Parcel Pro Shipping Guide This manual outlines the process for completing your first shipment on ParcelPro.com. Please follow the instructions as they are presented below. If you have any further questions, do not hesitate to contact one of the highly trained customer service staff at Parcel Pro via phone at 888-683-2300 or via email at [email protected]. 1 Login and Complete Required Account Set-up 1.1 Navigate to the ParcelPro.com homepage 1.2 Sign In at the ‘Member Sign-in’ box (Username and password are case-sensitive) 1.3 Read and accept the Parcel Pro Legal Agreement 1.3.1 Terms of Use Parcel Pro Shipping Guide 1.3.2 Terms & Conditions 1.3.3 Agree & Continue 1.4 Update email address 2 Create a Shipment 2.1 Navigate to the ‘Home’ tab within the member site Parcel Pro Shipping Guide 2.2 Select the transportation company you would like to carry out your shipment 2.3 Navigate to the ‘Ship & Insure’ tab 2.4 Review each of the five sections within ‘Create [UPS/FedEx] Shipment’ 2.4.1 Complete required fields within ‘Ship to’ section according to the shipment parameters Parcel Pro Shipping Guide 2.4.2 Confirm information provided in ‘Ship From’ section is accurate NOTE: If the information provided in the ‘Ship From’ section is not accurate then navigate to the ‘Manage Ship From List’ to make any necessary edits. 2.4.3 Fill in required fields within the ‘Shipping Details’ section according to the shipment parameters 2.4.4 Complete the ‘Special Services’ and ‘Shipping Options’ sections according to the shipment parameters 2.4.5 Select the appropriate billing information within ‘Billing Details’ then click ‘Continue’ Parcel Pro Shipping Guide 3 Confirm Shipment 3.1 Review the shipment information to confirm it has been entered accurately NOTE: If you discover an error in the shipment information continue to step 3.1.1. If there are no errors in the shipment information skip step 3.1.1. 3.1.1 To make corrections to the shipment information scroll to the end of the page and select ‘Edit’ NOTE: If you selected ‘Residential Shipment’ continue to step 3.2. If you did not select ‘Residential Shipment’ skip to step 3.3. 3.2 Review and confirm agreement to the Residential Verification Parcel Pro Shipping Guide 3.3 If all fields are valid select ‘Confirm and Print’ NOTE: To save your shipment and return to it at a later time click ‘Save Quote’. 4 Shipment Instructions 4.1 Once you have confirmed your shipment you will be taken to the ‘Shipment Completed Successfully’ page (see example below) NOTE: You may choose to void the shipment, create a new shipment or view your previous shipments by clicking one of the gray boxes outlined below. Parcel Pro highly recommends that you ship any package of value to a commercial address. No insurance claim can be made under Parcel Pro, Inc.’s insurance policy for any shipment delivered without a signature to a residence or other location unless the shipment is released by the carrier without signature against your instruction, without your knowledge and as a result of exclusive fault of the carrier. If you must ship to a residence: ! Send only to residential addresses where you know the customer as a “regular” repeat recipient. ! Do not send goods to 1st time buyers known only through telephone or internet. The majority of fraud claims arise from internet-telephone sales sent to residences. o Question orders from free E-mail accounts o Look twice at rush orders o Verify orders through the issuing credit card company o Verify billing addresses through the issuing credit card company ! Never disclose the tracking number to your recipients. Cases of fraud where the criminal reroutes a package to an address other than the billing address (by knowing the tracking number) have occurred. ! Make it a policy that your recipient will take responsibility for loss if recipient insists that you ship to their residential address and forgo the provision of a signed delivery. ! Insist that your recipient be home to accept the delivery. ! Use the following carrier services to ensure coverage under Parcel Pro, Inc.’s insurance policy: o UPS® - Use the Adult Signature Required option, not just Signature Required. To utilize this service, shipments must be processed online via ups.com, UPS Campus Ship or UPS WorldShip. o FedEx - Check the “Signature Required” option for your shipment(s) and affix a Signature Required sticker. Make sure the recipient does not have “Signature Release” status on file with FedEx. o DHL - A “Signature Required” sticker must be affixed to the box; it is best to place this next to the airway bill. Write “Signature Required” in the “special instructions box” on the waybill. As a reminder: ! Coverage for a Parcel Pro, Inc. confirmed shipment ends when delivery is made. Delivery is made when a package is signed for at the consigned location or when the package is left at the consigned location without a signature, as determined by the carrier’s tracking information. Delivery information is based on information provided by carrier. ! Parcel Pro, Inc.’s policy does not cover claims arising directly or indirectly from fraud/dishonesty/negligence, including but not limited to credit card fraud, check fraud, C.O.D. fraud, mail fraud or any fraud on behalf of the shipper/recipient or their employees. Use of Parcel Pro, Inc.’s services constitutes acceptance of its Terms and Conditions. Shipments will be governed by the Terms and Conditions in effect at the time of shipment, as may be verified online after login at www.parcelpro.com. Instructions for Completing a UPS International Air Waybill Section 1. Write your UPS account number in the appropriate section along with your EIN number. Also, write your company name and complete address, name of sender and telephone number. Make sure not to use any jewelry related terms such as gold, diamond, jewelry, gems, etc. 2. Complete this section with the recipient’s company name and address, contact person and telephone number. Make sure not to use any jewelry-related terms such as gold, diamond, jewelry, gems, etc. It is important to give the recipient’s phone number. 3. In this section, bill the duties and taxes to either yourself or the recipient. Make sure there is a UPS account number, or credit card number, otherwise, the shipper will be billed. The shipper is ultimately responsible for all duties and taxes assessed. 4. This should always be marked “UPS Worldwide Express® or UPS Worldwide Saver®.” 5. For the commodity description on the air waybill, write ‘adornment’ or ‘personal adornment.’ Use terms that suggest the contents of the package without writing gold or jewelry. If you are sending gemstones, write the word ‘natural minerals’ for the description. The total declared value for carriage should always be ‘0’ unless otherwise instructed. Write the phrase ‘see invoice’ under the declared value for customs. Reference No. 1 This is where your Parcel Pro account number is entered 6. Country of Manufacture (origin of goods). 7. Enter your ITN number obtained from the Automated Export System. Put the corresponding harmonized code and the country of ultimate destination. Reminders: Make sure three copies of a commercial invoice or three copies of your own invoice accompany the package. These secure delivery locations minimize risk and you must comply with the following instructions to ensure that your shipments are protected under the Parcel Pro insurance policy. Please ship to the addresses provided below based on zip code, value and carrier used: Shipments to New York City: 10017, 10036, 10021, 10065, 10075 UPS • 10017 and 10036 values greater than $1,000 • 10021, 10065, 10075 values greater than $15,000 Address your package as follows: Quality Labs 643 West 43rd Street New York, NY 10036 Phone (212) 242-7750 When shipping via UPS using Parcel Pro’s account number but not through a Parcel Pro online tool (website, mobile app, API), declare $5,000 for carriage liability with UPS on all of your packages valued at $5,000 or more that have the zip code 10036 and 10017 as a final destination. Notify the driver that your package has a declared value and have him sign the High Value shipping manifest. Safe Shipping & Packaging Checklist Please pay close attention to current Parcel Pro Terms and Conditions and Parcel Pro Shipping Guide-Rules and Restrictions for updates or changes before shipping 1 Secure merchandise in smaller box Do use additional packaging material such as padded envelopes, bubble wrap, paper, foam pad, making sure movement of merchandise is restricted. Packages with rattling goods inside make easy identifying targets for thieves. Mark Tracking information Mark tracking number, shipper and recipient information outside the smaller box. It’s needed in case the shipping information on the outside box gets damaged and becomes illegible during transit. 3 2 Double box your shipments Place the small box inside a larger courier box. Again, making sure movement is restricted with additional cushioning. Double box dramatically minimize the chance for thieves to poke and grab your merchandise. Proper enclosure Please seal all seams or flaps on outside box with clear or non-descriptive tape in addition to adhesive on flap.
