I.
Edgedrain/Draincrete Samples in LIMS
There have been recent changes to edgedrain/draincrete sample processing in
LIMS. These instructions describe how to process an edgedrain/draincrete
sample under the new process. Section 446 defines edgedrain/draincrete as a
non-structural material. Based on this, edgedrain/draincrete mix designs do not
have to be entered into the mix design table and tracked in the mix design
assignment table before the sample can be processed. This change should
make it easier and faster to process edgedrain/draincrete samples. However, it
does mean that the login screen has changed from the Concrete Sample Login
screen which is intended for structural concrete mixes to the Single Sample
Login screen.
II.
Logging an Edgedrain/Draincrete Sample into LIMS
Because the edgedrain/draincrete samples have been changed not to require a
mix design at login, you no longer need to verify that the mix design and plant are
assigned to the FPN for edgedrain/draincrete samples before processing the
sample. You can begin at Sample Login.
To log an edgedrain/draincrete sample into LIMS:
1.
Log into LIMS.
2.
Click on the Login tab.
3.
Click on the Materials Login icon.
An option list will appear.

Click on the Single Sample Login option.

The Single Sample Login screen will appear.

Complete the screen as identified below. Items with red numbers are
required or are needed for reports. Items with blue numbers are not
required, but you may wish to include them to further identify the sample
for project records.
1.
Project-Pay Item-Matl Id-Level-Year/Authority
These five fields are tied together in LIMS. Clicking on the drop down
arrow by any of the fields will generate a dialog box with all five fields.
Choose any option from the dialog box and click OK to populate all five
fields.
1a.
Project ID – Enter the correct Project ID for your sample. Click on the
drop down arrow to proceed.
1b.
Pay Item No – Choose the combination with the 446 1 1 pay item.
1c.
Matl ID – Select the combination with the 154 Material Id.
1d.
Level – Choose the combination with sample level V.
1e.
Year/Authority – Choose the combination with 200803/STD Spec 446.
NOTE: If the project, pay item combination with Material Id 154/Spec ID
200803/STD Spec 446 is not assigned to your project, select any entry from your
project that has the 446 1 1 pay item and Sample Level V and use the Material
Id On Spec Fields to change what is on your project to the 200803/STD Spec
446 entry.

Click on the line with the correct combination to highlight it. Click OK to populate
all five fields.
2.
Matl ID On Spec/Level/Auth/Year
These four fields are tied together in LIMS. Clicking on the drop down
arrow by any of them will generate a dialog box with all four fields. By
choosing any option, you populate all four fields.
2a.
Matl ID (On Spec) – Use this field if the correct project/pay item
combination with a Material Id you need is not on the project/pay item drop
down list. Click on the drop down arrow and find the appropriate Material
Id on the list in the Specification Table dialog box. Select the option with
Material Id 154.
2b.
Level – Choose the combination with Sample Level V.
2c.
Auth – Choose the combination with STD Spec 449.
2d.
Year – This is the FDOT Standard Specification year that is being
referenced for the testing requirements and acceptance requirements.
This field includes the month and year designation.
Click on the option with the Spec Year 200803 to highlight it. Click OK to
populate all four fields.

NOTE: The Matl Id on Spec option allows users to select Material Id
combinations that are no longer valid. There is no way to program LIMS to hide
these selections. Be careful with the selection and ensure that all four fields are
correct. For example, do not select an option with a Spec Authority of “From
CQR System”.
3.
Sub Matl ID – If you used the Matl ID on Spec field, type the 154 in this
field. If you didn’t use the Matl ID on Spec field, leave this field blank.
4.
Destination LabID – This field is not blank in LIMS. It defaults to the Lab
ID your user ID is assigned to. In most cases, the default Lab Id will be
correct.
5.
Date Sampled – This is a required field on all samples. Enter the date the
sample was taken.
6.
Sampled By (TIN#) – Enter the Technician Identification Number of the
person who sampled the edgedrain/draincrete.
7.
Sample No – Enter the FDOT sample number.
8.
Lot No – Enter the lot number as defined by Specifications Section 446.
9.
Sta From – Enter the beginning station representing the material location.
10.
Sta To – Enter the ending station representing the material location.
11.
Samp From – Enter the location where the sample was taken. Some
examples are stockpile or the station where the sample actually came
from.
12.
Rdway Side – Select from the drop down: R = right; L = left; C =
composite.
13.
Offset Dist – Enter the distance from the survey line the sample was
taken from.
14.
Offset Dir – Enter R for right of the survey line or L for left of the survey
line.
15.
Mainline – if the survey line is a mainline, enter Y for yes. Otherwise,
enter N for No.
16.
Reference Line – Choose the correct survey line from the drop down list.
If another line was used, choose notepad and enter the correct information
in the notepad.

17.
Road No. – Enter the State/County/City designated Road Number.
18.
Quant Rep – This field is part of the Quant Rep field from the Sample
Transmittal card. The Sample Transmittal card input in this field is both
the quantity and the unit of measure; for example, 500 LF. In LIMS, the
input is broken into two fields; Quant Rep and Unit of Measure. To use
the previous example of 500 LF, enter 500 in the quantity represented
field and LF in the Unit of Measure field.

Unit of Measure – See above.
20.
Plant No – Edgedrain/draincrete samples no longer require a plant
number at login. If the edgedrain/draincrete was produced at a plant on
the FDOT list of Structural Concrete Producers with Accepted QC Plans,
or the Non-Structural concrete plant list. If the plant number is not on one
of these lists, you may leave this field blank.
21.
Design Mix No – Enter the correct mix design number or select if from the
drop down list. Because mix design numbers for edgedrain/draincrete are
no longer required, the mix design number may not be listed in the mix
design table. If the mix design number representing the sample is not on
the drop down list, leave this field blank and enter the mix design number
in the remarks field.
NOTE: Because plastic properties are field sampled and tested, it is not
necessary to complete the Submitted By information. You may do so if you wish,
but it is not needed.

Remarks – This field is limited to 66 characters. Include in the remarks as
much of the information below up to 66 characters. Use Notepad for items
longer than that. Enter the mix design number in the remarks field if it was
not on the mix design drop down list.

The next fields are not part of completing the login screen. Once the login
screen is complete, follow these steps to get a LIMS Sample Id and complete the
login process for the sample.

Initiate – Once you have input all the sample information, click on the
Initiate icon. LIMS will review the input data for completeness and
correctness. If any required fields are missing or incorrectly formatted, you
will receive an error message.
You will see a message in the lower left corner of the screen “1 Sample Initiated;
Waiting for Processing”.

Notepad – If you want to add additional information to the sample that will
not fit in the remarks field, use this icon to open the notepad.
Click on the Notepad icon.

Type in the information.
Click on the Save icon to add the notepad to the sample and return to the
Sample Login Screen.

Process (Save) – Once sample data is complete, click on the Process
(Save) icon. If you abandon the sample login prior to processing, the
sample information is lost and you will have to reenter the data.
When you click on the Save icon, you will receive a message “Sample
XXXXXXXXXX Logged” (XXXXXXXXXX = LIMS Sample ID)

III.
Edgedrain/Draincrete Sample Receipt
Since the tests for these samples are performed in the field, Material Id is
designated as Auto-Receipt. You do not have to receive these samples. They
skip this stage and go directly to the Result Entry stage after Sample Login is
complete.
IV.
Edgedrain/Draincrete Sample Result Entry
Test the material for edgedrain/draincrete according to Florida Test Method FM5570 dated April 1, 2008. This version of the test method aligns with the FDOT
Specification requirements for the drain rate.

Click on the Result Entry tab.
Click on the Test Entry by Sample Icon.
The Test Entry by Sample Screen will appear.

Enter the LIMS Sample Id.
4.
Click on the Search icon to find the sample.
The screen with the result entry fields for FM5-570 will appear.

Enter the test results for both tests.
A.
LIMS Test FM5-570Z – EdgeDrain/Draincrete 1.
Performed By – Enter the TIN of the person who performed the
test.
2.
On – Enter the date the test was performed.
3.
Cylinder 1 ounces – Enter the total ounces of fluid used to perform
the test on cylinder 1.

NOTE: The test method assumes you are using 128 ounces for these tests. The
LIMS test allows you to enter another amount. Since the test method requires a
minimum of 128 ounces, this field should never be less than 128.

Cylinder 1 seconds – enter the total seconds taken for the water
to clear the surface of cylinder 1.
Cylinder 2 ounces – Enter the total ounces of fluid used to perform
the test on cylinder 2.
Cylinder 2 seconds – enter the total seconds taken for the water
to clear the surface of cylinder 2.
rate – LIMS will calculate the drain rate for Cylinder 1 and Cylinder
2 when you click on the Update icon by dividing the total ounces by
the total seconds for a drain rate in ounces per second.
B.
LIMS Test FM5-570Z2 – Avg Rate for Two Draincrete Cylinders
This test is designed to calculate the average drain rain for both cylinders and
determine if the material meets Specification requirements.

Performed By – Enter the TIN of the person who performed the
test.
On – Enter the date the test was performed.
avg – LIMS will calculate the average of the two rates from FM5570Z when you click on the Update icon. If the Rate is greater than
or equal to 6, LIMS will show the test as passing. If it is less than 6,
LIMS will show the test as failing.
Update – click on the Update icon when the data entry fields for both tests
are complete.

V.
Edgedrain/Draincrete Sample Validation
Once the test results are entered, you are ready to validate the tests on the
sample. The validation stage is designed to allow you to review the test results
before the sample is approved. At this point, you can change the some test data
without the assistance of the District Application Coordinator.
To review the data and make changes if needed:
1.
Click on the Validate Tab.
2.
Click on the Validation by Sample icon.
The Validation by Sample Screen will appear.
3.
Enter the LIMS Sample Id.
4.
Click on the Search icon.
The sample information will appear on the screen. The only test you will be able
to change is the FM5-570Z test.
5.
Review each test result to verify the data was entered correctly.
If the results are correct, skip to step 10.
If the results are incorrect:

Click on the test description to highlight it.

Click on the Change Status icon.

A dialog box will appear with the test status of Pending highlighted.

Click OK to roll the test back to pending and erase the incorrect results.
The test is now blank, but you cannot see that from this screen.

Go back to the result entry screen and reenter the test results. When you
update the sample with the correct test results for this test, LIMS will recalculate
the averages on the FM5-570Z2 test.
10.
Go back to the Validation by Sample screen and verify that the new
results are correct.
Once you have verified all the tests are correct, you are ready to validate the
tests and pass the sample to the Approval stage.

Click on the Validate All icon to validate all the tests on the sample at
once.
The Sample Status will be changed to Validated when the process is complete.

VI.
Edgedrain/Draincrete Sample Approval
Follow the LIMS User Manual instructions for sample approval for
edgedrain/draincrete samples. The suggested method for approving samples in
LIMS for project based samples is Approval by Project. LIMS also has an option
to approve samples based on Project and Material Id. For edgedrain/draincrete
samples, this is the best option.
To retrieve samples that are ready to be approved:
1.
Click on the Approve Tab.
2.
Click on the Approval by Project icon.
An option list will appear.
3.
Click on the Approval by Project/Material option.
The Approval By Project/Material screen will appear.
4.
Enter the Financial Project Id and the Material Id.
5.
Click on the Search icon.
The screen will be populated with all the samples on the project under the
Material Id that are Validated, Awaiting Approval.
Always review each sample before approving it. To review a sample:

Click on the LIMS Sample Id to highlight it.

Click on the Select Sample icon.

The Approve One Sample screen will appear with the sample and test details.
Before approving the samples, ensure the sample and test result information is
correct including:
a.
Plant Number
b.
Mix Design Number – entered in the mix design number field or remarks
c.
FDOT Sample Number
d.
Test Results are correct and complete
e.
Include any special comments, notes or remarks in the Notepad.
When your sample is ready to be approved:

Click on the drop down arrow next to the Approval Status field.

Select the RS option since edgedrain/draincrete is not a Contractor
Quality Control material.
