In addition to recognizing a 45 percent

Challenge: KSB wanted to replace an out-of-date dictation system with a
reliable workflow to improve access and support for remote MTs who work
from home.

The Challenge
Using an outdated dictation system from a 3M competitor,
Katherine Shaw Bethea Hospital (KSB) was struggling
with an increase in dictated jobs, routing jobs to off-site
transcription staff, and a turnaround time that was not on
target. The old system also had an inconsistent workflow that
made managing dictation jobs difficult.
With a homegrown, proprietary health information system,
KSB knew they wanted to start their search with vendors
they already knew and worked with. The hospital already
used 3M™ ChartScript™ Software, 3M™ ChartFact™/​
3M™ ChartLocator™ Software, and the 3M™ Coding and
Reimbursement System.
Another concern for Denise Reed, HIM director, was that she
wanted to increase productivity and improve workflow, but
she did not want to jeopardize jobs. Her goal was to redeploy
resources to other work in her department.
The Solution
Already familiar and happy with 3M solutions, Reed turned
to 3M Health Information Systems for options. “Every
time we purchased or installed 3M products, we typically

3M, their dictation and transcription solutions were a natural
fit,” says Reed.
KSB decided that 3M™ ChartScript.net Software, a
browser-based transcription typing platform, 3M™ Electronic
Signature Authentication (ESA) Software and
3M™ VoiceScript™ Software had features and options that
met her needs. Together with her existing systems, Reed
would now have a web portal environment to help improve
communications with home-based MTs, productivityfocused medical transcription tools, integrated voice
playback, complete control of workflow, and an integrated
electronic signature.
Ultimately, the ability to have a closed system and a single
vendor for dictation, transcription and electronic signature
made her choice fairly easy.
The choice to add 3M back-end speech recognition (BESR)
technology was part of the overall strategy to use technology to
save money and decrease turnaround time. “The 3M back-end
speech recognition makes us feel like we are working with the
latest and greatest in transcription technology,” says Reed.
The KSB team worked with 3M to identify providers that
would be best-suited for using BESR, and Reed diligently
trained her staff on the new tools and process changes.
The Results
“3M back-end speech recognition has dramatically improved
our turnaround time and increased transcriptionists’
productivity,” says Reed, adding that these results “have
positively affected our revenue cycle because the reports are
moving faster to the coding professionals.”
“With the old system, it was difficult to manage our
transcription load. We went from 600 jobs in the queue
at any given time to nine jobs in the queue at peak
operation loads, using the 3M solution. It’s made managing
transcription much easier, and 3M was a real partner in
helping us improve our operations.”
The home-based transcriptionists can now more rapidly
retrieve and transcribe jobs. The new tools have improved
KSB productivity exponentially, and the results were achieved
within several months. With the new system, 89 percent of
all jobs are now transcribed within four hours or less, and 50
percent are done in less than an hour. Reed no longer worries
about paying for overtime work.
The 3M BESR technology delivered reports back to care
providers quickly and allowed Reed’s team to eliminate
backlog without adding staff. Because KSB chose speech
recognition that happens behind the scenes, it did not change
workflow for the providers. No changes for providers has
meant no complaints for Reed’s team.
The productivity ratio (the time it takes an MT to transcribe
one minute of dictation) has shown that the KSB transcription
team is now editing jobs in half the time it took to transcribe
them before 3M BESR was rolled out.
“I am just so pleased with this project and 3M. It has made
life easier, and I feel like we are now ahead of the curve,”
Reed concludes.
