An event organizer should determine a space allocation
method based on several factors:
■ A method that encourages event attendees to optimize their
time on the event floor and to maximize their visits to key
exhibitors.
■ A method that is perceived as “fair” to all exhibitors, whether
they are large or small exhibitors, new or repeat exhibitors,
association members or non-members.
■ A method that meets the event organizer’s goals and
objectives. This includes a system that is compatible with any
electronic floor plan management system utilized by its event
organizer and/or the official service contractor (OSC).
■ A method that creates a floor plan layout that can be readily
approved by the local fire marshal and/or host venue or
facility.
Event organizers may utilize one or more of the following space
allocation methods, depending on when and how space is
selected by the exhibitor:
■ Face-to-face scheduled appointment (whether before, during
or after an event)
Common Systems Used to Assign or
Allocate Space
Once the most effective or most suitable space allocation
method has been determined, an event organizer may utilize
one or more of the following space selection or assignment
systems.
■ Priority point system
■ Anchor exhibitors
■ Product categories by sections or exhibit halls
■ By physical size or nature of the display
■ Amount or size of exhibit space requested
■ Assignment by event organizer
■ Random or lottery space drawing
■ First come, first served
■ Waiting list
■ Same space as previous year
Conclusion
Space allocation often works best when using a
combination of space assignment methods and systems. The
event organizer should use a consistent approach that is fair
to all exhibitors. Rules and procedures should be available
in writing for all exhibitors to review prior to the space
allocation or assignment process.
Proper space allocation will likely be more successful when
an event organizer has a thorough understanding of both
event exhibitors and attendees. As the exhibition landscape
evolves, exhibitors will count on organizers to adapt their
practices so that these methods are fair and appropriate for
all events — even virtual exhibit halls.

IAEE-CTC Annual Road Trip Goes to Houston

AEE-CTC members from around the region gathered in
Houston June 29 for the annual road trip educational meeting. This year featured the 2010 Southwest Foodservice Expo
at the George R Brown Convention Center. As the largest
foodservice tradeshow in the region, the Expo brought together
all aspects of the industry for business, networking, education
and fun.

had a stellar panel of speakers: Debbie Borel-Ploeger, Experient
Sales Network; Karen Villagomez, Greater Houston CVB; John
Gonzalez, George R Brown Convention Center; and Peter
Kerhulas, Hilton Americans — Houston. Each provided their
unique perspective, ideas and reminders for conducting a site
selection and working with both a hotel and convention center.
We started the day early with 21 members from Austin gathering
at the Hyatt Regency Austin Hotel for a beautiful continental
breakfast prior to catching the bus for a fun ride to Houston.
Our thanks to the Hyatt for providing the breakfast and a place
for us to board the bus, and to Carey Transportation and the
Greater Houston Convention & Visitors Bureau for providing
the transportation.
Thanks to the George R Brown Convention and Aramark for
providing the luncheon, Freeman who provided AV and the
Texas Restaurant Association who gave us the opportunity
to attend their great show and provide the credentials for all
attendees. It was a great team who made this educational
opportunity possible.
In Houston we joined other members, and had a great turnout
of 50 people for an amazing lunch, educational program, and

Chris Meyer, CMP, CEM has been in the exhibitions
and events industry since 1984. He has extensive experience in the hotel, meetings and sales area. He is currently
Vice President of Sales for the Las Vegas Convention and
Visitors Authority (LVCVA). Prior to joining LVCVA, he
held numerous sales and marketing management positions
with multiple hotels, resorts and casinos in Las Vegas.
He is a 1984 graduate, University of Nevada, Las Vegas
majoring in Business Administration/ Management
Information Systems. He is actively involved with IAEE
and currently serves as chairman of the IAEE Board
of Directors. He is also involved in MPI, Las Vegas
Hospitality Association, Destination Marketing Association
International and the Las Vegas SKAL Club. Chris has
received numerous industry awards including: Sands Expo
Manager of the Year, SKAL Board Member & President
in 1997; Export Achievement Award, US Department of
Commerce; Entered in Congressional Record for “Trade
Show Trade Missions,” and “Industry Leader of the Year”
Las Vegas Hospitality Association.

Each One, Reach One
Expo! Expo! IAEE’s Annual Meeting & Exhibition
7-9 December 2010 • New Orleans
A
s part of Expo! Expo! IAEE’s Annual Meeting & Exhibition, IAEE offers
a meeting mentoring program called, Each One, Reach One. Designed to
help make first-time attendees feel more at ease, introduce them to colleagues in
the IAEE family and make sure they get the most from their first Expo! Expo!
experience, the program will match experienced Expo! Expo! meeting goers with
first-time meeting attendees.
Each One, Reach One gives first-time meeting attendees the opportunity to meet
and learn from an experienced IAEE member, and have a friendly contact to talk
to and ask questions of throughout the conference. The mentor gains the opportunity of meeting new colleagues and sharing their expertise. These relationships can
develop into collegial friendships and continue long after the conference is over.
Each One, Reach One is designed for first-time Expo! Expo! attendees, but is available to anyone who needs a refresher in making the most of their Annual Meeting
experience!
Mentees should:
■ Be ready to learn from their mentor and not be afraid to ask questions or
request introductions.
■ Be willing to dedicate a few hours of time to learn from their mentors on site at
Expo! Expo! and in advance of the meeting via email, phone or other means.
Mentors should:
■ Have a sincere interest in helping new attendees get the most out of Expo! Expo!
■ Have attended Expo! Expo! at least twice.
■ Have the ability to act as a professional role model.
■ Be willing to volunteer a few hours of time sharing, advising and assisting new
meeting attendees on site and in advance of Expo! Expo! via email, phone or
other means.
■ Be a current member of IAEE.
Guidelines for Mentors and Mentees
Prior to Expo! Expo! participants of the program will receive the name, phone
number and e-mail address of the individual with whom they are matched. If possible, matched participants should contact each other before Expo! Expo! begins to
determine the time and location of their on-site meeting(s). Participants are encouraged to meet as many times as they’d like, but at least once during Expo! Expo!

The IAEE Sales Academy
training is very effective
because it includes application with measurement,
feedback, fine-tuning and reinforcement. The
IAEE Sales Academy is a professional certification program built on the renowned Sandler®
concept of incremental growth and change over
time — supported by repetition, reinforcement
and coaching.
The Program
The Two-Day Boot Camp
Salespeople are more likely to implement a
particular selling strategy or tactic if it is part of
an overall behavioral plan. And the plan must
be supported by the appropriate attitude and
outlook. The IAEE Sales Academy addresses
all three areas necessary for success — attitude,
behavior and technique. The participant-centric
boot camp — partly motivational, partly instructional — provides you with the concept, knowledge and understanding of the topic as it applies
to your selling environment.
The Reinforcement Program
We train attitude, behavior and technique for
sales people and sales managers to get results.
This is not a motivational "quick fix" seminar.
In the monthly 90-minute virtual learning labs
following the boot-camp, participants will continue to reinforce the behaviors and techniques
learned at the Academy to achieve lasting behavioral change and master new skills.
Note to CEMs: By completing the IAEE Sales
Academy, you will earn 12 professional development hours toward recertification of the CEM
designation.

of an organization where I can talk to people who are part
of my industry. As a supplier, I get to visit with show and
exhibit managers who I have worked with in the past or
will work with in the near future. Networking provides
the opportunity to get a better understanding of what the
show and exhibit managers’ responsibilities and duties
are in putting on an event. Better understanding their
needs helps me, as a supplier, to better serve the client.
The ultimate goal is to enhance communication to
improve a better client/supplier relationship.

IAEE Expresses Concerns
About Privacy Bill to
Congressional Author

AEE directly addressed key concerns about the draft Internet
consumer privacy bill to U.S. Representative Rick Boucher
(D –VA), chairman of the House Energy and Commerce
Communications Technology and Internet Subcommittee.
The draft legislation would require organizations that collect
information about users and their Internet surfing habits to
disclose their privacy policies and obtain individuals’ consent
before collecting sensitive information or sharing any data
with advertisers and other third parties.
IAEE President Steven Hacker, CAE, said, “IAEE supports
any measure that will enhance basic privacy protections as
well as help members carefully analyze the online behaviors of
their own members and customers. There is no question that
the Internet is a principal business tool today, and IAEE does
not object to disclosing its own privacy measures and transactional methods; however, there is concern that the costs
and administrative obligations that may be imposed by this
proposed legislation should be carefully weighed against the
practical aspects of how IAEE members conduct their daily
operations.”
IAEE’s correspondence to Boucher stated this position and
asked that Congress be aware of the impact the Internet has
by serving as a vehicle for research and revenue for not-forprofit organizations. There is no question that these types of
organizations should disclose baseline privacy protections,
however, IAEE suggested further defining the key elements of
the proposed legislation in an effort to best serve its members.
Outlined in the letter to Boucher, IAEE recommended the
following:
Data Collection
Restricting the use of “precise geolocation information” conceivably deprives legitimate organizations and associations
from properly shaping their marketing and communications
programs to be location relevant. Instead there should be
sanctions imposed for abuses of “precise geolocation information.” Marketing activities should be segmented by ZIP code
to achieve a level of marketing efficiency to best serve an organization’s members and their stated preferences.
Charitable Organizations Organized Under Section
501(c)(3) of the IRC
IAEE recommends similar treatment and appropriate exemptions as allowed in other federal statutes of the Internal
Revenue Code 501(c)(3) to charitable organizations be included in subsequent editions of this proposed legislation.
Vulnerability of Small Organizations
Many member organizations operate with ten or fewer staff.
These organizations are particularly vulnerable to the increas7 July/August 2010
ing burdens imposed by government regulations. Section 4 (b)
(2) of the draft delegates to the Federal Trade Commission
the assurance that regulations it shall adopt in support of this
proposed legislation take into account the “size and complexity of the entity.” This language should be clarified to protect
small business organizations and associations from what could
become very burdensome regulation.
A Special Relationship with Our Members
The role and relationship between a non-profit and its members is unique and precious. Members depend upon their
associations as a source of unimpeachable content, business
best practices, industry standards and dozens and dozens of
resource tools that make it substantially easier for members
to properly conduct their affairs. Today the Web sites of the
nation’s non-profit organizations, and many for-profit organizations, represent the venue where these kinds of interactions
most commonly take place. The proposed legislation must
recognize this very unique relationship and grant exemptions
to processes and regulations that would be irrelevant to this
special relationship and that would interfere with members’
relationships with the associations of their choosing.
Collection of Information from Sources Other than
the Internet
The language in this section is imprecise and must be strengthened to better define exactly what is permissible and what is
not. IAEE is concerned that the Federal Trade Commission
will adopt far reaching regulations that could exceed the legislative intent of the authors.
Web Site Advertising
It is very common for associations to include advertising on
their Web sites. Almost invariably the advertiser and the product/service that it promotes bears a high degree of relevance to
the association’s membership. It is unlikely that an unknown
advertiser promoting products and/or services to Web site
visitors would be permitted access to members in this way.
Nevertheless, in theory the potential does exist. At the same
time it is unrealistic to hold the sponsoring association responsible for the egregious acts of an advertiser. Violations of this
proposed legislation by advertisers must not result in penalties
or sanctions against the host Web site.
Private Right of Action
IAEE supports language in the proposed bill that clearly supports the position that it cannot be construed to provide any
right of action preventing frivolous lawsuits that might otherwise damage small organizations and businesses arising from
inadvertent or inconsequential violations of the law.
IAEE has offered to collaborate with Boucher and the subcommittee moving forward to ensure the most positive outcome for
all affected parties.

Personal Info: Born and raised in Amarillo. I moved
to Austin for college and graduated from St. Edward's
University (Undergrad) and Texas State University
(Master's). After completing school I decided to stay in
the Austin area and now live with my wife,
Melonie, and our two chocolate

as we know it is all about to change as we are
welcoming a baby girl in September. I can't wait!

What are your job responsibilities? As a sales manager
I handle the markets that include the Texas associations, the
southeastern United States, and all sporting event accounts.
Selling and promoting the Austin Convention Center and
one of the best cities in the world has been a great experience.

What do you like best about your job? I really enjoy seeing all the dif-
ferent events we bring into the convention center. It's fun to see it all come
together — from the initial site visit, to the final move-out, and to have the shows
be a huge success.
How long have you been in the exhibition industry? 5 years
What advice do you have for those new to exhibit or event management? My advice to others would be to take advantage of the networking and
learning opportunities that our association provides. These are the times we
have to become more knowledgeable on what's going on in our industry. It's also

Fred Euler has been named GM of the Hyatt Regency Dallas
at Reunion. Steve Vissotzky, the hotel’s former GM, has
been promoted to GM of the Grand Hyatt Seattle and Hyatt
at Olive 8.
David Law, formerly Sales Manager for the Hyatt Regency
Dallas is now Director of National Accounts for the Arlington
Convention & Visitors Bureau. He is responsible for Social,
Education, Religious, Fraternal, National Associations East of
the Mississippi River.
The San Luis Resort, Spa & Conference Center announced
the addition of Francie Syron as a regional director of sales
which includes The San Luis Resort, Spa & Conference
Center, Hilton Galveston Island, Holiday Inn Resort on the
Beach and the Galveston Island Convention Center. Richard
See III, most recently wit the Golden Nugget in Las Vegas,
has joined The San Luis as director of room operations.
The Moody Gardens Hotel, Spa & Convention Center has
appointed Brian J. Kohlweck as the new food and beverage
director. Brian most recently served as the GM of GreenLinks
Golf Resort & Conference Center in Naples, Florida.
Hilton Americas-Houston announced that assistant catering
director Matthew Finnan has been recognized by Hilton
Worldwide’s Circle of Excellence program, which rewards
sales, catering, and events services professionals in the top ten
percent of each brand. The Circle of Excellence represents the
best of sales, catering and event services team members within
the Hilton Worldwide family.
The San Antonio CVB Communications Team helped gain
coverage for San Antonio as the home of the world’s only
ultra-accessible family fun park, Morgan’s Wonderland. A
strategic plan attained targeted media coverage, including features on Good Morning America, The Washington Post, The
New York Times' blog In Transit and The Los Angeles Times.
More national coverage is on the way in an upcoming issue of
Budget Travel, and the October issue of Parents.
Tod Peddie, DOSM of the Holiday Inn Austin Town Lake,
announced new catering sales and convention service manager, Homeyra Holtzclaw. Homeyra was previously with
