Kalimantan. DA bid submission is rescheduled to 18 May 2012.

• External QMS Audit by LRQA on 8 May 2012. Draft certificate renewal assessment report
issued on 10 May 2012 for Fugro review. PTFI granted renewal/extension of ISO certificate.
• Plan for 50 years Fugro celebration on 15 June 2012.
• HSE matters – Discussing and sharing observation of unsafe act in PTFI parking yard. BNS
raised HOC about it.
• Building repair - Logistics to search for appropriate contractor.

Provide general office secretarial assistance to Geotechnical
Manager or designated alternate (delegate) and appointed
Project Manager including document faxing, copying,
scanning, compiling, binding, CD/DVD burning, and keeping
record of incoming / outgoing deliveries (documents, goods,
reports, etc., except for tender or bid materials).
Distribute relevant faxes/mails for Geotechnical Manager and
designated operations team members.
Communicate and liaise orally or in writing (fax, letters, emails) within and outside the company to make appointments,
schedule meetings, collects and assist in managing
information and designated tasks for the project and other
general operations.
Organize logistics for Geotechnical/Project Managers and
projects/operations staff i.e. visa, travel permit, work permit,
field entry permit for clients’ premises, flights and/or other
transport means, and hotel reservations.
In crossing areas, Project & Operations Secretary is required
and/or has to co-ordinate with the Logistics Coordinator.
Particular logistics such as permit to embark an offshore rig,
security clearance permit for vessel and field personnel,
equipment delivery and re-delivery for an offshore work are
specifically handled by Logistics Coordinator.
Co-ordinate with FSIN Executive Secretary for managing FSIN
crew flat room allocation and access for PTFI personnel and
keeping periodical utilization record of the FSIN crew flat in
particular for occupancy by PTFI personnel.
Maintain periodical record or tracking of PTFI personnel
movement in job, at office, on leave, or in sick leave.
Assist FSIN Vessel Manager in organizing vessel crew travel.
Maintain Company’s report database and perform other tasks
related to data-basing including creating e-file of the report and
providing library management.
Handle Purchase Order (PO) process and issuance following
submission of approved requisition by the originator or
requesting department in co-ordination with Accounts
Department.
Perform temporary take over from other Secretary or
personnel during periods of their absence when requested or
designated by Geotechnical Manager.
Answering telephone.
Any other common secretarial duties and responsibilities not
designated herein yet.

Job Description:
- Maintaining daily tender announcement and informing relevant
management of all tender announcement and ensure company
registration when requested.
- Coordinating with other related departments (local and
International) involved in the tender preparation process

Distributing contract and its amendment (if any) to all related
parties.
Chasing customer for PO/SO Letter of Intent, Contract, etc,
and work closely with invoicing officer & report directly to
PSLM on the SO/PO status to ensure on time payment.
Receiving inquiry from Customer and process it to Product
Line Manager and Product Line Coordinator to have
confirmation for the decision that we will quote the inquiry or
not.
Preparing quotation / proposal and supporting documents
(drawing, company certificates, brochures, etc) and sending to
customer if Product Line Coordinator and Product Line
Manager agreed to quote the inquiry.
