Twin Rivers Unified School District welcomes you to its substitute staff.

operation of our school system and we have the same high regard and expectations
of them as we do the regularly assigned employees.
Experienced and willing substitutes make it possible to carry on the education of
our students with a minimum of disruption to the students. Each of you make a
difference in the lives of our students and have a positive impact on the families
who place them under our care.
We recognize that the job of the substitute is not an easy one, and this handbook
outlines the personnel policies and practices in effect at the District which will
assist you in the successful fulfillment of your position. Keep this book as a ready

The substitute teacher should follow the plans EXACTLY as
left by the regular teacher. Just in case there are no lesson
plans, be prepared with a generic plan that deals with
appropriate subject materials to teach so that you can teach
effectively.
Be available for any special assignments that fall within the
responsibility of a teacher during the instructional day.
Substitutes may be asked to perform duties as would be
required by the regular classroom teacher, including
teaching during a prep period.
Notify the immediate supervisor if an emergency makes it
necessary for you to leave before the end of the working day.
Substitutes are responsible for keeping an orderly classroom.
Always receive and dismiss students in an orderly manner.
Learn the correct attendance procedures. Take roll accurately
and make sure that all students are accounted for. Missing
students should be report to the school office immediately.
If you take an item of value from a student per school policy,
you are responsible for the article until it is returned to the
student or turned over to the appropriate office personnel.
These items should be labeled with the student and teacher’s
name. Be sure to inform the regular teacher of the incident.

may vary from school to school
due to transportation schedules
and type of program the school
is operating. As a general rule,

assigning substitutes.
Substitutes are expected to be on
duty for the entire assignment and
to perform all duties of the regular
teacher,
and
other
duties
assigned.
Refusal to work the mandated
number of hours or refusal to
accept the reassignment may
result
in
consideration
for
termination for the day or from the
substitute list. Any substitute who
refuses a reassignment before the
start of an assignment will not
receive show-up pay.
LUNCH PERIOD
Certificated employees are assigned a lunch break of thirty (30) free
duty minutes when working a full-day’s assignment.
Classified substitutes who are assigned to
work 6 or more hours shall be provided an
uninterrupted, non-compensated lunch
period. The length of time for lunch shall
be for a period of no longer than one (1)
hour nor less than half (½) an hour.
All substitutes must follow the
schedule of the absent employee they
are substituting for.
REST PERIODS (FOR CLASSIFIED SUBSTITUTES)
Substitutes who are assigned to work 2.5 to 3.49 hours shall
receive one five (5) minute rest period, which shall, when practicable,
be scheduled at the mid-point of the work shift.
Substitutes who are assigned to work 3.5 to 5.99 hours shall receive
one fifteen (15) minute rest period, which shall, when practicable, be
scheduled at the mid-point of the work shift.
Substitutes who are assigned to work six (6) or more hours shall receive
two fifteen (15) minute rest periods. The first rest period shall, when
practicable, be scheduled at the mid-point of the first half of the shift and
the second rest period shall, when practicable, be scheduled at the midpoint of the second half of the shift.
CERTIFICATED SUBSTITUTE REQUIREMENTS
The following requirements MUST be completed before any substitute
can be employed in the district.
APPLICATION
Applications are available online at Edjoin.org which can be
accessed through the TRUSD website. Once submitted, the
applications will be kept on file until needed. When the need arises
the applications are reviewed and interviews are conducted. If
selected to be hired, the applicant will then be scheduled to be
fingerprinted. After receiving background clearance from the
Department of Justice and FBI, the applicant will be contacted to
complete the substitute hiring forms.
TEACHING CREDENTIALS
Certificated Substitutes
A valid California teaching credential or permit must be filed with the
Sacramento County Office of Education.
CBEST
Certificated Substitutes

California law requires that after February 1, 1983, no person can be
hired to teach in California public schools unless that person has
passed the California Basic Educational Skills Test (CBEST). Any
certificated person who has been employed in a position requiring
certification in another California school district within the last 39
months prior to Twin Rivers Unified School District employment is
exempt from taking the CBEST. Applicants must be prepared to
verify this for employment.
FINGERPRINTS
Fingerprints must be completed for a criminal background check.
This is at a cost to the substitute employee. Employees must wait
until a background check has been completed before being allowed
to work. The Human Resources Department is the only
authorized contact to allow you to begin work.
TB CLEARANCE REPORT
All district employees must provide the Twin Rivers Unified School
District Human Resources Department with a report showing
freedom from active tuberculosis. The requirements must be fulfilled
every four years from the time the TB screening was done.
WITHHOLDING TAX
Federal Withholding Exemptions Form W4 shall be filled out with
Twin Rivers Unified School District, Human Resources Department.
EMPLOYMENT ELIGIBILITY VERIFICATION (FORM I-9)
Employment eligibility verifications are required of all District
employees. Evidence of identity and eligibility must be shown at the
time the I-9 form is completed and must be the original documents.
OATH OF ALLEGIANCE
All employees of the Twin Rivers Unified School District are required
to take an Oath of Allegiance. The oath shall be confirmed at the
Twin Rivers Unified School District Human Resources Department.
The Superintendent or designee will exempt a prospective employee
from taking the oath if it is determined that the employee is raising a
valid religious objection.

UPDATING CREDENTIALS/CERTIFICATES
Substitutes are responsible for updating their credentials/certificates
when
expired.
SubFinder
,
the
Human
Resources
Department/SubServices, and supervisors will not offer assignments to
substitutes who have expired credentials/certificates. Renewed
credentials/certificates are not automatically renewed with the district
nor are they renewed with the SubFinder system. If you have renewed
your credential/certificate, you must notify the Human Resources
Department/SubServices in writing.

PHOTO ID BADGES
A current TRUSD substitute ID badge must be worn at all times while
on the job. If a replacement badge is needed, you may request for one
with the Human Resources/SubServices Department. Replacement
badges can be made Monday – Friday between the hours of 8:00 a.m.
and 4:30 p.m. The district office will be closed on holidays and summer
hours may vary. It is recommended that you call to confirm availability at
(916) 566-1779 before arriving.
When you resign from the District, you will be required to turn in
your ID badge to the Human Resources/SubServices department.
REASONABLE
ASSURANCE
STATEMENT OF
EMPLOYMENT
Substitutes are on-call
employees on a day-to-day
basis.
Per Ed Code 45103, a school
District is not allowed to work a
substitute and/or short-term
employee for more than 75% of
any school year.
During spring, all substitutes will
be
mailed
a
Reasonable
Assurance letter for the coming
up school year. The letter must
be returned to SubServices
stating your return status. You
may file an Unemployment (UI)
claim. Your entitlement to
benefits is determined by the
Employment
Development
Department and not by TRUSD.
PROFESSIONALISM/CONDUCT/DRESS
High standards of professionalism and ethics
must always be maintained. Persons serving in
a substitute position should continuously strive
to
provide
appropriate
and
worthwhile
educational experiences for the students.
It is not appropriate to use language that is
demeaning or disrespectful as a means of correcting behavior or in
response to student behavior or as humor. Further, it is never
appropriate to use profanity at school. Substitutes are expected to
refrain from any physical contact with staff and students. Staff
language and behavior provides a model for student conduct.
Substitutes should use good taste in the selection of clothes, makeup
and hair styles worn when substituting.
No apparel, dress or grooming that is or may become potentially
disruptive to the classroom atmosphere or has or may have an adverse
impact on the educational process will be permitted.
The choice of school wear should reflect professional judgment and
maturity. Substitutes engaged in physical education, shop courses, etc.
may choose to wear appropriate attire for those assignments.
CHANGES OF PERSONAL INFORMATION
Substitutes must notify SubServices in writing of any changes in name,
address, telephone, or SubFinder profile preferences. You can find the
address/phone/name change form in the appendix section of this
handbook.
An updated ID and social security card is required in the event of a
name change.
The address/phone/name change form and written SubFinder profile
preference changes can be emailed to [email protected], or
mailed to the district office made attention to SubServices.
DISCIPLINE AND CLASSROOM CONTROL
Substitute teachers are expected to maintain good student control in
the classroom. If a student or students misbehave in a manner that you
cannot readily control, you are expected to contact the principal for
assistance. This contact should be made via a telephone or intercom if
one is present in the room or by sending a student to the office with
your request. Physical force should not be used or implied as a threat
or actual method of control or discipline.
SECURITY OF PERSONAL BELONGINGS
When working as a substitute, you may or may not have access to any
type of locked cabinet or desk. You are encouraged to leave any items
of value at home. Please take only what you need to substitute, such as
keys, money for snacks or lunch, pencils, pens, paper, tissues, etc.

assignments. All other substitutes are assigned a personal SubFinder
identification number and a PIN. You will need to register with the
SubFinder system in order to accept assignments.
RESIGNATION
Any substitute who wishes to resign from Twin Rivers Unified District’s
substitute list must submit a written notice of resignation to SubServices.
Substitutes who have resigned and wish to return to the substitute list
will need to apply for the position of interest and will have to go through
the complete hire process again as any new hire would.
SUBSTITUTE EXCLUSION
The administrator/principal or his/her
designee may complete a substitute
site exclusion form on each substitute
who is assigned to his/her school
site/department. The
administrator/principal may consult
with other staff members and/or the
absent employee on the substitute.
Completed substitute exclusion forms
are forwarded to Human
Resources/Substitute Services from
the work site to exclude substitutes
from taking future assignments at that
site or the district overall.
TERMINATIONS
There are two basic
ingredients for success:
courtesy and cooperation.
This is true whether you
are in contact with the
public, with other
employees, with students
or with teachers. The
District expects you to be a
loyal, productive, prompt,
and competent employee.
The site Administrator or Human
Resources/SubServices
Department may release
substitutes from an assignment and/or service within the District at any
time when such action is in the best interest of the students and/or
District.
Substitutes who have not worked in a one year period will also be
taken off the substitute list and will need to reapply to be placed
back on the substitute list.
SUMMER SCHOOL OPPORTUNITIES
It is very seldom that substitutes are called for assignments during
the summer.
Substitutes interested in summer school work may call (916) 5661779 to be placed on the summer school substitute selection list.
TRUSD will select interested substitutes by seniority.
Only those who receives a confirmation letter will be able to
substitute during the summer.
The teacher, secretary, site administration, or SubServices will report
absences into the SubFinder system. In turn, SubFinder will call
substitutes for assignments. Substitutes may also check SubFinder
WebConnect for available assignments.
Substitutes are automatically defaulted in SubFinder to be available for
work Monday through Friday. If you need to change this schedule,
you must visit SubFinder WebConnect to make changes reflecting
your availability. (Instructions are provided at the end of this
handbook.)
Call-out Times
Substitutes may be called by SubFinder
or
by the Human
Resources/SubServices department Monday through Friday between
5:00 a.m. – 12:00 p.m. It is helpful to have paper and pencil ready to
write down information regarding the assignment. Substitutes may also
be called on Sunday evenings for next-day assignments.
As a courtesy, please report to the site of your assignment 10-15
minutes early to go over lesson plans or instructions in preparing you for
the day.
Late start Wednesdays are for the students only and
substitutes should arrive at the regular scheduled time.
Substitutes may call SubFinder or access WebConnect at any time
of the day to review available jobs, cancel a job, or to change
availability.
SubFinder instructions and guides are found in the appendix section of
this handbook.
If a substitute has been in a long-term assignment and is told by the site
they are no longer needed, the substitute should then call SubServices
to be certain they are back on the available call list.
It is highly unlikely that substitutes will work every day since absences
are unpredictable. It is, therefore, impossible to estimate how many
days a substitute will work in any given school year. Substitutes MAY
NOT accept assignments from anyone other than from SubFinder or
under Human Resources. Schools may request a substitute to return
the following day; however, the site MUST contact Human Resources
and request the substitute’s return. Substitutes already assigned
elsewhere for the following day may not be retained.
Payment will only be made to those individuals whose
assignments have been authorized through SubFinder or the
Human Resources Division.
CANCELLATIONS
Please notify the school and SubServices immediately if you
are unable to complete an assignment. If you must cancel an
assignment, please do so as early as possible to allow
SubFinder to call other substitutes.
Substitutes are expected to behave in a professional manner.
Part of being professional is arriving on time to an assignment
that has been accepted!
SUBFINDER
The SubFinder phone number is: 1 (866) 921-4383
SubFinder is a calling system that is
utilized
by
the
Human
Resources/SubServices deprtment
to coordinate substitutes and track
employee
absences.
Not
all
substitutes will use the SubFinder
system. Substitutes who have
applied for the Nutrition Services
department,
Transportation
department, for the Warehouse, and
the Facilities department will not be
utilizing
this
system
for
Sometimes SubFinder will call
substitutes after the start time of
an assignment. This almost
always happens when an
assignment has not yet been filled
and it is already the day of the
assignment. A late call only states
that a substitute is still needed.
You have ONE HOUR to report to
the assigned site after
acceptance. If you cannot report
to the site by the hour, you must
contact the site or SubServices at
(916) 566-1779
Substitutes must not cancel assignments within the hour of the
assignment start time. If an assignment must be canceled, please do so
early enough to allow SubFinder to call other substitutes.
DO NOT take an assignment knowing that you cannot finish the
requested time and or finish all the day requested.
DO NOT take an afternoon assignment knowing you cannot report to its
requested start time.

PAYROLL
Substitute employees are paid on a monthly basis
with salary warrants issued on the 10TH of each
month following the pay period in which service
began.
You can choose to pick up your pay warrant from
the Business Office or have it mailed to your home.
Automatic deposit is not an option for substitute
employees at this time.
Your pay is subject to four compulsory deductions:
1) Federal Withholding Tax, 2) State Income Tax,
3) Medicare, and 4) OASDI or other retirement plan
(STRS, PERS, or APPLE)
Please note: Substitute employees do not earn
sick leave, vacation, holiday or jury duty pay.
TIME SHEETS
It is the responsibility of the substitute to see that their monthly time sheets
are received by the Payroll Department on time. It is the responsibility of the
substitute and the site to make certain the time reporting document (i.e.,
time sheet) is correctly filled out and signed at the end of each assignment.
Time sheet must be completed in ink.
Print name as it will appear on the pay warrant. Please do not use
nicknames.
Last four (4) digits of your Social Security numbers must be
clearly written.
Indicate who you are substituting for and the job number.
Indicate the number of periods or hours worked.
OVERTIME - MUST HAVE PRIOR APPROVAL
STATE TEACHERS RETIREMENT SYSTEM (STRS)
Certificated substitutes who are not a current member of
STRS can elect enrollment by completing the permissive
election form. Certificated substitutes who permissively
elect enrollment in STRS will contribute toward STRS
retirement and will NOT contribute toward Social
Security (OASDI) or the Alternative Retirement Plan
(APPLE). Mandatory enrollment occurs after 100 work
days as a substitute during the fiscal year of July 1 –
June 30 with any district in California.
If you are a retired teacher and are receiving a
retirement allowance from STRS, you should keep in
touch with the system. It is the responsibility of the
retired teacher to keep a record of their earnings.
Exceeding the limitations may result in being reinstated
to active service and the retirement allowance
terminated. All earnings are reported to STRS.
PUBLIC EMPLOYEE RETIREMENT SYSTEM (PERS)
Classified substitutes employed by Twin Rivers Unified School District are
not eligible to participate in PERS until after having worked 1,000 hours per
fiscal year. Mandatory enrollment occurs after 1000 work hours as a
substitute during the fiscal year of July 1 – June 30. Members of PERS also
contribute to Social Security (OASDI).
ALTERNATIVE RETIREMENT PLAN (APPLE) IN LIEU OF SOCIAL
SECURITY
Substitutes who are not a member or STRS or PERS will automatically be
enrolled in the APPLE retirement plan in lieu of contributing to Social
Security (OASDI). Substitutes who are not a member or STRS or PERS
should complete the APPLE beneficiary form.

Timesheet Information
for PreSchool Substitutes
When filling out timesheets for subbing, the following columns must be filled out:
Site at which you worked
Position you were working that day (teacher or paraeducator)
Person you subbed for
Your name and ID number
Your signature and date
Please do not write in the column for codes. The codes are very long and the entire
space is needed.
All preschool/school age child care substitute timesheets must be submitted no
later than noon on the 15th of the month to Jo Hughes, ECE in Bay C.
Timesheets submitted after this deadline will delay check issuance by two
months.
An incomplete timesheet submitted cannot be processed until you come to the
D.O. and complete it. You will receive an email or a phone call to that effect.
This will delay check issuance.
We recommend that you not leave timesheets at the front desk of Bay A nor turn
them in to payroll.
We recommend substitutes use a separate timesheet for ECE jobs, preschool,
and school age care.




DISTRICT POLICIES & PROCEDURES
EMPLOYMENT STATUS OF SUBSTITUTES
Substitutes are on call employees on a day-to-day basis. A substitute is
an individual who fills in for an employee on leave or for an approved
vacancy.
Per Ed Code 45103, substitutes are not allowed to work more than 75%
of any school year.
At any time and without prior notice, the district may, at its sole
discretion, elect to stop utilizing the services of any individual on the
substitute list.
EMPOLYEE CONDUCT
Employee Conduct
Employees, as well as students and volunteers, are expected to
maintain high standards of conduct and behavior.
Criminal History
Twin Rivers Unified School district will conduct background and criminal
history checks on employment and reserves the right to randomly
request criminal history reports throughout the employment period.
Disciplinary Action
Disciplinary action, including the immediate physical removal of an
employee from his or her work site, will follow thoughtful consideration
of an employee’s violation or misbehavior and its impact on the
school/District.
Courtesy
Employees shall be courteous to one another and the public, working
together in a cooperative spirit to serve the best interests of the District.
All District employees shall be expected to adhere to the standards of
conduct set out in the ―Code of Ethics and Standard Practices for
Safety Requirements
All employees shall adhere to District safety rules and regulations and
shall report unsafe conditions or practices to the appropriate supervisor.
CHILD ABUSE REPORTING REQUIREMENT
YOU ARE HEREBY NOTIFIED Penal Code § 11166 requires any
child care custodian, medical practitioner, non-medical practitioner, or
employee of a child protective agency who has knowledge of or
observes a child in his or her professional capacity or within the
scope of his or her employment whom he or she knows or reasonably
suspects has been the victim of a child abuse, to report the known or
suspected instance of child abuse to a child protective agency
immediately or as soon as practically possible by telephone and to
prepare and send a written report thereof within 36 hours of receiving
the information concerning the incident.
“Child care custodian” includes teachers, administrative officers,
supervisors of child welfare and attendance, or certificated pupil
personnel employees of any public or private school; administrators of a
public or private day camp; licenses, administrators of employees
community care facility licensed to care for children; Head Start teacher;
licensing workers or licensing evaluators; public assistance workers;
employees of a child care institution including, but not limited to, foster
parents, group home personnel, and personnel of residential care
facilities; and social workers or probation officers.
Confidentiality of Report: Good Faith Reporting
State law requires that the identity of the person making the report of
suspected child abuse or neglect be kept confidential. A person who in
good faith makes a report or assists in the investigation of reported child
abuse or neglect is immune from civil or criminal liability. An employee is
required to cooperate fully and not interfere with an investigation of
reported child abuse or neglect.
DRUG-FREE WORKPLACE
YOU ARE HEREBY NOTIFIED that it is a violation of Board Policy for
an employee at the workplace to unlawfully manufacture, distribute,
dispense, possess or use any narcotic drug, hallucinogenic drug,
amphetamine, barbiturate, marijuana or other controlled substance, as
defined in the Drug Free Workplace Act of 1988.
'Workplace' is defined as any place where District work is performed,
including a school building or other school premises; any District-owned
or school-approved vehicle used to transport students to and from
school or school activities; and any off school sites when
accommodating a school-sponsored or school-approved activity or
function, such as a field trip or athletic event, where students are under
District jurisdiction.
As a condition of your continued employment with the District, you will
comply with Board Policy on Drug-Free Workplace and will, any time
you are convicted on any criminal drug statute violation occurring in the
workplace; notify your supervisor of this conviction no later than five (5)
days after such conviction.
TOBACCO-FREE WORKPLACE
YOU ARE HEREBY NOTIFIED employees shall NOT smoke, chew, or
possess tobacco or nicotine products on school property, during school
hours, or at school events.

SEXUAL HARASSMENT
YOU ARE HEREBY NOTIFIED sexual harassment includes, but is not
limited to, unwelcome sexual advances, requests for sexual favors, or
other verbal, visual, or physical conduct of a sexual nature, made by
someone from or in the work or educational setting when:
Submission to such conduct is made either expressly or by
implication a term or condition of an individual's employment;
Submission to or rejection of such conduct by an individual is
used as the basis for employment or academic decisions
affecting the individual;
Such conduct has the purpose or effect of unreasonably
interfering with an individual's work or academic performance
or of creating an intimidating, hostile, or offensive working or
educational environment or of adversely affecting the student
or employee's performance, evaluation, advancement,
assigned duties, or any other condition of education,
employment, or career development; or
Submission to or rejection of the conduct by the individual is
used as the basis for any decision affecting the individual
regarding benefits and services, honors, programs, or
activities available at or through the educational institution.
Sexual harassment also includes any act of retaliation against a student
or employee for reports of violations of this policy or for participation in
the investigation of a sexual harassment complaint.
Other examples of conduct, which may be considered sexual
harassment, whether committed by a student, supervisor or any nonsupervisory District personnel, are:
unwelcome sexual flirtations or propositions
verbal abuse of a sexual nature
graphic verbal comments about an individual's body
sexually degrading words used to describe an individual
The display in the educational or work environment of
sexually suggestive objects or pictures.
Notifications
A copy of the District's sexual harassment policy and regulations shall:
be included in the notifications that are sent to parents/guardians
at the beginning of each school year
be displayed in a prominent location near each site
administrator's office
be provided as part of any orientation program conducted for new
students at the beginning of each quarter, semester, or summer
session
be provided to all employees and to new employees upon hiring
appear in any school or District publication that sets forth the
school or District's comprehensive rules, regulations, procedures,
and standards of conduct.
Investigation
A student or employee who feels he or she has been or is being
sexually harassed, or who is aware of or suspects the occurrence of
sexual harassment, or who desires counseling on coping with sexual
harassment should immediately contact the site administrator,
supervisor, the Assistant Superintendent of Human Resources, or the
Superintendent. Each complaint will be investigated confidentially by the
Superintendent or designee in order to determine if sexual harassment
has occurred. All investigations will be conducted in a manner designed
to ensure the privacy of all parties concerned. When the investigation
involves a District employee, the Human Resources
Department shall be informed
of and will assist in the
investigation and resolution of
complaints.


Enforcement
If, as a result of investigation, a determination is made that a student or an
employee has sexually harassed another student or employee, appropriate
disciplinary action will be implemented. Any student or employee found to
have sexually harassed a student or employee will be disciplined according
to the nature and severity of the offense. Disciplinary actions that may be
taken against an employee may include verbal reprimand, transfer or
discharge from employment. Disciplinary actions, which may be taken
against a student, may include verbal reprimand, suspension, or expulsion
from school.
TUBERCULIN (TB) SCREENING
YOU ARE HEREBY NOTIFIED all employees of the District are required to have a tuberculin skin test or a chest x-ray every four (4) years.

Safety
First
ACCIDENTS AND ACCIDENT PREVENTION
Be alert at all times to safety hazards. Notify the site administrator or
designee of all accidents, injuries, or unsafe areas. Safety and prevention
are the combined efforts of all. If you witness an accident involving a
student, it must be reported to the site administration office.
ACCIDENTS AND ILLNESS OF STUDENTS
All accidents involving students on the school grounds, in the building,
on the way to or from school, or occurring in any area while the pupil is
under the supervision of the school, shall be referred to the school
principal and nurse. A substitute is never allowed to administer
medication.
YOU ARE HEREBY NOTIFIED the Labor Code requires all employees
(including substitutes) who sustain a work-related injury to report it
immediately to their supervisor. This is required even if no medical
treatment is required at the time of injury. If treatment is necessary
after you have reported your injury, you will be directed for medical
treatment to an occupational medical facility by the Early Intervention
Nurse (EIN).
See “Employee Instructions When Injured on the Job” in the
appendix for reporting procedures.
Anyone who knowingly files or assists in the filing of a false Workers’
Compensation Claim may be fined up to $50,000 and sent to prison for
up to five years (Insurance Code 1871.4). It is a felony for an employee
to make a false Workers’ Compensation Claim (Labor Code 4906).
EMERGENCY OPERATIONS
The principal is responsible for working out an Emergency
Operations Plan for each school. In the plan, duties and
responsibilities should be assigned and the procedures established for
all employees in the building in the event of emergency situations.
Substitute Emergency Response Guidelines
Note: Depending upon school protocols, special arrangements have
been made for emergency situations. Substitutes should take the time
to review the school’s emergency plan upon arrival.
SUBSTITUTE ILLNESS
RELEASE OF STUDENTS
Substitutes should not accept assignments if
they are ill.
Substitutes who have been injured and WHO
can only serve on modified work are NOT
eligible to accept assignment.
Substitutes may be asked to leave if the site
administrator determines that the substitute
cannot perform the duties needed.
While students are in school, staff members serve in place of the
parents). Do not leave students unattended –- you are responsible for
all students under your charge and are legally responsible for their
welfare.
Do not release students to anyone other than school personnel,
without written authorization from either the parent/guardian or office
staff. When in doubt, contact the principal or administrator in charge.
Make sure you are familiar with school/district policies before taking
any disciplinary measures against a student.

and registration before access. To obtain your PIN you will need to:
1) Send an email PIN request to: [email protected]
2) Upon receiving your PIN, call (866) 921-4383 to proceed with your registration.
After you have completely registered with SubFinder, you will have both phone and online SubFinder access.

FREQUENTLY ASKED QUESTIONS FOR SUBFINDER
Q.
Do I have to have a touch-tone phone to use SubFinder?
A.
Yes.
Q.
Do I have to call in and register with SubFinder before I can receive job offers?
A.
Yes. You will not receive any job offers until you have registered!
Q.
Do I have to register every time I call in?
A.
No. You only have to register once.
Q.
What happens if SubFinder calls me and gets my answering machine?
A.
Your answering machine will record some portion of SubFinder’s greeting and narration asking for
your PIN (Social Security Number). (The message ‘This is the SubFinder for the North Sacramento
School District’,. It will repeat this message five times allowing time for you to answer the phone)
SubFinder will realize that the phone was answered, but will not leave any information regarding
the job. SubFinder may call back later and offer you the job again or you may want to call in and
see if anything is available.
Q.
What if someone in my family answers the phone and it‟s SubFinder calling?
A.
You have two choices: 1) If you are not home, you can teadch family members how to accept jobs
for you. If you choose to do this, please make sure they realize how important it is to tell you
about the job after they accept it! 2) If you are home, have the person who answered the receiver
down and call you. Substitute Finder will ask for your PIN (Social Security Number) several times,
waiting approximately 30 seconds between each request, so you will have time to get to the phone
before the call is terminated.
Q.
Can an employee request me for his/her absence?
A.
Yes. The employee must have your SubFinder assigned ID number in order to do this. (Call (866)
921-4383, select option #4, select #5 to hear your SubFinder assigned ID number). You can also
ask the secretary at the school site for your ID number.
Q.
What if the Days I am available to work change from week to week?
A.
You can change this information yourself, using your touch-tone phone. From the Main Menu,
choose option #4 – ‘To Review Personal Information’ and then choose option #3 – ‘To Review the
Days of the Week You Can Work.’ Follow the instructions given by the narrator and/or your
reference card to change your available days.
Q.
Can I call SubFinder and “shop” for jobs?
A.
Yes.
Q.
When I call in the Review Available Jobs, will I be given a list of jobs from which to
choose?
A.
No. You will hear one job at a time and will be able to accept the job, listen to the job again, or
listen to the next job. If you accept the job, you may still review jobs for other dates, if there are
any available at that time.

Q.
What is the difference between marking myself „Unavailable‟ and marking myself with a
„Do Not Disturb‟?
A.
Marking yourself as ‘Unavailable’ means that you cannot work for that time period. It does not
mean that you don’t want SubFinder to call you with offers for future jobs. For example: If you
say that you are unavailable on Monday, SubFinder will not offer you a job for Monday but it may
call you Monday evening to offer you future jobs.
When you create a ‘Do Not Disturb’, you are telling SubFinder that you do not want to receive any
calls during that time period. You are not telling SubFinder that you can’t work. For example: If
you ask not to be disturbed on Monday, SubFinder will not call you on Monday. But, it could call
you Sunday night and offer you a job for Monday.
If you are not available to work and you do not want to receive any calls, you must add both items
to the specified time period. After adding an Unavailable Date Range, SubFinder will ask you if you
still want to receive calls during the period. Indicating that you do not will also place a Do Not
Disturb on your account for the same period.
Q.
If I enter an Unavailable Date Range (for example, for a vacation) and return early, can I
begin to pick up jobs early?
A.
Yes. You must call SubFinder, choose option #4 – To Review Personal Information, choose option
#4 – For the Date Range Menu, choose option #3 – To Review a Date Range, and then remove the
date range. You will then be eligible to receive job offers from SubFinder, as well as review
available jobs.
Q.
If I reject a job for a particular day, will SubFinder quit calling me for that day?
A.
No. SubFinder may still call you for other jobs if you meet the criteria.
Q.
If I reject or cancel jobs, will I be automatically removed from the substitute list?
A.
No. The system will not automatically remove you for rejecting or canceling jobs. However, if you
cancel or reject jobs frequently, the District Office will remove you from the list.
Q.
Do I need to remember by job number?
A.
Yes. The job number is your confirmation that SubFinder has registered your acceptance of the
job. You will also need this number if you need to cancel the job.
Q.
Will I have the same job number for all of my jobs?
A.
No. Every new job you accept will have a different job number.
Q.
Can I cancel a previously accepted job in the event of an emergency?
A.
Yes. From the Main Menu, choose option #3 – To Cancel a Job. After entering the job number,
SubFinder will play the job information for you and then give you the option of canceling the job.
If you try to cancel a job after the Substitute Cancel Deadline, you will be instructed to call the
administrator and will be given the appropriate number to call.

What is my Substitute Cancel Deadline?

ALL employees - A copy of your social security card with the new name will need to be presented with this form
