1. PRINCIPLE
1.1. Introduction
The solution involves information exchange using several files via an FTP. (according to the needs : bearing in mind the
chosen delivery modes)
Thus the merchant has the necessary information and can thereby suggest the most convenient Point Relais® to the
end user and its particulars (address, opening hours)
The Merchant has to print the labels and forward the delivery information to Mondial Relay (for all delivery modes)
All tracing information regarding shipments will be sent back by Mondial Relay.
1.2. Terms
Term
Description
Merchant
It’s the upstream Merchant, the Customer from which shipments are loaded.
Delivery mode
The type of delivery : 24R (Point Relais®), DRI (Colis Drive®), 24L (Point Relais® XL), 24X
(Point Relais® XXL), LD1/LDR (Home delivery by single delivery man), LDS (Special Home
delivery), LCC (Merchant delivery).
Collection mode
Where shipments are picked-up : CCC (from the Merchant), CDR (Single delivery man
pick-up at home), CDS (Special home pick-up), REL (Point Relais® collection).
Point Relais®
Where delivery is made, excluding home delivery, usually a retail store (flower shop, …)
where the shipment is made available for pick-up. It is a Parcelshop or Pick-up point.
Colis Drive®
Where delivery is made, excluding home delivery, usually a Mondial Relay Agency or a
retail shop where the shipment is available for pick-up by the end user. It is a Parcel
drive.
ISO Standard
The document refers to two ISO standards inorder to identify the countries (ISO 3166-1
standard) and languages (ISO 639-1 standard)

Cash On Delivery
Preadvice
Information of shipments given by the Merchant to Mondial Relay via the Shipments
preadvice file.
Database missing
Corresponds to the case of the physical shipment which is collected by Mondial Relay
however Mondial Relay has not processed the required data (preadvice) for this
shipment due to the fact that the preadvice has not been provided or was rejected.

There are ‘text flat’ files using the ASCII code page without the special characters …
The files ‘relpro’, ‘relais’, ‘geocode’ and ‘pltri’ are given during the afternoon for an integration by the
merchant the next day.
The preadvice files (‘dpc’) are recorded by Mondial Relay every 2 hours and then deleted from the FTP
account.
Tracing files are given daily by Mondial Relay from 6:00 am to 11:00 pm intervals. The files are deleted by the
Merchant (by default, Mondial Relay deleted 7 days after)
The acknowledge receipt of preadvice are created for each preadvice file reception as well twice a day
(12PM and 08PM) for the non correction alerts and data base missing.
1.7.
Tests and validation
- Your Mondial Relay contact for the setup of IT information flows, checks the « DPC » file (preadvice file) content
with the specifications.
This DPC files will have to include as many shipment lines as delivery modes planed in the contract :

2. SORTING PLAN
The Sorting Plan is done to match delivery information to a zip code or Point Relais® :
- Group number used for mechanized sorting process
- Delivery agency number.
- Shuttle number (driver rounds group).
- Driver round identification (Home delivery round or Point Relais®).
This information is necessary to create labels and preadvice.

3. The ADDRESS LABEL
1.1.
Basic Rules
The label contains the main data to ensure the delivery process.
Printing must be done on a white label. With a format: 10x15 or A5
Inbound labels’ size (LCC) must be equal, at least, than the outbound shipment ones.
Labels for France, Belgium and Luxembourg must be in French or English
Labels for Spain must be in Spanish
Labels for other countries must be in English
Labels must be affixed to the largest side of the parcel

For reverse shipments (reverse), we expect : (height 3 to 4mm, bold font):
Validity date of the reverse shipment (date of the pre advice file + 90 days)
Among the features of shipments, there are some shipments with and other without C.O.D (cash on delivery). On the
label, it should appear the words : « C.O.D.» with the amount in €uros with the currency with a bold font (0€ if there is
no C.O.D.) The word « Franco » is allowed in France for shipments without C.O.D. (country code « FR »).
Below this information, it’s possible for you to add a line for your additional instructions (order number, delivery
point….) for the delivery (example: If missing, contact Mr Smith on 06.20.20.20.20)
For the reverses (LCC), the sentence « Return label to stick on the original label (if present) » should appear above the
barcode (height 3 to 4mm)

4. THE POINTS RELAIS® and COLIS DRIVE®
4.1 The Point Relais® and Colis Drive® nomenclature file
Composed of 2 types of recordings :
- A header recording
- Points Relais® recording
A) Introduction :
This file includes all information of each Points Relais® considering Point relais® = recording line.
IMPORTANT : what makes the identification unique is the combination of the Point Relais® number and the Country
code. (i.e the possibility of having a Point Relais® number 05000 in France and in Belgium as well)
This file can be substituted for the sorting plan file for Point Relais® or Colis drive® deliveries since it has all the
sorting information.
B) Point Relais® category management :
You can differentiate the different types of Point Relais® following the features bellow :
The Points Relais® = 1 or E or F or D* (all Point Relais® XL and XXL are standard)
The Point Relais® XL = E or F (all Point Relais® XXL allow also the delivery in Point Relais® XL)
The Point Relais® XXL = F
The Colis Drive® = 7 (The Colis Drive have their own type and mode of delivery DRI)
These types of Point Relais® are present in the field NAREL in position 653.

5. SHIPMENTS PREADVICE FILE
Shipments preadvice file given by the merchant, enables Mondial Relay to have in its information system the
shipments information.
This information is necessary for the parcels tracing, for various services (assembly, notification, …) and invoicing.
The file must have :
- a header recording
- a detail recording line per shipment
- item recording (mandatory for home delivery shipments)
CAUTION :
The shipment preadvice file must be defenitely given to Mondial Relay before the physical handling of parcels.
His integration will create an acknowledge receipt (§5.2)

This important information flow permits to control the shipments information from the Merchants and give them feed
back :

One acknowledge receipt and integration to confirm that the process is correct
Or some alerts which mention rejects and/or unknown shipments.
We give them information via files on the ftp account and by email if needed.
For each preadvice file reception, we send an acknowledge receipt according to the description below.
All rejected lines are described in detail lines.
Furthermore twice a day (12PM and 8PM) we send back all non solved alerts and all unknown shipments (Preadvice
not received or rejected)

6. TRACING FEEDBACK INFORMATION
Daily, Mondial Relay makes available several files which include all information related to shipments tracing : logistics
status, accounting information regarding COD and electronic notifications.
A parcel reading is done for each responsibility transfert.
Each parcel has at least 3 readings :
- Handling :
Carried out at the Hub or at the Agency of collection
- Delivery run procedure (*):
The delivery run is setup at distribution agency.
The delivery run triggers the printing of a signature document.
- Delivery (*):
The delivery is recorded at the distribution agency by a barcode reading on the delivery document .
(* ): For IT equipped delivery men, information regarding the parcel delivery run is confirmed by the driver and the
delivery information is recorded when the parcel is given to the customer.
Other types of parcel readings are used for:
- Puting on stand by at agency
- Setting up appointements
N.B : The file information and tracing are kept 3 months.
Anomalies management in the tracing process :
- Damages
- Lost
- Astray
