Welcome to Telergy Application Suite Help GE Telergy Suite is made up of PC Assignments, PC List View, PC Map View, PC Messaging, and PC Netboard. The software applications are used for working with and monitoring nurse call events in Telligence and ProCare 6000 systems. This application is protected by copyright law and international treaties. 1 Getting Started What is GE Telergy Suite? GE Telergy Suite is a set of applications for managing and responding to nurse call activity in ProCare 6000 and Telligence systems. Applications in the suite run in a window that provides a set of uniform controls. This includes a menu bar; buttons for switching applications and starting tasks, a dynamic help window; and a wizard that helps you perform tasks. These screen elements operate in a similar way in all applications running in the Telergy window. Starting GE Telergy Suite GE Telergy Suite is typically configured to run continuously and to restart automatically if shut down via the Watchdog. If necessary, you can shut Telergy down and restart it manually. To start GE Telergy Suite: 1. Double-click the GE Telergy Suite desktop shortcut. 2. When the logon dialog box opens, type your logon credentials and click logon. Closing GE Telergy Suite To close GE Telergy Suite: 1. On the File menu, click Exit. A message box prompts you to confirm the action. 2. Click Yes. Common window elements Each application has common elements for operating the software and executing tasks. Menu bar The menu bar contains commands and links to other applications and utilities. It can be hidden to provide more viewing space and reopened when needed. As shown below, the menu bar that is displayed for the administrator has a Settings menu. This is not visible to regular users. Administrator menu Regular menu 3 Telergy Application Suite Help The Operation Wizard The Operation Wizard is a simple utility for performing tasks in Telergy applications. When you click the Operation Wizard button, it displays a list of tasks. Selecting a task from the list starts the wizard. Active Help The Active Help pane works with the Operation Wizard. When you select a task, the Help pane displays a line or two of text explaining what to do next. The text updates each time you complete a step until the operation is finished. Color highlighting The Telergy application window uses blue highlighting to attract attention to currently active screen elements. As you work, screen elements such as command buttons, lists, and text boxes receive blue highlighting as they become relevant. Active and inactive buttons Operation buttons and shortcut buttons In addition to the Operation Wizard, described above, the player provides alternate methods of starting tasks. As you become more familiar with the application, you may prefer to use the application's operation buttons or shortcut buttons. Shortcut buttons occupy the left margin of the Telergy application window. When you point to a shortcut button, a tooltip shows the command associated with it. Status messages Status messages are displayed at the bottom of the application window, as shown below. When no action is needed, the status message is gray. When a condition requiring your attention arises, the status message is highlighted in yellow. When changes have been made to the display, the status message prompts you to save the change and is accompanied by a button named Fix it. 4 Getting Started A gray status message box requires no action Yellow status message boxes prompt you to take some action Showing and hiding the Menu bar If you can't see the Menu bar, click the Show/Hide Menu button . Starting tasks in the applications You can start a task by selecting a command from the Operation Wizard or the Operations menu. To start a task in a Telergy application: 1. Click the Operation Wizard button and, from the list that appears, select the task that you want to perform. — or — On the Operations menu, click the task you want to perform. 2. Read and follow the instructions displayed in the Active Help pane until the task is completed. Notes • You cannot begin another task while the Operation Wizard is active. If you need to close the Operation Wizard without completing a task, click Cancel. • If Active Help and the Operation Wizard are hidden, you can begin tasks by using the shortcut buttons on the left or by selecting an item from the Operations menu. 5 Telergy Application Suite Help Using the Operation Wizard When you click the Operation Wizard box, shown below, it displays a list of available tasks. When you select a task from the Operation Wizard, instructions are shown in the Active Help box. To begin a task using the Operation Wizard: 1. Click the Operation Wizard and select a task from the list that appears. 2. Follow the instructions displayed in the Active Help pane. 3. Continue following the instructions displayed in the Active Help pane until the task is completed. 4. When you have finished, you will be instructed to click the Finish button. This closes the Details pane and allows you to begin other tasks. Note: The Operation Wizard is activated whenever you select a task from the Operation Wizard, click an Operation button, or select an item from the Operations menu. Before starting another task, you must complete or cancel the current task. To stop the Operation Wizard without completing a task, click Cancel. Following the blue highlight As you perform tasks in the applications, follow the onscreen cues. As you work, the button, list box, or other window element that is currently active is always highlighted in blue. As you complete a step, the blue highlight shifts to the next active element. Wizard command buttons Wizard buttons are located at the bottom on the right. Button Resulting action Cancel 1. Cancels the operation and stops the wizard. 2. Returns PC Assignments to the status before the operation was canceled. 6 Getting Started Back 1. Cancels the current step. 2. Reverts to the previous step in the operation. Next Advances to the next step in the operation. Help Opens the Online Help system. Log Out 1. Logs you out of PC Assignments. 2. Closes PC Assignments. 3. If no other applications are running, the Telergy application window also closes. Logging on with your own user name and password The permissions associated with your user name determine the applications you can open and the tasks you can perform. In addition, any customizing that you make to your workspace is keyed to your user logon and is displayed only when you log on with your own user name. To log on to Telergy using your own user name and password: 1. Close GE Telergy Suite by selecting Exit from the File menu. 2. Double-click the GE Telergy Suite desktop shortcut. 3. When the GE Applications logon page opens, type your user name and password. 4. Click Login. Any customizing that you made to your workspace is displayed. Changing your password You can change the administrator's password during a session or when logging on. To change your password: 1. While logged on as the administrator, open the Settings menu and click Change Password. This opens the user logon page. 2. Click Change Password. This opens the Change Password dialog box. 3. Type your user name in the User Name box. 4. Type your existing password in the Old Password box. 5. Type your new password in the New Password box. 6. Type your new password again in the Confirm Password box. 7. Click OK. Opening the GE Application Logins utility User logons are managed through the GE Application Logins utility. You must log on as the administrator to work with user logons. 7 Telergy Application Suite Help Note: Detailed instructions for using this utility can be found in the Application Suite Configuration Help. Before you begin: If the Settings menu is not shown on the menu bar, you are not logged on as an administrator. a. On the File menu, click Exit. b. Restart Telergy by clicking the GE Telergy Suite desktop shortcut. c. Log on as the administrator. To open the GE Application Logins utility: 1. On the Settings menu, click Launch Login Administration. 2. Log on as the administrator. The GE Application Logins utility opens. To open online help, click the Help link. 8 Customizing the display Customizing the applications menu and buttons You can control which applications are listed on the Applications menu, and applications buttons are displayed. To customize the applications list: 1. On the View menu, click Customize Application List. This opens the Frame Property Pages dialog box. 2. Select Custom names, list and button selections. 3. Select List and Menu selections. 4. Select all applications to be listed on the Applications menu. 5. Click OK, to apply the change and close the dialog box. 6. To save the change, click the Fix it Now button at the bottom of the window. To hide or show application buttons: 1. On the View menu, click Customize Operations List. This opens the Frame Property Pages dialog box. 2. Select Custom names, list and button selections. 3. Select Button selections. 4. Select all application buttons to be displayed on the workspace. Check your button selections in the preview on the right. 5. Click OK to apply the change and close the dialog box. 6. To save the change, click the Fix it Now button at the bottom of the window. 9 Telergy Application Suite Help Customizing the operations list, menu, and buttons You can control which operations are listed on the Operations menu, Operation Wizard, and Operations toolbar. To customize the operations list: 1. On the View menu, click Customize Operations List. This opens the Frame Property Pages dialog box. 2. Select Custom names, list and button selections. 3. Select List and Menu selections. 4. Select all tasks to be listed on the Operations menu and in the Operations Wizard. Check your selections in the preview on the right. 5. Click OK to apply the change and close the dialog box. 6. To save the change, click the Fix it Now button at the bottom of the window. To select which operations buttons are displayed: 1. On the View menu, click Customize Operations List. This opens the Frame Property Pages dialog box. The Application List tab is selected. 2. Select Custom names, list and button selections. 3. Select Button selections. 4. Select all operations buttons to be displayed on the workspace. Check your button selections in the preview on the right. 5. Click OK to apply the change and close the dialog box. 6. To save the change, click the Fix it Now button at the bottom of the window. Importing display settings from another logon If you like someone else's display settings in one of the applications, you can import that look for your own use in the application. You can import display settings that apply to the frame look and you can import display settings for the application look. The frame look applies to the theme, logo, and application list. The application look applies to items like setting specific properties (Other Properties) for how the application looks. 10 Customizing the display To import frame look display settings: 1. On the View menu, click Import Frame Look from Another Login. The Import from Another Login dialog box opens. 2. Click the logon from the list. 3. Click the Fix it Now button at the bottom of the window to save. To import application look display settings: 1. On the View menu, click Import This Application Look from Another Login. The Import from Another Login dialog box opens. 2. Click the logon from the list. 3. Click the Fix it Now button at the bottom of the window to save. Restoring the GE default look You can restore the GE Default Frame Look and the GE Default Application look. When applied, the application reverts back to its default look. The frame look applies to the theme, logo, and application list. The application look applies to items like setting specific properties (Other Properties) for how the application looks. To restore the GE Default Frame Look: 1. On the View menu, click Restore GE Default Frame Look. 2. Click the Fix it Now button at the bottom of the window to save. To restore the GE Default Application Look: 1. On the View menu, click Restore GE Default Application Look. 2. Click the Fix it Now button at the bottom of the window to save. Selecting a theme The Telergy workspace theme controls the height and width of your workspace and which components are hidden and which are shown. Components that can be hidden or shown include: • Application and operation menus • Operation and application buttons • Applications list • Applications toolbar • Operation Wizard • Operations toolbar • Active Help pane • Header 11 Telergy Application Suite Help To customize the theme: 1. On the View menu, click Theme. This opens the Frame Property Pages dialog. The Theme tab is selected. The Custom Themes pane lists all available themes, and includes a brief description of each. 2. Select a theme from the Custom Themes pane. A preview is displayed on the right. 3. If the theme is okay as-is, click OK. If you want to further customize the theme, you can hide an item included in the selected theme, or show an item that is not included. Select the check box labeled Customize further upon return to the main screen in the bottom left corner. 4. Click OK to apply the change and close the dialog box. 5. Click the show/hide buttons to hide or show window components in various parts of the workspace. In addition, a button in the center of the workspace lets you change how the workspace itself is displayed. Pointing to a button displays a tooltip explaining what it hides or shows. Experiment by clicking the buttons to discover what you prefer. 6. To save your changes, click the Fix it Now button at the bottom of the window. Showing and hiding the Application View toolbar The Application View toolbar lets you make a variety of changes to your Telergy application workspace. To show the toolbar: 1. On the View menu, click Show Application View Toolbar. To hide the toolbar: 1. Click the toolbar close button, which is the first button shown on the toolbar. Zooming in or out You can zoom in and out on the window to view things easier by selecting the Zoom In and Zoom Out buttons, near the bottom of the window. This does not affect text on buttons and other controls. To zoom in, click the Zoom In button . To zoom out, click the Zoom Out button 12 . PC Assignments What is PC Assignments? PC Assignments is a member of the Telergy Application Suite, a set of computer applications that extend the capability of Telligence and ProCare 6000 nurse call systems. PC Assignments is used for managing staff assignments in nurse call systems. This includes planning patient care responsibilities by assigning rooms or beds to caregivers, and assigning each caregiver a pager or wireless phone. Bed and pager assignments for a specific nursing unit are saved as a shift. PC Assignments is used most often for the following tasks: • Creating shifts and saving them for later use • Making temporary or permanent changes to staff assignments • Activating shifts at specified times to put bed and pager assignments into effect PC Assignments runs on network computers and can be used with both ProCare 6000 or Telligence systems. It can be run on multiple computers simultaneously, depending on the number of licenses purchased for your facility. The bed and pager assignments developed in PC Assignments are used by other Telergy applications such as PC List View, PC Map View, and PC NetBoard, which display information about active calls, and by PC Messaging, which is used for text-based paging. Assignments data is displayed on Telligence staff consoles and annunciators, and by ProCare 6000 video masters. Assignments data is also used for routing unanswered nurse calls to alternate caregivers. This process of automatic call routing is known as call escalation. Configuring this process is an administrative task that takes place outside of PC Assignments, using the Application Suite Configuration tool. Starting PC Assignments You can open any PC Assignments by selecting it from the Applications menu. To start PC Assignments: 1. On the Menu bar, click Applications. 2. From the Applications menu, select PC Assignments. Closing PC Assignments Logging off from an individual Telergy application closes that application, leaving other Telergy applications running. To close PC Assignments: 1. Click the LogOff button. 2. When prompted to confirm the action, click Yes. 13 Telergy Application Suite Help Operation menu and shortcut toolbar descriptions The table below lists the commands found on the Operations menu, the Operation Wizard, and the shortcut toolbar. Commands from the Operations menu, Operation Wizard, and shortcut toolbar Operations menu and Operation Wizard Shortcut toolbar Resulting actions New Shift NS Lets you define a new shift by assigning patient care responsibilities and pagers or wireless phones to nursing staff. View Shift VS Lets you select a shift to view. This enables you to view the patient care assignments and phone or pager assignments associated with the shift. Start Shift SS Lets you activate a shift, which activates the patient care responsibilities and pager assignments associated with it. Activate Staff AS 1. Moves staff members from the Available Staff list to the Active Staff list. 2. Assigns pagers and wireless phones. 3. Assigns patient beds (optional), as part of a single operation. 1. Unassigns a staff member’s paging device and beds. 2. Moves the staff member from the Active Staff to the Available Staff tab. Deactivate Staff DS Assign Beds AB Assigns patient care responsibility to active staff members by assigning patient beds. Unassign Beds UB 1. Removes a staff member’s bed assignments. 2. Staff member remains active. 1. Unassigns a staff member's beds 2. Assigns the beds to someone else. 3. Original staff member remains active. 1. Charge Nurse CN Lets you select a charge nurse for a shift. Remove Shift RS Lets you delete a shift. 14 PC Assignments Edit Staff ES Lets you modify the list of staff members. Edit Devices ED Lets you modify the list of devices. Customize Operation List Lets you add or remove tasks from the Operation menu and Operation wizard. Status messages The status field is located in the lower-right corner of the PC Assignments main window. It displays a variety of messages giving you information about the application. Status messages Message Description OK PC Assignments application is operating properly. No active shift found This message is displayed when no shift has been activated for any nursing area. PC Assignments will not route any calls to caregivers while this message is displayed. Unsaved shift When changes are made to a shift, this message is displayed until the changes have been saved. Click Finish to save any changes made to a shift. Set a charge nurse to replace the default one This message is displayed when there is no charge nurse assigned for the active shift. Occupied beds unassigned This message is displayed when beds designated as occupied by the nurse call system have not been assigned to a caregiver in PC Assignments. View changes not saved ( fix=save view changes) Fix it Now You have made changes to the display. If you want to save the changes as My Favorite PC Assignments Look, click the Fix it Now button. If you don't want to save the changes, ignore the message. Nursing units and float pools Adding staff members to nursing units or float pools You can add staff members to nursing units or float pools. 15 Telergy Application Suite Help Note: You must log on as a supervisor or the administrator in order to mark a shift permanent. To add a staff member: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard > Edit Staff. 4. To add a new staff member, click Add. The Add New Staff dialog box opens. 5. Type the staff member’s last and first names in the fields provided. A middle name can also be entered and it is helpful when staff members with the same first and last names are present. 6. The staff member’s initials are entered automatically; you can change them if necessary. 7. For Permanent Device ID, either check Select Existing Device, and then from the drop-drown, select one of the available devices (the field lists all available devices in the nursing unit and float pool). Or, if the device is not listed, leave Select Existing Device unchecked and type the device ID number. Then, for Device Type, select the type of device it is. 8. Select a staff level for this staff member from the Staff Level Name list. 9. Select the nursing unit where this staff member is located from the Nursing Unit Name list. 10. Click Add to add this staff member to the staff member list. 11. Repeat these steps to add more staff members as required. 12. Click OK. Deleting staff members from nursing units and float pools As personnel changes occur, you can delete staff members from nursing units and float pools. Note: You must log on as a supervisor or the administrator in order to mark a shift permanent. To delete a staff member: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click Operation Wizard > Edit Staff. 4. Select the staff member to be deleted and click Delete Staff. 5. Repeat step 4 to delete any other staff members. 6. When you have finished deleting staff members, click OK to save your changes and close the dialog box. Displaying float pools Float pools contain staff members who "float" between multiple nursing units and can be assigned to any of them. Float pools are listed on the Nursing Units tab. They are identified in the list by the prefix FLOAT. 16 PC Assignments Float staff are listed on the Available Staff tab and can be assigned to multiple nursing units. To display a float pool: 1. Open the Nursing Unit tab. 2. Select a nursing unit so that it is listed under SHOW. Float pools cannot be selected until a nursing unit has been selected. 3. Double-click the float pool or pools that you want to view. Hiding nursing units and float pools Information for the currently selected nursing unit and float pools is displayed in the right pane. This procedure clears the right pane by hiding the current nursing unit and float pools. To hide a nursing unit or float pool: 1. While viewing a nursing unit, double-click any items listed under SHOW. This moves the item into the HIDE section and clears the right pane. Modifying staff listings You can modify staff listings for nursing units or float pools. Note: You must log on as a supervisor or the administrator in order to mark a shift permanent. To modify a staff listing: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard button and select Edit Staff. 4. Select the staff listing to be modified and click Update Staff. The Update Staff dialog box opens. 5. Make the necessary changes and click OK. 6. Repeat these steps to modify additional listings. 7. When you have finished, click OK to save your changes and close the dialog box. Selecting nursing units and float pools The Nursing Units tab lists all nursing units that you have permission to view, and is used for selecting the nursing unit and float staff that you want to view. Nursing units and float pools are created in the Application Suite Configuration utility and cannot be added, changed, or deleted from PC Assignments. The list displayed on the Nursing Units tab has two sections: SHOW and HIDE. 17 Telergy Application Suite Help • SHOW lists the currently selected nursing unit. Only one nursing unit plus one or more float pools can be shown at a time. Bed assignments for the selected unit are displayed in the right pane. • HIDE lists all other nursing units and float staff. No data is displayed for these nursing units and float staff. • If nothing is listed under SHOW, or if NoNursingUnit is listed, no data is shown in the right pane. To select a nursing unit and float pool: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with. Float pools cannot be selected until a nursing unit has been selected. 3. Click Yes to confirm your selection. 4. Double-click the float pool or pools that you want to view and click Finish. Selecting a different nursing unit The Nursing Unit tab displays only the nursing units that your user logon permits you to view. If you need to view additional nursing units, see your Telergy administrator. To select a different nursing unit: 1. Click NU on the shortcut toolbar. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to view. 3. Click Yes to confirm your selection. 4. Click Finish. Working with shifts Adding staff members to shifts Adding staff members to a shift uses the Activate staff command. You can either save your changes to the current shift, or change the shift name and save it as a new shift. If a shift is marked as permanent, you'll need to save your changes as a new shift, since permanent shifts cannot be overwritten. 18 PC Assignments To add a regular staff member to a shift: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard button and select Activate Staff. This displays and highlights the Available Staff tab. 4. From this list, select the staff member to be added to the shift. This displays the Available Devices tab, which lists the ID numbers of pagers and wireless phones. 5. From this list, select a pager or wireless device for the staff member. 6. In the right pane, find the beds for which the staff member will be responsible, and for each one, click the corresponding cell in one of the three columns: • For the primary caregiver, click in the RN column • For the second caregiver, click in the LPN column • For the third caregiver, click in the Tech column Note: The labels RN, LPN, and Tech are configurable and may differ on your system. 7. Click Finish. 8. To overwrite the shift and start it now, click Yes. — or — To save the shift with a different name or set additional options, click No. a. Set any additional options. b. Click Finish. If the Start check box is selected, the new shift is now active. Adding float staff to a shift Float staff are available for temporary assignment to selected nursing units. They are organized into float pools listed on the Nursing Unit tab. Float pools are distinguished from nursing units by the prefix Float. To add float staff to a shift: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with. 3. Click the float pool that you want to use and click Finish. 4. Click the Viewing Shift box and select the shift that you want to modify. 5. Click the Operation Wizard button and select Activate Staff. The Available Staff tab is displayed. 6. Select a staff member to be added to the shift. The Available Devices tab is displayed listing pager and wireless phone numbers. 19 Telergy Application Suite Help 7. Click a number to assign a pager or wireless phone to the staff member. 8. In the right pane, find the beds for which the float staff member will be responsible for and click one of the three columns: • For the primary caregiver, click in the RN column • For the second caregiver, click in the LPN column • For the third caregiver, click in the Tech column Note: The labels RN, LPN, and Tech are configurable and may differ on your system. 9. Click Finish. If the Start check box is selected, the new shift is now active. Adding pagers and wireless phones Caution: Pagers and wireless phones are considered ancillary devices and are secondary to the installed nurse call system (Telligence/ProCare). Pagers and wireless phones should not be used as the primary source for receiving and managing nurse call events. Only one person at a time can administer devices for any given nursing unit. The first person in the nursing unit to log on as a supervisor can modify the device list. Supervisors who log on while this is taking place can view the device list, but they cannot make changes to it until the first supervisor logs off. Note: You must log on as a supervisor or the administrator in order to mark a shift permanent. To add a pager or wireless phone: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard > Edit Devices. A dialog box opens listing devices for the selected nursing unit. 4. Click the Add button. The Add New Device dialog box opens. 5. Type the device number in the box. 6. Click the Device Type button and select the device type. 7. Click Add. 8. Repeat steps 6 to 8 to add additional devices. 9. When you have finished adding devices, click OK to close the Add New Device dialog box. 10. Click OK again to save your changes. 20 PC Assignments Assigning beds You can assign patient rooms or beds to specific caregivers or to the charge nurse. Up to three caregivers can be assigned to each room or bed. Unassigned rooms are automatically assigned to the charge nurse. To assign a room or bed: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Use the Viewing Shift box to select the shift that you want to work with. 4. Click the Operation Wizard button and select Assign Beds. The Active Staff tab opens. 5. Select a staff member to be assigned. 6. In the right pane, find the first bed to be assigned to this individual, and click the corresponding cell in one of the following columns: • For the primary caregiver, click in the RN column • For the second caregiver, click in the LPN column • For the third caregiver, click in the Tech column Note: The labels RN, LPN, and Tech are configurable and may differ on your system. Repeat this step for each room or bed to be assigned to this individual. 7. Repeat steps 5 and 6 to assign beds to any additional staff members. 8. Click Finish. 9. To overwrite the shift and start it now, click Yes. — or — To save the shift with a different name or set additional options, click No. a. Set any additional options. b. Click Finish. If the Start check box is selected, the new shift is now active. Creating a shift based on an existing shift You can create a new shift by modifying an existing shift and saving it with a new name. If you need to create a shift not based on an existing shift, see Creating shifts. To create a shift based on an existing shift: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Use the Viewing Shift box to select the shift that you want to work with. The Active Staff tab opens. 21 Telergy Application Suite Help 4. Make the necessary changes by selecting tasks from the Operation Wizard. 5. When you have finished modifying the staff, bed, and pager assignments, click Finish. A message box prompts you to confirm this action. 6. Click No. 7. Type a name for the shift in the New Shift box. 8. Select to print, start, delay, or make permanent the shift. To print the bed and pager assignments for this shift, select the Print check box. To start the shift, select the Start check box. This displays the Delay check box. To delay paging of patient normal calls, select the Delay check box and enter a value (in seconds) in the box. Setting a brief delay on paging of patient normal calls allows these routine calls to be answered at the nursing station whenever possible. The delay that you set here is added to the Priority Alias Timeouts set for patient normal calls in Application Suite Configuration. To prevent the shift from being deleted or modified, select the Permanent check box. You must be logged on as a supervisor or the administrator to make the shift permanent. 9. Click Finish. If the Start check box is selected, the new shift is now active. Creating shifts Creating a shift in PC Assignments involves assigning patient rooms or beds to caregivers, and assigning each caregiver a pager or wireless phone. Shifts can be used once and discarded or saved for routine use. Saved shifts can be marked as permanent to prevent the shift from being modified or deleted. Only a supervisor or the administrator can mark a shift as permanent. Unused shifts not marked as permanent are automatically deleted after 15 days. If you are creating a shift that is similar to an existing shift, it may be easier to use the existing shift as a template. See Creating a shift based on an existing shift. To create a shift: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard button and select New Shift. This displays and highlights the Available Staff tab. 4. Select a staff member from the list. This highlights and displays the Available Devices tab, which lists the ID numbers of pagers and wireless phones. 5. From this list, select the paging device to be assigned to this staff member. 6. In the right pane, locate each room or bed to be assigned to the staff member. Indicate the level of care he or she will provide by clicking the RN, LPN, or Tech column. Note: The labels RN, LPN, and Tech are configurable and may differ on your system. 7. 22 Click Next to assign another staff member. Otherwise, skip to step 9. PC Assignments 8. Repeat steps 4 through 7 to assign additional staff members. 9. Click Finish. 10. Type a name for the shift in the New Shift box. 11. Select to print, start, delay, or make permanent the shift. 12. Click Finish. Deleting pagers and wireless phones If a pager or wireless phone becomes or lost or no longer functions, it can be removed from the Devices list. Note: You must log on as a supervisor or the administrator in order to mark a shift permanent. To delete a pager or wireless phone: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard button and select Edit Devices. A dialog box opens listing devices for the selected nursing unit. 4. Select the device to be deleted and click Delete Device. The device listing is removed. 5. Repeat step 4 to delete additional devices. 6. When you have finished deleting devices, click OK to close the dialog box. 7. Click OK again to save your changes. Deleting shifts Deleting shifts that are no longer needed keeps the Viewing Shift drop-down list as short as possible. Shifts are automatically deleted after 15 days of non-use unless they have been marked as permanent. Note: You must log on as a supervisor or the administrator in order to mark a shift permanent. To delete a shift: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard button and select Remove Shift. The shifts defined for the selected nursing unit are displayed. 4. Select the shift or shifts to be deleted. To delete multiple shifts, hold the Ctrl key while selecting multiple shifts. 5. Click Finish. Making a shift permanent Shifts can be made permanent to prevent them from being modified or deleted. 23 Telergy Application Suite Help Note: You must log on as a supervisor or the administrator in order to mark a shift permanent. To create a permanent shift: 1. Create or modify a shift. 2. When you have finished assigning staff, devices, and beds, click Finish. A message box prompts you to confirm this action. 3. Click No. 4. Click the New Shift button and select the shift from the list. 5. Select the Permanent check box. 6. Click Finish. Modifying pager or wireless phone listings You can add and delete pagers and wireless phones, or modify device numbers and device types. Note: You must log on as a supervisor or the administrator in order to mark a shift permanent. To modify pager or wireless phone listings: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard > Edit Devices. A dialog box opens listing devices for the selected nursing unit. 4. Click the Update button. The Update Device dialog box opens. 5. To change the number, type the new device number in the box. 6. To change the device type, click the Device Type button and select the new device type. 7. Click OK. 8. Repeat steps 4 to 7 to modify additional devices. 9. When you have finished, click OK to close the Add New Device dialog box. 10. Click OK again to save your changes. Printing shifts You can print bed and pager assignments for a shift. To print bed and pager assignments for a shift: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard button and select View Shift. The Viewing Shift box displays a list of available shifts. 24 PC Assignments 4. Select the shift to be printed. The assignment information for the shift is displayed in the right pane. 5. From the File menu, select Print. Shift information is sent to the default printer for your ProCare 6000 or Telligence system. Replacing staff members You can transfer patient care responsibility from one staff member to another. To replace a staff member: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard button and select Replace Staff. The Active Staff tab is displayed. 4. From the Active Staff list, select the staff member to be replaced. 5. Select the replacement staff member. 6. Click Finish. 7. To overwrite the shift and start it now, click Yes. — or — To save the shift with a different name or set additional options, click No. a. Set any additional options. b. Click Finish. If the Start check box is selected, the new shift is now active. Replacing pagers and wireless phones You can assign a new pager or wireless phone to a staff member. This may be necessary if the original device has been lost or no longer works properly. To replace a pager or wireless phone: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard button and select Replace Device. The Active Staff tab is displayed. 4. Select the staff member that you want to work with. The Available Devices tab is displayed listing the numbers of pagers and wireless phones. 5. Select the device to be assigned. The selected device replaces the original device assigned to the active staff member. 25 Telergy Application Suite Help 6. Click Finish. 7. To overwrite the shift and start it now, click Yes. — or — To save the shift with a different name or set additional options, click No. a. Set any additional options. b. Click Finish. If the Start check box is selected, the new shift is now active. Replacing staff members, pagers, and wireless and phones You can deactivate a staff member, assign a replacement, and assign a pager or wireless phone to the replacement staff member. To replace a staff member without changing the assigned pager or wireless phone, see Replacing staff members. To replace a staff member and pager or wireless phone: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard button and select Replace Both. The Active Staff tab is displayed. 4. Select the staff member to be deactivated. The Available Staff tab is displayed. 5. Select the replacement staff member. The staff member that you select here replaces the original staff member. The Available Devices tab is displayed. 6. Select the pager or wireless phone to be assigned. 7. Click Finish. 8. To overwrite the shift and start it now, click Yes. — or — To save the shift with a different name or set additional options, click No. a. Set any additional options. b. Click Finish. If the Start check box is selected, the new shift is now active. Removing staff members from shifts You can remove staff members from shifts by removing both bed and pager assignments. To remove only bed assignments, see Removing bed assignments from staff members. 26 PC Assignments To remove a staff member from a shift: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard button and select Deactivate Staff. This displays the Active Staff tab. 4. From this list, select the staff member to be deactivated. To select multiple staff members, hold the Ctrl key while selecting. 5. Click Finish. 6. To overwrite the shift and start it now, click Yes. — or — To save the shift with a different name or set additional options, click No. a. Set any additional options. b. Click Finish. If the Start check box is selected, the new shift is now active. Removing bed assignments from staff members You can remove bed assignments without deactivating the staff member. If the bed is occupied and is not assigned to someone else, the system assigns it to the charge nurse. If you need to unassign the pager or mobile phone in addition to the room or bed assignment, see Removing staff members from shifts. To unassign a bed: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard button and select Unassign Beds. 4. In the right pane, click each cell to be unassigned. This clears the name from the cell. 5. When you have finished unassigning beds, click Finish. 6. To overwrite the shift and start it now, click Yes. — or — To save the shift with a different name or set additional options, click No. a. Set any additional options. b. Click Finish. If the Start check box is selected, the new shift is now active. 27 Telergy Application Suite Help Starting shifts Starting a shift activates the patient care responsibilities and pager assignments associated with it. To start a shift: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard button and select Start Shift. The Viewing Shift box displays a list of available shifts highlighted in blue. 4. Select the shift to be started. Bed assignments for the selected shift are shown in the right pane. A list of options is displayed in the left pane. The Start check box is selected by default. 5. Click Finish. The shift is now active. Setting a charge nurse for a shift The following types of calls are automatically forwarded to the charge nurse: • Calls from rooms or beds with no assigned caregiver • Calls not answered by the assigned caregiver within a set time limit To set a charge nurse for a shift: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard button and select Charge Nurse. The Active Staff tab is displayed. 4. Select a staff member from the Active Staff list. 5. Click Finish to save the setting. Viewing an existing shift To view an existing shift: 1. Click the Operation Wizard button and select Nursing Unit. This displays a list of nursing units highlighted in blue. 2. Click the nursing unit that you want to work with and click Finish. 3. Click the Operation Wizard button and select View Shift. The Viewing Shift box displays a list of available shifts highlighted in blue. 4. Select the shift that you want to view. The assignment information for the shift is displayed in the right pane. 28 PC Assignments Customizing how data is displayed Adjusting column widths in the right pane You can drag the column headings in PC Assignments to increase or decrease column widths in the Assignments table. To adjust the width of a column: 1. Point to the boundary between two column heads, until the mouse pointer changes to a double-headed arrow . 2. Drag to increase or decrease the column width. Displaying one, two, or three staff levels PC Assignments can display the names and pager numbers of one, two, or three staff levels for each patient. By default, the three staff levels correspond to RN, LPN, and Tech. These labels are configurable and may differ on your system. To indicate how many staff levels to display: 1. On the View menu, click Other Properties. This opens the PC Assignments Properties dialog box. 2. In the Select Levels section, select one of the following options: • To display only the primary caregiver (RN), select Show Primary Column. • To display two levels (RN and LPN), select Show Primary and Secondary Columns. • To display three levels, select Show Primary, Secondary, and Tertiary Columns. 3. Click OK 4. Click the Fix it Now button at the bottom of the window. Note: The labels RN, LPN, and Tech are configurable and may differ on your system. Displaying staff names or initials and pager numbers For each staff level displayed, you can list either the staff member's full name or list only staff initials plus their pager numbers. To select full names or initials plus pager numbers: 1. On the View menu, click Other Properties. This opens the PC Assignments Properties dialog box. 2. In the Full Name/Initials section, select one of the following options: • Show Staff Full Name • Show Staff Initials and Device Numbers 3. Click OK. 4. Click the Fix it Now button at the bottom of the window. Rearranging columns You can drag columns to different positions in the PC Assignments to better meet your needs. 29 Telergy Application Suite Help To rearrange columns: 1. With the mouse, click and hold the heading of the column to be moved. 2. Without releasing the mouse button, drag the column to the new position. Arrows appear to show where the column will be moved. 3. Release the mouse button. The column moves to the new position. 4. To save the change, click the Fix it Now button at the bottom of the window. Selecting a contrasting color for alternate table rows You can apply a contrasting color to alternate rows. Note: Alternate colors do not work when displaying ADT data. To select a contrasting color: 1. On the View menu, click Application View Toolbar. A column of buttons appears down the left side of the window. 2. Click the Alternate Color button. This opens the Select Alternate Color dialog box. 3. Select a color and click OK. 4. To save the change, click the Fix it Now button at the bottom of the window. Showing and hiding table grid lines You can hide or show the lines that divide columns and rows in List View and on the Details page. To show or hide grid lines: 1. Click View > Show Application View toolbar. 2. Click the Hide Grid button to remove the grid lines. 3. Click the ShowGrid button to show the grid lines. 4. To save the change, click the Fix it Now button at the bottom of the window. 5. When you have finished, close the Application View toolbar. Showing or hiding ADT data If the Telligence or ProCare 6000 system is connected to the facility's Admission, Discharge, and Transfer (ADT) database, Telergy can show or hide patient names and bed occupancy status. To show or hide ADT data: 1. On the View menu, click Other Properties. The PC Assignments Properties dialog box opens. 2. In the ADT/No ADT section, select one of the following options: • To display patient names for all occupied beds, select Show Patient Name. • To display occupancy status for all patient rooms, select Show Bed Occupied Status. 30 PC Assignments • To suppress all ADT data, select No ADT. 3. Click OK. 4. Click the Fix it Now button at the bottom of the window. Sorting information by column To sort on a column: 1. Click the column head. This sorts the column in alphabetical or numerical order. 2. To reverse the sort, click the column head again. 31 PC List View What is PC List View? PC List View list a member of GE Telergy Suite, a set of computer applications that extend the capability of Telligence and ProCare 6000 nurse call systems. PC List View displays a list of patient calls, staff calls, reminders, and (if location tracking is installed) the status of linked equipment and the locations of badged staff members for all nursing units that you have permission to view. The main List View screen contains three call sections: TopCall, Other Calls, and Reminders. Calls are listed in order of importance, with the most urgent call displayed in TopCall. All other calls are listed under Other Calls, except calls that are on remind, which are displayed at the bottom under Reminders. Calls placed on remind have a predetermined amount of time they stay on remind before being recalled into either TopCall (if its the only call or highest priority call) or Other Calls. When the call is recalled, "ReCall" is displayed with the call information indicating that the call was previously on remind. The main screen also displays information about rooms, patients, staff, and location (if location tracking is installed) when the screen view is set to Normal (when in Full Screen mode, this information is not displayed). For details about the different information the buttons display, refer to Command reference. PC List View is used to gather quick information about a nurse call, or to decide which call to respond to next. From PC List View, you can open details about the patient's care, such as: • Call level • Attending physician • The names and pager numbers of assigned caregivers • Elapsed time since the call was placed • Medications and any dietary restrictions • Additional details needed to respond to the call • Information about previous nurse calls regarding this patient Note: This information is not displayed when the screen is in Full Screen mode. 33 Telergy Application Suite Help Main List View screen Starting PC List View You can open any PC List View by selecting it from the Applications menu. To start PC List View: 1. On the Menu bar, click Applications. 2. From the Applications menu, select PC List View. Closing PC List View Logging off from an individual Telergy application closes that application, leaving other Telergy applications running. To close PC List View: 1. Click the LogOff button. 2. When prompted to confirm the action, click Yes. Command reference Menu commands Command Description Details Displays details about the patient in a selected bed. Next Unit Used in PC Map View only. Patient Available in the Details pane. Displays the Patient tab of the Details pane. Events Available in the Details pane. Displays the Events tab of the Details pane. Staff Available in the Details pane. Lists the staff members assigned to the selected patient. Basic layout of the Details page The Details page consists of three separate information blocks: The header, the table, and the list pane. The header This information block displays basic information about the call and the patient who made it. The following information may be displayed depending on how your ADT and location data is configured. • Patient's bed number and name • Call level or priority • Time elapsed since the call was placed 35 Telergy Application Suite Help Unlike the information blocks below the header and on the right, the type of information shown in the header does not change. The table The content of this information block is controlled by four buttons labeled General, Patient, Events, and Staff: • General: Displays the names of the patient's caregivers, attending physician, room staff, and equipment. You can select from a list of reminder reasons and type in dietary notes, medications, and general notes. Note: The user fields displayed in this area are displayed based on the values configured in NetBoard and based on viewing preferences configured in List View (e.g. with/without ADT/Location). Refer to Configuring user fields for details about configuring the user fields in NetBoard. For more information on viewing preferences in List View, refer to Hiding or showing ADT and location data. • Patient: Gives expanded patient information, including the patient's name, medical record number, and next of kin (including the name, relationship to patient, and contact information). Text boxes let you type dietary notes, medications, and general notes. Note: The user fields displayed in this area are displayed based on the values configured in NetBoard and based on viewing preferences configured in List View (e.g. with/without ADT/Location). Refer to Configuring user fields for details about configuring the user fields in NetBoard. For more information on viewing preferences in List View, refer to Hiding or showing ADT and location data. • Events: Contains a chronological list of calls made from the patient's room, with the most recent at the top. • Staff: Lists the patient's caregivers (RN, LPN, and Tech), charge nurse, attending physician, and room staff. Note: Manually admitted patient names are displayed in list view and map view. The list pane This pane can display either patient beds, nursing staff, or staff locations. The content of the pane is controlled by buttons labeled Rooms, Staff, Location, or by the Text Staff button in the left margin. 36 PC List View Rooms: Lists all of the patient rooms or beds in the nursing unit. If Telergy is connected to the facility ADT system, the patients occupying them are also listed. Staff: Lists all staff members in the nursing unit along with buttons ( or ) for sending text messages to them. Text messaging buttons are active only when Text Messaging mode is selected. Location: Lists all staff members with location tracking badges and displays the room number where each is located (if Versus location tracking is installed). Text Staff command button The Text Staff button in the left margin activates a text messaging mode. In this mode, the table displays assigned staff, and you can send a text message to a staff member's pager or wireless phone by clicking the text messaging button next to his or her name. Recall Events in Details The word Recall appears on the Details page when the call being responded to is a ReCalled event. See figure below: Adding notes to calls You can add information about the patient's care in the General section and the Patient section on the Details page. To add a note to a call: 1. Double-click the patient to open the Details page. 2. Click either the General or Patient button. The following details can be added. General: Dietary, meds, short note, long note. Patient: Next of kin information as well as the General information. 37 Telergy Application Suite Help 3. Type text in the appropriate boxes, and then press Enter to save the change. 4. Click Finish to close the Details page. Adding notes to call reminders You can add information about a specific call reminder in the General section on the Details page. To add a note to a reminder: 1. Click D in the left margin to open the Details page, and then select the patient 2. Click the General button. 3. Type directly into the RemindReason box, and then press Enter to save the change. 4. Click Finish to close the Details page. Applying shading In PC List View, this setting applies shading to alternate rows in tables and lists to increase readability. In PC Map View, this setting controls the color used for patient rooms. To apply color shading: 1. Click View > Show Application View toolbar. 2. Click the Alternate Color button. 3. Select a color and click OK. 4. To save the change, click the Fix it Now button at the bottom of the window. This closes the Application View toolbar and saves the settings. — or — To close the toolbar without saving, click the close toolbar button. The original shading will be shown again the next time Telergy is started. Changing the area covered by PC Map View and PC List View Note: This topic applies to ProCare 6000 systems only. For Telligence systems, this is handled in the Telligence Config Tool. 38 PC List View To change the rooms or duty areas covered by PC List View and PC Map View, you must log on as the administrator and open the Application Suite Configuration home page. From there, you can access floor map configuration. For help opening the floor map configuration utility, see below. For help creating or modifying floor maps, see the Application Suite Configuration Online Help. Before you begin: If the Settings menu is not shown on the menu bar, you are logged on as a regular user. a. Close Telergy. b. Restart Telergy by clicking the GE Telergy Suite desktop shortcut c. Log on as the administrator. To open the floor map configuration utility: 1. On the Settings menu, click Launch Application Suite Configuration. This opens the Application Suite Configuration Login page. 2. Log on as the administrator. This opens the Application Suite Configuration home page. To open online help for the Floor Map configuration utility, click the Help link on this page. 3. To add or remove rooms from the nursing unit, click Duty Area/ Room, Location. — or — To change the duty areas associated with the nursing unit, click Nursing Unit/Duty Area. Changing the default priority for calls Note: This topic applies to ProCare 6000 systems only. For Telligence systems, this is handled in the Telligence Config Tool. To change this setting, you must log on as the administrator and open the Application Suite Configuration home page. From there, you can access call priority configuration. For help opening call priority settings, see below. For help changing the default call priority, see the Application Suite Configuration Online Help. Before you begin: If the Settings menu is not shown on the menu bar, you are logged on as a regular user: a. Close GE Telergy. b. Restart GE Telergy by clicking the GE Telergy Suite desktop shortcut. c. Log on as the administrator. To open call priority settings: 1. On the Settings menu, click Launch Application Suite Configuration. This opens the Application Suite Configuration Login page. 2. Type your user name and password and click the Login button. This opens the Application Suite Configuration home page. 3. Click Priority Alias. 39 Telergy Application Suite Help 4. Change priority aliases as needed. To open online help for the Priority Alias configuration utility, click the Help link on this page. Displaying full details about a patient To view patient details: 1. Click D on the left margin of PC List View. 2. In the list pane, click the Rooms button. 3. In the list that appears, select the name of the patient. Details about this patient are displayed in the Details page. 4. Click Finish to close the Details page. Displaying bed numbers and patient names Room and bed IDs are shown on the Details page, in the List pane. If Telergy is connected to your facility's ADT system, patient names are listed for all occupied rooms. To view room or bed numbers: 1. Click "D" on the left margin of the PC List View or PC Map View page. 2. Click the Rooms button, which is found on the right below the list pane. This displays the patient names and bed numbers. 3. Select a room or patient name to view details. 4. When you have finished, click the Finish button to close the Details page. Displaying full call details To view call details: 1. On PC List View, click Details. — or — Click D on the left margin. All patient beds linked to PC List View are highlighted in blue. 2. Select the patient's bed. This opens the Details page. 3. Use the buttons below the table to display different types of information. For background material on the Details page, see Basic layout of the Details page. 4. 40 To return to the List, click the Finish button. PC List View Displaying List View in Full Screen mode To make it easier to see and read calls in List View, the viewing area can be scaled to fit the full screen so that the calls are displayed larger. In addition, the calls can also be displayed in black or with their actual colors when in this mode. When in Full Screen mode, the main screen does not display information about rooms, patients, staff, and location (if location tracking is installed). Note: The Full Screen mode can be used with or without the header information and Menu bar. By removing these, the calls can be displayed in the entire List View viewing area. The Tall theme controls whether or not the header information and Menu are displayed. See Selecting a theme for more information on changing the theme. To view List View in full screen mode: 1. Change the theme to Tall if desired. See the note above for details. 2. On the Menu bar, click View > Other Properties. The Views dialog box is displayed. 3. In View Mode, click Full Screen. 4. In Call Color, select how you want calls to be displayed on the screen. 5. Click OK. The screen switches to Full Screen mode based on which theme you have selected. To view List View in normal screen mode: 1. On the Menu bar, click View > Other Properties. The Views dialog box is displayed. 2. In View Mode, click Normal. 3. Click OK. The screen switches to Normal mode. Resizing the grid controls in List View and Map View for additional information This section focuses on resizing Telergy List View and Map View so as to show additional information, in particular the location, staff and patient data in List View and Map View (on the right hand side of the screen). In order to view additional characters for the above data, perform the following operations: 1. Select theme (View Theme) and check the checkbox “Customize further upon return to main screen”, the user will get an additional button “Enable Wide” to change the width of the right grid on the screen. 41 Telergy Application Suite Help 2. On clicking the button the width of the right grid increases while the calls grid width decreases. 3. Click “Fix it now” for the changes to be saved to the database. The changes remain for successive logins for that user until the settings are changed back by the user. 4. Based on the type of characters used, you will be able to fit the following number of characters as part of the location field: In case of upper case letters used, the number of characters displayed varies depending on the character used. If your nurse call system includes an (ADT) system, you can also show or hide location data for the staff members assigned to each room or bed. Note: Hiding or showing ADT and location data affect what is displayed in the Details page. To show or hide ADT data: 1. On the View menu, click Other Properties. The Views dialog box opens. 2. Select one of the following options in Modes: • To display patient names and staff location data, select ADT/Location. • To display patient names without staff location data, select ADT/No Location. • To hide patient names but show staff location data, select No ADT/Location. • To suppress all ADT data, select No ADT/No Location. 3. Click OK to apply the change and close the dialog box. 4. To save the change, click the Fix it Now button at the bottom of the window. Hiding and showing table grid lines You can hide or show the lines that divide columns and rows in List View and on the Details page. To hide grid lines: 1. Click View > Show Application View toolbar. 2. Click the HideGrid button. 3. To save the change, click the Fix it Now button at the bottom of the window. — or — To close the toolbar without saving, click the close toolbar button. The original shading will be shown again the next time Telergy is started. To show the table grid lines: 1. Click View > Show Application View toolbar. 2. Click the ShowGrid button. 3. To save the change, click the Fix it Now button at the bottom of the window. The original shading will be shown again the next time Telergy is started. 43 Telergy Application Suite Help Locating staff members To display staff location data: 1. Click D on the left margin of the PC List View. 2. In the list pane, located on the right on the Details page, click the Location button. This lists the names of staff members and the room numbers where they are currently found. 3. When finished, click the Cancel or Finish button. Understanding the staff location list If Versus location tracking is installed at your facility, you can use the Details page to locate the caregivers assigned to a patient. Staff locations are listed in the list pane on the Details page. Colors in the staff location list indicate the staff level of the individual, for example, RN, LPN, or Tech. The first three staff levels are displayed as follows: Red: Primary staff level Amber: Secondary staff level Green: Tertiary staff level Up to nine staff levels can be displayed in PC Map View and PC List View, but your facility may not use them all. This displays the Staff section of the Details pane and the Staff list in the list pane. 4. Locate the name of the individual to whom the message will be sent and select the Pager button next to the name. or Phone PC Messaging opens. 5. Send the message using PC Messaging. Viewing a patient's call history You can view the patient's call history on the Events section of the Details page. To view call history: 1. Click D in the left margin to open the Details page, and then select the patient. 2. Click the Events button. 3. The patient's calls are listed in the upper and lower blocks on the left, with the most recent call in the upper block. 4. When you have finished, Click the Finish button. 45 PC Map View What is PC Map View? PC Map View is a member of GE Telergy Suite, a set of computer applications that extend the capability of Telligence and ProCare 6000 nurse call systems. PC Map View displays a map of the nursing unit floor plan to show where nurse call activity is occurring in the unit. PC Map View displays active patient calls, staff emergency calls, and reminders. If Versus location tracking is installed, PC Map View also shows the locations of badged staff members and equipment. The application uses flashing color to identify rooms with active calls and reminders and to show the call priority. From PC Map View, you can open details about the patient's care, such as: • Bed number • Call level • Attending physician • The names and pager numbers of assigned caregivers • Elapsed time since the call was placed • Medications and any dietary restrictions • Additional details needed to respond to the call • Information about previous nurse calls regarding this patient Starting PC Map View You can open any PC Map View by selecting it from the Applications menu. To start PC Map View: 1. On the Menu bar, click Applications. 2. From the Applications menu, select PC Map View. Closing PC Map View Logging off from an individual Telergy application closes that application, leaving other Telergy applications running. To close PC Map View: 1. Click the LogOff button. 2. This includes patient and staff rooms, restrooms, elevators, and other features of the unit. Nurse call data is displayed on the map to show activity in the nursing unit. The following table describes the icons used in PC Map View. 48 PC Map View Icon Description Room squares correspond to patient rooms, staff rooms, etc., and are labeled to indicate room number. Patient names may be displayed in patient rooms, depending on system configuration. Room squares are used to show active nurse calls, reminders, and staff locations. Flashing room squares indicate active nurse calls. The room colors indicate call priority and correspond to the colors used for corridor light signals at your facility. The room square continues to flash until the call is canceled. You can display a summary box or full details about the call by selecting the room. Gray marbled hallway squares correspond to hallways in the nursing unit and are used to show staff locations. Lavender desk squares correspond to the nurse's station or desk. They are used to show staff locations. Elevator icons can show staff locations if location tracking is installed. Stair icons can show staff locations if location tracking is installed. Restroom squares can show staff locations if location tracking is installed. Pager buttons are used for initiating a text message. Wireless phone buttons are used for initiating a text message. Reminder indicators show calls that have been set to reminder status. The color indicates call priority, and correspond to the colors used for corridor light signals at your facility. You can display a summary box or full details about the reminder, just as you would for any other call. Staff location indicators are used where location tracking is installed to show at a glance where staff members are located. The color indicates the staff level (such as RN, LPN, or Tech). 49 Telergy Application Suite Help Applying shading In PC List View, this setting applies shading to alternate rows in tables and lists to increase readability. In PC Map View, this setting controls the color used for patient rooms. To apply color shading: 1. Click View > Show Application View toolbar. 2. Click the Alternate Color button. 3. Select a color and click OK. 4. To save the change, click the Fix it Now button at the bottom of the window. This closes the Application View toolbar and saves the settings. — or — To close the toolbar without saving, click the close toolbar button. The original shading will be shown again the next time Telergy is started. Changing the area covered by PC Map View and PC List View Note: This topic applies to ProCare 6000 systems only. For Telligence systems, this is handled in the Telligence Config Tool. To change the rooms or duty areas covered by PC List View and PC Map View, you must log on as the administrator and open the Application Suite Configuration home page. From there, you can access floor map configuration. For help opening the floor map configuration utility, see below. For help creating or modifying floor maps, see the Application Suite Configuration Online Help. Before you begin: If the Settings menu is not shown on the menu bar, you are logged on as a regular user. a. Close Telergy. b. Restart Telergy by clicking the GE Telergy Suite desktop shortcut c. Log on as the administrator. To open the floor map configuration utility: 1. On the Settings menu, click Launch Application Suite Configuration. This opens the Application Suite Configuration Login page. 2. Log on as the administrator. This opens the Application Suite Configuration home page. To add or remove rooms from the nursing unit, click Duty Area/ Room, Location. — or — To change the duty areas associated with the nursing unit, click Nursing Unit/Duty Area. 50 PC Map View Creating floor maps To create or modify floor maps, you must log on as the administrator and open the Application Suite Configuration home page. From there, you can open the floor map configuration utility. For help opening the floor map configuration utility, see below. For help creating or modifying floor maps, see the Application Suite Configuration Online Help. Before you begin: If the Settings menu is not shown on the menu bar, you are logged on as a regular user. a. Close Telergy. b. Restart Telergy by clicking the GE Telergy Suite desktop shortcut. c. Log on as the administrator. To open the floor map configuration utility: 1. On the Settings menu, click Launch Application Suite Configuration. Displaying a call summary To view a call summary: 1. Select the room. If only one call has been placed from the room, information is displayed about the patient who originated the call. If calls have been placed from both beds in the room, this identifies the room and displays information about the patient in bed A. 2. To view a summary about the patient in bed B, click the room again. Displaying a different nursing unit map PC Map View displays the floor layout of a single nursing unit. This procedure explains how to display a different nursing unit map. To display the next nursing unit in PC Map View: 1. From PC Map View, click NU on the left margin. Note: If you can't Open a specific nursing unit, you may not be permitted to view that unit. See your Telergy administrator for help. 51 Telergy Application Suite Help Displaying details about a patient or call To view call details: 1. Click D on the left margin. All patient rooms linked to PC Map View are highlighted with blue. 2. Select the patient's room. If there is more than one patient assigned to the room, a dialog box opens listing all patients in the room. 3. Select the correct patient and click OK. This opens the Details page. 4. Use the buttons at the bottom of the page to display different types of information. Note: For details about the information each button displays, refer to Basic layout of the Details page. 5. To return to PC Map View, click the Finish button. Note: Manually admitted patient names are displayed in list view and map view. Recall Events in Details The word Recall appears on the Details page when the call being responded to is a ReCalled event. See figure below: 52 PC Map View Hiding and showing hover text PC Map View can show an information box (like the one below) when the mouse hovers over a room. By default, this feature is turned off, but you can turn this feature on. The information box displays the room number, bed number, call level, patient name, and if a call is taking place, how long the call has been active (elapsed time). If a call in the room was placed on remind and then recalled, ReCall is displayed below the room number indicating that the call was previously on remind. Map View with hover text turned on To show or hide hover text: 1. On the View menu, click Other Properties. The Views dialog box opens. 2. 3. In the Hover section, select one of the following options: • To show the information box, select Hover On. • To hide the information box, select Hover Off. Click OK. 53 PC Messaging What is PC Messaging? PC Messaging is a member of the Telergy suite of applications. It is used for creating, storing, and sending text messages to pocket pagers and phones. The PC Messaging workspace is shown here. The numbers 1 through 5 show the steps to follow to send a message. The numbers from 1 to 5 show the steps to take to send a message. Click the buttons, text boxes, and other controls for information on how they are used. Starting PC Messaging You can open any PC Messaging by selecting it from the Applications menu. To start PC Messaging: 1. On the Menu bar, click Applications. 2. From the Applications menu, select PC Messaging. Closing PC Messaging Logging off from an individual Telergy application closes that application, leaving other Telergy applications running. To close PC Messaging: 1. Click the LogOff button. 2. When prompted to confirm the action, click Yes. Deleting messages Regular users can delete only the messages they have created. The administrator can delete any message regardless of who created it. Note: Messages are saved for 30 days and then automatically deleted. To delete a message: 1. Select the message to be deleted. 2. Click the Delete button. 3. Click Yes to confirm deleting the message. Deleting messages created by a specific user The GE Application Logins utility enables you to view and delete messages by user. To delete messages created by a specific user: 1. Start the GE Application Logins utility, if it is not already open. 2. Locate the user name whose messages you need to delete. 55 Telergy Application Suite Help 3. In the PC Messaging column, click Yes or No. A Messaging section is added to the page. Any messages created by the selected user are listed. 4. Highlight the messages to be deleted and click Remove. 5. When prompted to confirm the delete action, click OK. Selected messages are removed from the list. 6. Close the GE Application Logins utility. Message transmission results A series of messages in the status box report the ongoing progress of the transmission. The following image shows a sample status message. Point or click the image for an explanation of each segment of the status message. The following table describes the status messages shown in PC Messaging. Status Description Sending The system is in the process of transmitting the message. Accepted The paging device has received the message. Rejected The transmission has failed. Try sending the message again. 56 PC Messaging Responsetimeout The system has accepted the message, but could not deliver it before timing out. The system will hold the text message and attempt delivery again later. Pending message status The Pending Message Status field on the main screen displays messages that have been in a pending state for approximately ten seconds. When a message is sent and is not accepted or rejected within approximately ten seconds it displays in this field. Paging caregivers by name You can send a text message by supplying the caregiver's name. Use this procedure when you know who you want to page. • To send a message to whoever is assigned to a specific bed, see Paging caregivers by patient room or bed. • To send a message to a known paging device number, see Paging caregivers by paging device number. To page a caregiver by name: 1. Start PC Messaging and log on if prompted. 2. Select the nursing unit. 3. Click the Staff button. This displays the caregivers assigned to that nursing unit. 4. From the list, select the caregiver to be paged. 5. Type a message in the Message box, or select a message from the list, as shown below. 57 Telergy Application Suite Help 6. Indicate which caregiver will be paged by selecting his or her staff level. For example, RN, LPN, Tech, or Charge Nurse. (These labels are configurable and may differ on your system.) The staff member's name opens in the Selected Staff box. 5. From the list, select the patient's room or bed. 6. Type a message in the Message box, or select a message from the list, as shown below. 7. To allow PC Messaging to close automatically after the message is sent, select Logout after sending. — or — To keep PC Messaging open, clear the check box. 8. Click Send. 9. Setting PC Messaging session timeout You can set the amount of time PC Messaging is active before the session times out. To set the PC Messaging timeout period: 1. Open Application Suite Configuration. 63 Telergy Application Suite Help 2. Under Applications > PC Messaging, click Session Timeout. The PC Messaging Session Timeout screen is displayed. 3. From Session Timeout (In Minutes), select the desired timeout period. 4. Click Save. 5. Restart all PC Messaging client computers to allow the new setting to take effect. Session timeout operation Once you are logged in, a countdown starts for the current session. When the time period ends, the system automatically logs you off. While working with PC Messaging, a message is displayed when there is 60 seconds remaining for the session timeout period. If you do not want the current session to end, click the Extend Session button next to the message. This restarts the timeout period and the message disappears. 64 PC Netboard What is PC NetBoard? PC NetBoard is a member of GE Telergy Suite, a set of computer applications that extend the capability of Telligence and ProCare 6000 nurse call systems. PC NetBoard is a computer-based white board that provides nursing staff with up-to-the-minute patient information in a single application window. PC NetBoard can be used in ProCare 6000 or Telligence systems. Automatic data retrieval and display PC NetBoard displays information drawn directly from hospital databases and updated continuously. For example, patient information and census data is retrieved directly from the hospital’s Admit-DischargeTransfer (ADT) system (if ADT Interface is installed). Nursing assignments and related caregiver information are retrieved from PC Assignments and the ProCare 6000 or Telligence nurse call systems. In addition, if your system includes Versus location tracking, PC NetBoard can also show the rooms or hallways where individual staff members are located. Changing the information that NetBoard displays The supervisor or administrator can make changes to the information that NetBoard displays. These changes are visible only in NetBoard and do not affect system data. This includes selecting which data columns to show or hide, and editing text displayed to display a nickname, add notes on patient medications or dietary restrictions, or to manually admit, discharge, and transfer patients. Text messages From PC NetBoard, you can launch PC Messaging to send text messages to pagers and other communications devices throughout the facility. Customizing PC NetBoard All users can customize many aspects of the PC NetBoard display. Changes made by regular users are keyed to their user logon. Changes made by the administrator become the default view for all NetBoard users. Starting PC Netboard You can open any PC Netboard by selecting it from the Applications menu. To start PC Netboard: 1. On the Menu bar, click Applications. 2. From the Applications menu, select PC Netboard. Closing PC Netboard Logging off from an individual Telergy application closes that application, leaving other Telergy applications running. To close PC Netboard: 1. Click the LogOff button. 2. This command opens PC Messaging so that you can send a text message to a staff member. Adding a column A supervisor or the administrator can decide which columns to add to PC NetBoard and which to remove. To add a column: 1. On the View menu, click Show Application View Toolbar. A column of buttons appears down the left side of the window. 2. Click the Edit Columns button. The Edit Columns dialog box appears. 3. Under Available Fields, select the column to be added and click Add to First Row. The selected column appears under Selected Fields. 4. Use the arrow buttons to move items up or down the list. 5. When you have finished adding columns, click OK. 6. Click the close toolbar button. 7. To save the change, click the Fix it Now button. Adding notes You must be logged on as a supervisor or as the administrator to add notes to PC NetBoard. PC NetBoard also provides blank cells that a supervisor or the administrator can use for adding notes. Blank cells are not displayed by default, so you must first add the column to the table and give it a custom heading. Bed Field Name and Patient Field Name are cells you can edit. Any edits that are made to these cells will be visible to all PC NetBoard users. Blank cells should be renamed by the administrator to something more meaningful, like Diet or Allergies. The bed field name cells are bed-related cells that can be edited for any bed displayed in PC NetBoard. The patient field name cells are patient-related cells that can only be edited if a patient has been admitted to the bed. To add text to a cell: 1. On the Operations menu, click Edit Text. 2. Click the cell where the note will be displayed. This opens a dialog box for typing notes. 3. Type the note and click OK. The note is added to the selected table cell. Note: If you edit a cell that typically displays system data, an asterisk (*) will appear in the cell to indicate that you have overwritten the system data. 67 Telergy Application Suite Help Adjusting column widths As in other standard Windows-based applications, you can drag the column headings in the PC NetBoard table to increase or decrease the column widths. To adjust the width of a column: 1. Point to the boundary between two column heads. The mouse pointer resembles the one shown here: . 2. Click and hold the left mouse button and drag to increase or decrease the column width. 3. To save the change, click the Fix it Now button. For example, you could change RN to Nurse #1. Renaming a column heading changes the label only and does not change the type of information displayed. The new heading will be seen in all Telergy applications and by everyone at your facility who uses Telergy. Columns are renamed using Application Suite Configuration. For instructions on opening Application Suite Configuration, see below. For instructions on renaming columns, see the online help provided in Application Suite Configuration. To open Column Headers configuration utility: 1. On the Settings menu, click Launch System Configuration. This opens the Application Suite Configuration Login page. 2. Log on as the administrator. This opens the Application Suite Configuration home page. 3. Click Column Headers in the Applications section. 4. Edit the column names as needed. To open online help for this page, click the Help link. Editing text You can edit or remove text in note cells and in editable system data cells. PC NetBoard allows a supervisor or the administrator to overwrite system data with alternate text in certain cells. This does not change the system data. For example, if a patient has been moved to another room, you can change the displayed text immediately instead of waiting until the transfer has been entered into the ADT system. Click the cell that you want to edit. A dialog box opens, displaying the current text. 3. Make the needed changes to the text and click OK. Finding caregivers assigned to a patient PC NetBoard can display up to three caregivers for each patient. To find the caregivers assigned to a patient: 1. 70 Be sure the following columns are displayed in PC NetBoard: Attending Medical Record# PC Netboard RN LPN Tech Your administrator may have renamed the RN, LPN, or Tech columns in PC NetBoard. Use the terms established for your facility. If you need help displaying these columns, see Adding a column. 2. In PC NetBoard, locate the row showing the patient's information. To do this, you can sort by Bed/Room, Patient Name, or any other column containing known information about the patient. If you need help sorting, see Sorting data. The caregivers assigned to that patient are displayed in the Primary Name, Secondary Name, and Tertiary Name columns. Hiding or showing the column heads A supervisor or the administrator can choose whether or not the column heads will be displayed in PC NetBoard. To show or hide column heads: 1. On the View menu, click Show Application View Toolbar. A column of buttons appears down the left side of the window. 2. Click one of the following buttons: Show Header Hide Header 3. To save the change, click the Fix it Now button. 4. Click the close toolbar button. Locating nursing staff If your facility is equipped with a Versus location tracking, PC NetBoard can display the locations of staff members in your nursing unit who are wearing locator badges. To display staff location data in PC NetBoard: 1. Be sure the column Staff in Room has been added to PC NetBoard. Notes • If you need help displaying this column, see Adding a column. • Your administrator may have renamed the Staff in Room column in PC NetBoard. Use the heading established for your facility. Manually admitting a patient to a bed Patient admissions, discharges, and bed transfers are performed in the facility's ADT system and displayed in PC NetBoard. If this information is incorrect for any reason, you can use PC NetBoard's Manual Admit function to display the correct patient information in PC NetBoard. 71 Telergy Application Suite Help You must be logged on as a supervisor or as the administrator to admit a patient to a bed. To manually admit a patient: 1. On the Operations menu, click Manual Admit. 2. Select a bed. The Enter Patient Name dialog box appears. 3. Type the patient name and click OK. The patient name appears in the patient name fields for the selected bed. Asterisks (*) mark the fields where system data has been overridden. Notes • Manually admitting a patient in PC NetBoard does not change the information in the facility's ADT system. It only displays the corrected patient information in PC NetBoard. • If you manually admit a patient in PC NetBoard, that change will be visible to all PC NetBoard users. • You can restore the patient information from the ADT system at any time. See Restoring system data to cells. Manually discharging a patient from a bed Patient admissions, discharges, and bed transfers are performed in the facility's ADT system and displayed in PC NetBoard. If this information is incorrect for any reason, you can use PC NetBoard's Manual Discharge function to display the correct patient information in PC NetBoard. You must be logged on as a supervisor or as the administrator to discharge a patient from a bed. To manually discharge a patient: 1. On the Operations menu, click Manual Discharge. 2. Select a bed and click Finish. The patient's name is removed from the bed. Asterisks (*) mark the fields where system data has been overridden. Notes • Manually discharging a patient in PC NetBoard does not change the information in the facility's ADT system. Manually transferring a patient to another bed Patient admissions, discharges, and bed transfers are performed in the facility's ADT system and displayed in PC NetBoard. If this information is incorrect for any reason, you can use PC NetBoard's Manual Transfer function to display the correct patient information in PC NetBoard. You must be logged on as a supervisor or as the administrator to transfer a patient between beds. 72 PC Netboard To manually transfer a patient: 1. On the Operations menu, click Manual Transfer. 2. Select the bed to which the patient is currently assigned. If you transfer the patient to a bed that already shows a patient name, the transferred patient will replace the existing patient. Asterisks (*) mark the fields where system data has been overridden. 3. Select the bed in which the patient should be transferred and click Finish. The patient's name moves from the old bed to the new bed. The name will be preceded by an asterisk (*) to indicate that you have overwritten the system data. Notes • Manually transferring a patient in PC NetBoard does not change the information in the facility's ADT system. It only displays the corrected patient information in PC NetBoard. • If you manually transfer a patient in PC NetBoard, that change will be visible to all PC NetBoard users. Printing information If your computer is connected to a printer, you can print the information shown in PC NetBoard. The name of the displayed nursing unit appears in the page header. You can preview your printed report and change print settings in the Print Preview dialog box, shown below. For more information, click the buttons and controls shown in the figure below. To print information from PC NetBoard: 1. Display the information as you want it to appear on the printed page. Remember that you can add or remove columns, move columns, and make other adjustments. 2. On the File menu, click Print. 73 Telergy Application Suite Help The Print Preview dialog box appears. 3. Set your printing preferences using the Print Preview dialog box. 4. When you are ready to print the document, click the printer button. The document is sent to the selected printer. Removing a column A supervisor or the administrator can decide which columns to add PC NetBoard and which to remove. To remove a column: 1. On the View menu, click Application View Toolbar. A column of buttons appears down the left side of the window. 2. Click the Edit Columns button. The Edit Columns dialog box appears. 3. Under Selected Fields, select the column to be removed and click Remove. The selected column appears under Available Fields. 4. When you have finished removing columns, click OK. 5. Click the close toolbar button. 6. To save the change, click the Fix it Now button. Removing manual edits and restoring system data This topic explains how to restore system data to cells that have been edited. You must be logged on as a supervisor or as the administrator in order to edit displayed text. Only the following cells can be edited and restored: • First Name • Last Name • First, Last • Attending • Medical Record # To restore system data: 1. On the Operations menu, click Restore ADT Data. 2. Click each cell to be restored. The cell changes color and shows the current data from system databases. Asterisks (*) marking the field are removed. 3. If you are restoring system data to multiple cells, repeat step 2 to restore the data to the remaining cells. 4. When you have finished restoring system data, click Finish. 74 PC Netboard Sending a text message If you have logon privileges for PC Messaging, you can page nurses and other caregivers while working in NetBoard. To send a message: 1. Select the correct nursing unit, if it is not already displayed. 2. Click the Operations Wizard and select PC Messaging. This highlights any columns that lists assigned caregivers. 3. Select the staff level, for example RN, LPN, or Tech. If the message pertains to a patient, locate the patient's name or bed number and click the corresponding caregiver. This opens PC Messaging. Information about the patient and caregiver is already entered. The message box and the message list are highlighted. 4. Type a message in the box, or select a standard message from the list. If you want to return to NetBoard automatically after the message is sent, select the check box labeled Logout after sending. 3. Click Send. The following status messages show the transmission status: Status Description Sending The system is attempting to send the message. Accepted The message has been sent. Rejected The system has refused the message. Try sending it again, now or later. Responsetimeout The system has accepted the message, but has been unable to deliver it to the caregiver. The system will hold the page and will try to deliver it at a later time. 5. Watch for the final status to be sure the message was received before returning to PC NetBoard. Sorting data You can sort on any column in the PC NetBoard table to change the order of rows in PC NetBoard. To find a specific bed, for example, sort by bed number. To find a specific patient, sort by patient last name or first name. To sort on a column: 1. Click the column head. To reverse the sort order: 1. Click the column head a second time. Viewing a different nursing unit To change the nursing unit: 1. Click the Operations Wizard and select Nursing Unit. 75 Telergy Application Suite Help 2. Select the nursing unit that you want to view. 3. Click Finish. 4. If you are prompted to confirm this action, click Yes. This displays information on the selected nursing unit. Note: If you cannot view a specific nursing unit, you may not have access rights to that unit. Contact your administrator for help. Viewing active reminders If the Reminder Active column is displayed in PC NetBoard, you can see which rooms have reminders set. If this column is not displayed, see your system administrator for help. To see which rooms have pending reminders: 1. Scan the rows in PC NetBoard. The Reminder Active column is highlighted in green for each room with an active reminder. Note: Your administrator may have renamed the Reminder Active column in PC NetBoard. Use the column name established for your facility. Viewing rooms with active calls Cells in the Call Active column are highlighted in green for any rooms with active nurse calls and reminders that have timed out. If this column is not displayed, see your system administrator for help. Note: Your administrator may have renamed the Call Active column. Use the heading established for your facility. 76
