Introduction
The Club Championship event will, this year, take place during November, with sessions to be held at
Sevenoaks Leisure Centre and the Sennocke Centre at Sevenoaks School. The events are open to all club
members, and later in this document you will find information on who can enter which event and the events
your squad are expected to enter.
Sevenoaks Swimming Club continues to be tremendously successful at all levels with swimmers entering a
variety of competitions from local Galas to National Championships. The Club Championships provide an
excellent opportunity for our swimmers to swim competitively against their peers and for the younger
swimmers to gain valuable competition gala experience. This allows the coaches to assess the swimmers for
squad placements, gala entries and provides licensed swim times for entries into the Kent County
Championships and South East Regional Championships.
Results and successes from the club championships event are celebrated at the presentation evening which
will be held early in 2015. This is an excellent social event to recognise and celebrate the achievements of
the club and the swimmers over the previous year and is a must attend event in the club’s annual calendar.
The purpose of this document is to provide all of the information you will require relating to the club
championship events. If you do need further information you should speak with your squad coaches or
contact the event organisers.
The championships are organised and managed by an army of volunteers. Recruitment to the volunteer army
will start soon. Every swimmer entry is expected to be accompanied by an offer to help, and training for
inexperienced timekeepers will be given.
Changes to normal training Sessions
All swimmers are invited to participate in the club championships from entry level squad to top squad, as well
as masters, synchronised swimmers and water polo players and as a result, the swimming time required to
run all the events is significant. As a result Club championships events do use scheduled training pool
sessions so please take careful note of the schedule and, where they clash, check if your normal session is
running. Further details of any cancelled sessions will be provided by email or can be found on the club
website.
Who can enter?
All ASA registered members of Sevenoaks Swimming Club can enter the 2014 club championship events.
These events are Licensed under the ASA Laws and Regulations and as such are required to be run in strict
accordance with these conditions and those set out by the Promoter for the times to be recorded and
accepted by the ASA for inclusion on the ASA National Ranked Database. These times can then be used to
enter open galas and County Championships if qualification times are met. Full details regarding eligibility are
provided in the tables below.

We would encourage you to enter as many events as you can or are eligible for and gain Licensed recorded
times for future gala entry. However it is also important that the swims are competently executed to ensure a
positive outcome.
In order to provide further guidance each swimmer should enter the events indicated below as suggested by
the squad coaches. This is especially important in the technically challenging strokes such as Butterfly over
any distance. It is very important that you are able to complete the distance competently otherwise it is
wasting valuable energy that could go towards a better time in the other strokes on the day.
I am sure the coaches will be proactively discussing this with their swimmers, but please consult your coach
for advice if you are in any doubt.
It is also useful to give consideration to the information provided under Trophies and Awards when deciding
which events to enter in order to ensure you can compete for all possible Awards.

Gold Squad, Platinum Senior Squad, Top Squad and Masters Squad should enter all events appropriate
to the swimmer’s age as detailed in the above eligibility table.
How to enter?
Please complete the 2014 Club Championships Entry Form ensuring the swimmer’s ASA number is entered
and payment for all events entered is enclosed. Entry cost is £3.50 per event (no individual swimmer shall
pay more than £35 irrespective of how many events they enter). Cheques should be payable to Sevenoaks
Swimming Club.
All entries will are now linked directly with the ASA rankings database. For each event entered personal best
times will be automatically entered into the meet software. Only where ASA recorded time do not exist but an
indication to swim has been given will manual times be entered, in line with the ‘qualifying times’ section of the
Promoter’s Conditions detailed later in this document.
Swimmer times can be obtained from the club website (www.sevenoakssc.org) you must be logged in.
Additionally licensed meet times can be found at www.swimmingresults.org
The age groups for the 2014 Club Championships
Remember ages are as at 31st December 2014
Age groups for medals and ribbons will be 7, 8, 9, 10/11, 12/13, 14/15, 16/17 and 18+
Entry closing date
Entries should be via website form, posted in the secure entry box at Sevenoaks Leisure Centre or handed to
your Squad Club Championship Co-ordinator. Please ensure payments for website entries are made via the
two other manual routes and include swimmer’s name on cheques or envelopes.

Entries shall be accepted up to and including the closing date on 10 October 2014. No late entries will be
accepted. Please note it is the responsibility of the swimmer/parent to check the published entry list
carefully and report errors or omissions in the requested time scale.
Entry lists will be published one week after entry closing date. Swimmers will have one week to report errors
or omissions.
What happens after entries close?
The following notes have been made to give some guidance as to what happens next in regard to the general
organisation of a Gala or Meet like Club Championships.
• Valid entries will be processed via the Club’s Meet software.
• A report of entries will be published and distributed.
• Swimmers will have an opportunity to check their entries for errors or omissions.
• A full Meet programme will be produced covering all dates and events detailing all swimmers entered
in all events. This can be purchased for just £4. They will be made available as soon as possible.
• ‘Sign in’ sheets are produced and become available on the date of each session covering only the
events in that session. Swimmers must sign in for each event at each session.
• Swimmers who do not ‘sign in’ are assumed to be absent or have withdrawn themselves.
• Poolside whips organise swimmers in preparation for their heats in selected lane order.
• It is the individual swimmer’s responsibility to report to the stewarding area in sufficient time for their
event. Stewards will not seek out absent swimmers.
• Swimmers are marched across the starting block line so they can position themselves behind the
correct block.
• Starts will be “over the top” where possible, at the Referee’s discretion, to ensure events run to time in
each session.
• Timekeeper will ensure the correct swimmer is in their correct allotted lane before the swim.
• Timekeepers make a note of the swimmers’ times after the heat is swum and pass these to the Chief
Timekeeper.
• Judges do not use a stopwatch but do record the order in which they observe swimmers finishing.
• The Referee and Chief Timekeeper check the times against the Judges’ finishing order. The Referee
has discretion to adjust times if for example they do not match the Judges’ finishing order.
• The Judges provide details of any infringements they witness, to the Chief Timekeeper and Referee
and these are noted before any final decision is made. The Referee may reject the report if there is
any uncertainty of the infringement reported by the Judge. Emphasis is on ‘the benefit of doubt’
goes to the swimmer!
• The Referee’s decision is final.
• Results for the heats are passed to the recorders who enter all the times onto the official Meet
software.
• Once all the heats for an event are finished a report of the times and places for each age group are
published on the day for swimmers and spectators to see. These will also be available live on the club
website.
• Please see the ‘trophies and awards’ section below for how winners and place-getters are rewarded.
• After the session results will be sent to the ASA for inclusion on the national Ranking Database. Full
results will also be published on the club website. ASA rankings can take up to five days to update.
As you can see a huge amount of work and effort goes into ensuring these events run smoothly. This is why
it is vital that you volunteer to help at one or more of the sessions. Timekeeping is especially
important and training ahead of the competition will be provided.
Terminology
‘Sign in’ ~ At every session sign in sheets are produced for each event divided into Boys and Girls. It is
essential that swimmers sign in for each race at that session.
Sign in takes place prior to warm up at the beginning of each session and will be open for 30 minutes to
ensure everyone has plenty of time.
What is an Event? ~ An event is the distance and stroke being swum for either Girls or Boys - there may be a
number of age groups within an event for award purposes, eg. Girls 50m Free.
What is a Heat? ~ Swimmers for each event are divided into heats. There may be 46 swimmers for an event these will be split into 8 heats - usually 4 in the first heat followed by 7 heats of 6 swimmers. This to avoid
empty lanes which helps swimmers obtain their best time.
What do I receive for winning my Event or Heat? ~ Events are swum as Boys or Girls in mixed age group
races and heated based upon Swimmers’ entry times. This means a Swimmer can win a heat but not be the
fastest for their age group in the event. Swimmers need to be the faster competitor in their gender and age
group across all heats in the event to be awarded a gold medal.
What happens if I get disqualified? ~ As all the events take place under A.S.A. Laws and Technical Rules
qualified judges will be in place during all races to ensure Swimmers complete their events within the rules. It
is not uncommon for Swimmers to occasionally be disqualified (‘DQ’d’) and while this can be disappointing,
everyone experiences this at some point during their swimming career. The important thing is to learn from
any mistakes. If you have been DQ'd your time will not be recorded on the results and will not appear in
‘rankings'. For clarification of DQ codes you should speak with your squad coach as they will help you rectify
any problems.
Trophies & Awards
There are many awards and trophies available to be won at the annual club championships some of which are
presented poolside and some early in 2015 at the annual presentation evening.
Awards mostly fall into two categories - age group medals and ribbons and age group cups - with awards
being presented for both boys and girls. There are also a number of additional open trophies and cups
awarded including those for participation and endeavour and of course the hotly contested Individual Medley
cups and the Laddie Chester trophy.
Age Group Medals and Ribbons
Are to be collected by swimmers from the medal table which will be poolside during the session in which they
are won.
Gold, Silver and Bronze medals are awarded for first second and third respectively with placing ribbons for
fourth fifth and sixth. Medals and ribbons are awarded for all age groups in each gender as detailed below.
Naturally medals and ribbons can only be won in an event you are eligible to enter as per the eligibility table.
For some events an age group winner receives a cup/trophy in place of a gold medal.

Age Group Cups
Age group cups are awarded for all round performance as follows:7, 8 and 9 ~ points are gained by swimmers for each stroke at 6 points for first down to 1 point for sixth. The
swimmer with the most points for each age group wins the cup.
10 and over swimmers ~ FINA points will be calculated on the BAGCAT method adopted by Kent ASA as

Further cups and trophies are presented to club members that recognise overall contribution to the club, its
high standards and principles, which include sportsmanship and endeavour.
These include The Jonathan Bridgewater Memorial Trophy, The Brooks Cup and the Colyer Cup.
This season, for the first time, we will be awarding the Mike Radford Trophy, Coaches’ squad based awards
and further age group performance based trophies.
Promoter’s Conditions
Meet Level
The Meet is licensed at Level 4 and shall be run under ASA laws, FINA Technical Rules of Swimming and these

Promoter’s conditions. The competition is open to all competitive swimmers who are at least 7 years old on the 31
December 2014, who are members of Sevenoaks Swimming Club and registered competitive members of the ASA.
Age Groups
The competition shall be swum in age bands determined on the main programme, with age as at 31st December 2014.
Pool
The competition shall be held in a 6 lane 25m pool with anti-wave lane ropes at the Sevenoaks Leisure Centre,
Sevenoaks & The Sennocke Centre, Sevenoaks School, Sevenoaks.
Events and Entries
The Meet events are 25m (aged 7-9 years) all strokes; 50m (7 and over) all strokes; 100m (10 and over) all strokes; 100IM
(age 7 and over); 200IM (age 7 and over); 400IM (age 10 and over); 400m Freestyle (age 10 and over); Girls 800m
Freestyle (age 11 and over); Boys 1500m Freestyle (age 12 and over). 200m in all strokes (age 7 and over).
Entries must be made on the official 2014 Club Championships Entry Form.

Meet entries shall be managed on a computer. By submission of an entry form, a competitor consents to the holding of
personal information for the purposes of the Meet and to the publication of such information both during and after the
Meet.
Qualifying Times
There are no qualifying times for any event in the club championships. However swimmers must submit their Personal
Best times as recorded by the ASA Rankings or on the official Club Rankings (25m times are available on Sevenoaks
Swimming Club’s website) on their entry form. Swimmers unsure of their times should discuss with their Squad Coach.
All entries will are now linked directly with the ASA rankings database. For each event entered personal best times

achieved after 10 October 2013, will be automatically entered into the meet software from the ASA rankings database as
at the closing date for entry. Only where an ASA recorded time does not exist, but an indication to swim has been given,
will manual times be entered.
The Promoter will check the ASA Rankings tables and the Official Club Rankings for times achieved by swimmers up to 12
months before the meet. The Promoter reserves the right to substitute times with those officially published by the ASA or
Club Rankings. No correspondence will be entered into unless error is with the manual entry.
The Promoter and Club Coaches may reseed heats at their discretion rather than by entry time in advance of the meet.
Fees and Payment
The entry fee shall be £3.50 per event (No individual swimmer shall pay more than £35 irrespective of how many
events they enter). Payment for entries must be made in advance (At the time of entry submission).

Spectator entry fees shall be £1 per session (Saturday 22 & Sunday 23 November constitute 2 sessions each day).
Children under the age of 10 shall gain entry free of charge. The full Meet programme will cost £4, this will cover all
events in all sessions.
The Competition
The club is using specialist Meet software and this will be a card-less Meet. All swimmers must therefore sign in for
each event they are swimming at each session. Sign in will close as warm-up starts. Swimmers who know they will
not be swimming can email [email protected] prior to the day of the session they cannot attend.
Over the top starts may be operated at the discretion of the Referee (except for backstroke).
All events are seeded from slowest to fastest according to entry time. The Promoter reserves the right to apply squad
based averaged entry times where times are not provided. Entries without entry times may be swum before those with
entry times. Swimmers with no entry time will be seeded by age youngest to oldest. The final heat of each event will be
swum in spearheaded formation. All events will be Heat Declared Winner (HDW).
Awards and Trophies
Medals shall be awarded (pool side) for top three places, with finalist ribbons for fourth to sixth places, in the following age
groups for each event. 7, 8, 9, 10/11, 12/13, 14/15, 16/17, Senior/Master
In addition the Age Group Championship Trophies/Cups, event specific Open Cups & Age Group Participation awards will
be presented at the Sevenoaks Swimming Club Presentation Evening early in 2015.
Photographs
Anyone wishing to take still or digital photography (including the use of mobile phones or other devices to do this), must, in
accordance with the ASA Child Protection guidelines, register themselves with the Promoter on entry to the Meet.
Administration of the Meet
The competition will be run in sessions as published in the programme and on the club website.
It is the swimmers’ responsibility to report to the marshalling area on time.
The Promoter reserves the right to refuse entry to any spectator, coach or swimmer.
Results will be provided as soon as available from the recording desk during each session and then the club website
under results and on the ASA official Rankings which can be found at www.swimmingresullts.org
Safety
All participants and spectators must observe all safety precautions in operation at the pool and follow instructions of Pool
Staff and the Referee.
Competitors in wet swimwear are not allowed in the spectator seating. Competitors must cover up and wear shoes before
leaving the pool area.
Spectators are not permitted to sit in or enter the swimmers area. Only accredited officials and volunteers should be on
the pool side during galas.
Swimmers should remain in their relevant whipping are to ensure they do not miss their race(s).
Swimmers and parents should not approach the recorders’ desk. The results of each event will be provided as detailed
above.
Abusive behaviour and language will not be tolerated and you may be asked to leave.
The Promoter reserves the right to amend the Conditions, without prior notice, to ensure the smooth running of the
Championships. By submitting an entry participants have been deemed to agree to such decisions.

Due to the number of competitors at the Championships it is essential that we have help from all families
involved. You will therefore be expected to help during at least one session in which you have a
child/children competing. Below is a list of tasks that you can help out with, you do not need any
experience as you will be shown what to do.
