The venues mentioned above are all part of the city architectural heritage, located in the old city
center (downtown) of which some parts arts are revitalized and really worth visiting, but some are not. We do not
recommend you to explore this area alone (without a local friend or a guide).
