Technology Inventory Instructions 2011
General Instructions
Please complete a separate Technology Inventory Sheet for each room or office. The inventory sheet is
available on the Ponder ISD Technology web page under the Administration menu. When you click on the
link, a two page PDF file will open in the browser window. The first page is for listing of computers and
monitors. The second page is for additional technology items (such as printers, telephones, projectors,
document cameras, CPS chalkboard, etc). If multiple people share a room, choose one person to turn in the
form. Serial numbers should be entered IN ALL UPERCASE LETTERS and use zeros not the letter “O”.
Please enter the information directly into the online form. Once finished, I would suggest you save a copy to
your P: drive in case there are problems. Once that is done, click on the “Submit Form” button. A new
window will then appear. If you use the computer program called “Microsoft Outlook” to check your school
email, choose “Desktop Email Application” and click “OK” and the file will automatically be emailed back to
Richard Hooper. If you go to the Ponder ISD website to access your school email, choose the “Internet Email”
option, click “OK”, and then follow the directions on the screen to save the PDF file and manually attach it to
an new email and send it to me. Once I receive your form, I will reply with an email confirmation.
How To Complete Your Inventory Form
To complete the inventory form, simply click and type in the yellow fields. If
there is a gray arrow to the right of the field, please click the arrow and choose
from the choices available in the drop-down menu as shown below. If you are
sure the item isn’t listed, simply enter your data directly into the field. Please
note that copy and paste will function on this form, so if you have a lab full of
the same computers, you can copy and paste the brand and model data into
other rows. When done, save the form and then press “Submit Form”.
How To Find Serial Numbers: Projectors
NEC VT695 Projectors
These are the white data projectors as pictured below that
were installed in the 07-08 school year. To find the serial
number:
 Turn on the projector
 Press the “menu” button on the remote control
 On the menu that appears on the screen, select
“Information” by pressing the down arrow button
until it becomes highlighted yellow.
 Then select the “Version” tab on the on the top by
pressing the right arrow button on the remote until it
becomes highlighted.
 The serial number will be displayed on the screen as
shown here
Other Installed Projectors
There are a few other models of projectors that are installed in the district. Since the only way to locate their
serial numbers is to uninstall them, I’ve created a PDF file that lists their model number and serial number. It is
posted on the technology inventory webpage. These projectors are generally mounted in the social studies and
ag classrooms at the secondary campuses, fifth grade classrooms at the elementary campus, and in computer
labs in the district. Please find your projector on that PDF file and enter it into your technology inventory form.

How To Find Your Serial Numbers: Computers
New Dell Optiplex 980 Computers
Dell refers to serial numbers as Service Tags ID’s which have seven digits. The serial numbers are found on
both black and silver stickers on the top of the computers (or left side if laying down) above the “Optiplex 980”
name. They can also be found on the rear of the computer on a white sticker. PLEASE NOTE THAT
SERIAL NUMBERS USE “ZEROS” NOT THE LETTER “O”.
New Dell Optiplex 780 Computers
Dell refers to serial numbers as Service Tags ID’s which have seven digits. The serial numbers are found on

Dell refers to serial numbers as Service Tags ID’s which have seven digits. The serial numbers are found on
black stickers on the top of the computers (or left side if laying down) above the “Optiplex” name plate.

Dell GX280 Computers
Dell refers to serial numbers as Service Tags which have seven digits. On the Dell GX280 computers this can
be found in several places. PLEASE NOTE THAT SERIAL NUMBERS USE “ZEROS” NOT THE
LETTER “O”.

On the back of the computer, there may be a white sticker with a
barcode on it. The serial number is the 7 digits listed below the
barcode.
2.
If you flip up the gray piece of plastic below the power button (by
inserting your finger in the slot at the bottom and firmly
lifting out), the service tag will be found on the left.
3.
If the computer is standing vertically on its stand, the serial number is
listed on the right side of the computer.

How To Find Your Serial Numbers: Monitors
Dell Flat Screen Monitors
The serial number is listed on the back of the monitor. If you have speakers attached to the bottom of the
monitor, be sure to enter the serial number for the monitor, not the speakers! The monitor serial number is
found on the TOP sticker ...probably near the power cord or monitor cable. The speaker serial number is the
lower sticker. PLEASE NOTE THAT SERIAL NUMBERS USE “ZEROS” NOT THE LETTER “O”.

New Dell Netbook Cart
The serial numbers are found on a white sticker on the rear of the cart above where the cart’s electrical cable is
stored. It should be a four digit number.
New HP LaserJet P1102w Printer (Found on Netbook Carts)
The model number for this printer is displayed on the front of the printer. The serial numbers are found on the
rear of the printer. The serial number will be on a white sticker on the left side. PLEASE NOTE THAT
SERIAL NUMBERS USE “ZEROS” NOT THE LETTER “O”.
New Dell Latitude 2110 Netbook Computers
Dell refers to serial numbers as Service Tags ID’s which have seven digits. The model number for this
computer is displayed above the keyboard when opened. The serial numbers are found on the bottom of the
computer. The serial number will be on a white sticker on the top right side. PLEASE NOTE THAT

Cisco 7912 & 7911 Telephones
These are the smaller single-line phones that are in classrooms. The model number is found on the top right
corner of the phone above the screen. The serial numbers are found on the back in the lower center portion of
the phone. PLEASE NOTE THAT SERIAL NUMBERS USE “ZEROS” NOT THE LETTER “O”.
Cisco 7960 Telephones
These are the large multi-line phones that are usually in offices and have a speakerphone. The serial numbers
are found on the back of the phone in the lower right-hand corner. PLEASE NOTE THAT SERIAL
NUMBERS USE “ZEROS” NOT THE LETTER “O”.
Cisco 7920 Wireless Telephones
These are the small wireless phones. You will have to take off the battery to find the serial number of the
phone. PLEASE NOTE THAT SERIAL NUMBERS USE “ZEROS” NOT THE LETTER “O”.

These are the 14-line devices that attach to the right side the receptionist’s phone. The serial numbers are
found on the back in the lower center portion of the device. PLEASE NOTE THAT SERIAL NUMBERS

Toshiba VCR/DVD Player
The model number is displayed on a white sticker on the rear of the device. The serial numbers are also found
on the same sticker near the bottom. PLEASE NOTE THAT SERIAL NUMBERS USE “ZEROS” NOT
THE LETTER “O”.

The model number is displayed on the top arm of the document camera near the zoom dial. The serial numbers
are found on the underside of the base. The serial number will be on a white sticker on the right side.

eInstruction CPS Chalkboard/Mobi/MobiView
The model number and serial numbers are displayed on the rear of the board. PLEASE NOTE THAT

The model number for the scanner is shown on the top of the scanner. The serial numbers are found on a

HP Monochrome Printers (4350, 4300, 4200, 4100, 4050, 4000)
The model number for these printers is displayed on the front panel. The serial numbers are found by lifting
the top panel as if you were replacing the toner cartridge. The serial number will be on a white sticker on the
right side. PLEASE NOTE THAT SERIAL NUMBERS USE “ZEROS” NOT THE LETTER “O”.
HP Color Printer (5550)
The model number for this printer is displayed on the front panel. The serial numbers are found by lifting the
top panel as if you were replacing the toner cartridge. The serial number will be on a white sticker on the left
side. PLEASE NOTE THAT SERIAL NUMBERS USE “ZEROS” NOT THE LETTER “O”.
Dell W5300 Printers
The model number for this printer is displayed on a label above the serial number sticker. The serial numbers
are found by opening the front panels as if you were replacing the toner cartridge (press the release buttons on

The model number for these printers is displayed on the top LCD panel. The serial numbers are found by
lifting the top panel as if you were replacing the toner cartridge. The serial number will be on a white sticker
on the right side. PLEASE NOTE THAT SERIAL NUMBERS USE “ZEROS” NOT THE LETTER “O”.
Dell 5310 Printers
The model number for these printers is displayed on the top LCD panel. The serial numbers are found by
lifting the lower manual feed paper tray, then pressing release latch to open the top panel as if you were
replacing the toner cartridge. The serial number will be on a white sticker on the left side. PLEASE NOTE
THAT SERIAL NUMBERS USE “ZEROS” NOT THE LETTER “O”.
Xerox Phaser 8400 Printers
The model number for this printer is displayed above the LCD display. The serial numbers are found by
opening the front (pull the release lever on the front right). The serial number will be on a white sticker in the
center. PLEASE NOTE THAT SERIAL NUMBERS USE “ZEROS” NOT THE LETTER “O”.
