The Scanning Program
The Scanning Program allows the scanning of Universal Answer Sheets, using several
models of NCS and Scantron scanners. All student information and test results are
stored in the Administrative Program. The manager has the ability to manually correct
any forms that did not scan properly, or to manually input an entire answer sheet
should it be unscannable for some reason. Test results will be displayed the same in the
Administrative Program, whether the answers came from an answer sheet or from the
student testing program.

Getting Started
To launch the Scanning program:
1. Click Start, find the listing for Official GED Practice Tests and select OPT
Scanning Progr~ or, if you created a desktop shortcut, double-click the
program icon.
2. Log in by entering the same instructor's user name and password that you
used in the Administrative Program. Click Yes to confirm your name and a
message to help you get started displays.
There are three options in Scan Menu.
• Select Begin Scanning if the scanner has been configured and you are ready
to scan answer sheets or manually enter student demographic data and test
answers.

• Select Configure Scanner to configure your NCS or Scantron scanner.
• Select Exit to exit the program.
Configuring the Scanner
To configure your scanner:
1. Click Configure Scanner on the Scan Menu. The "Configure Scanner" win­
dow displays.

2. From the "Scanner" drop down list select NCS or Scantron.
3. Select the default form to use.
• For NCS scanners click Change to the right of the Default Form field. An
Open window displays. From the OPT folder, select Z885.sds and click
Open.

• The Scantron default form is automatically entered in the Default Form
box as P-GED1.

4. Click Configure on the Configure Scanner window.
• For NCS users, the following screen displays.

Select your scanner from the Model dropdown list. In the Communication
fields, make sure the following settings are selected:
• Baud rate - 38,400
• Data Bits - 7
• Parity - Odd
• Stop Bits - 2
The Port setting should indicate to which port the Scanner cable is con­
nected. If you are unsure, refer to the User's Manual that came with your
computer.
• Scantron users see the following screen.

5. Click the raclio button to the left of the port the scanner cable is plugged into.
Click Save to save the settings; or click Cancel to close the window without
saving.

If the scanner has been configured and you are scanning answer sheets or manually
entering student data and tests answers, select Begin Scanning from the Scan Menu.
The Select Teacher window displays.
1. Select your instructor name from the list and click OK. The window changes
to Select Group.
2. Select the class where you'd like to enter the new data and click OK. The
Student Data Entry window opens.

• Click Scanner to begin scanning the answer sheets.
• Click Keyboard to manually enter student data and test answers.
To scan the answer sheets, insert the sheets into the scanner's hopper and click Scanner
from the Student Data Entry window. The Scan Test Sheets window displays. Up to 40
forms can be scanned per session.

1. Make sure the sheets are in proper order and correctly and carefully aligned
in the scanner hopper.
Note: The procedure to load forms varies by scanner. Consult your scanner documenta­
tion for details about preparing the answer sheets.

2. Click Start Scanning to scan the answer sheets. As each answer sheet is
scanned, the count is reflected in the Students Scanned field (see Figure 6).
If there is a problem or if an answer sheet jams, scanning stops, so you can
fix the problem answer sheet and continue. The window below displays a
message seen for an NCS scanner when all answer sheets have been scanned.

• Click Resume to resume scanning after loading the additional sheets into
the input hopper.
• Click Rescan Doc to rescan a document.
• If there are no more forms to scan, click Stop to end the session and close
the window.
Clicking Reset Scanner on the Scan Test Sheets window clears the scanner
buffers and deletes all scanned data. If you are unable to find and fix the
problem with an answer sheet, click Done to save the data from the current
session before selecting Reset Scanner.
3. When all of the sheets have been scanned, click Done on the Scan Test Sheets
window. The Verify Student Data window displays. This screen shows the
students' ill number, their name, assignment status, and whether the system
can score the test. If the ID number is not found, it means the student has not
been previously entered in the Administrative Program and a new student
record is added.

• Validate can be selected to verify the student demographic data and all
scanned test data that was read by the scanner. Answer sheets with multi­
ple marks and erroneous coding can be corrected with Validate. To vali­
date, highlight the name of the student and click Validate.

Highlight the test section to validate and click Select.
Make any necessary changes.
• To save the current entries, click Save and the program returns to the
Verify Student Data window.

• To close the window without saving any changes, click Cancel.
If the student information is correct, click Save again on the Verify Student
Data window.
Warning: If you do not click Save on the Verify Student Data window, the
data is not saved to the Official GED Practice Tests Administrative Program
and the answer sheets must be rescanned.
• Remove can be selected at the Verify Student Data screen to delete
the highlighted student's data. A removed entry is deleted and not
saved to the database.
• Click Cancel to close Verify Student Data without saving any of the
scanned data.

To manually enter student data and tests answers from the answer sheet, click
Keyboard from the Student Data Entry window. The Select Section window displays.
1. If entering the student data and all test answers for a student, highlight
Student Data and click Select.
• Enter the student data into the appropriate fields. The First Name (maxi­
mum 12 characters) and Last Name (maximum 18 characters) fields are
required. The ID Number field (maximum 20 characters) is also required.
The ID number must be unique. You can also select the appropriate radio
button for Identification Type and fill in the field for Birth Date. The
Today's Date field is automatically entered.
• To save the entries, click Save and the program returns to the Select
Section window.
• To close the window without saving any changes, click Cancel.
2. Highlight the desired test from the Select Section window and click Select.
The Science test screen is shown in Figure 10.
