Dear friends and colleagues,
On behalf of European Venous Forum and Saint-Petersburg Venous Forum we have the honour to invite you
to the forthcoming EVF 2015, which will be held in the historical centre of Saint-Petersburg, universally recognized as
the cultural and scientific capital of Russia.
The dynamic progress of phlebology in the last decades impelled us to speak almost all languages. The
European Venous Forum (EVF) harmoniously fits into the list of the most important international meetings devoted
to venous disorders and gather not only phlebologists but many other doctors and specialists. Trauma surgeons,
gynaecologists, internists, general surgeons, haematologists, morphologists, general practitioners and cosmetologists
become more and more interested in pathophysiology, diagnostics and treatment of venous disorders.
At the beginning of the June during the famous white nights of Saint-Petersburg will share with you the
magnificence of its palaces and parks, Hermitage Brilliant Hall and the unique Amber Room. We are planning to
organize cultural events for participants as well as for their relatives and friends who are often unfairly forsaken at the
time of hot scientific discussions. Saint-Petersburg's beautiful suburbs and tours through rivers and channels will
present you the fascinating world where stones, water and classical music represent a unique harmony.
We expect about 400 delegates from all over the world. Debates in all fields of modern phlebology are
anticipated. The scientific committee has already started the careful selection of valuable studies advancing our
understanding of the pathogenesis and treatment of venous disorders. Certainly, the best studies from national
phlebology associations will be included.
Presentations in the following sections will be subjected to a stimulating discussion and constructive criticism.

- conservative treatment of deep vein thrombosis
- deep vein reconstructive surgery
- venotonic drugs
- compression therapy
Didactic sessions will be combined with lectures by leading specialists in the field. The Key-Note lecture of
Professor Bo Eklof who has been leading our attempts to develop phlebology in the world for many years will become
the bright quintessence of the scientific programme.
The traditional gala-dinner will take place in Peterhof. After the tour of the Great Palace the beautiful world of
Peter the Great fountains will open for us to the sound of classical music. Besides the award ceremony for the best
oral presentations two gold medals established by the Saint-Petersburg Society of Phlebologists will be granted for the
"Best achievements in phlebology".
Dear friends, we live in the wonderful time of changes when the world becomes more democratic and
multipolar. I truly believe that the art of medicine should gather people of all races and nations for the sake of
peaceful progress. We invite you to participate in EVF-2015 to discuss major problems of phlebology, communicate in
informal atmosphere and become imbued with the beauty and glory of one of the most beautiful cities in the world.

Exhibition Schedule
The exhibition covers two areas: 1st Floor; Moskovsky, which is adjacent to and surrounds the lecture theatre and the
2nd Floor, comprising Levinson Area and Nikolsky Area; which is accessed via a main stairway between stands 11
and 12 and at two other points in the exhibition area. All delegates have to pass through the exhibition hall on level 1,
to access the lecture theatre.

All refreshments, including lunch will be served in the exhibition areas. The Welcome Reception on the evening of
Thursday 2 July, immediately after the last session, will also be held in both Exhibition Areas.

The opening hours for the exhibition will be:

The Welcome Reception will be held on Thursday 02 July 2015, in the Exhibition area immediately after the last

Exhibition Hours Stand Set-up Times: Wednesday 1 July from 18.00
Stand set-up will take place from 18.00 on Wednesday 1 July 2015 until 08.00 Thursday 2 July 2015. All stands
should be completed and ready by 08.00 Thursday 2 July 2015.

advance of the time you intend to arrive to set up your stand.

There is no shell scheme. The organisers will mark individual exhibition areas prior to your arrival.

1st floor is 3.6 metres
2nd floor is 3.1 metres (it is possible to extend up to 4.8 metres if lamps are removed – which will incur an extra cost).

Stand Includes:
One table, 2 chairs, electrical point (1 x power strip – Russian voltage = 220 (50Hz).
2 exhibition badges.
Exhibitors requiring additional equipment e.g. furniture, electric points, should indicate their requirements on the
Booking form (page 18) and return to Dawn bond at [email protected], by June 02 2015,
(Exhibitors will be advised of costs), all items are to be booked in advance.
 Stands should not be built so as to obstruct the view of fellow exhibitors and should allow the flow of
delegates through the exhibition area.
 Exhibitors are not allowed to fix anything, or cause any damage, to the floors, walls, ceiling or other parts of
the building (e.g. by using nails, screws).
 Lightweight posters and signs can be fixed, where appropriate, using fixing clay only (Blu Tack or Pâte à Fix).
 Floor carpeting, must only be held in place by double sided adhesive tape.

Larger stands are entitled to four free exhibition registrations.

Security
All exhibitors are advised to be extremely careful with any valuable items of equipment.
Please note that neither the venue nor EVF accept any responsibility for loss or damage of these goods.
There is 24 hour security at the venue but no regular patrol of the exhibition areas.
Insurance
The venue will take every precaution to protect all property at the conference. Security staff are in attendance but
cannot guarantee the safety of any equipment. The conference organisers, the venue and the European Venous
Forum cannot be held responsible for the security of exhibits before or during the Conference. We recommend you
obtain insurance on all your equipment.
Exhibitors are required to take out and maintain public liability insurance cover providing a minimum indemnity
of £2,000,000 for the duration of the Exhibition including the construction and dismantling periods and insure
against costs and expenses in the event that the meeting is cancelled outside the control of the venue or organisers.
It is a requirement that you send a copy of insurance cover note to the EVF Office (Dawn Bond:
[email protected]). If you do not have a policy, we recommend that you contact a specialist
exhibition insurance company.
Stand Cleaning
The venue is responsible for the cleaning of the aisles and public areas. Exhibitors are responsible for the cleaning and
maintenance of their own stands.
Badges
Exhibitor staff are requested to wear their official conference badges at all times. Each 2x3m2 stand is eligible for 2 free
exhibition registrations. Additional exhibition registrations are available at a cost of £150.00. Please see the
registration form at page 16 of this document.

The Gala Dinner: Friday 3 July 2015: Peterhof Palace
Cost: £120 per person (inclusive of tour, dinner, wine, entertainment and cruise), Dress Informal.
You are advised to book early as places are limited and it will be on a first come, first served basis.
The evening will commence with a tour of the Great Palace and the beautiful Great Fountains of Peter the Great. The
dinner will be followed by an award ceremony for two gold medals established by The Saint-Petersburg Society of
Phlebologists for the “Best achievements in phlebology”.
Departure will be at 17.00 from the hotel,
Peterhof is located on the Southern coast of the Gulf of Finland, 29 kilometres away from St. Petersburg. Here a small house for
Peter the Great was built in 1705, where the Tsar could take a rest on his way from Kronstadt to St. Petersburg. In 1714 the Emperor
made a decision to turn Peterhof into his main out-of-town residence. In the 18th and 19th centuries a grandiose complex of eleven
parks, dozens of buildings, and a pavilion with more than 200 fountains and numerous sculptures was formed in the area of over
1000 hectares. The Grand Palace built for Elizabeth in baroque style is a composition at the centre of the Ensemble. The Grand
Fountain Cascade, which is unique both technically and artistically, form a decorative pedestal for the Palace. The Grand Cascade
embellished with numerous fountains, gilded statues, bas-relief, and vases is crowned with the sculpture group known as Samson
Tears Open the Lions Jaws, which is dedicated to the victory of Russia in the Northern War.

Taxis
You are advised to book your taxi in advance – the drivers at the airport waiting for customers may charge three
times the going rate, (please check the full cost before embarking on a journey). A trip to the center of town will cost

Currency
By law, you can only use roubles to pay for goods and services in St. Petersburg. There are many currency exchange
offices in the center of the city, though you should pay attention to the fixed commission being charged and consider
the special rates offered for the exchange of large sums. As a rule, the worst rates are available at large banks and
Sberbank in particular. Do not exchange money with private individuals. Bank offices are open from 9 am till 8 pm.

Chemists
Chemists are usually open from 9am till 9pm. Some are closed on Sundays and some Mondays. However, details of
the nearest open chemist is displayed on the door.

Electricity
The city’s electric system provides the 220 Volt/50 Hertz voltage. At some hotels, however, you may require a
“European” plug, as many of the more modern buildings or hotels that have undergone major renovations have
switched to European sockets.
An adapter is also advisable.
Climate
Petersburg’s climate is almost maritime in character. The influence of the cold Baltic Sea can be felt in both the winter
and the summer – the air is always moist (relative humidity is rarely below 80%), meaning that the temperature is felt
in an entirely different way from, say, Moscow. Minus 10 degrees Celsius in the winter usually feels very cold while
25 degrees Celsius in the summer feels very hot. The situation is further complicated by the strong winds and
frequent rains that are characteristic of St. Petersburg. The length of the day in a city that is located on the 60ths
parallel is entirely dependent on the time of year: in June it is light for almost the entire day, while in November and
December it is dark by five in the evening.

General Terms and Conditions
Exhibitors agree to accept and adhere to the policies, rules and regulations (Conditions) outlined in the Exhibitor
Prospectus/Manual, on the website, stated by the venue, and any subsequent publication. These conditions are valid
throughout the conference. The exhibitor will be liable for any damage resulting from the failure to comply with the
Conditions.
The main activity of any exhibition stand should be the presentation of the exhibiting company and/or its products or
services only. Any additional activities, e.g. raffles must be approved by the organisers. Any activity not approved
must be withdrawn upon request.
Exhibitors undertake that their stand will be ready by 8.00am on the first day of the conference. Thursday 2 July 2015.
Exhibitors must not dismantle their stand before Saturday 4 July 2015 at 16.15 pm. All stands should be ready for
collection, fully labelled by 18.00. The security of the stand remains the responsibility of the Exhibitor, their agent
and/or contractor.
Exhibitors are not allowed to Fix anything, or cause any damage, to the floors, walls, ceiling or other parts of the
building (e.g. by using nails, screws).
Badges: All exhibitor personnel must be registered. All exhibitors must wear the badges provided by the meeting
organisers at all times.
EUMS-EACCME: All exhibitors are to comply with the UEUMS-EACCME, regulations on the support of medical
meetings.
Customs Duty: Companies are to ensure that any customs duty or tax due is paid by their company. The venue or
organisers will not sign for any delivery where there is a liability for such duty/tax.
Security: The venue and organisers will take every precaution to protect all property at the conference. Security staff
are in attendance but cannot guarantee the safety of any equipment. All exhibitors are advised to be careful with any
items of equipment and to obtain insurance on the equipment. The conference organisers, the venue and the
European Venous Forum cannot be held responsible for theft, loss or damage of equipment before, during or after the
Conference.
Fire Protection: Exits, passages, corridors, emergency exits, staircases etc. within the exhibition area must not be
blocked under any circumstances. Fire-extinguishers must be visible and easily accessible.
Materials used in the exhibitor area must be flame-proof and fire resistant. Exhibitors are forbidden to store
flammable materials in or behind the stands.
All stands may be inspected by representatives of the venue, organisers and local fire authorities. Any exhibit found
not to be fire-proof must be dismantled upon request.
Exhibitors are responsible for all claims, actions or costs for personal injury and loss of or damage to property.
Exhibitors will take out and maintain public liability insurance cover providing a minimum indemnity of £2,000,000
for the duration of the Exhibition including the construction and dismantling periods and insure against costs and
expenses in the event that the meeting is cancelled outside the control of the venue or organisers.

Please check with the Embassy/Consulate in your country of residence for details of the entry
requirements for Russia, as they may vary for different countries.
Obtaining a Russian Visa
All foreign guests who plan to visit Russia must have a valid passport and be issued with a visa from the Russian
Consulate.
There are three steps to gain a Russian Visa:
•
Receipt of an invitation from your Hotel for the duration of your stay.
•
Obtaining the visa from the Russian consulate in the country of residence.
•
Registration of the visa on arrival to Russia – (usually at your Hotel).
Visa – is the official permission to enter and transit the Russian Federation which is given by the Consulate of Russia,
in the country of residence of the foreign citizen.
The Visa has to contain this information: surname, name (in Russian and Latin letters), date of birth, gender,
nationality, number of the passport, date of visa issue, duration of stay in Russia, number of invitation, aim of the
visit, name of the receiving party, (Hotel), type of visa required.
TOURIST VISA
You can obtain a hotel voucher after you have booked the hotel. This is “Tourist Visa” support form.

This is the cheapest and the swiftest way to obtain the visa; issued to people visiting Russia with a non-business
status. The Tourist visa is valid for single entry and it is impossible to extend this type of visa.
For obtaining this type of visa, you are required to obtain two documents (confirmation of booking and voucher from
the hotel) in which it states the dates of stay and the name of the hotel.
NB! When completing the application form for the Russian visa you must write the aim of the visit to RussiaTOURISM.
The timescale for obtaining this tourist invitation – is 5 working days.
The price for this service – is 30 Euro’s.
On arrival to Russia
To enter Russia the foreign citizen must have a valid visa, crossing the border – the migration service will stamp your
visa. All foreigners have to complete a migratory card.
Migratory card – a small blank card divided into two parts, with information of: name, surname, date of birth,
number of passport, nationality, dates of staying in Russia. You have to complete both parts. The first part, you will
leave on entry to Russia, the second part, must be stamped at the hotel and then on departure will be submitted to the
migration service.

Due to Russian laws every foreign citizen must register their visa (if staying on the territory of The Russian Federation
for more than three days). This registration can be obtained in any hotel or by invitation from an organisation.
This registration is very important. If the foreigner does not register – then he will have to pay a penalty 2000 roubles
which will cause a problem with the migration service on the board of Russian Federation.
The hotel can register the visa but only for the duration of your stay at the hotel.

Information for Visa Registration
According to the Russian Legislation, your visa must be registered within 7 business days upon arrival to the Russian
Federation.
While staying in a hotel, the Hotel is obliged to register all the foreign citizens during their accommodation. A
nominal registration fee may be assessed.
The cost of the Hotel service of registration at Holiday Inn Moskovskie, Vorota for the foreign citizens is 3 EUR per
person. The Hotel reserves the right to increase the registration charge for foreign citizens in case of changes in the
legislation of RF.
If you stay at a private apartment, your visa is to be registered by your Russian host. The host needs to apply at the
local police precinct or post office, fill out at:

and enclose a copy of your passport (photo and visa pages) and migration card. Your host will also have to present
his passport registered at the same apartment. The experience shows that getting registered through the post is less

Please note that not registering your Russian visa may lead to serious problems: you may be stopped by police, fined,
be made non-eligible to get a Russian visa in the future, etc. We strongly advise you to register your Russian visa to
avoid possible consequences. It is also very important to register in time.
