team of catering professionals is available to assist you with planning every aspect of
your event. Our culinary team has designed a variety of menus to fit a wide range of
budgets and tastes. Should you desire a customized menu for your event, we will be
happy to meet with you to create a special menu for your specific needs. Our goal is to
provide you with the freshest selections of food items, beautifully displayed, and served
professionally by our highly trained staff as we strive to exceed the expectations of
every single guest.
Our culinary professionals take great pride in using sustainable and local foods to create
fresh, healthy and delicious m enus. We are committed to sustainable practices. We seek
out the best possible seasonal ingredients. Budget permitting, most menu items can be
organic and/or sustainable. We make ocean-friendly choices and are com m itted to
sourcing 100% Marine Stewardship Council or Best Aquaculture Practice certified seafood
by 2015.
This brochure will guide you through the planning process for a catered event. Should you

Catering Services
Catering services are available Monday – Friday, 7AM – 7PM, according to the University of Vermont’s Academic Calendar. Services
beyond this schedule and the Academic Calendar are available, please ask your Catering Event Planner for details.
Catering arrangements including guest counts and menu selections must be submitted:
*10 calendar days in advance for groups under 100 guests
*3 weeks in advance for groups of 100 guests or more
* Final guest counts must be submitted no later than five business days prior to your event
While we can sometimes accommodate your needs with less lead time, sufficient notice is required to execute a successful event.
After we finalize the details of your event, we will email you the final Banquet Event Order document. This will serve as the final
confirmation for your food services and will be delivered and billed accordingly, so please carefully review all information for
accuracy and completeness
Event Staff
Servers and Attendants are scheduled for events according to the type of event and to meet quality and safety standards.
Plated Meals
Servers are required for all plated lunch and dinner events. Your Catering Event Planner will assign Servers to your event to ensure
the quality and safety of the service.
Buffet, Reception and Break Services
Attendants are required for all lunch and dinner buffet and reception events. Your Catering Event Planner will assign Attendants to
buffet and reception events in order to ensure the quality and safety of the service. Continental Breakfast, Break events and drop
deliveries may be scheduled with attendants, but are not required.
Event Chefs
Chefs may be required for a-la-minute service at certain receptions or buffet events. Your Catering Event Planner will work with
you to plan this service.
Shoe String Service
Our Shoe String Menu is available to student groups who are working on a tight budget. This service does not require
service/attendant staff or linens, are served with recycled and compostable disposable wares, and can be picked-up at the Davis
Center Market Place to mitigate delivery costs.
Linens and China
Table linens and table skirting are included with all buffet and plated meal events. Linens and table skirting for non food events are
charged on a daily basis. China service is included with all non-delivered plated and buffet meal events. Delivery and china fees
apply for events beyond the Waterman, Billings, Given and Davis Center buildings. Your Event Planner will review these services
with you.
Equipment and Rentals
We are equipped to provide you an array of services in a myriad of venues. In the occurrence of a very large or a customized event,
it may be necessary to rent additional/specialty equipment. Your Catering Event Planner will review options with you as you plan
your event.
Floral
Decorative floral services are available. Ask your Event Planner about these services.
Delivery Charges
Delivery services are available for events beyond the Davis Center, Waterman Building, Given Atrium, and Billings Library. Please ask
your Event planner for details.
Menu Selections Prepared without Gluten
We offer a variety of menu selections prepared without gluten. Your Event Planner will review these options with you during the
menu planning process.
Guest Counts and Customized Menus
Menus and items are provided with minimum guest counts or food quantity amounts due to the minimum amounts of a given
food item we can order, efficiently prepare, display or properly present to you and your guests. Ask your Catering Event Planner
about customized menu services if you do not find a menu that fits your needs.
Changes, Guarantees, Cancellations
The final guest count must be confirmed five business days prior to your event by emailing the final Banquet Event Order
document to your Catering Event Planner. Functions cancelled with less than three (3) business days notice will incur a charge of
75% of the selling price of the event. Any event that is not canceled within this period will be charged at the full price of the
event. If the University is closed due to inclement weather, all catered events will be automatically cancelled. If you do not contact
us five days prior to your event, we will prepare for the estimated number of guests and charge accordingly.
Payment Terms
Payment for catering services is due prior to the event. Catering services can be paid for by credit card, check or chart string for
University department clients. Any additional catering charges incurred by the client during the event or after the event will be
invoiced to the client.
Donations of Food Items
The use of food provided by another source other than Sodexo for a Sodexo catered event is prohibited due to food safety and
risk mitigation considerations.
Alcohol Policy
All alcoholic beverages must be served by our trained personnel and consumed in designated areas. Proof of age will be required.
We reserve the right to refuse service of alcoholic beverages to any person. All service personnel completed the TIPS Training
Program for Service.
Bar Service
In accordance with Vermont State liquor laws, food must be served during the entire duration of a hosted or cash bar service. A
liquor license must be obtained from the state of Vermont for any bar service; thus, bar service must be requested a minimum of
20 days prior to the event date. Bar services requested at our licensed facilities at the Waterman Manor and Brennan’s Pub at the
Davis Center require a ten day notice. Approval from the Office of the Provost is required ten days prior to a University of
Vermont sponsored event where alcohol service is under consideration.
Our bartenders are trained in Vermont alcohol service regulations and reserve the right to refuse service to anyone. Guests will
not be served if they appear to be intoxicated, do not have proper id or appear to be under aged. The decision to serve alcohol is
at the sole discretion of the bartender.
Bar Policies and Pricing
We offer two bar service options when food is served: a Hosted Bar Service or a Cash Bar Service. We reserve the right to set the
staffing levels for bars to deliver a safe, quality service. Bar service ceases one-half hour prior to the scheduled end of a function.
Your Catering Event Planner will review these services with you.
