Discounting PBS scripts
From 1 January 2016, approved pharmacists may (but are not obliged to) discount the PBS patient copayment by a maximum of $1.00 per PBS supply.
• The discount for co-payment general and concession prescriptions is capped to $1.00 for Section 90 pharmacies (Community
and some Hospital pharmacies) and Section 92 Dispensing Doctors.
• For Section 94 Private Hospital Pharmacies, the discount amount is uncapped.
• Friendly Society Pharmacies may continue with existing arrangements for their members.
The January 2016 release of Fred Dispense delivers a number of functionality changes to enable you to apply the desired discount
to specific patients types while remaining compliant with the terms of the 6CPA.
Discounting rules can be applied and set by the pharmacy within the Co-payment discount rules screen. Rules are customisable
using specific parameters. When dispensing, the script’s patient price is automatically calculated according to the discounting rules
that have been set for scripts.
The discounted amount is displayed below the price on the Script Label preview.
PRF stickers will display the PRF contribution, which is reduced by the discount amount (exception being CTG scripts).
A new column Co-pay Discount column has been added to Script Analysis report.
PBS Online claim transmissions now include:
• Actual amount paid by the patient as calculated and printed on the Fred Dispense label.
• Any discount amount applied to PBS or RPBS scripts.

Rounding script transactions
Due to the transmission of actual contribution and the discount amount (where applicable), the rounding
functionality in Fred Dispense has been modified to prevent rounding for all PBS and RPBS scripts.
From 1 January 2016, the No Rounding setting is applied, in order to prevent potential rejection responses to PBS Online claims
in the following instances:
• Patient contribution for claimable scripts are too low after rounding down.
• Patient contributions for Under Co-payment script are too high after rounding up.
From 1 January 2016 the Rounding configuration screen is no longer accessible from the NHS Fees option in the Setup menu.
Previously configured rounding rules will be ignored by Fred Dispense for NHS scripts.
These rounding changes do not apply to Private Fees.

Free Discounting Analyser tool
The Fred Discounting Analyser enables you to estimate the financial impact to your pharmacy if you
choose to discount PBS claimable prescriptions from 1 January 2016.
This Business Intelligence tool (BI), powered by the Fred NXT reporting solution, will utilise your pharmacy’s historical prescription
data and allow you to apply different discounting strategies to immediately visualise the estimated financial impacts within the
Power BI dashboard.

End of Year Process
The end-of-year process must be run at the end of trading on 31 December 2015. This process removes
the previous year's Safety Net entitlement details, and prepares a “clean slate” for the new year.
You can either run the process on your last trading day of the year after closing, or before opening on your first trading day of the
new year.
Note: Perform your normal monthly backup before you run the end-of-year process.
When you open Fred Dispense on 31 December 2015, a prompt is displayed to remind you that the end-of-year process needs to be
run.
The end of year process will:
• Clear out all Safety Net Concession (CN) and Safety Net (SN)
Entitlement script counts and safety net amounts.
• Clear all (CN) & (SN) numbers from patient details.
• Reset all Safety Net figures back to zero and update NHS fees.
• Remove patients marked as deceased from their family links.

Running the end-of-year process
Important! Run the end-of-year process on your main Fred Dispense server.
Exit Fred Dispense and ALL other programs on ALL of your computers, so that just the Windows desktop is displayed.
1. On your main Fred Dispense server, open Fred Dispense, then click the Activities menu (or <ALT+A>).
2. Click End of Year Process.
A prompt is displayed: Generate END OF YEAR Patients Report?
3. Click Yes.
Fred Dispense generates a report of patient Safety Net numbers for you to review.
4. When you have reviewed the report, press Enter.
Fred Dispense gives you the option to print the report.
• To print the report, click Yes.
It is not necessary to keep a hard copy of old Safety Net numbers. These are stored against dispensed scripts in Fred
Dispense. Printing the report can take several minutes and use a large amount of paper.
• To continue without printing, click No.
A prompt is displayed: Erase Patient Safety Net Concession/Entitlement Numbers Now?
5. Click Yes.
When this process is finished, a prompt is displayed: END OF YEAR Process completed press a key. Press any key to return
to the main dispensing screen.
Note: If you run the end-of-year process on 31 December 2015, the fees, safety net figures and customer safety net totals will not
change until the 1 January 2016.

When should you run the January 2016
monthly drug update?
The best time to run the January 2016 monthly drug update is immediately before or after running the
end-of-year process.
If you do not run the drug update before the end of December 2015, Fred Dispense will remind you to run it on your first trading
day in January 2016.
Checking your NHS fees for 2016
The Allowable Extra Fee (this is the additional amount permitted to be charged on PBS medicines priced below the general
patient contribution) will be $4.33.
NHS fees and markups are updated automatically in your monthly drug update, but we recommend you check your NHS fees
table after running the update, to familiarise yourself with the new fees and ensure they have been updated correctly.
1. In Fred Dispense, click the Setup menu (or press <Alt+S>).
2. Press <N>, or click NHS Fees.
Non-standard fees
If running the drug update with non-standard fees, a prompt is displayed asking if you want to change to standard fees.
If you select No, a blue message reminds you to check and adjust the fees manually.
If you select Yes, the Drug Update
continues with the standard fees.

MONTHLY UPDATE PROCEDURE FOR
Please tick 3 and initial when step is completed >
STEP 1
PERFORMING A BACKUP
A backup must be performed before running the Fred Dispense Monthly update. The pre-update backup takes a copy of the Fred Dispense data and
programs before you upgrade to a later version. It is recommended that this backup is taken away from the pharmacy and stored off-site.
It is recommended that you perform the backup after receiving the update notification email or before running Step 3 for the program update.
STEP 2
DOWNLOAD UPDATE USING FRED CONNECT
Within 24 hours of receiving the Monthly Update Email Fred Connect automatically downloads the Fred Dispense
Update. Alternatively you can use Fred Connect to download the update manually
1. Right click on the Fred Connect icon
found in the system tray and left
click on Show
3. Left click on the Select Program Updates to
Download button. A window will appear
showing the list of updates available. Scroll to
the bottom of the list and tick the box next to
the update required. Left click the Download
Selected Updates button to begin
downloading the update.
2. Left click on the Plugins Tab then left click
on the Utility Configuration Tab
4. The Fred Connect program will switch to the
Downloads tab where the update download
progress is shown. At this time you may wish
to wait until the download completes.
Alternatively Fred Connect can be sent back to
the system tray by left clicking on the cross on
the top right hand side of the window. The
update will continue to download and
dispensing can continue.
STEP 3
RUNNING THE PROGRAM UPDATE
The next time the Fred Dispense program is re-opened after the update has
downloaded; a prompt will appear to run the program update. At this point Fred
Dispense and Fred Connect should be exited on all computers.
1. Close Fred Dispense on all computers using <ALT + X>
2. Close Fred Connect by right clicking the Fred Connect icon
in the system tray and choosing STOP.
You can then choose YES to the prompt to run the program update.
You DO NOT need to wait until the end of the month to run the Program Update step.
STEP 4
RUNNING THE DRUG UPDATE
From the first trading day of the month, Fred Dispense will prompt you to run an
automatic update. If you are not prompted, follow these steps to perform a
manual update.
Note: Do not perform a manual update until after close of trading on the last trading day of the month.
1. Exit Fred Dispense and Fred Connect on all
computers
2a Left click on the Windows Start Menu and
choose Programs, Fred, Fred Dispense,
Drug Update.
2b For Windows 8.1 left click on the
start menu, type wdrugupd9 and
select the application
3. After performing the drug update Fred Dispense
will run with new Drug details and prices. This
can be checked by pressing <F7> Quick Drug
Price lookup from Fred Dispense and typing
TEST <ENTER> to check if the current month’s
Test Drug is displayed at the top of the screen.
