Annual Report FROM THE PRESIDENT To the supporters, staff, volunteers, partners, vendors, clients and those who are soon to be a very active part of this organization and just don’t know it yet, I want to offer my thanks and admiration. During 2013, I have had the honor of serving as President of the Board for We Care Arts. As with many years before, we have experienced great levels of success, as well as some struggles that have made us stronger. As an organization, we continue to look for ways to keep ourselves financially viable. Through successful fundraisers such as our Annual Auction, Garden Party, Horse Race, Style Show and Cookie Walk, we work to supplement grants and individual donations that are so vital to keep our doors open. A highlight of 2013 that must be mentioned is We Care Art’s certification received under C.A.R.F. (Commission on Accreditation of Rehabilitation Facilities). This is a major milestone for We Care Arts and further moves us forward on our journey, caring for those in our community that need such a venue as this to meet their varying needs. For 2014, we are further defining our strategic plan. As the demand for our services continues to grow, we must remain focused and diligent. Our clients come from all walks of life for a common purpose of getting a need filled. Our staff and volunteers help those individuals gain back those things that may have been lost, or work to develop skills and confidence that they haven’t had before. From a small entity that could support only a handful of clients, to a fully functioning non-profit that now supports over 1,000 clients, We Care Arts has become a vital part of our client’s lives. I wouldn’t be doing my job if I didn’t finish this with a request for your help. Please consider some type of gift for this great organization. Pittman President of Board of Trustees FROM THE DIRECTOR A few weeks ago, a post on Facebook caught my eye: “When I was 5 years old, my mother always told me that happiness was the key to life. When I went to school, they asked me what I wanted to be when I grew up. I wrote down ‘happy’. They told me I didn’t understand the assignment, and I told them they didn’t understand life.” –John Lennon Most of the people we see at We Care Arts have lived through incredibly hard times. Many grew up not feeling loved or cared for. But when they come to We Care Arts, they begin to feel happy, alive, and valued. How can creating a simple piece of art make that happen? It’s all in the science...When we create art or listen to music, every cell is affected; the body actually begins to release stress and relax. As that stress leaves, fear recedes and creativity and inspiration begin to grow. The immune system begins to improve, and blood flows easily to all the organs. Our perception of the world shifts. Our emotional state improves and physical pain lessens. In fact, according to neurophysiologists, the brain wave patterns created while making art and praying are very similar. All of these changes allow hope and positive energy to take over and for healing to begin. Once our participants realize just how good they feel while making art, they keep coming back to experience it over and over again, with our caring staff and volunteers there to help them reach their full potential. They want to continue to feel the sense of accomplishment that comes from completing a piece of artwork that has meaning to them. They come back because they feel happy at We Care Arts. It’s a blessing to work somewhere I witness miracles every single day; to see the smiles and hear the laughter of people who have worked hard to find peace and balance in their lives. I would like to invite you to come visit us and create a painting, mold an object from a hunk of clay, or sketch with some pastels, and see for yourself how We Care Arts makes a difference in the lives of our participants, their families, and our community! Sincerely, Terry Schalnat EXECUTIVE DIRECTORS REPORT The year 2013 was productive for all of us at We Care Arts. We accomplished much and I am pleased to present this report. OPERATIONS A primary goal for the year was to develop methods to ensure the agency’s operational sustainability. We created a policies and procedures manual and made a commitment to update it regularly. As a “living” document, we will continue to create procedures that describe, in detail, the responsibilities, or action steps attached to new positions or activities. In addition to regular programming, the staff at We Care Arts worked diligently to ensure the agency’s future by working to meet the standards established by the Commission on Accreditation of Rehabilitative Facilities (CARF). This exhaustive process helped us to improve our service delivery practices, increase our efficiency, and refine our evaluation procedures. Compiling the necessary documentation was a huge undertaking that required a great deal of the staff’s time and talent. CARF representatives visited us in November for our first review. We received a three year CARF accreditation in early January. As part of the certification process, we were required to conduct a security and general safety inspection of the agency and parking areas. Brenda Thieman was designated as our safety officer and she, and her safety and facilities committee, developed a safety plan checklist. We conducted both internal and external safety inspections and made the necessary corrections. These included discontinuing the use of extension cords in the wood shop and removing loose cans of varnish and paint from the spray room. We plan to install a fireproof cabinet this year so we can complete each of the internal safety requirements. We mounted a light in the back parking lot to help assure the well-being of clients and staff leaving the building after dark. We arranged numerous training opportunities for staff. Early in the year, we contracted with Paychex to provide mandated HR classes. While we missed a few classes in 2013, we are on schedule to finish them during the first half of 2014. Shari Hignite has made certain that our teaching staff is up to date with any staff training needed to maintain compliance with the State of Ohio for agencies that receive waiver funding. We created surveys to give clients and their families the opportunity to provide feedback about the services they received. We also held two client meetings to encourage discussion and to gauge feelings about what they like about WCA and what changes they would like to see. We distributed an on-line survey to our caregivers, donors, and funders. Work on this project is ongoing. We extended our services to several new nursing homes in the area. We discovered asking agencies to pay for our classes was more of a deterrent than we anticipated. Many nursing homes in the area have money for only one class per month; some can only afford classes twice a year. Since the new classes are so sporadic, it is hard to document the success of our expansion efforts. We are in discussions with the VA Center and other facilities. CLIENT SERVICES In 2013, staff provided 22787.75 hours of service for 1090 client/artists. As you can see we have keep our mission to serve those in need of a kind and loving friend at the forefront of all of our endeavors. VOLUNTEERS We could not have accomplished so much without the many volunteers who share their talents with us. In 2013, 250 volunteers provided over 10901 hours of service. The State of Ohio gives $19.23 as a value for a volunteer service per hour. That equates to over $209,626.23 of in-kind contributions of time in our budget. We are blessed and thankful for these wonderful people. FUNDRAISING AND MARKETING I am pleased to report that we recovered from the shortfalls of previous years and the agency is better off financially today than we have been for some time. This was partly due to fundraisers conducted by the members of the community to benefit us including the Kettering Mayor’s Ball and a fun auction featuring skateboard art. Last summer, the owner of a local tattoo shop drove by our facility and stopped by to visit our staff and clients. She was so impressed that she asked other local and national tattoo artists to create artwork on skateboards and then organized a special event to auction them off, both at the event and online. Local food truck operators parked in our lot and sold food to draw additional interest. This was a first for us! The event encouraged many new people to stop by and purchase our client/artists’ work and find out about our mission. The organizers want to try it again next year! Our income from grant dollars increased in 2013 as well. As a result, we were able to set aside some of our undesignated funds toward a longer-term investment. While our “unplanned fundraisers” were profitable, funds generated from our planned special events declined. Our efforts to garner additional contributions to the agency in conjunction with our 30th anniversary were not as successful as we had hoped. We sent letters to past board members and while we received gifts of a couple thousand dollars; it was far less than what we had anticipated. Ticket sales and sponsorships of our annual fundraisers including the Silent Auction, Garden Party, Horse Race, Style Show, and Cookie Walk decreased. This year, we will need to look at these fundraisers and see what we, as a Board, can do to make these efforts more successful. Another goal for the year was to develop a marketing plan for our programs, the gift shop, and to upgrade our on-line gift shop with a grant from the Vectren Foundation. We spent much of the year investigating the correct approach for the “on-line” gift shop and determining how to create an effective inventory process for our existing “in-house” gift shop. After we found a computer program that met our needs, entering the data to build the website and building the website took several months. We enlisted the help of a photography student from The School of Advertising Art to take pictures and describe our products. Currently, Janis James and Teresa Lynne are writing biographies and taking pictures of the client/artists to accompany the products. We were hoping to go live with the on-line gift shop by the close of 2013, but it has taken longer than anticipated to enter information and create the inventory. We will go “live” in the first quarter of 2014 and we will add an ongoing auction for our client/artists’ work. We are increasing our use of social media. We have created a number of E-mail blasts and are sending E-mail newsletters out regularly and we are also are using Facebook a lot. We are just novices at Twitter, but we are getting better at it! In summary, 2013 was a good year. We served many client/artists and helped them feel better about their lives and their potential. We provided support for many people, and that is, after all, our mission. Our successes were many when you count the smiles and see the hope and promise in the eyes of those we serve. WE CARE ARTS VOLUNTEERS We Care Arts volunteers come to volunteer for a number of difference reasons, but the main goal of the majority is to make a difference in their community. And boy do they make a difference. Volunteers help with everything from the High School special needs student, fundraisers, organize donations, data entry such as inventory control and much more. Volunteers come from all walks of life, students from Colleges, High School, Middle School, Elementary School , retired individuals, corporate world and many other service groups Every single volunteer is critical to our organization. David Kenworthy has been volunteering at We Care Arts for the last 3 years and has brought so much to our clients. He helps with the High School Special needs students. David is loved by both the students and the staff of We Care Arts. Ohio Department of Labor sets the value of a volunteer at $19.23 per hours. In 2013 We Care Arts volunteers donated 10,901 hours. The dollar amount donated was $209,626.23, but volunteers value is so much more than just dollars. How do you put a dollar amount on a smile or a hug or the sense of well being our clients feel.
