Delta Gymnastics Society and Gymnastics BC are pleased to invite all BC
Gymnaestrada participants to join us at the Best of the West Gymnastics Fest at
the Richmond Olympic Oval from May 5 to 8th, 2016. This celebration features a
combination of three events, making it the largest gymnastics event in the
province.
The Best of the West Gymnastics Fest includes the Western Canadian Artistic
Gymnastics Championships, with teams representing all four western provinces
and two territories; the BC Provincial Gymnaestrada, a Gymnastics For All
program with participants from across the province; and the annual Delta
Invitational and Cash & Carry cup. Approximately 1,800 athletes will participate in
this one-of-a-kind festival that highlights the sport and activity of gymnastics from
recreational to elite levels.
The event will take place at the Richmond Olympic Oval, an iconic building that
will attract audiences to experience four unforgettable days of hard work and
celebration.

Gymnaestrada is a unique form of participation in gymnastics across all ages and
skill levels. The main focus is on group participation and performance. The primary
purposes of Gymnaestrada are to: promote and encourage the growth of PLAY
Gymnastics For All, inspire and encourage enjoyment in exercise, and showcase
the development of the participants.
In partnership with a member club, the BC Gymnaestrada is the largest PLAY
recreational gymnastics event in the province. During the annual event,
performers participate in workshops centered on teambuilding and cooperative
activities, and ultimately perform their group routines.

A 40’ x 40’ sprung floor will be provided in the performance venue along with
additional landing mats (if required). We encourage all groups to be as creative
as possible. We will also provide:





2 red crash mats
2 mini-tramps
Beat board
2 small wedges
1 set of trapezoid boxes
Coaches are responsible for both set-up and removal of any equipment required
for each group’s performance.
** Please note that a sprung floor is not standard for most Gymnaestrada events.
Most Western, National and World Gymnaestrada events are held on a nonsprung floor.
First Aid attendants will be onsite during the workshops and performances. Each
coach must carry the necessary written authorization to have his/her athlete(s)
treated. Each person must carry his/her provincial health care card. This is an
athlete only service and if taping is required, athletes must provide their own
supplies.
Richmond Hospital (7000 Westminster Hwy) is located 1 km away from the Oval
and across the street from the host hotels. There are two car entrances on
Westminster Hwy and on Gilbert Road.
The Best of the West Gymnastics Fest is committed to fostering positive
environmental, social, and economic impacts for current and future generations
within the local community.
As part of our sustainable event practices we are focusing on the following 6
areas:
1. Reduce waste and recycle: Please use the proper containers to divide any
waste from recyclable items. All spectators, participants, judges and coaches
are encouraged to bring their own refillable coffee/tea/water containers.
2. Make Smart Water Choices: Santevia Water is our sponsor providing us with 5
countertop units that will be available in our athlete “corrals” as well as in our
hospitality room (judges/coaches).
3. Establish a positive local impact
4. Promote Public and Clean Transportation (refer to the Transportation and
Parking sections)
5. Make Smart Food Choices: We are partnering with the City of Richmond to
provide composting stations. Please ensure you use the appropriate bins.
6. Support Sustainable Accommodation
All registered participants and coaches that wish to attend the Best of the West
prior to their workshop date are welcome to come early to pick up their
accreditation at the Richmond Olympic Oval Accreditation table.

Layout section.
Gymnaestrada participants and coaches that are unable to attend the Oval
prior to the performance date, accreditations bracelets will be distributed to
coaches during workshop registration at the Sheraton Vancouver Airport Hotel on
Saturday,
May 7.
All registered athletes and coaches MUST wear their accreditation bracelet at all
times to have event in and out privileges at the Oval and access to the floor.
The accreditation bracelets given to registered athletes and their coaches will
allow them free admission for the entire 4-day event (does not include admission
to Gymnaestrada performances for athletes not registered for that event).
All items left behind, will be taken to the Lost & Found table, located near the
Raffle and Info table. We ask that, if at all possible, you collect your items by
Sunday May 8 at 6:00 p.m. If you cannot come to the venue, please email
[email protected] with a description of the item(s) left
behind. DGS will not cover any shipping charges.
A coach from each group is expected to attend the Coaches Meeting before
their groups’ workshop session on Saturday (refer to Workshop Schedule). The
meeting will take place in the lobby outside of Ballroom A.
All registered participant will receive a yogurt parfait
after their performances courtesy of McDonald’s
Restaurant, our Hospitality Sponsor.
As well, coaches will be given a special
commemorative gift to distribute to registered
gymnasts at workshop registration on Saturday
(Sheraton Vancouver Airport Hotel) and a $5 voucher
towards the purchase of special event souvenir
apparel (refer to the Souvenir Event Apparel &
Vendors section).
Each club will receive one complimentary
commemorative poster and team sign.
Additional limited quantities of posters will be
available for sale for $2 each.
This unique event combines three events into one big celebration: the Best of the
West. We would like to encourage all to experience the entire event.
There is an admission charge to the performance shows for all spectators,
including parents and other guests.
Admission is CASH only. An ATM machine is located in the parking level by the
OCafe. As the venue is large, we recommend you have the cash on hand prior
to going to the admissions tables.
There are two admission entry points to the event:
 The South side is accessed via the lobby and to the 2nd floor. The event is
on the western most side of the venue.
 The North side is accessed via the river side (from parking exit north) and
to the upper plaza. The event is on the western most side of the venue.

Due to a SOLD OUT event for both the morning and afternoon
Gymnaestrada performances, admission procedures will change to
alleviate line ups and congestion. All Gymnaestrada ticket holders can
enter through the South side admission, and Cash & Carry and Delta
Invitational sessions will come through the North side admission.

There will be a matted Kid's Zone next to the performance floor for
responsible children ages 6 and up. Due to limited seating capacity,
children aged 6 and under will be required to sit on a parent’s lap.
** There will be NO will-call booth. Pre-sold tickets will be mailed from Gymnastics
BC to participating clubs in advance of the event. It is the clubs’ responsibility to
distribute pre-sold tickets to families and friends.

**IMPORTANT: 4-Day passes bought through Gymnaestrada preorders ONLY
will include access to all 3 events (Westerns, Delta Invitational and either the

Due to very limited seating, any 4-day passes bought at the door will NOT include

Transportation to Host Hotels by Bus:
All host hotels (Marriott, Hilton, Sheraton and Executive) offer free 24-hour shuttle
service to and from Vancouver International Airport to registered guests.
Transportation to Oval/Hotels from Vancouver Airport (YVR):
The Oval and Host Hotels are only a 10-minute drive from the airport.
Transportation by Sky Train to Oval/Hotels:
From the Airport take the train to Bridgeport station and change to Richmond
Brighouse. To go to the Oval - exit at the Lansdowne station (map next page) to
reach the Oval. From the Station to the Oval is about an 18 min. walk. To go to
the host hotels – exit at the Richmond Brighouse exit. From the Station the Hotels
are about a 10 minute walk (see map next page).

Parking: We strongly recommend the use of public transportation and/or walking,
as parking options at event venues are very limited.
Richmond Olympic Oval (see parking maps next page). There are 400 shared
parking stalls (with other user groups) for $1/hour up to $10/per day.
Westpark Pay parking has 40 parking stalls available for $1/hour or $6 for the day
and it is open from 6:00 a.m. to midnight.
Impark Parking (located at the corner of Gilbert Road and Westminster Hwy)
 #200 Richmond Health Sciences: 125 stalls for $3 for 1.5 hours, $6 for 3
hours, $9 for 4.5 hours and $12 for 6 hours.
 #636 Prospera (on Sunday only) 40-50 stalls for $2.50/hour or $12 for the
day and it is open from 6:00 a.m. – 6:00 p.m.
There is limited free parking on the street on River Road (from UBC Boathouse to
Cambie) and some additional sections (marked in green on the map below).
Parking at the host hotels is $10/day (for registered hotel guests only).
If you are staying at the host hotels (Marriott, Sheraton, Hilton, Executive), we
recommend that you walk to the Oval. It is 7 street blocks and it should take you
about 12-15 minutes to get there.

Participants should be in active-wear with long hair tied back. Participants are
encouraged to bring a reusable water bottle and snacks. Coaches will be provided
with lunch at the hotel. As much as possible, try not to send valuables.
Each team will receive 1-2 large plastic totes for storing and/or transporting
belongings during both workshops and performances.

Location: All workshops will be held at the Sheraton Vancouver Airport Hotel. Please
familiarize yourself with the map at the end of this section. A hard copy map will also
be provided in your coaches’ package (to be distributed at workshop registration).
Parents are to drop off and pick up participants at the designated zones (PLEASE
REFER TO PROCEDURES BELOW).
Workshop locations and times are marked on the map below and you can refer to
the schedule section for all details. All participants will rotate through each of the
workshops in groups. All workshops this year are 25 minutes in length, with the
exception of a shared 50-minute routine rehearsal timeslot.

is no parent/spectator viewing allowed.
Parent Drop Off/Pick Up Procedures:
To alleviate traffic congestion and to prevent unnecessary parking, please drop off
in front of the lobby or main entrance to the hotel (shown in map next page). Pick
up in front of the ballroom area (refer to map on next page).
Workshop Descriptions:
Juggling – Lead by Vancouver Circus School
Participants will learn basic juggling techniques with a variety of objects to help
develop the coordination skills necessary to become a juggler.
Acro Yoga – Lead by Devon French
Acro Yoga is a practice that combines yoga and acrobatics as a means of
improving concentration, strength and flexibility. In this workshop, athletes will try
different partner poses that focus on the principles of yoga movement.
Ballet – Lead by Liam Edgson
Ballet is an artistic dance form performed to music using precise and highly
formalized set steps and gestures. Ballet is characterized by light, graceful, fluid
movements. In this workshop, athletes will learn a ballet combination and the
techniques for spotting and pirouettes.
Pyramid Building – Lead by Circus West
This workshop will teach athletes the basics of building pyramids in small groups.
Athletes will learn how to develop the skills and techniques to perform basic hand
balances, working towards multi-level pyramids.
*Attention Coaches: In the interest of time, please have your athletes pre-arranged
into partners for this activity!
Clowning – Lead by Theresa Watts
During this workshop, athletes will learn how to walk, act, joke and perform like a
clown.
Photo Booth
Using your own cameras or phones, groups have the opportunity to take fun photos
using a variety of props. Share your team photos on social media using the event
hashtag #BOTW2016 or #BOTWstrada!
Group Routine Rehearsal
Each group has a designated rehearsal time based on the group size and
performance length. A full-sized non-sprung floor will be used. Please be respectful
of the schedule and the other groups that are sharing the rehearsal block and
space with you.
Flash Mob Rehearsal
The flash mob dance will be practiced as part of each session’s warm-up.
Additionally, as the routine rehearsal rotation is a shared time block, groups
are strongly encouraged to use the remaining rehearsal time block to

Performances will take place at the Richmond Olympic Oval on Sunday on a
sprung-floor.
Participants should arrive ready to perform as there is limited prep space at the
venue. There will be a designated dressing area for participants, please note that it
is a shared space with the other BOTW participants.
Make-up and hairspray are not permitted outside of the designated dressing room,
including washrooms. Please bring a water bottle. Coaches are strongly advised to
bring an extra copy of performance music.
Each team will receive 1-2 large plastic totes for storing and/or transporting

In the spirit of our “Step Right Up to the Circus” theme, all gymnasts will participate in
a choreographed flash mob after march-in highlighting the mass participation and
performance focus of Gymnaestrada.
Each team participating in the 2016 BC Gymnaestrada will receive a custom
decorative march-in display board featuring their team name as a keepsake.
A step-by step-video of the flash mob was sent out late February. Please download

prepared for the weekend. There will be a rehearsal opportunity on Saturday.
Groups are also are encouraged to practice while in the ‘down-time’ of respective
rehearsal workshop rotations to ensure we start the 2016 BC Gymnaestrada off with
a bang!

This event is now sold out.
All photos should have been submitted for inclusion in the 2016 BC Gymnaestrada
souvenir programs for the performances. Each club will receive a collage poster of
all team photos. A limited number of additional posters will be available for
purchase at the event. All pictures should be clear, bright and close enough to
easily see all performers’ faces. If your club has more than one display, please have
separate, clearly identified pictures for each display.
Please note: There is a $35 late fee for clubs sending in photos after Friday, February
19, 2016.All late fees will be enforced.
Gymnastics BC recommends that participating clubs have a maximum of two
displays with at least six participants per group. One display per participant is
allowed. The length of each routine should not exceed five minutes.
It is suggested for groups consisting primarily of younger athletes (six to seven years
old) that routines be shorter than five minutes. Groups requiring more than five
minutes should have filed a formal request and submitted it with their registration
(found in Workplan #1).
