Supervisor Embedded for Konica Minolta offers flexible, affordable management of copy, print, scan and fax, integrated
into a multifunction printer (MFP). Highly scalable, it can track all document costs either as a stand-alone in a school, or as
part of a print room in a university or college. The software inside the Konica Minolta MFP authenticates users, by reading
any type of access card. Staff and students can also enter a login directly on the user friendly touchscreen.
Monitor’s sophisticated transaction management software, Supervisor Net, records and reports on all document activity. It
captures user and department codes and can apply different price rates and quota across the campus. Administrators can
use this data to create a print policy based on sensible rules and restrictions.

Reports are available by user or by device, sub-totalled into
various categories, e.g. printer by user, client or cost centre
code, number of jobs/pages per hour/per day. Reports show
the number of print jobs, number of pages and cost. These
can be automatically sent to a screen, printer, in HTML, CSV or
as an email.

Print, Copy, Scan and Fax
Access card or touch screen authentication
Each MFP is locked until the user logs in - either by entering
a network login on the touch screen, or by swiping an access,
student or library card, with PIN as an option. A staff member
can be required to enter a departmental code or cost-centre,
which they can search easily on the MFP.
For walk up copying and scanning, staff and students
identify themselves at the MFP and staff then allocate the job
to an account. When scanning, the MFP pops up the user’s
email address, so the document can optionally be sent to
their inbox. Scans can also be sent directly to a USB stick, a
network folder or faxed, all from the MFP.
For printing, users send documents from their workstation
and then release the job at their choice of MFP.
Faxes are sent at the MFP, which also saves the documents
electronically.
Client, matter, cost centre or project code search
All details of all transactions are allocated, so reporting
captures print, copy and scan activity at device level, user
level and across the campus. All student related costs can be
charged to student prepaid accounts.

The first stage of managing any situation is to monitor and
measure. Administrators can identify the types of documents
that are being printed and the number of copies, as well
as when and where. A printing policy can be established
that reflects expenditure and minimises waste and misuse.
Device utilisation can be analysed for appropriate placement
and use.

Reducing Waste, Saving Money
Creating sensible print policies
It is not necessary to charge for printing to save money. By knowing what’s being printed and where, a school, college
or university can implement a print policy based on sensible restrictions. Supervisor Embedded for Konica Minolta
displays a prompt with the page count and the cost before a job is printed. This highlights duplicates and requires users
to confirm they really want to print their document. Only the documents actually required are then printed, eliminating
waste and saving significant costs.
Secure, Controlled Print Release
Supervisor Embedded for Konica Minolta offers controlled, secure release of print jobs from the MFP. After users send print jobs from
workstations, they can select the jobs they wish to release at a printer of their choice. All print jobs are delivered securely to the user
who has requested them, in the same building or at another site.
• All print jobs are listed at the MFP before release. Individuals can select all to print or delete the duplicates and
unnecessary jobs.
• Users no longer wait at the printer wondering when their print job is coming or if it has already printed. They can
bypass offline MFPs or choose a more convenient printer.
• Secure print release overcomes the common excuse that staff need their own printer for confidentiality, reducing the
number of printers required.
