It allows guard employees to view, confirm and manage their schedules simply by logging into the employee portal. This is an important tool for lifeguards to learn before the season begins. The following pages provide an overview of the primary features of The Scheduler. If you have any questions while reviewing this material, please contact your local office. Some of the features shown in this guide do not apply to all offices, so please be sure you understand your location’s schedule protocol before using the Swapboard or Days Off functionality. How to Log In If you are unable to login (or have not received your login), please call the office or email your staffing department right away! 1. Visit http://www.guardforlife.com 2. All rights reserved. *Use dependent on office protocol Confirming Your Shifts YELLOW = Not Confirmed GREEN = Confirmed Please click “ok?” to confirm an individual shift on your schedule. You can confirm your shifts two ways: 1. One by one / by day 2. All at once / by clicking the “Approve All” button You can also click “Approve All” to approve all of the shifts that have not been confirmed. For each shift you will see the options of “ok?” and “Swap”. You must hit “OK” to confirm your shifts. If you need to put a shift on the Swapboard*, simply hit “Swap”. *Use dependent on office protocol Once all of your shifts are confirmed, print yourself a copy to post on your fridge! © Copyright Guard For Life. All rights reserved. | www.guardforlife.com | 5 The Swapboard PLEASE ASK YOUR OFFICE ABOUT SWAPBOARD PROTOCOL BEFORE USING THE SWAPBOARD On the calendar, the light blue number on the top right is how many shifts are available that day. When looking for additional shifts, it is recommended that you fill “Open Shifts” first. Red swap days are “Urgent”. Please note that if there is an emergency and your are not able to make it to work, you should call the office immediately. You should NOT post your shift to the Swapboard in the event of an emergency. When you click a shift on the Swapboard, information about that shift The Swapboard shows all available swap dates in your area. If you click the pool name (e.g. “HighLand Hills”) you will get a window pop-up that shows the pool on a map. 6 | www.guardforlife.com | © Copyright Guard For Life. All rights reserved. will populate in this area. The Swapboard Claiming Shifts Any shift claimed off the Swapboard immediately becomes the responsibility of the person that claimed that shift. If a shift is ever claimed accidently, the staffing department must be notified IMMEDIATELY. To claim a shift on the SwapBoard, simply Click on the title, review the information about the shift at the bottom of the Swapboard, check your personal schedule and then click “Accept Request” on the bottom right of the Swapboard. Again, it is very important that you check your personal schedule before claiming a shift. Clicking “Accept Request” means you are claiming that shift. Once claimed, that shift is your responsibility. © Copyright Guard For Life. All rights reserved. | www.guardforlife.com | 7 The Swapboard Posting a Swap Be sure to keep track of your Swap. Your Swap is your responsibility until it is claimed. If it is not claimed, you are expected to work the shift. Be sure to check that your swap is listed on the Swapboard after you click “Place on Swapboard” You should only post a Swap if it is ABSOLUTELY necessary. The Swapboard is a convenient tool, but it should not be abused. To move a shift to the Swapboard, simply click “Swap” at the bottom your shift. Fill in the Title (“Available Shift”) and Message (“Can someone please take this shift?’) and then click “Place on Swapboard”. If there is an emergency, please call the office instead of posting on the Swapboard! 8 | www.guardforlife.com | © Copyright Guard For Life. All rights reserved. Requesting Days Off YOUR OFFICE WILL HAVE SPECIFIC RULES ABOUT REQUESTING DAYS OFF. PLEASE BE SURE YOU KNOW THE PROPER PROTOCOL BEFORE USING THIS SYSTEM. To request a day off, navigate to the “Days Off” tab (next to the Swapboard). Click “Request Day(s) Off”. Complete the fields in the pop-up window that appears and then click “Request Leave”. Your day off will show as “Pending” on the calendar and in the days off tab. Once is approved, the word “Pending” will change to “Off”. The status will also change in the status column on the tab. © Copyright Guard For Life.
