Drivve | Image - Short Introduction
General
Drivve | Image - a short overview
Drivve | Image is a scanning, processing and distribution tool.
Typical steps in Drivve | Image
In the following section, the typical steps in Drivve | Image are shown:
•
•
•
•
You log on to a device (scanner or multifunction device).
At the device display, you start Drivve | Image and select a Drivve | Image scan profile.
Depending on the profile selected, you have to enter several information (for example selecting an email address
from an address book or entering the name for the scanned document).
After defining the input, you can configure optional scan settings (for example duplex/simplex mode,
monochrome/color mode etc.)
•
Finally, you click the Scan button.
Drivve | Image now scans the document and applies all configured processing features (such as barcode separation, zonal
OCR etc.) to the document. After the document has been processed, it is distributed for example as file in a network folder, to
Drivve | DM or to a third-party product such as SharePoint or Docushare. In addition, scanned documents can be sent via
email using SMTP, Microsoft Exchange or Lotus Notes.
Sample profile
A user scans his supplier documents such as delivery notes, invoices and vouchers. At the device display, the user selects the
required profile. In the profile he chooses document type and the supplier folder in which the scanned document is saved.
Input fields of the profile "01 Supplier documents" at the device display
All scanned documents are converted into the format PDF (searchable). After being processed, each document is saved as
separate file. Since the user does not scan the documents one by one but in piles of documents, each document has been to
be separated from the pile. This done by the processing feature Barcode Recognition: Each document contains a barcode on
its first page. If Drivve | Image detects a barcode on document, it saves all pages until the page with the barcode as new
document.
The file name of the scanned document consists of the

the barcode of the scanned document
the document type the user has selected at the device display
Available processing features
For each profile, various processing features such as barcode recognition or blank page deletion can be configured:

Structure of Drivve | Image (schematic representation)
The following diagram shows the structure of the Drivve | Image application. By understanding how the application works, you
can better analyze errors that might come up. Particularly in the case of errors that occur in conjunction with permissions, it is
important to understand the structure of the application.
Installation and Registration

System Requirements
Drivve | Image provides fast image processing by improving memory management and implementing a multi processor
technology. Depending on the number of processors available on the Drivve | Image Server hardware, the application can
exploit all available CPUs by using multiple-application processes to run parallel image processing.
The processing capacity and time frame for the delivery of processed images is per server. It also depends on the type of
processing and volume of scanned pages sent daily for processing by each server.
OCR requires a lot of CPU performance: For his reason, we recommend to use Drivve | Image on physical
hardware instead of virtual machines.

Tip: Creating a separate Active Directory user account
In order to avoid changing the Domain Administrators security settings, you should create a new domain
account that will be used with the Drivve | Image application. Procede as follows:
1. Create a new domain account and add it to the local Administrators group.
2. Log on with the new user account.
After the installation of Drivve | Image, a reboot of the computer may be necessary.
Installing Drivve | Image
1. Log on to your computer. Make sure you have Administrator rights.
It is recommended to create separate domain account and log on with this account (see also Tip).
2. Close all applications and make sure the Windows Services dialog is not open.
Otherwise the installation of the Windows service might fail.
3. Start the setup program (Setup.exe) on the installation disk and follow the instructions on the screen.
After files have been copied, the IIS (Internet Information Services) setup program will be started to install the ASP.NET
Web application and the Drivve | Image Windows services. The WWW and FTP services will be restarted during this
process.
In the course of the installation, you must specify the Windows user account the Drivve | Image service and the
ASP.NET Web application are to use.

Processing
Using the barcode recognition
Prerequisite
The functions described in this article require the following Drivve | Image modules:
• Scanner Power Tools (SPT)
• Barcode Module
The function Barcode Recognition allows you to analyze, manipulate and extract data from any barcode. Mostly, barcodes
contain a single value such as a customer number or a P.O. number. However, barcodes may contain compound data, e.g., a
customer number, a P.O. number and a date. Especially two dimensional barcodes sometimes contain a huge amount of data.
In order to extract each data set separately, you can use barcode variables. You can generate an unlimited number of barcode
variables, each variable being a separate set of data coming from a barcode.
Barcode variables
A barcode variable represents data originating from a barcode. These can be partial data of a barcode. A barcode variable
contains a freely definable rule used to determine the data to be extracted. You can use a barcode variable for further
processing within Drivve | Image.
Examples:
•
•
•
•
the first 5 characters of the first barcode
a given barcode on a page
the third barcode on a page
the barcode starting with XY and not containing more than 10 characters.
Features for analysing and extracting data from barcodes
Feature
Details
Filter
This feature allows to filter out barcodes you do not need. A
filter can consist of the minimum length of barcode, a
number range of a numeric barcode, etc.
Splitting
This feature allows to create a list of substrings based on a
split character. Using the element index, you can determine
the substring to be saved in the variable.
Cutting
This feature allows to cut out a certain part from the
barcode.
After having defined the barcode variable, you can test whether the extraction of data from the barcode is correct.

Setting
Explanation
Type of barcode
Select the required barcode type. This can be the
barcode from the barcode reader, the barcode from
the document separation or all barcodes.
Name
Enter a name for the new variable. This name is the
identifier for the variable. The variable can be used
throughout Drivve | Image, e.g., for the file name
generation. It will also be the identifier of the xml or
csv data export.
Barcode index
If multiple barcodes are recognized on a page,
you can use the barcode index to define which
barcode to use. The recognition sorts the
barcodes from top to bottom and then left to right.
Default
Enter a default value in case the data extraction
does not return a value.
Configuration example
You wish to extract the P.O. number from a compound barcode. The P.O. number is always the first barcode on the
page. It has a minimum length of 10 characters and a maximum length of 15 characters. The first characters up to the
hyphen is the customer number. After the hyphen, the P.O. number starts with a length of 6 characters and then the
rest of the barcode which is random data.
Note
In the present configuration example, only the extraction of the P.O. number is described.
Example barcodes:
•
•
223124-33445UX
customer number: 223124
P.O. number: 33445
0913X-44556HHDX
customer number: 0913X
P.O. number: 44556
In the following sections, you will learn how to use the available analyze and data extraction features to extract data
from barcode. In addition, you will learn how to test the result.
Filter
In the present example, you define a filter which ignores all barcodes not consisting of 11 up to 14 characters.
1. Select the field Enable Filter.
Note
•
•
Multiple filters
If you create multiple filters, these are "OR" combined. For the analysis, it is enough if
the conditions of one single filter are met.
Multiple filter definitions
If you create multiple filter definitions for one single filter, all filter definition have to be
met during the analysis.
2. Click the plus button to add a new filter.
3. Add filter definitions to the filter.
In the present example, the filter definition looks as follows:
Splitting
In the present example, the hyphen is defined as split character and the second substring (which is the P.O. number)
is used.
1. Enable the checkbox Enable splitting.
2. In the field Split character, enter a hyphen.
3. Set the Element index to 2.
Cutting
In the present example, characters 1 to 5 are cut out of the remaining barcode value (second substring) after it was
filtered and splitted.
1. Enable the checkbox Enable cutting.
2. Set the offset to the position where the cutting should start.
3. In the Length field, define the number of characters you would like to cut.
4. If you do not have a fixed offset value - for example because the starting point varies - define a character that
should be the starting point in the field Offset string.
In the present example, you could skip the splitting and use the hyphen character as the offset string instead.
Testing the settings
1. To test your configuration, click the Test button.
2. Enter an example barcode and click OK.
The result looks like this (which is the correct P.O. number):

• Configure a flexible user interface on the device panel that lets you configure the permissions you want to grant
• Send the encrypted document via email or store it into a folder, ftp location, SharePoint or any other output
Page 26 of 57
.Assigning a DRM license
The Drivve | Image DRM module is licensed as follows:
License type
Details
Server license
Each Drivve | Image server needs a DRM server license.
User licens
Each user who wants to act as a sender of an encrypted
document needs a user license. The recipient of an
encrypted document does not need a license.
Assigning licenses
Drivve | Image automatically assigns licenses to the sender of an encrypted document the first time the user sends it. Thus, you
do not need to manually assign a license to a user but you can simply start working with the DRM module. The picture belows
shows that three of 10 licenses are used.
Tip: Verifying the status of licenses
To verify the license status, proceed as follows:
• Start the Drivve | Image configuration tool.
• On the Tools menu, click Licenses DRM to open the dialog Drivve Image DRM.
Running out of licenses
If more users than available licenses attempt to send an encrypted document, Drivve | Image will allow to send a maximum of
20 scan jobs before permanently disabling the user. All users not having a license will be displayed in the pending section of
the license management dialog. Make sure you purchase more licenses if you would like to allow these users to work with the
DRM module. Drivve Image will automatically enable pending users once enough licenses are available.
Users that have exceeded the maximum of 20 scan jobs will be disabled permanently and you will not be able to activate them
again.
.Configuring the DRM module
In order to be able to use the Drivve Image DRM module, you need to have access to a Fasoo® FSE server, either in your local
network or you can use the myDrivve DRM server if you have a subscription with Drivve.
1. Create a FSE data source:
2. Start the Drivve | Image configuration tool.
3. On the Tools menu, click Data sources and add a new FSE data source.
• If you are using the myDrivve FSE server, select the option Drivve DRM Server.
•
If you would like to use your own FSE server, select the option Other FSE server and select the TPL file (your
network Administrator should be able to provide you with the file).
4. Click the button next to Email preferences and configure the email server settings.
This server is used to notify the users in case of an error.
5. Click Save and close the dialog Data Source.
6. Create a new scan profile.
7. Go to the Processing area and enable the function Drivve Image DRM.
8. Click Preferences to configure the function Drivve Image DRM.
.DRM Preferences
The DRM module has several configuration elements. Basically, you configure the permissions that the recipients should
have.
1. Configure the senders email address.
The DRM server always needs a sender email address. By default, the scan profile is secured and every user must log
on before he will be able to use the DRM scan profile. In case the user does not have an email address configured or
you turn off the secure scan profile, you must specify the default email address to be used instead in the field "Sender's
email address".
2. Configure the settings on the tabs Permissions and Options.

Print
The recipient will be able to print the document.
Edit
The recipient will be able to edit the document within the
application that the file type belongs to.
Print Screen
Grant this permission if the recipient should be able to
make screen shots of the document or if he or she wants to
open the document on a virtual machine software (like VM
Ware).
Decrypt
If you grant this permission, the user will be able to
permanently decrypt the document and save it
unencrypted.
You can add recipients by adding their email addresses. Or you can use an input field, like email address book field and use it
as recipients. That way the user can select the recipients on the device panel at the point of scan.
Usage of Variables
Drivve | Image uses the powerful feature of variables. You can use variables to control the permissions you want to grant the
recipients. You can also use them to define the recipients. In the present example, we created three input fields (type =
checkboxes) which we assigned to each of the permissions and an email address book field to specify the recipients.
If you click the link Use variables and functions (in blue), the dialog Add functions and variables is displayed. Then you can
select the input field that you would like to control the permission:
This, the software sets the value of the "Print" permission according to what the user selected on the device panel.

Tab Advanced Options
On the Options tab, you find additional options.
Setting
Explanation
Authentication
If you select once, the recipient only needs to authenticate
once. Only if he accesses the document from a different PC
he needs to re-authenticate.
Email notification
This option sends an email notification to the sender, either
once or every time the recipient opens the document.
Offline
If you enable Offline, the permission check is only done the
first time the recipient accesses the document. Disable the
option if the permission check should be done every time
(server connection needed).
Limit count of PCs
You can specify how often a document can be opened on
the same PC.
Limit count of view
You can limit how often a document can be viewed.
Validity
You can specify how long the document is valid.
Once you have configured the DRM preferences, you can configure the scan profiles output method. You can use any of the
available output methods Drivve | Image offers you. The document will be encrypted before the output is done.

XML Transformation
XML Transformation
Drivve | Image provides the possibility to convert the default XML format created by the file output to any other format by using
the XML style sheet–based transformation (using XSL files).
Tip: Tools for creating XML templates
The creation of the style sheet requires some knowledge of XML concepts. However, there are tools that can be
used to simplify the issue, such as those from Altova:
http://www.altova.com/products/xmlspy/xsl_xslt_editor.html
More information is available at http://www.w3schools.com/xsl/default.asp.
Use case
You can use the Drivve | Image XML transformation to pass scanned documents to a third-party system.
Note: XSL files created by Drivve
In the Transform folder, there are XSL files created by Drivve for past integrations. However, these are not
supported as full integrations by Drivve. Often, those XSL files require a profound knowledge of the destination
application, i.e., the third-party system, in order to fully work.
To use the Drivve | Image XML transformation, proceed as
follows:
1. Create a style sheet that converts the default XML to the desired format.
2. Copy the XSL file to the Transform sub folder of the install directory and name it as follows:
transform_<name of the scan profile>.XSL
Now you can enable the default XML creation in the Drivve | Image configuration tool.
3. Start the Drivve | Image configuration tool.
4. Select the required profile.
5. Go to the Output section and select the output type File Output.
6. Enable the field Create XML file and select an output folder.
7. Save the profile.
Hotfolder
General
Drivve | Image can be used with all types scanning devices. Hotfolder provides full support for image processing, barcode
extraction and recognition, OCR, Zonal-OCR, PDF-OCR and text extraction of searchable PDF files and much more.
Each Hotfolder license supports up to 5 configured hotfolders with a maximum throughput of 100,000 pages per month
per scanner. At the first day of each month, the san throughput is reset to 100,000 pages.
To use Hotfolders, one Hotfolder license per scan device is required.
Technical restrictions for Hotfolders:
•
Image files
For image files such as tif, jpeg etc., there are no technical restrictions, i.e., all Drivve | Image
processing features are available.
•
PDF files
In the case of PDF files, only the following Drivve | Image processing features are available: OCR ,
Zonal OCR and file conversions.
Files of other types
For all files neither being PDF files nor image files no Drivve | Image processing features are available.
These files can only be routed.
•
Working with Hotfolders
