AQUA SUR, is an event recommended for adults over 18 years. Children can only visit the fair

on Saturday, October 25 , in company of an adult.

AQUA SUR offers exhibitors different types of stands:
- Basic Modular System Stand
- Equipped Modular System Stand
- Non-Modular System Stand
- Outdoor Stand
The characteristics of each one are described below:
1.2.1. BASIC MODULAR SYSTEM STAND
Basic Modular System Stands are interior booths delimited by 2 or 3 wall panels. Regardless of the size,
each stand contains the following elements shown below. In exceptional cases, some stands may have only
one wall panel.

Wall Panels: The partitions used in AQUA SUR stands are made of white melamine board, applied at
the back and side divisions. The structure is light gray aluminum. The dimensions are 1 m wide by 2.5
m tall. The usable space is 97. cm (width) x 241 cm (height).
Exhibitor’s Name Sign: Flat front sign that contains the stand number and exhibitor name in a
standardized font size of 10 cm (height).
Furniture: The amount of furniture included in a Basic Modular System Stand rental is proportional to
its size (see table below).
Basic Electricity and Lighting: The electricity and lighting included in these stands is proportional to

their size, considering 40 watts per m (see table below).

1.2.2. EQUIPPED MODULAR SYSTEM STAND
Type of stand that is totally equipped with furniture (counters, tables, chairs, etc.) and graphics, with the
objective of adequately resolving the exhibiting needs of companies that do not desire to build special
projects, but require more equipment than the one supplied in Modular System Stands.
1.2.3. NON-MODULAR SYSTEM STAND
A Non-Modular System Stand is an interior stand without its own wall panels and the equipment described
in items 1.3.1 and 1.3.2. above. In this case the organization will provide the stand with a blue floor covering,

or simply a floor outline, depending on the exhibitor’s preference. An outlet providing 40 watts per m is
placed at one point of the stand. Sockets are not provided, nor are back or lateral panels.
1.2.4. SPECIAL PROJECTS
Special projects are built in a Non-Modular System Stand. These projects, however, must be
submitted to the approval of AQUA SUR’s organization team through Form N° 2 at www.aquasur.cl/exhibitors/services_forms.
1.2.5. OUTDOOR STAND
The outdoor stand consists of an outdoor space in the area located in front of the halls. The space will

be provided marked and with an outlet (without socket) of 20 watts per m .

The following dates are important and must be adhered to in
order to effectively program your participation in AQUA SUR.
The dates below are the deadlines for the reception of the series of forms regarding the
construction of your stand or the request of services. Those who do not adhere to these deadlines
may be charged extra service costs or risk the unavailability of the requested items.

All stands must be completely finished on Tuesday, October 21 by 6:00 pm, including the removal of
leftover materials and trash from the construction.
Note: After the indicated hour, all electricity and lights will be shut off.

Stand removal begins on Saturday, October 25 by 3 pm, once visitors have left the show.
During this day it is only allowed to take out from stands objects that could be carried by hand,
and it is strictly forbidden the use of forklifts, trolleys, and load trucks at the fairgrounds

3.1. APPROVAL OF SPECIAL PROJECTS
The construction and decoration of special projects must be approved by the Organizer prior to any
project setup on the fairgrounds. To be approved, the project layout and specifications must be

presented before September 15 , 2014 through Form N°2 found at www.aquasur.cl/exhibitors/services_forms. Or if you wish, e-mail [email protected] with copy to
[email protected].
3.2. STAND SETUP
The setup dates and time schedules for all stand types are found in section 2.5. Due to the short
time frame, we strongly suggest and greatly appreciate that the following matters are kept in mind,
which will significantly economize the costs of your presentation:



Define the design and content of your stand with as much anticipation as possible.
Design material to be setup so that it can be pre-assembled and tested in advanced.
Ship the stand as finished as possible so that the setup on site requires only minimum
assembly and finishing touches.

The final touches and equipping of your stand must be complete by Tuesday, October 21 , at 6
pm. At this time the Organization will start the cleanup and preparation for the opening ceremony
and inauguration of the show.
During the setup we ask that you be careful of the floors, walls, roofs and other structures of
the premises. No infrastructure of the Modular System Stands (basic and equipped) may be
altered or damaged. If you should have any need in this regard you must re quest the
Organizer’s permission in order to know whether it is feasible or not. Editec S.A. will directly
charge the exhibitor for any damages incurred on the fairgrounds property by the exhibitor or
the exhibitor’s subcontractor.
For safety, operation and legal regulatory reasons, any primary construction work
within the fairgrounds is prohibited (welding, carpentry, metal cutting, spray gun
painting, etc.). All components of the project must be prefabricated, requiring only final
assembly, final touches, and furnishing within the premises. Also, the following
materials are not permitted: highly inflammable and explosive, gaseous or radioactive,
among others.
Clearance shall be required guide
If you are contracting a third party to design and build your stand, we suggest that you require a
current civil liability insurance policy until the last day of the show, in order to protect your
company from any unforeseen damages or losses.
Important:
- During the setup period it is allowed the use of forklifts inside the fairgrounds until

Monday, October 20 . For the movement of forklifts, you must consider wood sheets, format
1.52 x 2.44 meters, 8 units minimum.

- For safety operation and legal regulatory reasons, during the setup and removal period
every person that enters the fair must wear safety helmet and shoes.
3.3. STAND CONSTRUCTION, DECORATION AND OPERATION
3.3.1. It is essential that Special Project designers be duly informed about all matters
regarding the construction of the stands prior to their development. Possible level differences
could be found on the fairgrounds and must be considered in project design . The Organizers
will not be responsible for this issue.
3.3.2. Products on display should not be exposed past the stand limits and must not interfere with
the pedestrian walkways. It's not allowed to hang elements from the structure of the pavilion.
Personnel and/or hostesses should be inside the stand in order not to interrupt the circulation of the
event’s visitors. The exhibited items must remain in the exhibition during the entire time the fair is
open to the public, the four days of the exhibition. The exhibiting company is not allowed to
abandon the stand before the closing of the exhibition, unless authorized by the Organization.
3.3.3. Projects that present differences from the approved plan and the onsite setup are
subject to immediate detention of assembly. Noncompliance of the final plan approval will
result in the closure of the stand. In this case, the Organization will cha rge the exhibitor for
disassembly, removal, shipment, storage, and other possible incurred costs.
3.3.4. The publicity of products and services other than those related to the exhibitor’s line of
business, or which have not been previously approved by the Organization, will not be
allowed.
3.3.5. In case of no shows, from the first day of the event and on the Organization is entitled to
make another use of the stand.
3.3.6. Constructions and decorations that are complementary and done in basic and equipped
Modular System Stands will have to be carried out in due care in order not to damage the panels
nor any of their elements. Nevertheless, graphic material (illustrations, posters, etc.) is permitted to
be fixed with double contact tape to the panels. In the case these types of elements were not
possible to fix due to their weight or volume, the exhibitor must install his or her own self-supporting
panels. The elements that form part of Modular System Stands (profiles, name signs, lighting,
outlets), may not be directly removed by the exhibitor, nor may their position be changed. For this to
take place, requests should be made in advance.
3.4. HEIGHTS AND LEVELS
3.4.1. Maximum heights allowed
All elements that exceed 2.5 m height must be subject to the maximum horizontal and diagonal
levels of heights established by the Organization (see figure 3.5).
3.4.2. Back placement of vertical elements:
All elements that exceed 2.5 m height may NOT be placed on walls that limit with other stands.
These elements must be separated by 50 cm from the dividing wall. This rule does not apply to the
front side of the stands.
3.4.3. Second floors:
All vertical or horizontal elements on a second floor that exceed 2.5 m height and that limit with
other stands must be separated by 50 cm from the separating walls. The stairways that lead to the
second floor level must also comply with this rule. This rule does not apply to the front part of the
stand or sides that limit with hallways or walls within the fairgrounds.

3.4.4 Publicity graphics:
All publicity elements that exceed 2.5 m height must be separated at least by 50 cm from the
separating axis. These rules apply to all types of publicity elements, lighting projections, balloons,
writing boards, static or mobile graphics.
3.4.5. Any products and machinery to be displayed that due to their dimensions cannot
comply with norms 3.4.1, 3.4.2, 3.4.3 and/or 3.4.4 must be reported in advance to the
Organization so that it assess the situation and if possible approve its exhib ition.
3.5. HALL HEIGHTS
The following figure shows the general heights of the halls of the event’s facilities and maximum
permitted heights for construction.

3.6. ENTRANCE AND EXIT PROCEDURES
3.6.1. Access
Exhibitors will be provided exclusive access gates for the entrance and exit of materials and products.
3.6.2. Setup
It is important to work within the dates and time schedules stipulated in this manual. Delays in the
termination of stands affect the general image of the show, and specifically the exhibiting
company’s reputation. All materials brought in by the exhibitor, the contractors or assembly
personnel, including exhibit elements, decorations, lighting, sound systems, etc., should be
covered by insurance policies since organization is not liable for any loss or damage of
these items. It is the exhibitor's responsibility to take care of any type of merchandise
brought to the fairgrounds.

3.6.3 Removal
Exhibitors must return their stands in the same conditions as received. To remove any merchandise,
equipment, exhibition products or materials from the fairgrounds, it won´t be required
documentation for their transfer. Each exhibitor is responsible for the removal and handling of
their products.
Insurance policies are essential to safeguard the merchandise during the stay and transfer
to/from the fairgrounds.

3.7. STAND REMOVAL
The dates and time schedules for stand removals are found in section 2.5. We ask you to make the
best effort to coordinate the removal of your stand within the time limits indicated. It will be assumed
that if an exhibitor has not removed its installations after the stipulated dates and times, the material
has been abandoned and the Organization will proceed to disassemble, remove and carry it to the
nearest disposal site. The Organization will charge the exhibitor accordingly.
3.8. STORAGE
Storage space is limited; therefore the Organization will make all its efforts to meet the needs of
exhibitors in which this requirement results imperative. For this purpose, please indicate with
anticipation: required space, product intended to store and logistics during the fair at
[email protected].
3.9. SECURITY
The Organization provides general vigilance security throughout the fairgrounds. Due to the large number
of people involved in the exhibition setup and removal process (exhibitors & contractors), we suggest
designating and registering a person responsible for the vigilance and coordination of your stand until all
products are removed.
Insurance: Due to the fact that the Organization does NOT assume any responsibility whatsoever
for any type of losses, we recommend that exhibitors contract an insurance policy to cover their
merchandise while it is in route to, from, and on display at the show; as well as civil liability
coverage for the company personnel and the stand during the event.
IMPORTANT: For security purposes, we ask that the designated person responsible for the
stand be present each day half an hour before the opening of the show and to remain in the
stand for half an hour after the closure.
3.10. TEMPORARY ADMISSION CERTIFICATE
Considering that the Treasury Ministry of Chile recognizes AQUA SUR as an international trade show,
exhibitors may receive tax exemption for the import and export of their products and equipment with a
temporary admission certificate.

3.11. ADDITIONAL INVITATIONS / TICKETS
Each exhibitor is entitled to invitations to the fair and parking, the amount of these depend on hired
meters.
Indoor Exhibitors
9 meters to 30 meters: 50 invitations and 1 parking
31 meters to 100 meters: 100 invitations and 2 parking
101 meters to 300 meters: 150 invitations and 3 parking
Outdoor Exhibitors
0 meters to 80 meters: 50 invitations and 1 parking
81 meters to 200 meters: 100 invitations and 2 parking
201 meters to 262 meters: 150 invitations and 3 parking
If you require a larger number of tickets please request them using Form N° 3 at www.aquasur.cl/exhibitors/services_forms.
Visitors who do not have an invitation will need to buy a ticket at the entrance area.
Considering the social responsibility and commitment the AQUA SUR Organization and participating
companies have towards the community, groups of university students of related aquaculture and
fisheries careers (only last year alumni), will be given invitations by the Organizers.
Companies are recommended to have material and/or other elements related to their line of business
that may be of interest for these future industry players.

4.4. POWER SUPPLY
It is important to keep in mind that the basic electricity supplied for your rented stand may not be
enough depending on your requirements. We recommend you calculate the need of additional
electricity according to item 1.3.1 above in this document. In case additional electricity is required,

4.5. STAND CLEANING SERVICE

To facilitate participation from prospective clients, exhibitors may request additional invitations from
the Organization without extra charge.
Electronic invitations will be available as from June 2014 so that exhibitors may send them to their
