At the end of this course, you will be able to do the following things:

Access and view the subject property for CMA preparation.

Utilize the history link to view previous market activity.

Search for comparable properties to utilize in the CMA report.

Prepare a one-page CMA using the Quick CMA.

Analyze and customize the content of the CMA reports.

View, save, email and manage CMA reports.

View statistical information for various properties.

Create charts and graphs based on statistical information.

Setup and customize Hot Sheet reports.

Manage profile information including agent photos, email notification and signature preferences.

Logging in to FMLS
To log in to FMLS, you must be an FMLS member with your own user name and password. Your broker
must submit a Computer User Form to obtain these. Do not share your user name or password with
other agents or clients.
Logging in to www.FMLS.com
1. From your computer desktop, open an Internet browser window.
2. Navigate to www.fmls.com.
3. Enter your User Name and Password and click Login.
Password Rules

FMLS requires bi-annual password changes for security purposes.

Passwords can contain both letters and numbers and must be at least 6
characters in length.

You cannot use the same password twice.

If you need to change your password before the bi-annual change, go to the
FMLS.com home page, hover over My FMLS on the left navigation bar, and
click on Change Password.

Disclosing your user name and password to another party (other than a team
member or assistant within that office) can result in a fine of $1000 and
termination of service. (Rule 11.1)

How We Communicate with You
At FMLS, we provide more to our members than just access to a database of listings! We use several
methods to pass along important information including Real Estate market trends (both locally and
nationally); state and local news that influence our market; updates and bulletins when our software
products are affected; and more! Please take advantage of one, or all of the methods.
Email
Our primary method of communication with our members is email. FMLS will send electronic
communications regarding important changes to our products and services. Please be sure to add
FMLS to your trusted sender list.
FMLS.com
The FMLS.com home page is another important and central communication channel we have with our
members. It acts as command central. The story carousel rotates through 3 very newsworthy topics
which are changed regularly, giving you fresh, relevant information! Pause for a moment to read a few
lines to determine whether today’s topics are of interest to you. If they are, click on the Read More
button to see the whole story. The topics automatically rotate on the screen, but you can click to flip to
the stories faster if desired.
NewsRoom
The NewsRoom button on the left navigation bar contains an archive of stories previously included in
the carousel. Check the NewsRoom regularly to make sure you didn’t miss something important, or to
re-read an article!

Accessing Matrix
To access Matrix directly from the FMLS.com home page, click the tab for Matrix.
When you log into Matrix, the News Screen opens. This screen has the latest information about Matrix
and FMLS. You have two choices:


Agent Dashboard
Designed to give you at-a-glance summaries of the important information and single click access to
major program functions, the Agent Dashboard or home page is comprised of Navigation Tabs at the
top of the page and Widgets.
Navigation Tabs
Speed Bar Search
FMLS Links
Widgets
Navigation Tabs
The navigation tabs at the top of the Matrix home page enable you to move from section to section within
Matrix. Descriptions for each tab follow.
Home
Returns you to the home page for Matrix and will display your Widgets.
Search
Use the search tab to search for listings by property type, including Residential,
Rental, and Cross Property.
Stats
Use this tab to analyze market trends and activity based on property type such as
Residential, Commercial, Land/Farm, Rental, and Cross Property.
You can create statistical charts and graphs, and export statistical data. System presets allow you to quickly generate standard charts and graphs, or customize them
with your own parameters to create a higher-level view of the market.

My Matrix
Use the My Matrix tab to contacts, Auto Emails, Concierge, Saved Searches, access
Sent Email’s, Create or Update CMA’s, and View your Watched Listings. In addition,
you can manage your listings and update your account settings.
Public Records
Use this tab to search for Realist tax information and Market Trends Premium.
Docs
Use this tab to access FormsPro and DocuPro.
Links
Use this tab to quickly access links to third party applications.
Finance
The Finance tab contains various home financing, personal financing, investment,
and retirement calculators.
Help
Access on-line Help, tutorials, and videos about Matrix.
Logout
Use to sign out, when you are finished working in Matrix, then close your web
browser.
Working with Widgets
Widgets are panels on the Matrix home page that provide quick access to useful information and Matrix
functions.

Reposition a widget by clicking and dragging the widget header.

Close widgets by hovering over the widget header and clicking the close icon.

Closed widgets are placed in the Additional widget and can be removed by clicking and dragging
the closed widget out of the additional widget.
The News Widget
The News Widget shows important information
about FMLS Support, Events, and Updates.
Locked into place, you cannot remove from the
dashboard nor move it to another location.
Hot Sheets Widget
Today’s Hot Sheet Widget displays information
on listings that are new to the database, or
have changed in status or price since the time
selected.
Click Customize to select and save the
change types (e.g. Price Reductions) for a
specific location or type of property. Click on the
"Property Type" (e.g. Residential) to view the
results.

The Recent Portal Visitors
Shows the last few Contacts that have
accessed their Client Portal. Icons indicate
listings marked as favorites and notes. Click on
the contact’s name to drill down the Portal.
My Favorite Searches
Quickly access the searches you have saved
as Favorites. You can mark up to 10 searches
to appear here.
The Market Watch Widget
Choose a property type from the drop-down
menu, and then click Customize to choose,
select, and save your criteria. Select a time
range in the shortcut panel and then click the
change type (e.g. New Listing) to view the
listings matching your criteria.

Easily access your listings by status and
property type by clicking on the item.
My Carts
Click on the link to view items currently saved in
a cart.
My Stats
Access Statistical information for areas around
your properties.
Concierge
Shows listings you need to approve for those

Setting Up a CMA Cover Sheet
Before you do your first CMA in Matrix, you should set up the CMA cover sheet to reflect the information
you want on your future CMAs.
1. Hover over My Matrix tab. The drop down menu opens.
2. Click My Information.
3. Click the CMA Cover Sheet tab.
The CMA Cover Sheet screen opens.

4. The information on this screen pulls from your roster information. If you want to change any of
the information, click the Override? check box. The fields become editable. Make your
changes.
NOTE: When you change the information on this screen, it changes for CMAs only. It does not change your roster
information.
5. To upload a photo that appears on the cover, click the Upload Photo link. Browse to and
select a photo from your computer.
6. When you are done, click Save. Your photo appears at the bottom of the CMA Cover page.

Preparing for a Listing Presentation
A great deal of effort is required to prepare for a listing presentation:

Information about the subject property and its previous sales history and pricing can be very
helpful.

Statistical data for recently sold properties in the immediate vicinity of the subject property can
provide valuable insight as a list price is determined.

Comparable properties will also be helpful in establishing a list price – both in terms of properties
currently for sale (competition) and those recently sold (successful list prices.)
In addition, a CMA report enables you to present your research to the homeowner in a powerful and
easy-to-understand format.
Researching the Subject Property
The Agent Full Report in Matrix provides property descriptions as well as access to the History report. In
preparing for a listing presentation, it can often be helpful to review the pricing history of that property.
Use the Speed Bar search to quickly locate information on a property that has been previously listed with
FMLS.
1. Type the address in the Speed Bar. Do not enter the street name extension; i.e., Road, Avenue, etc.
2. Click the Magnifying glass to execute the search. The results screen opens:

4. Click on the History icon in the Links section. The History screen opens.
5. Review the property history. Watch the MLS# column for different listing numbers on the same
address, as well as the Change Info and the Change Type columns.

Creating a Quick CMA
Easily read and understood by the seller the Quick CMA presents comparable information in a short,
linear report format.
1. Perform a search for recently sold properties in the same area.
2. In the Status – Date Range field, type in the number of days back.
3. View the results.
4. Click the checkbox to select the properties to include in the Quick CMA.
5. Click the Quick CMA button on the Button Bar.

The Quick CMA report opens:
Matrix will run the Minimum, Maximum, Average and Median calculations on set selected fields for
the properties you selected.
Each Status is divided to display the calculations per status. At the bottom of the page, it shows the
Averages for all the properties selected for your CMA.
6. Move your cursor to the bottom right of the page. The tool bar appears:

Click the Print icon to send to printer.

Click the Save icon to save a pdf to your computer. You can then mail to your client.

Creating the Comparative Market Analysis (CMA)
The CMA Wizard allows you to customize comparable information and incorporates color, charts and
graphics for a more comprehensive CMA.
It contains:

Cover letter explaining the content of the CMA

Map plotting the subject property and comparables

Charts and graphs that will help the seller understand the market
Search for Comparable Properties
1. Perform a search for recently sold properties in the same area.
2. In the Status - Date Range field, type in the number of days back.
3. View the results. Click the select box next to each listing you wish to include in the report.

Note: You can Narrow the results displayed on the screen to view only the ones you have selected. Click on Refine, and then
Narrow. To Un-Narrow your results, click on the bread-crumb trail at the top of the search screen.
4. Click the Action button.
5. Click the CMA button at the bottom of the page. The CMA wizard starts and you will see the eight
sections of the CMA at the top of the page.

Step 1 – Select Contact
The wizard launches with the Start Tab; here you select the client for whom you are preparing the CMA.
Click at any time to
save the report.
Click to discard any
changes to that page
and quit the CMA
wizard.
6. In the Select Contact Name field, click the drop down arrow to select a contact.
7. To add a new contact, click the Create New Contact Link. The Add New Contact window opens.
8. Add the contact’s information. Required fields are highlighted.
9. Click Save.
10. Enter your CMA description in the Description field.
11. Click the Pages tab to move to the next section of the CMA Wizard.

Step 2 - Pages Tab
This section is where you select the pages you want to include in your CMA. The table below briefly
outlines the pages available.
NOTE: Example pages can be found on FMLS.com.

A graph that illustrates the list price, along with the sale price in
Sold listings.
CMA Brief
Summarizes the comparable listings contained in the market
analysis.
Pro Report
Shows three properties per page with a photo and important
property details. It includes the average prices, summary
graph/analysis, cumulative analysis, and sold property analysis.
Pricing Recommendation
A chart that highlights the importance of pricing correctly at market
value.
Static
Activity vs. Timing
A chart that highlights the importance of pricing correctly at market
value.
My Guarantee to You
Your personal guarantee to your client.
Effect Over Pricing
A chart that highlights the importance of pricing correctly at market
value.
Benefits of Using a Realtor
Outlines the benefits of using a professional Realtor to sell your

2. In the Available Pages box, click the "+" next to the section names to expand sections you wish to
include in the report.
3. Click an item in the Available Pages section to move it to the Selected Pages section. You may add
as many of the available pages as you wish.

Use the up and down arrow buttons to arrange the order of the pages in the report.

Click the Set as Default link at the bottom of the page to set the currently selected pages as
the default for that type of listing.

Click Restore Defaults resets the Selected Pages category to none for new CMA's.

Click Clear to empty the Selected Pages category.

Click Upload Custom Pages to add at the bottom of the screen to add your own personal
content.

Step 3 - Subject Tab
This section is used to identify and provide detail information about the subject property. Enter the details
for the Subject property by one of three methods:
Method 1 - Type in the subject property fields manually
1. Click the Type in the subject property fields manually link will provide a basic list of Subject
Detail fields that you may enter manually. This is most often used when adding a For Sale by Owner
property.
2. Upload a photo and enter Remarks.

Method 2 – Use a Previous Listing
1. Enter an FMLS Listing Number to use for auto-fill.
2. Click the Fill button after entering the FMLS #. The Subject Details screen opens:

1. Select the Search for a Cross Property Listing to auto-fill form link.
2. Perform a search for the Subject Property.

3. Click Results.
4. Click the check box next to the property you wish to use as your Subject and click Fill from
Selected at the bottom of the page. If you did not find the listing you were searching for click
Revise Search.

Step – 4 Cover Tab
This section is where you update your client’s information, your information; add a photo, if desired. The
information you enter here appears on the cover of the CMA.
1. Click the Cover Tab. The Cover information screen opens:
2. Click Browse under Subject Cover Photo to upload a subject property photo that you have saved
on your computer. If you auto-populated your Subject property from the MLS, a subject photo will
automatically be selected. To change the auto-populated photo, click Browse to upload your own
photo that you have saved on your computer.
3. Contact information is pre-populated from the Contact details you selected in the Start tab. Make any
changes if needed.
4. If desired, edit your agent information, click Edit my information link. The CMA Cover screen
from My Matrix opens.

5. Click the check box next to the item you want to change. Make your changes. Click Save.
6. Click Upload photo link to browse to, select and upload a photo for the CMA.
7. Click Save.
8. Click Back to CMA.
9. Click the Comparables tab to move to the next section of the CMA Wizard.
NOTE: When you change the information on this screen, it changes for CMAs only. It does not change your roster information.

Step 5 - Comparables Tab
This screen is where you can add additional properties for comparison, review the list of properties, and
remove any you choose to not include in the CMA.
1. Click the Comparables tab. The listing of properties you selected in your search to use in this
CMA opens:
2. Review the listings from the initial search and click the check box to select the individual listings you
wish to exclude as comparables. Click Removed Selected.
3. Do one of the following:

To add additional comparables, click Add from Listings to bring up a new search screen
or Add from Cart to bring up any properties you may have placed in a cart previously.

To remove comparables, click the checkbox next to each comparable you want to remove,
and then click the Remove Selected button.
4. Click the Map tab to move to the next section of the CMA Wizard.

Click the Map Tab to view the map that will be included in the CMA report.
Click the Adjustments tab to move to the next section of the CMA Wizard.

Step 7 - Adjustments Tab
This section is where you can make adjustments and add information about the various comparable
properties. There are two different views you can use to review this information: Single Line Mode and
Detail Mode.
1. In Single Line Mode, use the Left and Right arrows to navigate to the different fields to enter your
adjustments.
2. Click any comparable listing address or click the View in Detail Mode link to see a side-by-side
comparison of the subject and adjusting property.
3. Enter adjustment information as it applies to each of your comparable properties in the boxes
provided. Use the minus (-) sign to reduce a value.
4. Click on Next Property to continue adjusting values for each of the comparables.
5. Click the Pricing tab to move to the next section of the CMA Wizard.

Step 8 – Pricing
The Summary table summarizes the price calculated from the adjusted comparables and provides you
with an estimate of what the property is worth.
You may enter your suggested List Price for the property, as well as any additional notes. You are limited
to 250 & 1000 characters respectively for those fields.
Note: If the Pricing button is grayed out, the Pricing Recommendation page was not added to your CMA report. Click the Pages
button on the navigation bar to go back and add the Pricing Recommendations page.
Click the Finish button to move to the last section of the CMA Wizard.

Finish Tab
1. Click the Finish Tab.
2. Click the View CMA link. A PDF version of the CMA opens for review in a new tab.
3. Use the icons in the lower right to save or print.
4. Close the tab to return to the CMA Finish screen.

Emailing the CMA
1. Click Email CMA on the Finish screen.
The Email screen opens:
2. Complete the fields. Be sure and add a Subject Line and a message in the body section.
3. Click Edit Your Signature if you want to edit your signature.
4. Click Send.

How Clients Access CMAs
When you send a CMA to a client using the Email CMA link, your client receives an email that is similar
to the one below.

Accessing CMAs
Matrix saves each of your CMA reports for 180 days past the Last Modified date. From the CMA History
screen, you will be able to view and print the reports, as well as edit or email them. You will also have the
ability to delete a report.
1. Hover over the My Matrix.
2. Click on My CMAs from the drop down menu. The CMA screen opens:
3. Click the drop down arrow next to the CMA you want to view, edit, email or delete.

Edit the CMA
1. Hover over the My Matrix.
2. Click on My CMAs from the drop down menu. The CMA screen opens.
3. Click the drop down arrow next to the CMA you want to edit.
4. Click Edit CMA. The CMA opens with the Cover Page.
5. Click any tab in the tabs section to open that step and make your edits.
6. Click Save when done.

Working with Stats
Matrix has a built in Statistical package that delivers real time statistical reporting and charting
capabilities for any area, property type, and other criteria. Stats makes it easy for you to quickly analyze

Using a System Preset
System presets may be used to quickly generate commonly used charts from any search. Examples
include trends for sale prices, days to sell or inventory volumes.
1. From the Navigation tabs, click the Stats tab. The Stats window opens.

3. Select the type of chart you want from the System Presets.

Click the Print icon to view the chart, view tabular data or Print.

Click the Email icon to email to a client.
You can use the same search criteria and select a different chart. Click on the System Preset chart you
want and click Generate. The screen resets with the new chart.

Customizing Stats
1. From the Navigation tabs, click the Stats tab. The Stats window opens.
2. Enter your search criteria.
3. To customize the chart, click Customize tab. The Customize panel opens:

4. Select a Time Frame from the drop down list. The time frame is the range of dates for which the
statistics are computed. You can select one of the built-in date ranges, or select Custom to define
your own date range.
5. In the statistic drop down, choose the statistical analysis you would like to apply to the listings that
match your search criteria.
6. In the Chart type, choose the type of chart you want.
7. Choose a Secondary Statistic from the drop down list. If you select a secondary statistic, then you
may choose how to show that statistic appears from the Chart Type drop down. (optional)
8. Selections in the Group By field determine the groupings within which the values from individual
listings are aggregated to produce the values on the chart. For example, when the statistic is
median sale price, selecting "month" for the group by produces a chart that displays the median sale
price for each month within the selected time frame.
9. Click the Style Options link to change the visual appearance of the chart. You can choose the
color scheme and choose 3D effects if desired.

10. When you are done, click Generate. The chart resets reflecting your selections.
11. To view the data that makes up the values in the chart. Click the Data tab.
12. To transfer the values from the data tab onto the chart, click on the Chart tab.

14. Click Generate. The chart now has the values at each data point.
Saving Your Chart
You can save your preset for reuse in the future.
A user preset (but not a system preset) can be saved with its own search criteria, for example if you
often want to check the sale prices for a particular area. Alternatively, the preset can be saved with no
search criteria, if you want to be able to use it to generate a chart from the results of any search.
1. Click the Save tab.
2. Type a Name for your chart preset.

Hot Sheets
On the Matrix home page is a Hot Sheet widget that allows you quickly monitor listing activity. It shows
changes in your market niche. You can customize this widget so that you can see only certain types of
new activity based on your business needs. You can create one Hot Sheet for each property type.
1. Click on Customize to personalize your Hot Sheet. The Manage Hot Sheets screen opens:

3. Click Edit Criteria. The Hot Sheet Search screen opens:

5. Click Save. You are returned to the Manage Hot Sheets screen.

7. To access your Hot Sheet, click the name link on the Hot Sheet widget.
The Hot Sheet opens with the results grid screen:
To view the search criteria you used when setting up the Hot Sheet, hover over Other Criteria at
top of screen.
Viewing the Most Current Changes
To view the most current changes, click on the drop down and select 24 Hour. For example, if you are
looking for Price Decreases, to see what changed yesterday, select 24 Hour. To view what has
happened since you last opened the Hot Sheet, click This Session.

2. Click the Hot Sheet type you want to set a custom time frame.

Setting up Matrix Settings
You can update your personal information in Matrix.
Click My Matrix tab. Click My Information. The window opens with the My Information tab.
