MLS Field and Value Changes for Matrix MLS
If you’ve logged into Matrix and have started familiarizing yourself with our new MLS system, chances
are you have noticed a few changes to the system such as new statuses and new fields. This document
will detail all the major changes made for the Matrix MLS system.
Residential - Rooms
The old Room Type and Specialty Rooms fields have been combined and information from the Main
Level, Second Level, Third and Basement Level rooms have also been consolidated. Master Bedroom,
2nd bedroom, and 3rd bedrooms are now called ‘Bedroom’.

Residential - Tubs and Showers
The multiple “Tubs and Showers” fields have been combined into one field with multiple selections.

Commercial & Lease – SubType & Additional Sub Types
Subtype, a single select field, is used in all property types. For Commercial and Lease property types in
Matrix, we have added an ‘Additional Sub Types’ field to allow for multiple Subtype selections for a
property.
Open House – Hosting Agent
In Matrix, Agent ID in Open House cannot be edited like in MLXchange/Fusion. We have created a
new flyer called “Open House Flyer for Hosting Agent” which will display the login user’s name and
office under the “Hosted By” line. This allows members in your office to host open houses for
properties in the office.
Mapping – Angled View
One of the differences between the two map version (Fusion/MLXChange and Matrix) is that Bing
changed the Menu:

There are differences between the Bird’s eye view and the Aerial view in Bing maps.

In the new menu created by Bing, you can uncheck the angled view in the Bird’s eye to switch to the
aerial view. The menu is all completely in the hands of Bing so there isn’t an option we can apply on
how the menu looks or how up-to-date the different map views are.
Auto Emails – Automatic 90 Day Inactivation/Unsubscribing from Auto Emails
In an effort to reduce the occurrence of major email providers from blacklisting emails sent from
Matrix, the system disables Auto Emails after 80 days of inactivity. If your client clicks the Unsubscribe
link at the bottom of an email sent from Matrix, or if they do not click the link in the email to view the
listings in their portal, their Auto Email search will be disabled.
To reactivate an Auto Email that has been inactivated by the system, the client needs to send the Opt In
email (see below), then the agent can re-enable the search.

1. Once the email has been sent, please go to My Matrix > Auto Emails.
2. Click on the name of the Auto Email or the corresponding downward-pointing arrow to open the
full options.
3. Click Settings.
4. On the Settings screen under your message, change the Auto Email to Enabled and click Save.
Agent Webpages
5. If you are utilizing an MLXChange/Fusion agent webpage, this will NOT transfer to the new
Matrix system. You will need to create a new Agent Webpage in Matrix.

9. Click the Enable button and configure your webpage.
10. When you’re finished, click Save.
Highlights of Changes:
1. Listings belonging to the Fort Smith Board of REALTORS® are no longer available in the MLS
system. These listings can be found by utilizing the MLS Data Co-Op.
2. Status “C” for Current has been changed to Status “A” for Active in Matrix.
3. Status “E” for Expired has been changed to Status “X” for Expired in Matrix.
4. “Sold/Leased Date” and “Sales Price” have been changed to “Closed Date” and “Closed Price” in
Matrix.
5. Rented and Leased Properties are now Status “L” for Leased/Rented. The Status Leased/Rented
is used in the Rental and Lease property types ONLY. Residential, Farm, Multi Family, Land,
and Commercial property types have the Sold “S" Status. You can no longer select
Leased/Rented in these property types.
6. To look for Auction Properties, select the value “Auction” under the “Subject To” field. Current
Auction, Pending Auction, and Sold Auction are no longer Status types.

To look for Non-Listed Sold Properties, select the value “Non-Listed Sold” under the “Subject
To” field. Non-Listed Sold is no long a Status.
Public Remarks and Additional Public Remarks have been combined as one long text field to
allow for 510 characters.
Street Direction is now placed as the Pre-Direction and displays before the Street Name. (i.e. 321
N Main Street)
“Basement YN” and “Basement Description” are now in all appropriate property types.
Exclusion and Exclusion 2 have been combined as one long text field.
Heated SqFt and Gross Building Area (GBA in COM and LSE) are used to calculate the Price per
Square Feet value.
The number of images per listing will be expanded to 30 in Matrix. There are no image size
restrictions and high resolution photos will be accepted by the system.
