Introduction
Welcome to Assyst Rx-S. This release of Assyst Rx-S was developed to address a number of
enhancements and performance requests received from you. Your input also helped us identify and
resolve a number of issues within the application.
This document describes the changes made to Assyst Rx-S since the previous release. The information
in this document is to be used to supplement existing documentation for Assyst Rx-S and its modules
and is to be considered the most current.

This section lists changes made to modules/functionalities which make up the core applications in the
Assyst Rx-S Suite (i.e. the general fill and bill functionality).
Addition of ICD-9 Codes for the Alberta Clinical Pharmacy
ARXS-61 Build 30
ICD Codes, or 'Medical Reason for Use' codes, Effective October 1, 2012, all Alberta Pharmacists working
in Alberta Pharmacies and participating in the Clinical Pharmacy Service Program for submitting claim
transactions electronically must enter a Medical Reason Reference (D.50.03) and Medical Condition /
Reason for Use value (D.51.03) for the SMMA / CACP Initial Patient Assessments by Pharmacists with /
without Additional Prescribing Authority (APA) (PINs 00000071112, 00000071114, 00000081112,
00000081114):
a. Medical Reason Ref – reference category, and
b. Medical Condition / Reason for Use – describing the underlying medical reason and medical condition
for the services provided.
In addition to the information from Build 28, the following information must be added.
How to Enter the Required Information
New Prescription Window
In the 'New Prescription' window, click on the 'Extra Info' button. The 'Third Party Extra Information' window
will open.
Enter the fee in the 'Clinical Pharmacy Service 'Fee' field. In the example below, a fee of $60.00 is entered
in the 'Fee' field as the eligible amount for the rendered service '00071112'. Click on the 'Initial
Assessment of Patient's Need' button and the ''Medical Reason for Use' window will open.

Send the claim.

Here is a list of codes used for the 'Medical Reason for Use' codes.
New Group & Section for Alberta Adult Health Benefits Program
ARXS-66 Build 30
Effective October 1, 2012 Alberta Human Services will introduce a new Group and Section Number to
uniquely identify program participants and their dependant(s) eligible for coverage under the Alberta Adult
Health Benefits Program (AAHB). These participants will now be enrolled under Group 23609 Section
000. Previously these program participants and their eligible dependant(s) were enrolled under Group
19823 Section 000.
Prescription drug claims for all AAHB participants and their dependant(s) will continue to be direct billed
through to the Alberta Blue Cross claims adjudication system using the existing carrier code 12.
Each eligible program participant and each of their eligible dependants have been assigned a unique ID.
Program participants and each eligible dependant have been categorized as the cardholder. In order to
avoid a CB response code - patient enrolled for single coverage, pharmacy providers will need to
ensure the relationship field reflects the number zero (0)- cardholder status when submitting claims to
Alberta Blue Cross for adjudication.
Group 19823 section 000 will remain active and continue to define drug benefits for other Alberta Human
Services Programs.

To add a new plan into assyst Rx-S
Go to 'File', then to 'Third Party' and then click on the ADD button.
Enter the following information to configure your plan:
GENERAL TAB
Quick Key = AAHBP
Description = Alberta Adult Health Benefits Program
Account Number = Enter YOUR Alberta Blue Cross Provider ID number
Plan Demographic = Can enter the Name, address, phone number etc…
Requirements = Alberta Adults Health Benefits program
Pricing Tab
Most of the information will auto populate on this tab but you will be required to enter the following
information.
Compound info = Fee per minute =0.75 and Time Threshold =7
Default Copay Table = Choose the option in your system where the copay is set to 100%. See figure
'Copay Table' below.

Adding the Patient's Coverage
Go to 'Patients Tab 1', then to 'Third Party (1)'.
Click on the 'Add Coverage' button.
Choose the Alberta Adult Health Benefits Program from the 'Plan Lookup'.
Enter the following mandatory information:
Client ID/Code = This number MUST be 10 digits in length so you may be required to add leading zero’s
to the number.

Electronic Claims
Claimstream Network
ARXS-10 Build 29
Claimstream is a new Canada-wide network that enables the secure electronic transmission of pharmacy
claims from providers of such services to members of the Canadian Association of Blue Cross Plans for
adjudication.
Claimstream is an initiative of Alberta Blue Cross jointly supported by Pacific Blue Cross. Blue Cross
Plans that participate in Claimstream can accept claim data for any of their lines of business from any
service provider across Canada.
Starting with this release, Alberta Blue Cross and Pacific Blue cross claims will go through the
Claimstream Network.
! Note: To set up the claims properly, please follow the instructions given in the installation and
configuration guides Import ABC Claimstream Remote.pdf and Import PBC Claimstream

MAR Chart
Deferred Prescriptions Printing on MAR

When printing MAR charts and MED reviews, the deferred prescriptions were not printing. This is now
corrected.

Number of Remaining Refills added to PPH Export File

We have added the remaining refills of the prescriptions to field # 24 of the PPH export file. This change
has been made to comply with the regulations set forth by the Alberta College of Pharmacists
! Note : You need to contact your Pill Packaging Hardware provider to have this field configured within the
other vendors software.
Dose packaging lost when copying Rx from previous one
ARXS-48 Build 29
Since release 2.4.6.28, whenever a prescription was copied from a previous one, the dose packaging was
lost and you had to press the Dose packaging button again. This defect is now corrected.
Incorrect Days Supply in PPH Manager
ARXS-49 Build 29
When filling a stat order where the selection is "DON'T batch AND send to PPH", the days supply shown
in PPH Manager was incorrect. The days supply that was showing up and being filled on the prescription
was the Rx days' supply. The system is now calculating and displaying the transactions day supply.

Alberta Clinical Services Program

The Clinical Pharmacy Services Program allows pharmacists the ability to claim for compensation for
clinical services provided effective July 1, 2012. All Albertans will be eligible for clinical pharmacy services
as outlined in this document.
Included within this program are the following:
a. Comprehensive Annual Care Plan (CACP) – Albertans living with specific chronic diseases will be
supported by pharmacists through assessment, care plan development and ongoing monitoring.
b. Standard Medication Management Assessment (SMMA) – Pharmacists will conduct medication
reviews and develop care plans for patients with at least one chronic disease and on at least four
continuous medications.
c. Professional services following an assessment - Prescription renewal, Adapting a prescription,
Emergency prescribing, Administration of injections and Initial access prescribing.
How to configure the new program
To use this new program, Alberta pharmacists will first need to configure Assyst Rx-S.
1. Create a third party 'ABC Clinical Pharmacy Services'
2. Create a pricing policy
3. Create a new category
4. Create the drug files
Create a third party 'ABC Clinical Pharmacy Services'
The third party needs to be configured as follows in the Third Party Detail window:
General tab
Enter the name of the plan, the plan code, the account number and select the 'ABC Clinical
Pharmacy Services' in the table of Requirements field.

The option 'Special Service Fee' needs to be selected in the field 'Send special services Fee in'.

Select 'Alberta Blue Cross SSL' in the Site to Call field, enter 111111 in Bin field and enter your provider

Create a pricing policy
1. Select File -> Pricing Information -> Pricing break menu.
2. The Pricing Break Maintenance window opens.
3. Click on the Add button and enter 'Clinical Services' in the description field of Pricing Policy Information
section.
4. Click on the Add Break button located in the Break Structure Information section.

5. The Search Break Structure window opens.
6. Click on the New button. The following message will appear.
7. Click on Yes. The New Break Structure window will open.

8. Enter 'Clinical Services' in Break Description field; select 'Cost' in Break Type field; click on Add
Level button and enter .001 as Level Value and keep the default value of 'Fixed' in Level Type;
enter a cost of 0 and choose the override option. The new values will look like this:
9. Press OK. The new Break is created and added to the list.

10.Select it in the list and press OK. The new pricing policy creation is completed.
Create a new category
1. Select File -> Pricing Information -> Categories menu.
2. The Category Maintenance window opens.
3. Click on the Add button and enter 'Clinical Services' in Category Description field and keep the default
value 'Regular prescription' in Prescription Type field.

4. Press the ellipse button in Pricing Policy field. The Lookup Pricing Policy window will open.
5. Select the 'Clinical Services' pricing policy previously created and press OK.
6. The new category creation is completed.
Create the drug files
The different clinical services that can be claimed need to be entered as different entries in the drug file.
Use the following PIN and description. The reimbursement per service is to be determined. PINs will be
used to differentiate the clinical pharmacy service type provided and whether the service was provided by
an APA pharmacist or not. (APA = Additional Prescribing Authority)

Create every drug (service) manually in the system following these steps.
1. In the Drug Detail window, click on the Add button.
2. Enter the Brand Name of the Clinical Service program (e.g. CACP Initial Assess w/o APA)
3. Enter the Generic Name of the Clinical Service program (e.g. CACP Initial Assess w/o APA)
4. Enter the correct 8 digit PIN that corresponds to the drug you are entering in the DIN field. (leave off the
first 3 zeros given in the list above) (e.g. 00071114)
5. Select the Category that you previously created (e.g. Clinical Services)
6. Click on the Add button in the Packages section and enter $0.01 as cost of drug 1 as pack size.
7. You can enter the Special Services code and description in the Comments section and have them
display on a new Rx.

How to use in Assyst Rx-S
To claim for compensation for clinical services provided, you need to follow these steps in Assyst Rx-S:
1. Add the coverage to the patient file
2. Create a prescription for claim
Add the coverage to the patient file
When adding the coverage to the patients file, you need to set the status to “Not used”. This will ensure
that this plan is not added to every prescription filled for the patient.
1. In the Third Party tab of Patient file, click the Add button of Coverage section.
2. The Plan Lookup window will open.

3. Select the plan previously created (e.g. ABC Clinical Pharmacy Services) and press OK.
4. Click In Status field and select 'Not Used'.
5. Enter the Client ID. This must be the patient's PHN and must have a 0 at the beginning.
6. Set the Relationship. This must be set to Cardholder (0)
7. Enter the Cardholder info. This field must contain the first 5 characters of the patient's surname. If the
patient's surname is shorter than 5 characters (e.g. M. Hunt), enter the full surname.

Create a prescription for claim
When creating a prescription for claim, you need to make sure to choose the correct pharmacist
prescriber and to enter the correct SSC code and $ amount in the Extra Info section. You also need to
add the Clinical Services Plan to the prescription and lock it in place since it is added to the profile with
the status of “Not used”.
1. Select the prescriber (pharmacist only).
2. Select the appropriate Clinical Services Drug (e.g. CACP Initial Assess w/o APA (DIN 00071114).
3. Enter Fill Quantity, SIG and Days Supply.
4. Clear off any additional plans from the coverage section and add the Clinical Services Plan and Lock it
in place.

5. Click on the Extra Info button in the Coverage section. The Third Party Extra Information window
will open.
6. Select the proper SSC Code in Code 1 field (e.g. Initial assessment of patient's needs)
7. Enter the SSC Fee amount (e.g. $100.00.)

8. Press OK.
9. Fill and Process the prescription.
! Note : Incorrect submission of the PIN and SSC combination may result in claim rejection of D1 –
DIN/PIN/GP/SSC not a benefit. As an example, if PIN 00000071113 SMMA Follow up is submitted
with SSC of F or H or I or J, the claim will be rejected.
Reports
Drug movement transactions not showing up

Depending on their packsize, some drugs were not showing up on the Drug Movement report.

PHN number in the rapid entry window

When filling an Rx for a patient showing an existing Netcare batch error (wrong/no PHN in profile), the
system automatically pops the rapid entry window giving the user the possibility to enter the PHN.
If the user enters the PHN from the patient profile, the "-" is present and the user must not enter the "-"
manually. However, when entering it through the rapid entry window, the user had to enter the "-" manually
or the PHN was erroneously entered in the profile, disregarding anything after the "-". The PHN was not
accompanying the claims and was generating more Netcare errors.
This has been corrected and the "-" is now present by default.

MED e-Care
Deferred Rxs added to MED e-Care eMAR

Deferred prescriptions are now being sent to the MED e-Care interface. Nursing home staff can now know
if an Rx has already been sent to the pharmacy but has not been filled yet, in order to avoid a duplication
of Rx requests when they already exist.
Narcotic Monitoring System (NMS)
Integration of NMS (Ontario)

The Narcotic Monitoring System (NMS) is a project that the Ontario Ministry of Health and Long-Term
Care is launching, following the Narcotic Safety and Awareness Act passed during the third reading in
Parliament on November 23, 2010.
The necessary functionalities were implemented in Assyst Rx-S in order to communicate with the Ontario
Narcotic Monitoring System (NMS). For the Ministry of Ontario, this system was intended to collect,
monitor and disclose the use of Narcotics and Collected Substances.

Settings
Certain conditions need to be met for NMS claims to work properly.
A TELUS Health solutions agent will first run a program that will do the following:
Create a new requirement (ON - NMS).
Create a new Third Party (Ontario - Narcotic Monitoring System) along with the new requirement.
! Note: This new Third Party will be for information purposes only and will not involve any financial
transactions.
Associate the new plan to all existing patient records.
! Note: You will need to add this plan manually only to new patient records that you will create.

Adding the ON-NMS plan to a new patient
To report a narcotic Rx to ON-NMS, you will need to add this plan to the patient’s profile as the first payer
and set it to “Not Used”.
The plan must be populated with the Cardholder Identity Code.
! Note: If the cardholder code is "ONG", "ONO", "ONX" or "ONOU", enter the corresponding "Client ID
Number" from the list below in the PHN field. For example, if the Cardholder code is "ONO", you would
enter "0011984276 " in the PHN field.

Adding a new coverage to a narcotic
As a pharmacist, it is up to you to add the "Ontario - Narcotic Monitoring" plan to a prescription if it is
deemed eligible.
1. Create a narcotic prescription
2. Click on the Add Plan button. The ON-NMS plan should already be there by default.

and coverage state 'Not used'.

When sending a VDM order, the program retrieves a .stat file to confirm the order is received. The
verification for this .stat file was not always working, leaving the client with the impression that the sending
of the order didn't go through. The client was then re-sending the order, causing a duplicate order issue.
This .stat file is now verified at the onset instead of just at the end of the order sending process. If a .stat
is found, a popup lets the users know it has a confirmation for PO # (or current PO has previously been
sent) and have them confirm if they still want to resend it.

Transaction Master – case-sensitive searches

When doing a report based on drug name in Transaction Master, the name was always entered in ALL
CAPS. Therefore, if a drug name had been entered in the drug file with lower-case letters instead of all
caps, it was excluded from the results. For example, a report for drugs that start with "ATIVAN" was
disregarding drug called "Ativan". This defect is now corrected.

informing him/her that he/she can override and still process the prescription if they so choose to.
"Stat" processing for PPH

Stat processing is usually most commonly used to bring a new nursing home patient up to date so they
can be added to the next batch fill.
For example, the Weekly batch for a home has gone out and the next batch is for the following Monday.

The new patient comes in on Wednesday. Stat processing will be used to cover the patient from
Wednesday until they can be included in the next Monday batch, which is 5 days worth of drugs.
Because the nursing home's patients get weekly batches, the days supply is set to 7 in the example. In
the case of a stat process, the days supply will likely be only for a portion of this.
When entering start and end dates on a stat, the days supply should have been adjusted accordingly, but
instead, the full days supply was sent to the PPH. In our example above, the patient stat processed on
Wednesday should have received a days supply of 5, but pplus was sending 7. This defect is now
corrected and the right amount is sent.

Upon launching Assyst Rx-S, If the update version is superior to the current Assyst Rx-S, a message will

You then have the option to check the box next to “Stop showing this update message”. If you don’t
select this checkbox, the Update message box will appear every time you launch Assyst Rx-S. The other
checkbox will launch Acrobat Reader and display the newly revised Installation Notes to help you install
the update yourself.
