IMPORTANT CANCELLATION POLICY: Cancellations made on or after 20 April, 2012 will result in a penalty
of 100% of your reservation.

IMPORTANT CHANGE POLICY: If you need to shorten your stay, to avoid penalties, you must change your
reservation no later than 19 April, 2012.
If you shorten your stay within on or after 20 April, 2012, you will be charged for all nights not used.
NO-SHOW: If you fail to check-in on the scheduled date of arrival, the Hotel will automatically charge your

Please make sure that your packing is of an adequate nature that protects the goods and which can be
overstacked. All pieces should be capable of being moved by a pallet truck / forklift.
Non-EU Shipments (shipments which require customs clearance)
All shipments sent from outside the EU will require customs clearance. This includes shipments sent by courier.
Please Note: Courier companies can only clear shipments that are valued at not more than 40.00 CIF per
shipment. If your shipment is valued at more than 40.00, the courier company needs the VAT Number (Tax
Number) of the consignee, and also a power of attorney to clear the shipment on the consignee s behalf.
If your shipment is only a low value literature shipment then a Courier may well work.
If you shipment is non literature and/or of a higher value, a courier shipment may require a regular customs
clearance.
If we have to be come involved we will charge for our involvement; please find this in the tariff section. You should
also not that it might take an additional 3 days to clear a courier shipment that has been held by customs.
We do not recommend the use of couriers for shipments that originate from outside the EU however, for low
value literature shipments that are for insertion into the delegate bags only, we have a separate information sheet.

If you plan to send Non-EU that require customs clearance by truck please contact
us to discus you requirements, the arrival deadlines, and the details for addressing
the T Form.
Arrival by courier:

Invoices
Please supply different invoices for permanent import and temporary import goods; we attach invoice forms for
your use.
Please supply six copies.
They should be signed and stamped.
State on your invoice No Commercial Value, for exhibition purposes only
ATA Carnet
If you wish you can use an ATA carnet to import your goods into the Czech Republic. If you are intending for your
goods to travel around the EU after the IGHC then using an ATA Carnet would be the best plan. You will have to
supply 4 letters of authority to use the ATA carnet on your behalf. Please leave the name of the authorised party
blank we will fill in the appropriate details.
If you need any help for the wording of such a letter please ask and we will be happy to oblige.
All documents must arrive with the goods.
Copies of the documents must be sent in advance of shipment, to arrive 2 days before the arrival of the goods,
together with a pre-advice of the flight details, copy AWB etc.

Goods which are imported on a permanent import (literature, give-aways and consumables) will have Duty and
VAT paid on import. Goods which are under temporary import must be re-exported in full; they cannot be sold,
given away or otherwise disposed of.

The charging will be according to whichever yields the greater.
All work is undertaken at owner s risk and in accordance with our terms and conditions of trading, copy of which is
available on request. European International (Fairs) Ltd acts as an agent only and does not operate its own
vehicle, containers, aircraft or vessels. Where carriage is undertaken by these modes of transport it is subject to
the terms and conditions of that carrier. We do not insure goods on your behalf; we recommend that you ensure
that your goods are adequately covered for the movement to, the duration of and the return from the exhibition.
All rates quoted are based on current freight and exchange rates and if these change we reserve the right to reflect
this in our final invoice. They are based on the suitability of available services and if this availability changes we
reserve the right to adjust timings and final prices accordingly. They do not include any surcharges raised by
carriers in special circumstances e.g. pallet surcharges on light but bulky shipments. All rates are based on work
being carried out in normal working hours and exclude overtime, upper floor surcharges etc.
Unless specifically stated rates do not apply to hazardous, perishable or out of gauge items, or any items which
require special handling; these will be subject to an individual quotation.
All goods and documents should be received by our given deadline. Otherwise they may be subjected to a late
arrival surcharge, with attendant extra costs.
Unless otherwise stated all rates exclude the following:
Marine Insurance.
Local duties and taxes.
Case fumigation
Labour and materials to re-pack (original materials will be used. Any fresh supplies are chargeable).
Customs Examination Fees.
Any official fees/charges that are imposed which are not specifically mentioned by us.
Waiting time, container demurrage, Port/Airport storage.
Storage before/after the exhibition.
Charges for removing waste/empty cases/unwanted stand materials.
Any full containers will be loaded/unloaded on wheels and removed from site unless otherwise instructed.
Payment
The invoiced amount is due for immediate payment. Any disputes or queries relating to invoices should be notified to
European International (Fairs) Ltd immediately.
By placing your freight with European International (Fairs) Ltd, or consigning it according to our instructions, the
exhibitor accepts our charges for handling, transportation and customs clearance related services, either quoted or unquoted. We suggest that you obtain a quotation from us in advance and give us all the necessary information in
advance to help us provide it.
A fully completed Order Form / Contract for Services will be required prior to commencement of work.
A bank fee of 3.5% will be levied on all credit card transactions.
We reserve the right to demand payment before release of goods, either before an exhibition or during onward
shipment from one.

Please note that all charges are per exhibitor, per shipment in Euros. They are based on work done in normal
working hours, applicable to cargo that is general crated / palletised cargo, packed and non-hazardous, that does
not exceed 300 kilos per piece or 100 x 120 x 195cms and which do not require special handling. No new packing
material is supplied in these prices. Any pieces which cannot fit into the hotel elevators will be unpacked
downstairs and handcarried to the correct destination. If this is necessary there will be extra charges depending on
what extra services were provided.

Re-export charges
The handling and customs clearance charges will be the same as the import charges.
Export freight rates will be by individual quotation.
Full truck Load
If you have a full truck load to be delivered direct to the venue please contact us in advance; the charges will be by
individual quotation.
Couriers:
As explained, the service for sponsor s goods that are for insertion into the delegate bags is covered on a separate
sheet.
Couriers are not recommended for non-EU shipments.
If you send goods by couriers the charges will be as per section 2.1 2.3
If we have to collect the courier shipment from the airport and deliver it to the venue, 2.4 will apply.
If we have to customs clear the courier shipment then charges as per section 4.0 will apply.
So if you do elect to send by courier, keep the value below 40.00.send only literature, and have the shipment
delivered on a customs cleared, duty paid basis, with the duty billed back to the shipper.
