Quick Pay databases are stored in independent
directories, example DEMO2000. Each
database stores the entire year’s data for a
particular company.
You may create unlimited databases for
multiple companies.
For each company’s database, give it a unique
and meaningful file name for easy
identification

QuickPay stores employee information into
Yearly Databases (eg. PAY2000, PAY2001,
PAY2002, etc).
Each database stores 12 months (ie. January
until December of the year) of payroll detail,
while each month stores 3 payment periods
i.e. Mid-Month, End-Month and AdditionalPeriod.
This is the maintenance module for employee personal details. This module allows you to preset
individual employees’ personal particulars, salary payment method, fix allowances and fix
deductions, and loan tracking,
PROCESS PERIOD will perform the
following tasks :
(1) Transfer Employees' Basic Salary of
the current period from EMPLOYEE
MASTER into SALARY ENTRY.
(Salary will be prorated using calendar
days for newly hired and resigned
staffs)
(2) Transfer Employee's Fix
Allowances & Fix Deductions from
EMPLOYEE MASTER into SALARY
ENTRY
SALARY ENTRY Module is the where ALL the paid salary items are stored.
Once the payroll items are entered and saved into SALARY ENTRY, you may proceed to print payslips,
government reports and other management reports. All payroll figures from reports are extracted from this module.

Quick Pay provides users the facility to send payslip via E-mail. Payslips are sent in HTML formatted e-mail and with options to include Employee

This module allows you to create and
print labels. Label printing are normally
fit to print onto standard label stickers. It
is common to stick labels on manual
punch cards and mailing addresses.
Free Format Report module
allows you to create and print
your own desired report
format. All reports are in
tabular format. Each report
allows up to a maximum of 50
columns. In each column, you
are allowed to choose
particulars from EMPLOYEE
MASTER or payroll figures
from SALARY ENTRY.
During FREE FORMAT
report printing, you may also
save output result into CSV
files which is compatible with
Ms Excel and Ms Words
application.
AUTO-BANK credits employees'
nett pay via Auto-Bank Credit
facility.
It generates a text file output
according to the file format
specified by the respective banks.
Also included a simple chart reporting system. For power charting needs, we
recommend to send Quick Pay data to Ms Excel application.

To access into any Quick
Pay database, user must
login with the correct
User-ID and Password.
You may assign each user
ID with different access
rights to MAIN MENU
modules, employee groups
and also selected
functions.
AUDIT TRAIL allows monitoring of payroll users activities. To enabled or disable Audit
Trail recording, go to SYSTEM SECURITY - SUPERVISOR module. Audit Trail will
occupy some hard-disk space and it is recommended to Print and then Delete the listing
frequently.
The following are some activities audited :
(1) user login & logout access time
(2) change current basic, mid-month basic, old basic in EMPLOYEE MASTER
(3) deleting of records
(4) accessing modules in the payroll system
(5) unauthorized entries
Printing Power
While viewing ANY report, user may perform report view zooming, page scrolling, and selecting page
printing. Option to save report to CSV file is also available. CSV file is compatible with Ms Word and
Ms Excel applications.

Database Merging
combines employees from
multiple company
databases into ONE single
database.
Upon completion, you can
access the merged
database like any other
Quick Pay database.
Use merging to create a
consolidated database of
all your companies, or
combine 2 or more
databases of different year
for financial reporting use.
DATABASE EXCHANGE allows
copying of Employee records into
another QuickPay database. Use
this function to copy employee
records between databases example, relocating employees to
another company.
DATABASE DOCTOR will
attempt to fix damaged data links
and perform necessary database reindexing.
If recovery failed, you are
recommended to restore your
database from the last backup file.
Database problems are commonly
caused by incomplete record saving
due to power failure.
Backup files are stored in
compressed ZIP format. ZIP files
can easily store 200-300 employee
records into one single 1.44 MB
floppy disk storage media.
However, if you database size is
huge, then you might need a few
floppy diskettes to store your backup
copy. Quick Pay will backup the
entire year’s information into your
floppy diskettes.

FREQUENTLY ASKED QUESTIONS
Q. Does the software come with training?
A. YES. Every purchase entitles you to ONE full session training with 12 months software update & support, and
unlimited re-training sessions at HR2000 (we conduct free group training every Friday).
Q. Is it okay for one user using PC with Windows XP and other user using Windows 98 ?
A. No problem. QPAY network version uses file server technology, and supported by Win 98,ME,2000,2003,ME,XP
multiple concurrent access.
Q. Would it be any problem for data merging with data collected from different OS ?
A. No problem. Database is independent from O/S being operated on.
Q. Can I change employee number in the system ?
A. Yes. Use GLOBAL CHANGE module.
Q. Can I change default reports in all standard reports ?
A. NO. All standard reports are hard-coded and fixed. If you need to create your own report format, please use FREE
FORMAT module.
Q. Can I send standard reports to Ms Excel ?
A. YES. Every time you print a report, enable option “Create Export Filename (CSV)”. Once the report is completed, you
should find the CSV created in your hard-disk. Use Ms Excel to open this file.
Q. Maximum no. of staff supported ?
A. No limit. So far our live data (customer) some has reached above 3,000+ records.
Q. Maximum no. of companies ?
A. No limit. You may create unlimited company payroll databases.
Q. We received our pay fortnightly (2 x a month). Are we able to issue payslip for twice a month ?
A. Yes. Quick Pay can pay maximum 3 periods per month.
Q. Can adjustment be made this month if any wrong figures in the previous payslip ?
A. Yes. Change figures directly into SALARY ENTRY screen and all reports are effected automatically as EPF, SOCSO,
PCB Tax are immediately computed and saved. No further processing is required.
Q. Is EPF tables adjustable ?
A. EPF table (or formula) is user definable. Anyhow, it has preset to a current default of current EPF rates - and user can
still change contribution rate. Changing of EPF formula is commonly guided by our Support team directly.
Q. SOCSO - New table above RM3,000 contribution ?
A. Yes.
Q. Overtime - Can we formulate the calculation by ourselves ?
A. YES. Changing this table is very simple. You can change rates (eg. 1.0,1.5,2.0,3.0,etc - upto 10 rates), and computation
methods.
Q. Income Tax submission - Tables (Yearly updates, if any)
A. Yes. Our PCB table is built-in with government formula. Updates are normally sent out to our customers by courier
services, or you may download from our website at http://www.hr2000.com.my.
Q. Payslips format - we have preprinted forms for pay slip, do we need to change?
A. You can choose to either print on normal blank paper, or pre-printed paper (envelope payslip). We have 24 ready-made
payslip formats. You may still configure payslip to your desired format.
Q. EA form - is this flexible? Can we use this features for non-working staff e.g. directors ?
A. EA form is user definable to include or exclude salary items to be printed inside the form. EA form also prints for
Directors. Non-working directors normally receives benefit-in-kind payment which is reflected in their EA-Form.
Q. My database is corrupted ?
A. Just run DATABASE DOCTOR to fix your payroll database. DATABASE DOCTOR actually performs low level
database recovery, re-indexing, database packing, scanning lost or orphan records and field-by-field verification. If
damaged database is reported as non-recoverable, then you might need to RESTORE database from your last backup copy.
Q. What are the advantages of Quick Pay compared to other competitor payroll products ?
A. The main reason why many corporate clients prefer our products is because of the "design" - ie. feel & look. Our flow is
extremely simple and convenient. You will see that many prominent clients preferred us after comparing with many other
payroll products. Corporate normally makes decisions after thorough considerations - inclusive of price over value.
Furthermore, our built-in features like export to CSV (for Ms Excel & Words), E-mail payslip (option purchase module),
etc are many enhancements that Quick Pay has advantage over many software in Malaysia.
Q. What sort of technical support do you provide in East Malaysia?
Our software has been proven to be 99% error free under many Windows conditions. That's why many technical problems
can be solved thru the phone. Things that we normally "cannot" help at times are problems like Virus attacks (very
common in XP computers with internet connection) - but this really rely on your IT dept or IT vendors to provide
assistance.
Summary: Never really a problem on software support for outstation clients
Q. Do I need to pay for software maintenance ?
First year software maintenance is FREE. Subsequent year fee is optional to signup at RM 650/annum. Yearly maintenance
entitles you to 12 months software update & support, and unlimited re-training sessions at HR2000.
