MEDIA DESIGN SCHOOL
Accreditation and Registration
Media Design School is registered as a private training establishment by the New Zealand
Qualifications Authority (NZQA) under the provisions of the Education Act 1989 and its subsequent
amendments.
The New Zealand Qualifications Authority (NZQA) under the provisions of the Education Act 1989
approves the qualifications and Media Design School is accredited to teach them.
Equal Educational Opportunities
Media Design School seeks to provide equal educational opportunities for all applicants who are
able to meet the school’s required entry criteria.
Disclosure of Information to Students
After receiving an offer of place, students receive information relating to the following:

ACADEMIC
Student Records
Student Details
Students must ensure their contact details (name, phone, email) are kept up to date; this can be done
at reception on level 16, through the Hive (intranet), or by emailing
[email protected].
The school requires all students to provide a permanent contact address for obtaining future
information about graduate outcomes, as required by the TEC. International students are required
by the Ministry of Education to inform the school immediately of any change to their contact details.
Student Records
The school is committed to keeping up-to-date records and data that may be accessed when
required. Student information is entered into the database on a regular basis. All data is stored and
handled adhering to the Privacy Act and is information necessary to complete the Ministry of
Education, Tertiary Education Commission (TEC) and NZQA reports, and to use for the company’s
own records and database.
Three times per year the school is required to submit data returns to the Ministry of Education. Each
student has an individual National Student Index (NSI) number, which is used to track enrolments,
completion and withdrawals made by the student at every institution they study at.
Release of Student Information
As a requirement of the contract the school has with the TEC, the school is required to release or
make available for audit inspection, information specific to student enrolments, student attendance
records, student academic records and information pertaining to student allowance and loan
applications as requested by an officer of the Ministry or its nominated representative.

Academic Transcripts
A final academic transcript is provided at the conclusion of their programme. This is posted to the
student address on file at the time of programme completion (unless the school is otherwise
notified).
Reprints of official Media Design School documents (transcripts and award certificates) can be
ordered for a fee. Contact reception for details.

Award of Qualification
To be awarded a qualification, students must meet the following requirements:
 Successfully pass all components
 Complete all course work
 Meet attendance requirements
 Pay all fees and return all loaned school resources in acceptable condition
Attendance
Students must attend all scheduled classes (labs, tutorials, presentations, site visits and other classes
as required by specific course learning) and be on time – attendance is compulsory.
Excused Absences
Absences may only be excused for the following reasons: Sickness and Bereavements. No other
reasons are acceptable to qualify as an excused absence. It is the student’s responsibility to provide
evidence for excused absence.
Sickness
A medical certificate is required for absences of three or more consecutive days due to sickness. NB
A student who has an extended excused absence due to health issues will have their attendance issue
assessed individually.
Notification of Absence
For any absence a student must either:
 Notify faculty prior to commencement of scheduled class(es), or
 Notify the School by phone prior to commencement of class by contacting Reception to
leave a message for your lecturer(s) or email [email protected].
If a student misses a class for any reason, they must take responsibility for catching up on any
missed work or collecting any information provided in class (handouts, exercises, formatives,
summatives, etc).
Non-attendance of Classes
Media Design School is legally required to immediately inform StudyLink (domestic students with
loans/allowance) or NZ Immigration (international students) when:
 A student ceases to attend scheduled classes
 Attendance is unsatisfactory
 A student is deemed to no longer be able to achieve the qualification (see below)
Non-attendance will be addressed once any student has an unexcused absence for three
consecutive scheduled class days.
 The Chief Academic Officer will send an official letter to student regarding non-attendance.
 The Chief Academic Officer will notify faculty of the response/outcome from the letter to
the student.
 Lecturers will inform the Course/Programme Leader and the Chief Academic officer if the
student does return to classes at any stage during this process.
If the student does not return to scheduled classes or there is no response to the letter, the
following action will be taken after 14 days from initial absence:
 Student is de-registered and no refund is applicable or remaining course related material
available.
 StudyLink is notified for domestic students.
 New Zealand Immigration Service is notified for international students.

Assessment
Formative Assessment
Formatives provide feedback to the student as to their current progress in the various areas of study
through short tests, assignments and projects etc. All formative assessments are compulsory.
These assessments also provide students with feedback on their progress towards achieving learning
outcomes of the course. Good results on all formative assessments are essential for learning and
achievement.
 Formative assessment may include peer assessment and self-assessment methods in
reference to established standards of criteria.
 Formative assessment may include external feed back from recognised industry
professionals/organisations.
Summative Assessment
These are formal assessments on which the student’s success or otherwise on each component of
the qualification are calculated.
 Summative assignments are submitted and assessed against clearly defined objectives,
measures or criteria.
 A grade or percentage rating system is utilised.
 Each summative assignment has clear instructions on how the assignment is to be assessed
and has a due date.
Moderation
Assessment is both pre- and post-moderated internally and in the case of final semester
component/s, post-moderated externally.

Student Awareness of Assessment
Requirements
The individual assessment requirements of each qualification will be communicated on a regular
basis.
The specific assessment details of each assignment are provided in assignment instructions. Media
Design School reserves the right to add to or amend the Assessment Policy at any time.
Assessment in Te Reo Maori
Any student who wishes to answer their summative assessment or do formal work in Te Reo Maori
must notify Media Design School prior to their assessment.
Assessment Appeals
The following process applies to student appeals relating to individual summative assessments and
final qualification results.
 Students have three days after being provided with any summative result to appeal the
outcome.

Students have two weeks after being provided with their final qualification result to appeal
their final qualification outcome.
 Students may lodge appeals relating to individual summative assessments and final
qualification results. Before lodging an appeal, it is important to note that final results for
qualifications at the school are moderated prior to release of the results.
 In the first instance, the student should seek clarification of the results from their
Programme Leader.
 If the issue remains unresolved the student may submit an appeal in writing to the Chief
Academic Officer. This submission must clearly identify evidence for the appeal to be
considered. Students have 3 days to make an assessment appeal.
 The Chief Academic Officer will communicate the findings of the appeal in writing to the
student concerned. There is no further internal appeal process.
 If the student is dissatisfied with the outcome, they will be advised to seek an independent
external advisor.
Extension to a Project or Assessment Deadline
Meeting project deadlines is an important part of preparing students for industry. Qualification
assessments and projects are therefore all time-based. An extension to due dates for formative and
summative assignments are very restricted and may only be approved in exceptional circumstances
that are outside the student’s control.
Such reasons include family bereavement, emergency or extended periods of sickness or at the
discretion of the Programme Leader.
It is the student’s responsibility to justify the application for an extension and provide documented
proof of the case presented. Extensions will not be granted due to the student’s lack of planning,
including when equipment is not available due to high demand, or because of technical problems.
When appropriate students should, apply for extensions in advance of the deadline and not on the
date the assignment is due. Faculty have the right to refuse the application for an extension to the
due date of the assignment.
Plagiarism
All work that a student presents for assessment or for feedback must be his or her own.
Presenting another person’s work (in part or whole) to obtain credit towards a qualification is a
fraudulent action and may be considered criminal behaviour. The school reserves the right to inform
appropriate authorities if necessary.
If an investigation is required, the student will be immediately suspended pending the outcome of
the investigation. If there is clear evidence that a student has cheated on submitted work, the
student will be immediately expelled.
Guidelines to Avoid Cheating and Plagiarism
Media Design School is aware that some student work may contain content produced by another
party. To avoid plagiarism and its penalties, students should note the following:
 You may quote from someone else’s work (for example from textbooks, journals or other
published materials) but you must always cite the author and source of the material.
 You should site sources for any graphs, tables, or specific data, which you include in your
assignment.
 You should site the source of third-party software components, textures, models, rigs,
scripts, graphics (of any kind), concept art, concepts, or ideas.
 You must not copy someone else’s work and present it as your own.
 You should keep a log of all of your sources, printouts, logs, concept booklets, scrapbooks,
etc.
 Allow people to explain how to do something and then attempt to do the work yourself,
avoid letting people “show you” within the confines of your own artefacts. The school would
like to encourage the free passing of ideas, however, for individual work there is a difference
between helping and doing the work for a friend.

Guidelines on Quotation Use
Use quotations when you do not wish to change the meaning of the material for your discourse or
when the original wording is unique and by rewording, it would lessen the impact of the sentence,
phrase, paragraph, or component.
Avoid excessive use of quoted work, this shows low-grade scholarship and lack or originality; this will
result in a downgrade for most research pieces.
Below are examples of common forms of plagiarism ranked in order of severity. Number one being
the highest severity:
 Copying an essay, model, texture, rig, animation, drawing, diagram, script, concept, or code
from another student or third party and submitting the work as your own.
 Lifting sentences or paragraphs, function libraries, script libraries, components (from the
Internet, books, journals, electronic devices, etc.), without proper acknowledgement.
 Heavy reliance on third-party phrases, sentences, or components without proper
acknowledgement and thereby give the impression that the ideas expressed belong to you.
NB Student work may contain content produced by another party (i.e. a quotation, a small piece of
code, artwork or other contribution that is not part of the assessment criteria). In this situation, the
author(s) of the work must in all cases be clearly identified and credited.
Other Academic Policies and Procedures
Piracy and Copyright
Media Design School takes piracy and copyright infringement seriously and has a zero tolerance
policy towards the downloading, storing and sharing of any non-course related data or resources –
illegal or legal. This includes music, movies, software, games and other non-course-related files.
Lecturers have the right to decide what material is considered ‘course-related’ in circumstances
where this may not be clear. Random checks and audits are scheduled throughout the year.
Lecturers and network administrators have the right to audit any data on school computers and
network storage.
Any student found to be in violation of this policy will receive one initial warning, but will be
restricted from classes without further notice for a period of three weeks if the offending files aren’t
removed immediately. Lecturers and network administrators have the right to delete any files they
deem non-course-related at any time. Students may also have their storage quota reduced. Any
evidence of further violations of this policy will result in the student being expelled.
Please note: In addition to being illegal, this action affects your fellow students, as it significantly
reduces the storage space and network bandwidth available to all users of the schools’ network. By
taking up considerable storage capacity, it also affects the efficiency of students’ work being backed
up properly and can place the technical infrastructure at risk.
Recording Lectures/Audio-Visual Notes
Media Design School takes copyright protection seriously and has a zero tolerance towards any
violation of copyright. Recording tutorials, lectures or taking audiovisual notes during any Media
Design School event with any digital or analogue device is strictly prohibited at Media Design School.
Any student found to be in violation of this policy will receive one initial warning, but will be
restricted from classes without further notice for a period of three weeks if the offending recordings
aren’t removed immediately from any storage device used to store the recordings. Any evidence of
further violations of this policy will result in the student being expelled.
Student Work for Commercial Use
Students produce work using academic software licences while at Media Design School. A condition
of using academic licences is that they are not to be used in the production of commercial work.
To protect all work produced by students or groups of students in response to a brief by an external
agency, individual person or institution, all such work remains the property of Media Design School
and may not be released to any outside individual, agency or company without the written
permission of Media Design School.

Media Design School reserves the right to retain, reproduce or otherwise use any student work that
any student or group of students produce while at Media Design School, for the purposes of quality
assurance, advertising, marketing or promoting Media Design School and its capabilities.
Client Brief Production and Delivery
During a programme, students may be requested to produce work using simulated client briefs and
actual client briefs. No payment to the student may be made for the work produced.
Terms of Reference for Client Briefs – Non-commercial (unpaid)
All work completed on the school’s academic software must be non-commercial.
Associated costs of client work (such as visit transportation) are the student’s responsibility. Media
Design School is not responsible for any production costs associated with client work.
Students working with clients must make sure the client is aware of any production costs that they
will be responsible for – e.g. printing, plates, internet charges. The student must inform the client of
the time they are able to commit to the production. The client should be informed that they have no
comeback on the student or school should the work not meet client’s expectations and time frame.
General Policy
Class Schedules
Class schedules are set by the school. All scheduled classes are compulsory. Class schedules will be
distributed at the beginning of each semester.
Feedback
Feedback occurs throughout all qualifications, both formally and informally. Students require a level
of feedback to ensure they understand their progress and where they need to lift their results in
order to pass. Course/programme leaders ensure the feedback given by faculty is sufficient and
appropriate in the time available.
Feedback is ongoing and students are encouraged to record feedback.
Feedback can be received in various forms, such as:
 Verbal: from lecturer/s and/or peers
 Critiques: from lecturer/s and/or peer
 Presentations: from lecturer/s and/or peers and/or invited special guests
 Summatives: written feedback is provided and is moderated by the department
 One-on-one meetings: from the lecturer, to provide feedback to each student regarding the
school’s evaluation of their progress and to provide comments and suggestions as to what
would assist the student to succeed (this occurs twice during each programme and students
will be advised by their lecturer of the schedule).
 Industry: feedback may be provided during each programme during presentations, for
portfolios or online.
 When the schedule allows, additional feedback may be given upon request.
Independent Learning
In addition to class time (directed learning), students are expected to engage in self-directed
learning. Self-directed learning plays a critical part in the education offered by the school and is a
major component in gaining a Media Design School qualification.
Internet Use
At all times the Internet must only be used for educational and/or research purposes.
Inappropriate use of the Internet includes (but is not limited to):
 Activities prohibited by legislation
 Online gaming (except where required for the purposes of study as determined by your
lecturer)
 Online chatrooms
 Peer-to-peer file sharing
 Instant messaging
 Downloading entertainment materials
 Using the Internet as a substitute for the telephone (i.e. Skype)

Policy for Impaired Performance
Issues around failure to meet the required attendance criteria will be addressed under the
Attendance Policy.
If a student falls behind in the quality or quantity of their learning, it is the responsibility of the
student to correct this.
In exceptional circumstances, where a situation outside of the student’s control is affecting their
studies, the student may put their case in writing to the Chief Academic Officer who will assess the
situation on a case-by-case basis. The school is not obliged to provide a solution.
If a student fails a component, they may, at the completion of their studies, re-take the component
at the earliest opportunity, if:
 They apply in writing to the Chief Academic Officer within three weeks of receiving notice
that they have failed the component
 They pay to re-take the component
 There is a place available in the next intake
Student Evaluations/Surveys
Student Services Manager facilitates formal feedback with every class at three scheduled times
during the academic year.
Media Design School Transfer Policy
Media Design School supports the right of students to transfer from a programme of study under
exceptional circumstances.
However we acknowledge there are other circumstances where a transfer may apply. Students must
complete a transfer form and submit it to the Student Services Manager.
1. Compassionate Transfer
Compassionate Transfers are granted to students under exceptional circumstances which prevent
them from completing their course of study within the scheduled end date of the qualification.
We consider exceptional circumstances: a trauma, high risk situation or significant illness (including
mental health) with supporting documents, death of immediate family member that has prevented
a student from continuing in their programme of study, impact of natural disasters requiring student
to return home.
If a transfer is approved, the student is liable for all fees as invoiced and no refunds will be granted.
Generally no fees are to be charged, however in certain circumstances an Administration Fee will
incur.
The course of study will be put on hold, and the student will re-enter the programme in the
following year if the programme is offered.
Studylink will be advised for Student allowance purposes in case of domestic students.
In case of International student, Immigration New Zealand will be notified of the student situation.
The students has total responsibility for organizing new visa as well as any costs involved with the
new course.
2. Transfer to new Qualification
If a student makes a decision to change from the programme in which they are enrolled into a new
programme, they must follow the withdrawal process for their current enrolment and reapply for
entry onto the new programme of choice in the following available intake as a new enrolment.*
If the transfer is approved, student is liable for all fee as invoiced and no refunds will be granted.
If student is accepted onto the new programme - they will be invoiced for the full tuition for the
year.
*If domestic students and applying for a student loan through Studylink for the next course of study,
the student will need to have successfully completed at least half of the EFTS of the current
programme of study to be eligible for Studylink student allowance/loan.
Studylink will be advised for Student allowance purposes in case of domestic students.
In case of International student, Immigration New Zealand will be notified of the student situation.
The students has total responsibility for organizing new visa as well as any costs involved with the
new course.

3. Restart Transfer
If Student enrols in a programme but fails components during their course of study and wishes to
stop and ‘restart’ programme in the following intake available, the number of credits and EFTS
completed must be considered.
3.1 If student fails no more than 30 credits – they must stay with the programme and re-sit the
components in the January summer school or as agreed in an Individual Learning Plan (ILP)
The Retake process must be followed in this case.
Students will be charged for the components they have failed.
3.2 If a student fails more than 30 credits – they must withdraw and reapply for entry in the
following year – in this case they are considered as new enrolments.
Student is liable for all fee as invoiced and no refunds will be granted.
If student is accepted onto the new programme - they will be invoiced for the full tuition for the
year.
Student may request RPL for components already passed. If granted, they do not need to retake
these components and tuition fees would be reduced by the component fees.
Studylink will be advised for Student allowance purposes in case of domestic students.
In case of International student, Immigration New Zealand will be notified of the student situation.
The students has total resposability for organizing new visa as well as any costs involved with the
new course.
Domestic students - by Studylink policy - For 32 weeks -52 weeks courses - student needs to have at
least 0.8 EFTS to be eligible for student loans. If they are Part-time students (full year or part year)
they can get loan for Fees but not for course-related costs and living costs. Student’s performance
will be accessed by Studylink
International students - Full time student by NZ Immigration “Full-time study for: private training
establishments (PTE) is enrolment in:
1. A course of study that requires attendance for a minimum of 20 hours per week, or 2. At least
three papers, or equivalent, per semester if the offered course is at level 7 or above on the New
Zealand Qualifications Framework”
4. Transfer to first choice of enrolment due to Media Design School controlled programme offering
decisions
If a student is enrolled in a programme which is not their first choice due to Media Design School not
offering the programme they were initially enrolled in they may, upon agreement at the point of the
decision, transfer to their initial enrolment at the next available intake.
Student will pay for the full year tuition for the alternative programme and no refunds will be
granted.
The student will be withdrawn from the alternative programme and enrolled in the preferred
programme.
If the Transfer is confirmed, the balance of non-consumed tuition will be credited towards the full
year tuition for the preferred programme.
Fees for preferred program will be paid at the rate for the initial enrolment.

STUDENT LIFE
Behaviour while on Campus
Student Code of Conduct
We expect you to behave in a professional, responsible manner appropriate to a mature student at
an institute of higher learning. Accordingly, at all times:
 All food must be prepared and eaten in the student lounge kitchen on level 5 or level 18.
You must use all facilities in the kitchen in a responsible manner – this means dirty dishes
must be rinsed and stacked in dishwasher, all surfaces must be wiped down and rubbish
must be thrown in bins. Milk is provided for tea and coffee only, and not for drinking. If milk
is removed, this will be considered theft.
 No food can be consumed in any of the classrooms, lecture theatres and labs. Bottles of
water are allowed, but you must either dispose of these or take them home at the end of
the day.
 Please note that security cameras are positioned in all key areas of the school throughout all
levels. These cameras will be used to keep the school environment safe. Footage captured
may be used as evidence in the case of misconduct, theft or proof of unauthorised visitors.
 The school library is a reference-only library and no books may be removed. All books are
security tagged and will set off alarms if taken beyond the library area. A photocopier is
provided in the library for students to scan/copy necessary pages within NZ copyright laws.
 Keep the premises as tidy as possible at all times. You may not litter, leave personal
belongings around the school or misuse any equipment provided.
 Familiarise yourself and comply with building evacuation procedures. In the event of an
evacuation, whether real or practice, follow the instructions of wardens and your lecturers.
 Do not allow visitors to accompany you into the school, unless they have signed in at
reception. Visitors are only allowed between 9am – 5pm, Monday to Friday.
 Do not lose or share your pin code with anyone. Failure to comply with this rule is
considered serious misconduct.
 Do not smoke, loiter or play games in the foyer of Media Design Centre at 92 Albert St. This
includes all public areas of the foyer, the front entranceway and the steps in front.
 Accept personal liability when travelling on field trips or engaging in activities outside of
school premises.
 Attend the school in a coherent and sober state; neither alcohol nor drugs (other than for
medical purposes) are permitted on the school premises.
 Avoid plagiarism and cheating. The work presented for formative or summative assessment
must be solely your own.
 Be courteous and considerate to all members of the school community. Ensure members of
the school are not harassed directly or indirectly on grounds of their gender, race, sexual
orientation, or religion, or by the use of threatening, offensive or abusive language.
 Be punctual to all scheduled classes and scheduled project times.
 Maintain professional standards of dress, personal hygiene and behaviour at all times.
 Meet copyright laws at all times.
 Obey the laws of NZ.
 Observe all health and safety regulations of NZ and the school.
 Protect all school property at all times and replace or pay for a replacement item, if lost or
damaged.
 Protect members of the school community and report potential or actual hazards, breakages
or loss to a member of staff.
 Provide the school with up-to-date contact information.
 Respond to all formal communications from the school.
 Return all equipment borrowed from the school, staff or fellow students on time and in the
same condition as borrowed.
 Stay away from the school while sick.
 Submit your work on or before the deadline.
 Use appropriate channels of communication with students, staff and the school.
 Wear a Media Design School ID tag at all times when in the building.
 Work effectively as a class using appropriate channels of communication and respect.
Infractions against this code or any failure to follow lawful, reasonable instructions by members of
staff may result in expulsion from Media Design School.
Harassment Policy
Media Design School is committed to providing a work and study environment that is free from any
form of harassment, including sexual harassment. The school finds any form of harassment
unacceptable and recognises the adverse effect such behaviour has on people.
All staff and students have a right to be treated with equal regard, dignity, concern and decency. Any
action or inaction, communication or behaviour that could be interpreted as harassment will not be
tolerated. Harassment of any kind that denies the worth, integrity and dignity of human beings, and
failing to respect human rights, may constitute unlawful discrimination.
Harassment of any kind, if proven, constitutes unacceptable behaviour. The school may enforce
disciplinary action if a student or staff member is found to have harassed another student or staff
member.
The school will provide impartial processes for dealing with harassment and will assist in the
resolution of complaints. These processes are available to everyone in the school environment
including students, staff, contractors or clients of the school.
Disciplinary Procedures
Students must abide by all school rules as detailed in the Student Code of Conduct.
The following procedure will be used if a student breaks this code:
 Any student breaking this code or in breach of general acceptable behaviour will, in the first
instance, be spoken to by their lecturer or course/programme leader.
 Continuation of the breach or breaking of the code will result in a meeting between the
Chief Academic Officer and the student concerned.
 The student will receive a maximum of two written warnings before appropriate action is
taken. The action could vary according to the severity of the behaviour and whether the
behaviour places other people or property in danger.
Immediate Student Expulsion
The school reserves the right to expel and deregister a student in the case of ongoing unacceptable
behaviour. In any serious case of misconduct by a student, no warning process is necessarily utilised.
Immediate student expulsion would be considered in (but is not limited to) the following
circumstances:
 The student is abusive, threatening, or generally considered to be a safety risk to a member
of the school staff, another student, a visitor or to themselves.
 The student presents work that is not his or her own for assessment (as per the Student
Cheating and Plagiarism Policy).
 The student downloads pornographic or offensive material and/or reproduces and
distributes such material.
 The student harasses another person in the school on the grounds of race, gender, religion
or sexuality.
 The student continuously refuses to abide by the Student Code of Conduct and/or Behaviour
while on Campus Policies.
Students who are expelled from the school are not eligible for any refund of any fees. In the case
where the expelled student has outstanding fees owing to the school, they will be required to meet
payment obligations as per their full invoice.

Student Guidance and Support
Guidance and support for students at Media Design School to ensure learning needs are met and
barriers to progress are minimized, is available through different channels. The first point of contact
for guidance and support is the students’ lecturer. Students also have access to the
course/programme leader, Student Services Manager, and can request to meet with the Chief
Academic Officer.
Each class has an appointed student representative who can also provide support. The school also
offers advice in regards to health support contacts. Student Services Manager and/or the Chief
Academic Officer are available to provide any additional support and guidance for students, and to
liaise with external agencies and support networks as and when required.
Support of Disabled and Students with Special Needs
Applicants meeting the entry criteria but who have special needs or are disabled will be considered
on a case-by-case basis against the level, the type and the practicality of the required support, and
on whether their particular disability holds any potential risk to or adverse effects on other students
or staff.
The school is able to offer a limited level of practical equipment support, or work with relevant
external agencies to put in place selected support that would enable the student to effectively learn
and achieve.
In being accepted onto a programme of study, the student concerned is stating that they are able,
with the support identified at registration, to cope with the learning environment and that they
agree to abide at all times by the Student Code of Conduct as required by all students.
In cases where the disability requires constant, high-level or specialised support and/or
consideration, or there are behavioural issues, the school reserves the right to decline an applicant.
If the applicant is accepted but their behaviour proves to be very disruptive in class, presents a
physical risk, requires lecturer time and/or consideration well outside the norm, the school reserves
the right to suspend or deregister the student.
Letters of Reference
Lecturers are not required to provide written references for students. If a student wishes to use their
lecturer as a verbal referee, permission must be sought from the lecturer concerned.
School Equipment and Resources
The school provides equipment and resources on loan to students. This system relies on each
student’s proper use and care of the resources/equipment they have borrowed and their returning
them on time.
Students are able to access loan equipment including cameras, video cameras and related
equipment. To continue to have ongoing access to this equipment, students must honour the loan
requirements.
 Any damaged returns will be invoiced at the commercial repair or replacement rate to the
student who has borrowed the equipment. Any student failing to return equipment by the
due date specified at the time of issue will initially be given a verbal warning and, if it
happens a second time, will lose the right to loan equipment.
 Any student who fails to return equipment by one week after the due date will be charged
and invoiced at the full commercial cost of currently replacing the equipment plus an
administration fee, and will lose the right to borrow resources in the future.
Any student that has any outstanding resources or equipment fines at the conclusion of their
programme will have their debt referred to a debt collection agency and their academic results will
be withheld.

Security
Security measures are in place to lessen potential risk and ensure that the environment is safe for
students and staff. Student breaches of security, as detailed elsewhere in this handbook, may result
in expulsion from the school.
Each class is issued an individual pin code to access to all six floors during school opening hours.
Students must not lose or share their pin code with anyone. Failure to comply with this rule is
considered serious misconduct.
Student ID Cards
Students must wear ID cards at all times to protect students, student work and equipment. This
allows the school to identify anyone who is not authorised to be on the premises.
All students are issued with one ID card. This is issued to students within the first 2 weeks after the
programme commences. Students and staff are required and contracted to wear their school ID card
at all times when they are on school premises.
A student who is not displaying their ID card on the premises will be required to either immediately
rectify this or vacate the premises. Students who lose their ID Card are required to obtain a
replacement card, for a fee.
Student Representatives
Each class elects a student representative, generally within the first four weeks of the programme.
The student representative must be willing and able to represent a class or student on process
and/or policy matters or other areas of concern, and be able to attend and report on the student
representative meetings chaired by the Student Services Manager.

Facilities and Access
Student Lockers
Students may rent a locker for the duration of their programme. Please check at reception for fee
information. Lockers are subject to availability. The lockers are located on Level 5.
Student Notice Boards/Hive (Intranet)
There are student notice boards on levels 15, 17, 18 and 19, which can be used for posting
information from the school and for student use.
All students have access to the Hive (intranet) from any student computer within the school. The
Hive should be the first point of reference regarding information about the school.
Students can use the Bulletin Board, available on the Hive, to post notices, look for flats/flatmates,
and to buy and sell items.

School Hours
The school opens at 7.00am Monday to Friday. The school closes at 9.00pm Monday to Thursday
and 6pm on Friday. Access to all student servers will be disabled from these scheduled closing times.
Students are required to start closing down their files and packing up so that they are ready to
vacate the school at 9pm (6pm Friday). Any work that is still printing, saving, burning or rendering at
the scheduled closing time will need to be abandoned and picked up by the student the following
morning. No exceptions.
During a scheduled holiday break, students are not able to access their classroom but may access
the student after hours labs.
The school is closed on all public holidays, unless otherwise notified.
Student After Hours Labs
All students have access to the student labs while studying at the school. Labs are open from 7am
until 9pm Monday to Thursday, until 6pm Friday, and for set hours during the weekend.
Weekend Access
Weekend opening times are 10am-5pm Saturday and Sunday but may vary. Changes to opening
hours are announced on the Hive.
On Saturday and Sundays, students are unable to access level 16 via the lift and level 5.
Holiday Breaks
The school is closed during all New Zealand observed public holidays.
Visitors
All students are required to gain prior permission from their lecturer and course/programme leader
if they wish to bring a visitor into the school. All visitors must report to reception on level 16 to sign
in and out of the visitor’s book. No visitors are allowed during the weekend or after 5pm in the
evenings on weekdays. All visitors will be provided with a numbered visitor’s card, which must be
worn while visiting the school and returned to reception upon departure. Students must accompany
their visitors at all times. No visitors may enter classes that are in progress. Visitors may not use any
school computers, resources or equipment.
COMPLAINTS AND GRIEVANCES
Any student issue or comment may be communicated in the first instance to Student Services
Manager or the Chief Academic Officer who will discuss the situation with the student(s) or direct
the query or concern to the appropriate person.
Students in a class may request to meet with the course/programme leader or Chief Academic
Officer about an academic issue. If a student or group of students has a complaint, the student or
student group must follow the complaints procedure below.
Communication between students and the school is vital for ongoing development and
improvement. The school listens to student feedback and responds after full consideration. The
school’s response or decision in relation to any issue raised does not automatically result in it
reflecting the student proposal or requirement. All decisions are made internally by the school and
in awareness of the school’s policies and compliance requirements.
Complaints Procedure
Media Design School academic staff will endeavour to create and foster a positive communication
process that benefits both the school and the classroom. The school fosters an environment of
continuous improvement and expects both staff and students to raise concerns early to allow early
intervention and preventative measures to be put into effect. Students are encouraged to have an
open and free dialogue with all members of staff.
The complaints procedure provides a clear process for students to lodge a complaint.
This procedure is a formal complaint process and is not required to be followed if the student wishes
to discuss an issue of concern informally.

Guidelines for Student Complaints/Concerns Letter
Students will compile a complaints/concerns letter by:
 Dating the letter
 Identifying the qualification and intake
 Describing complaints/concerns
 Listing possible solutions to each complaint/concern, by:
 Stating the desired outcome(s)
 Ensuring that the desired outcome(s) are reasonable and within the mandate of the school
and/or department
 Attempting to discover the key issues associated with the complaint – avoid petty concerns
that can be addressed informally
 Making it brief and to the point
 Only address evidence-based complaints – with hard facts
 Avoiding personalised issues that cannot be addressed
 Avoiding writing aggressive, sarcastic, or threatening letters
 Keeping a copy for their records
 Ensuring all issues addressed fall inside the scope of this policy
Individual Complaint
Student
If an individual is having a problem concerning a fellow student, they must first talk with that
student to see if they can resolve the issue. If unsuccessful, students may enlist the help of their
lecturer to help resolve the concern. If the situation is not resolved at that level, the
course/programme leader is then involved. When necessary the complaint/issue may then be taken
to the Chief Academic Officer.
Lecturer or Academic Issue
If the concern is regarding a lecturer or academic issue, students first speak with their lecturer to see
if the concern can be resolved. If the student believes that the situation is not resolved to their
satisfaction or they are not comfortable, the student may then submit their complaint in writing
(with full details) to the Student Services Manager, who will discuss the matter with the Chief
Academic Officer. The Chief Academic Officer will then investigate the concern and take appropriate
action (if any). The school won’t accept any complaint unless it is made in writing and provides full
details.
Class Complaint
If a class has a complaint, class members should discuss this with their student representative.
Depending on the urgency and complexity of the complaint and whether it is an academic or
operational matter, the student representative may lodge this in writing (with full details) to the
Student Services Manager in the first instance. Students Services will liaise with the appropriate
parties to resolve the complaint, if possible.
Response to Official Written Complaint
The Chief Academic Officer will provide a written official response to the student(s) who have
submitted the complaint. This response will be issued once all aspects have been fully investigated,
and a decision on the appropriate response has been determined. The Chief Academic Officer may
refer the complaint to the CEO for discussion before responding. External advice may also be sought.
If unresolved, the complaint may be put in writing to the CEO. The written complaint will be
considered, and if deemed appropriate, be submitted to the Management Team for deliberation
before a final decision is made. External advice may be sought. The CEO will make the final decision
regarding any complaint received in writing from an individual student, or a group of students or a
class, and will respond to the complaint in written form.

Unresolved Complaint
If the student or class have followed the above procedures and still feels dissatisfied with the
school’s final decision, they may elect to take advice from an independent advisor or choose to

False Allegations
If a student is found to have submitted an unjustifiable or false complaint, disciplinary action may be

who have English as a second language, it is important that additional time is invested to ensure full
understanding of their studies. International students must have proof of a current visa to study in
New Zealand

Care of International Students published by the Minister of Education. Copies of the Code are

Summary Code of Practice for the Pastoral Care of International Students
The Code sets standards for educational providers to ensure that:
 High professional standards are maintained.
 The recruitment of international students is undertaken in an ethical and responsible
manner.
 Information supplied to international students is comprehensive, accurate, and up-to-date.
 Students are provided with information prior to entering into any commitments.
 Contractual dealings with international students are conducted in an ethical and responsible
manner.
 The particular needs of international students are recognised.
 International students under the age of 18 are in safe accommodation.
 All providers have fair and equitable internal procedures for the resolution of international
student grievances.
Full details of what is covered can be found in the Code itself.
The Code also establishes the IEAA and the Review Panel to receive and adjudicate on student
complaints.
What will the IEAA do?
The purpose of the IEAA is to adjudicate on complaints from international students. The IEAA will
investigate complaints and determine if there has been a breach of the Code. The IEAA has the
power to impose sanctions on educational providers who have committed a breach of the Code that
is not a serious breach. These sanctions include an order for restitution, publication of the breach,
and/or require that remedial action be undertaken.
The IEAA will refer complaints that are not about pastoral care to another regulatory body if
appropriate.

The educational provider will be given a reasonable time to remedy the breach. If the breach is not
remedied within that time, the IEAA may refer the complaint to the Review Panel. The IEAA can
determine if it considers that a breach of the Code is a serious breach. If the breach is a serious
breach, the IEAA will refer the complaint to the Review Panel.
What can the Review Panel do?
The Review Panel can remove or suspend an educational provider as a signatory to the Code,
meaning that the provider would be prevented from taking any more international students. Only
the IEAA can refer complaints to the Review Panel.
What is the International Education Appeal Authority (IEAA)?
The IEAA is an independent body established to deal with complaints from international students
about pastoral care aspects of advice and services received from their educational provider or the
provider’s agents. The IEAA enforces the standards in the Code of Practice.

Medical and Travel Insurance
All international students must have current medical and travel insurance for the duration of their
planned period of study. Generally this will be arranged by the school prior to programme
commencement.
The travel insurance policy should cover:
 Loss of baggage and personal effects
 Accident and injury
 Disruption of travel plans
 Cost of medical care in any “stopover” countries.
All international students who have not purchased insurance through the school are required to
present proof of insurance on their arrival at the school.

Working in New Zealand After Study
International graduates who are not immediately offered employment may apply for a Graduate Job
Search visa within three months of the expiration of their student visa. This enables recent
graduates to remain in New Zealand for 12 months whilst they are actively looking for work. As soon
as they are offered a position of employment they must apply for a work visa.

GRADUATION AND BEYOND
During the last day of study at Media Design School students are required to:
 Complete a departing student checklist
 Return all equipment and resources
 Provide permanent address and contact details in order to receive information on academic
records, graduation and industry events
 Settle any outstanding invoices (this can be done at reception)
What happens to my work when I have completed my qualification?
Upon completion of a programme the IT department will delete all class folder and home folder data
from server storage.
 All drop zone data (student final work) will be moved off the storage volume and onto the
archive volume.
Lecturers and the Marketing department will liaise to determine the most appropriate work(s) to
keep for marketing purposes. The Marketing department must then copy that data onto DVD or
external hard drive before the archives are deleted (immediately after graduation).
 Lecturers will select the files for external moderation before the archive period concludes.
 Lecturers will create a reel of student final work in time for the next scheduled graduation.
 To manage this archiving system, lecturers must ensure they delete unnecessary data and
free up required space.
Graduation
The school holds an official to commemorate your graduation. As there is sometimes a delay
between successfully completing the programme and the official ceremony, students who graduate
will be provided with an academic record from the school stating that they have passed their
qualification. Students who cannot, or choose not to attend graduation may have their certificate
sent to them. No student may attend the graduation ceremony or receive their academic record if
they have unpaid invoices or outstanding equipment/resources.
Alumni
Media Design School encourages alumni to share their successes by keeping the school informed of
their career progression and graduate outcomes. Students are requested to voluntarily email details
of any further education after graduation and/or positions gained in industry.
HEALTH AND SAFETY
Each student must ensure that they are aware of the safety risks in their working environment, in
particular, when they are required to go offsite to shoot film, meet with clients, visit industry or for
any other reason that pertains to the programme. It is important that each student assesses any risk
in the working environment and that they remain safe at all times. Students travelling in another
student’s vehicle, do so at their own risk.

Accident Reporting
Any accident must be reported by informing a staff member. An investigation will take place and
actions will be noted.
With any accident that results in injury, the injured person is advised to see their doctor as soon as
possible. If the injury is serious the school will call an ambulance or will transport the student to an
emergency clinic.
Food and Drink
No food or drink may be taken into any classroom. The only exception to this is bottles containing
water. Food and drink may be consumed in the designated student lounge only. Any student who
does not abide by this rule may face disciplinary action.
Hazard Identification
Hazard assessment is completed monthly by the HR Manager. Please let the HR Manager know if
you have identified a potential hazard or risk.
Emergency Procedures
Fire and evacuation instructions are given to each new intake by the HR Manager (or delegate) as
part of Orientation.
Fire and evacuation procedures are also clearly posted on the Hive and beside the stairwells on each
floor of the building.
Evacuation Process
In the case of fire alarm, exit quickly leaving behind bags, books and other large items. Take only
valuable personal belongings i.e. your wallet and car keys, if they are within easy reach.
Students and staff on the right hand side of the school must exit via the stairwell on the right.
Likewise students and staff on the left hand side of the building must exit via the stairwell on the
left. People must not run down stairs or push the people in front of them.
Doors must remain unlocked. DO NOT download documents, back up work or wait for a print job!
Assigned fire wardens will be wearing yellow vests or red caps – it is NZ Law to follow their
instructions.
NB Proceed to assembly areas on the Durham Lane or Victoria Street West footpaths. Do not gather
in the carpark and do not block the driveway or road.
Technical Faults/Maintenance Reporting
The school relies on the constant maintenance of all equipment in order to avoid experiencing major
computer faults. To assist in this process the school asks all students to lodge all faults, technical
problems or service requests via the Help Desk Portal, within the IT Services part of the Hive
(intranet). This form is sent to the school’s IT department. It is inevitable that at times there will be
technical problems that may impact on the student’s work and production. The school has processes
in place that ensure that the risk of any such eventuality is kept to a minimum.
Students must ensure that they save their work and back up to personal external hard-drives or as
per the directions of their lecturer. Please do not assume that work saved onto local computers is
secure, as the school will not take responsibility for any work. Students must keep within the set
limits of server space as advised by the school’s technicians.
FEES
Fees are published on the school’s website. The New Zealand government funds domestic students
through SAC funding. However, government funding does not apply to international students and
international student fees are published separately.

Student Fee Protection
New Zealand law requires that all private training establishments (PTEs) registered with the New
Zealand Qualifications Authority (NZQA) offer protection for student fees paid and other courserelated costs. Media Design School has selected Public Trust to act as independent trustee. As soon
as a student’s fees are deposited with Public Trust, they’re protected. Then, as the student
completes their course, the fees are gradually paid to the school.
In the unlikely event that the school is unable to complete the course (due to closure, insolvency, or
course cancellation), Public Trust will refund any fees owed to the student, or will pay them back to
StudyLink.

Student Government Funding - Domestic Students
Currently, the Tertiary Education Commission funds a set number of domestic students on all
programs offered at Media Design School. The rate of funding varies from programme to
programme, and year to year.
For the purposes of Student Component (SAC) funding, a domestic student is one of the following:
 A New Zealand citizen, which includes Cook Island, Niue and Tokelau citizens
 A New Zealand permanent resident, currently living in New Zealand
 An Australian citizen who is currently living in New Zealand
 An Australian permanent resident who has a returning resident’s visa who is currently living
in New Zealand
 Certain exchange students and dependents of diplomats
Payment of Fees
In registering on a programme of study at Media Design School, the student accepts full
responsibility for paying their fees by the due date as per their invoice.
Once the first eight days (domestic students)/ten days (international students) of their programme
have been completed, students are no longer entitled to a refund. Students suspended, expelled or
deregistered from their studies as a result of not abiding by the school’s Student Code of Conduct
(including not meeting financial obligations), or for other reasons, are not entitled to a refund.
Late or Non-payment of Invoices - Procedures and Penalties for Domestic Students
Fee payments are the full responsibility of the student. Students are required to pay their accounts
with the school by the due date. The following outlines the time frame and procedure for nonpayment of invoices after the start date of the qualification for domestic students.
Day 8: All fees must be paid in full by this day; if any fees are still outstanding you must provide
evidence that a student loan has been applied for and are now obligated to pay all fees in full as per
the Withdrawal and Refund Policy. If no evidence that the loan has been applied for is presented,
you will incur a penalty fee of NZD$250 payable within seven days.
Day 15: If there is still no evidence of a student loan application, a verification of study has not yet
been received by the school or fees receipted, you will be restricted from all classes until this
process is completed.
Day 22: A student whose fees are still outstanding on the 22nd day of their programme of study
(with no exceptional circumstances) will be deregistered from their programme and the appropriate
authorities notified. No refund or course materials will be available.
NB It is the responsibility of the student to make up the time and learning for any lessons missed due
to being suspended for unpaid fees.
Outstanding Debts
Any outstanding fees and debts payable to Media Design School are placed in the hands of the
school’s debt collection agency. This includes any costs incurred through damaged or lost resources
or equipment loans. Administration and recovery costs are added to the original debt.

Withdrawal and Refund Policy
The School supports the right of students to withdraw from a course of study. Students are required
to follow the procedure for withdrawal. The School has specific rules regarding when a refund will
be granted and the amount that will be paid.
Students are entitled to a refund if they withdraw from a programme up to the end of the eighth day
(Domestic Students)/tenth day (International Students) after the commencement of an intake of a
programme.
Students who intend to seek a refund are required to make a written application to the CEO before
this can be considered. Students must detail their reasons and may use the official Withdrawal
Letter available from the Student Services Manager.
 Domestic students who withdraw from a course of study up to the end of the eighth day
after the commencement of an intake of a programme will be refunded the payment(s)
made minus the Administration Fee ($500 or 10% of the amount paid, whichever is the
lesser).
 International students who withdraw from a course of study up to the end of the tenth day
after the commencement of an intake or a programme will be refunded between 75% and
90% of their tuition fees, where Media Design School has the right to retain fees that are
reasonable to cover the expenses already incurred when the student withdraws with this
period (Education Amendment Act 2010 (No3).
o International students withdrawing within the first ten days of their course of study
can be charged up to 25% of their Tuition fees to cover costs incurred for the
following: registration fees, export education levy, recruitment, marketing, agents’
commission and overhead costs as well as student workbooks, equipment or
textbooks they have been supplied with during this period.
Students will not be refunded for any student workbooks, equipment or textbooks they have been
supplied with during this period.
Students must have paid all outstanding payments and returned all resources belonging to the
school before any withdrawal approval will be given.
Students withdrawing after the eighth day (Domestic Students)/tenth day (International Students)
from the commencement of a programme are not eligible for any refund.
Students withdrawing after the eighth day (Domestic Students)/tenth day (International Students)
from the commencement of a programme are still liable to pay the full invoiced amount for their
fees plus any additional expenses incurred while at the School. Those who are paying through a
StudyLink Student Loan are subject to full payment of all course fees as per their invoice.
In the event of a programme of study being cancelled by the School prior to commencement,
students will be granted a full refund of fees paid. Any additional costs that the student may have
incurred (direct or indirect) will not be refunded.
In the unlikely event of a course of study being cancelled after commencement, a proportional
refund of fees will be made from the point of cancellation.
International Students will be refunded on the basis of the NZ dollar payment receipted at the time
of their payment(s).
