Brewfest at the Barn is an event
presented by the Rotary Club of
Hendersonville. Money raised benefits
programs within our community.
The Rotary Club of Hendersonville supports a variety of
charitable and educational programs throughout the
Hendersonville and Sumner County community. To name a few,
our local focus includes our monthly elementary student-awards
or teacher-recognition programs or providing multiple
scholarships to well-deserving high school seniors to colleges
and universities of their choice. Further, we provide mentoring
services for at-risk students, a weekend backpack program, or
Interact Club support at local high schools.
Our county-wide focus provides support to programs such
as youth exchange, youth leadership awards, a community
outreach program for our schools and providing dictionaries to
every third grade student in the county.
In addition to the many youth programs we support, we
also support meals for the shut-ins, Veteran programs, medical
programs for the working uninsured, shelter for disaster-stricken
areas (locally & abroad), hunger aid (abroad), a medical mission
and so much more.

1. Brewfest at the Barn (hereinafter called “BF”) is RAIN OR SHINE. Fee is NON-REFUNDABLE. Should
unforeseen circumstances occur for event, Fee will be refunded;
2. Booth assignment will be made on a first-come, first-served basis. Only receipt of required fee constitutes payment
and booth assignment;
3. Booth space is open to retail and/or service provider vendors. BF reserves the right to determine eligibility of
vendor for inclusion in event and vendor is responsible for their own sales tax collection;
4. Fee is for SPACE ONLY. Additional $25 for electricity (unless you bring your own). You are responsible for
supplying tents, tables, chairs, power cords – anything that makes YOUR booth work;
5. Set up begins at 8 am and must be completed no later than 9 am, no exceptions due to layout. Any vendor who has
not yet arrived and set up prior to 9 am acknowledges that BF reserves the right to deny entrance and may assign
booth to another vendor, or make such other use of the space as deemed necessary or appropriate, with no refund
eligible to you; hours are subject to change by the Sumner County Convention and Visitors Bureau (hereinafter
called “SCCVB”); and you are not permitted to sublet booth without expressed written consent of BF;
6. All vendors’ vehicles must be removed from vendor area by 9 am. This area must be free of all vehicles to
ensure patron safety. Vendors will park according to directions given by BF parking staff;
7. Vendors will only use space assigned them by BF and will not enter event area without checking in first;
8. Event hours are as follows: Saturday, September 19, 2015 – 10:00 am – 6:00 pm;
9. Fee is for vendor space ONLY and for ADULTS ONLY (NO ONE UNDER 21 ALLOWED) and DOES NOT
INCLUDE TICKET FOR BEER SAMPLINGS. Should you decide to sample beer, you will be permitted to
purchase ticket at the advance price;
10. It is especially noted that: NO VENDOR (other than Food Trucks) is permitted to sell, trade, sample or give away
any food or drink item whatsoever – NO EXCEPTIONS;
11. Booth shall be kept intact until closing of event, at 6:00 pm. It is also specifically noted that all booths must be
dismantled and items removed by 10:00 pm on day of event, unless otherwise approved by BF and SCCVB;
12. It is specifically declared that all vendors will confine their activities to conform to specifications set by SCCVB
rules and regulations, and vendors shall abide by the general agreements between BF and SCCVB, and also for
specifications for booth space and the directions of both the Gallatin Police Department, Sumner County Sheriff’s
Department and Fire Marshall’s office for booths within the premises;
13. Vendor agrees to protect, save and hold The Rotary Club of Hendersonville, it’s Foundation and the Sumner
County Convention and Visitors Bureau and all members and officers thereof (collectively called “Indemnities”)
forever harmless for any damages or charges imposed for violation of any law or ordinance, whether occasioned
by the negligence of the vendor or those holding under the vendor, and save, and hold harmless the Indemnities
against and from any and all losses, costs, damage, from or out of by reason of said vendor’s occupancy and use of
the premises, or any part thereof. It is recommended that vendors take precautionary measures such as securing
easily transportable articles of value and their removal to a place of safekeeping before, during and after event
hours or while the booth is not manned. It is further agreed that all material brought by the vendor is the
responsibility of the vendor and the Indemnities disclaim all responsibility for these articles. The parties hereto
acknowledge that the foregoing disclaimer has been negotiated between the parties and is reflected in the charges
applicable to this Agreement;
14. Smoking is permitted in DESIGNATED AREAS ONLY!
15. No weapons or illegal substances allowed;
16. It is specifically noted that pets must be leashed, have updated shots and be non-aggressive. BF reserves the right
to request any person or pet leave the Premises.
