BOOTH EQUIPMENT
Each 10'x10' booth will be provided with 8' tall back drape in Red/White/Blue, 3' tall side
drape in Red or Blue, (1) 6' skirted table, (2) folding chairs, (1) wastebasket and (1)
company I.D. sign.
EXHIBIT HALL CARPET
The South hall will have blue aisle carpet. The South Hall corridor is fully carpeted, with beige patterned
carpet (no pad). There will be no booth carpet provided unless provided by exhibitor, or ordered through
SCSWORX (see form later in this packet).

SCSWORX is pleased to be the Official Service Contractor for the Space & Missile Defense Symposium &
Exhibition.
Enclosed are the order forms for materials and services you may require for your upcoming event. We ask
that you read the enclosed information carefully, and return the completed forms, along with payment, to
our office. Advance Price Deadline: July 22, 2016
Any order received after August 8, 2016 will be filled as an on-site order, subject to availability.
If you require additional services (AV, Labor, Portable Booths, Graphics, etc) that are not included in this

ADVANCED DISCOUNT DEADLINE
To receive the advanced order discount, SCSWORX must receive the order with payment before or on the
Advanced Deadline of July 22, 2016. Any orders received after the deadline or without payment will be
charged standard pricing and are subject to availability.
LABOR
SCSWORX will only guarantee the starting time for installation labor for advance paid orders with a start
time of 8 am Start times after 8 am will be filled as close to the requested times as possible. Floor orders will
be filled after all advance orders. Dismantle labor will be provided as soon as ALL empty containers have
been returned to the exhibitor's booths.

ELECTRICAL AND TELEPHONE
Orders for electrical and telephone services should be made directly through the Von Braun Center. For
forms regarding electrical or telephone, please call the VBC at 256-551-2377, or see the forms in Section 6 of
this packet.
RIGGING
All hanging signs/banners MUST be shipped to the advance warehouse to arrive no later than July 29, 2016
and must be clearly marked as a hanging sign. (Separate hanging sign labels are provided in the
shipping/material handling section of this packet.)Hanging signs arriving after the deadline, improperly
labeled or without a rigging order will be hung at the discretion of SCS and the VBC. Please fill out the rigging
order form found in Section 4.

INBOUND FREIGHT TARGET SCHEDULE
This schedule refers to the time your freight carrier has been assigned to check in at the marshaling yard to
be placed in line for unloading at the Von Braun Center. This schedule is for the move-in of your exhibit and
display equipment to your booth. You are not required to set your display at this time. Deliveries arriving
off-target (not meeting assigned target date and time) will be unloaded after all on-target vehicles have
been unloaded and will incur off-target charges. If you are unable to meet your assigned target date and
wish to change for any reason, you must make prior arrangements with SCSWORX. No target date will be

EXHIBIT FREIGHT
Only SCSWORX will be allowed to operate lift equipment in the hall. All freight that cannot be hand carried
or manually pushed must be loaded at the dock and will be subject to drayage charges. ONLY freight that
can be brought in by hand through the roll-up door will be allowed to be carried in by the exhibitor. See
Section 5 for specific drayage charges.

Direct shipments to show site will be received on Monday, August 15 ONLY! (except targeted move-in)
Shipments arriving at the Von Braun Center prior to August 10 will be directed to the SCSWORX advance
warehouse. A 25% surcharge will be added to any shipment arriving at the advance warehouse after August
8th.
All exhibitors who will be using SCSWORX services for loading their freight MUST pick up a bill of lading
and further instructions at the SCSWORX service desk before the close of the show. Exhibitors must
contact their outbound carrier to arrange for equipment pick-up. SCSWORX does not make outbound
shipping arrangements! Champion Logistics will be on-site during move-out for any of your shipping
needs. See Champion Logistics information & quote request form in Section 6 of this packet.
All exhibitors in South Hall 1 and South Hall corridor must have freight ready for loading by 08:00 pm on
Thursday! All outbound carriers for these exhibitors must be checked in at the marshaling yard by 08:00 pm
on Thursday. If you are unable to have your freight picked up on Thursday, please contact SCSWORX for
special arrangements. South Hall 1 and the corridor MUST be cleared by 10:00 pm on Thursday!

Due to the special nature of air freight carriers such as FedEx and UPS, there will be an additional charge
assessed if you wish to use these carriers and have SCSWORX handle your freight outbound. There will be a
fee of $10 for the first item and $5 for each additional item in addition to standard material handling rates.
ALL air carrier freight MUST be brought to the service desk in the NW corner of the South Hall during moveout hours. Any problems or questions on this policy should be directed to the SCSWORX service desk in the
rear of the South Hall before move-out begins.

What is my booth number and where am I located on the show floor?

What is furnished with my booth space?
Your booth will be furnished with one 6' skirted table, two folding chairs, one wastebasket, a company ID
sign and red, white and blue drape.

How do I get a receipt for show services?
For SCSWORX advance orders, please fill out the information on the SCSWORX order recap page to have a
receipt sent to you. For VBC orders, please fill out your information on the form provided, or call the VBC.
Please allow 1-2 weeks at the close of the show for all final invoices to be completed.

If your organization will be displaying material developed while under contract with the U.S. Government,
one of two conditions must be met:
1. If the exhibit material has been previously approved for public release, proof of its clearance
(Distribution A: Distribution unlimited) must be on hand at the booth. If you need help, please call
your government rep.
2. If the exhibit material has not been previously approved for public release, it must receive a security
review for public release before being displayed at this Symposium. Once it is obtained, proof of its
clearance must be on hand at the booth.
This request is not above and beyond your organization’s current regulations. If there is a question on
whether the material has been cleared for public release, contact the government technical monitor for
your contract. Please garner information on public release internally! This is a Federal Government
regulation, not an SCSWORX or SMD Symposium requirement. SCSWORX does not have information on
public release for your company. Please contact your government rep if you need help.

All exhibits at the Space and Missile Defense Symposium will likely be viewed by members of the news
media and the public.
COORDINATION OF MEDIA IN EXHIBIT HALL
Exhibitors are encouraged to invite the media to visit their booth for publicity purposes. We ask you to
follow the guidelines below to ensure a successful meeting:

Standard Linear Booth (10' deep)
Any booth that shares a common back wall and abuts other exhibits on one or more sides. Maximum height
is 8' up to 5' from the front of the booth. The front 5' of your booth is restricted to 4' in height, including
product and equipment.
Hanging signs are not permitted over standard linear booths
Perimeter Wall Booth (10' deep)
A standard linear booth located on the perimeter walls of the exhibit floor. Maximum height is 12' up to 5'
from the front of the booth. The front 5' of your booth is restricted to 4' in height, including product and
equipment. These rules also apply to Island Booths less than 20'x20'.
Hanging signs are not permitted over perimeter linear booths.
Peninsula Booth
Any exhibit 20'x20' or larger with aisles on three sides. For all peninsula booths, the exterior back wall must
be finished and may not contain booth identification, logos or advertisements. If backed by a row of
standard linear booths, the back wall may not be higher than 4' for a distance of 5' from either side aisle and
20' in the center of the back wall. This must be maintained for a distance of 10' from the back wall.
Hanging signs are permitted over peninsula booths 20'x20' or larger.
RULES AND REGULATIONS
BOOTH TYPES AND REGULATIONS
Every exhibitor has the right to be visible. When designing your booth, please keep the following rules in
mind. They are in place to protect all exhibitors.
Island Booth
Any exhibit surrounded by aisles on all four sides and 20'x20' or larger. Maximum height of 30' in all areas of
your booth allowed in South Hall. Maximum height of 16' in all areas of your booth allowed in East Hall.
Hanging signs are permitted over island booths 20'x20' or larger.
Canopies and Ceilings
Canopies, including ceilings, umbrellas and canopy frames shall not have canopy bottoms lower than 7' from
the floor within 5' of any aisle. Supports for canopies should be no wider than 3 inches. Fire regulations
require that certificates of fire retardant be submitted for any canopy structure. Drawings of canopy/ceiling
placement must be submitted at least 30 days before the first day of move-in to be approved by the Fire
Marshal. The Fire Marshal reserves the right to refuse to allow any canopy he deems to be a fire hazard. Any
canopy not approved in advance may be refused on the show floor and may be required to be removed at
the exhibitor's expense. One fire extinguisher per 200 square feet of covered space must also be installed by
the exhibitor.
All booth types
No portion of an exhibit may extend into the aisles or exceed the booth dimensions of the assigned booth.
Exhibits, displays nor equipment may not extend into the aisle at any height. This includes hanging signs.
Logos, lights, lasers, etc. may not be used outside the booth space. Lights, etc. may not be shone on the
ceiling or facility walls.

FOOD AND BEVERAGE
All food and beverages MUST be coordinated with the Von Braun Center. The VBC does not allow any
outside food or beverage to be brought into the facility. Please see Section Six of this packet for VBC contact
information to arrange food and beverage service.
BADGES
Badges must be worn at all times during show hours. Lending badges is prohibited, regardless of the length
of time the person wishes to remain in the exhibit hall. Exhibit-only badges may be acquired free of charge
at the main registration desk in the S Hall Prefunction.
To pick up your badge you will need to show proof of identity, i.e. driver license or passport.
BOOTH INSTALLATION / DISMANTLING
All booths must be show ready by 10 pm on Monday night and may not be dismantled until the show ends
on Thursday at Noon.
MATERIAL HANDLING
Exhibitors may hand-carry their own materials into the exhibit facility. The use or rental of dollies, flat trucks
and other mechanical equipment is not permitted. SCSWORX will control access to the loading docks and
the roll-up doors to facilitate an orderly and safe move-in / move-out. Exhibitors who wish to hand carry
their own materials must be able to do so via walk in door access or the elevators in the South Hall Garage.
Access to roll up door is not permitted.
RULES AND REGULATIONS
Variance requests / Booth approvals
If you are concerned in any way about meeting booth structure guidelines for your booth type, or would like
to request permission to construct your booth outside the stated guidelines, please complete a Booth
Variance Request Form and submit a scaled drawing of your proposed booth structure.
SAFETY
Standing on chairs, tables, or other rental furniture is prohibited. This furniture is not made to support your
weight. SCSWORX is not responsible for injuries or falls caused by improper use of this furniture. If
assistance is needed to help assemble your booth, please order labor on the Labor Order form and the
necessary ladders and tools will be provided.

To obtain discount pricing, all orders along with FULL payment must be received by SCS, no later than the
advanced discount deadline. Payment for estimated labor or material handling orders must be received as
well. All orders received after the deadline date will be filled as show orders and are subject to availability.

Ensure the orderly and efficient installation and removal of exhibits.
Assure the distribution of labor to all exhibitors according to need.
Provide sufficient labor to satisfy the requirements of exhibitors, and for the show itself.
See that proper type and limits of insurance are in force.
Avoid any conflict with local union regulations and requirements.
Should an exhibitor wish to employ the services of a contractor other than the official contractor, the
following must be met:
1. The exhibitor must inform SCSWORX of the name and address of the contractor and the work to be
performed. This information must be received in writing no later than July 25, 2014. If notification is not
received, SCSWORX must be used for all work. The non-official contractor will be permitted to supervise
only. This will be strictly enforced!
2. The EAC MUST provide a certificate of insurance with at least the following limits: Comprehensive
General Liability not less than $1,000,000 with respect to injuries to any one person in an occurrence;
$2,000,000 with respect to injuries to more than one person in any one occurrence and $5,000,000 with
respect to damage of property; Worker's Compensation Insurance, including employment liability
coverage, in a minimum amount not less than $1,000,000 of individual and/or aggregate coverage.
3. The EAC must agree to abide by all rules and regulations of the show, as well as all union rules and
regulations. The EAC must have all business licenses, permits and Workers' Compensation required by
the State, City and facility. The EAC must provide evidence of such upon request.
4. SCSWORX has total control of all areas of the exhibit hall. The EAC must coordinate all activities with
SCSWORX. The EAC must confine its operations to the exhibit area of the client. Absolutely NO
SOLICITING on the show floor will be allowed.
5. The EAC must agree to share with SCSWORX all costs incurred as a result of or relating to the EAC's
operation. This includes costs for stewards and other union representatives where applicable. Any costs
necessary to restore exhibit area to initial condition may also be shared by EAC.

All rates are based on inbound weight rounded to the next cwt. (100 lbs.) Exhibits which because of their
nature (excessive size, delicate nature, extreme value, etc.) require special handling, will be charged on a
time and materials basis, in addition to standard material handling rates. Uncrated (pad-wrapped)
shipments will not be received at the advance warehouse and will be subject to additional handling charges
Advance notification of your needs by completing and returning the freight handling & materials service rate
form will facilitate prompt and efficient handling of your display needs.
Shipments will be received at SCSWORX July 15 - August 1, 2016. Shipments arriving after Aug. 1, will
receive special handling charges.
SHIPPING
Freight and material handling rates DO NOT include uncrating, unskidding, installation, dismantling, crating,
etc. For such services refer to the enclosed Labor Order form..
Shipments will be stored and delivered to your booth prior to exhibitor move-in. Empty containers will be
removed for storage and returned at the close of the show. Exhibits will then be loaded onto truck for

SHOW SITE RECEIPT
Shipments will be received at the Von Braun Center 8/15/16 only (except targeted booths)
Exhibits will be unloaded, placed in your booth, empties removed for storage and returned at the close of
the show. Exhibits will then be loaded onto truck for return shipment. ONLY SCSWORX FORKLIFTS WILL BE
ALLOWED ON FLOOR. FOR COST SEE THE FREIGHT MATERIAL HANDLING SERVICE RATES.
INSURANCE
It is understood that SCSWORX and its contractors are not an insurer. If any insurance is needed, it should
be obtained by the exhibitor. It is suggested that exhibitors arrange All Risk coverage. This can often be
done by endorsement to existing policies. Exhibitor’s materials should be insured from the time they leave
their firm until they are returned after the close of the show. SCSWORX shall not be held responsible for any
loss or damage whatsoever.
LIABILITY
An accurate weight must be listed on your inbound bill of lading to correctly tabulate your material handling
charges. Shipments without proper weight information will be estimated by SCSWORX management at
unloading and the estimated weight will be used to tabulate charges. Verification of weight after the show
will not be accepted. Direct carrier shipments must have certified weight tickets. Mixed shipments arriving
on van lines must have certified weight tickets separating weights of crated items from loose and uncrated
items. Weights not broken out will be charged at “loose and uncrated” rates.

SCSWORX shall not be responsible for damage to uncrated materials, improperly packed or
concealed damage.

SCSWORX shall not be responsible for loss, theft, or disappearance of materials after same has been
delivered to exhibitor’s booth.

responsibility of the exhibitor or his representatives. All previous labels should be removed.
SCSWORX assumes no responsibility for removal of containers with old empty labels and SCSWORX

To expedite removal of materials, SCSWORX shall have authority to change designated carriers.

SCSWORX has Right of Preference into and out of show-site building to prevent tie-ups and provide

Acceptance of Bills of Lading by SCSWORX does not represent acceptance of counts on bill. All

adjustments. SCSWORX is not responsible for security of exhibitor freight that is left unattended in

UTILITY SERVICE ORDER FORM
ELECTRICAL
The rates listed below are for one (1) quadbox only. Rates are applicable for both single phase and
three-phase power. The charge for service includes electrical current, installation in the most
convenient location and removal at the close of the show. Labor for laying electrical cords under
carpet is not included in this price. Please see pricing on page 5. Special service or wiring of or into
equipment will be charged at prevailing rates for labor and materials. VBC will not be responsible for
power failures or voltage fluctuations. WE CANNOT GUARANTEE SERVICE PRIOR TO SHOW
OPENING ON LATE REQUESTS.
Sharing with neighbor booths is not allowed. You must purchase electricity in order
to use it.

PAYMENT POLICY
To receive discount prices, orders must be accompanied by credit card authorization form or check
made payable to the Von Braun Center and received no less than 7 days prior to the event move in day.
When requirements are not received at least 5days in advance with payment, charges are due at floor
order prices. Payment for all services and materials is due before services will be performed or
materials supplies. Visa/Mastercard & American Express services are available for exhibitor
convenience.

Exhibitors must provide their own pressure regulator valves and fittings. VBC will provide a 1/2” quick
disconnect, female to your booth. You must supply your own adapters to fit these requirements. In
situations where required materials are not supplied and the VBC Engineering Department is required
to assist and supply parts, additional charges for materials and labor will apply.
