Some of these fields may not automatically appear in the BIE views. The following procedure describes how to add these fields to the views. Note this is for DM2 fields in Sage tables only entire DM2 module Tables. this does not apply to adding Generic Steps Open BIE and select a View On the Edit menu, select Column Settings Click the Add button Expand the View and select the DM2 field you wish to add Click OK a few times to back out. If there is no specific Fuel Type it will select the All Fuel Type and look for any Sequence No. that contain the same Zip/Fuel Type. If a specific Zone is found the system will then look for a specific Carrier, etc until one specific match is found along with any records that share that same match but with a different Sequence No. Connections 2010 July 21st 23rd Connections 2010 July 21st 23rd Fuel Tax are now applied in the order of appearance by sequence number and accumulate the discount amount to be applied to the cost In fuel tax discount table maintenance, the operator now has the ability to enter a sequence number which will determine the order of calculating the discounts If an entry is made to an existing line, the system displays a prompt indicating a change and will overwrite previous data After a new entry is made system will resort discounts by sequence number order Connections 2010 July 21st 23rd Made sequence number maintainable Allows the user to modify existing entries Connections 2010 July 21st 23rd Connections 2010 July 21st 23rd Conoco Phillips Chevron Shell Exxon Mobil - Pegmost Connections 2010 July 21st 23rd Exxon/Mobil Pegmost Interface was the only interface left using a separate method for setup and transmitting of data Standardize Pegmost to follow the same format as Conoco, Shell, and Chevron Connections 2010 July 21st 23rd Setup for products now follows the same method as the other interfaces Transmission is now handled by a F/T program the same as the other Major Oil Interfaces P/D is no longer required for the operation of Pegmost Connections 2010 July 21st 23rd Pegmost is no longer part of Dispatch Scheduler Don t Ask!!! They are trying to find ways to compete using methods beyond competitive pricing. One of the methods they employ to lock their customers in is by providing transactional level data that the end user customer can then import into their own back office system. Currently the eCardLink solution provides a method for downloading the transactions but the Petroleum Marketers would like to have an alternative that would provide a push method for delivering a file to the end users Connections 2010 July 21st 23rd This is generally an enhancement to outbox to allow a new kind of document transmission. Instead of just sending a PDF of an invoice it also now allows the transmission of a transaction export file attachment. Receiving a transactions file is enabled through C/L Account Outbox Setup The email address can be specified The File Type is a CSV that matches the layout that eCardLink uses The file is sent via email during the invoice run Connections 2010 July 21st 23rd C/L File Export is now an Option for a Document Type You can make the same kind of email formatting setup as other Outbox documents Connections 2010 July 21st 23rd Setup is easy and follows other Outbox documents Simply specify the document type and the email address(es) Connections 2010 July 21st 23rd The PDF invoice continues to be sent as normal Connections 2010 July 21st 23rd A separate email is sent containing the CSV file attachment The text in the email is based on your previous setup Connections 2010 July 21st 23rd File is a CSV file matching the same layout as an eCardLink Download It can easily be opened in Excel Connections 2010 July 21st 23rd Connections 2010 July 21st 23rd Added the ability to price invoices by date AND time Both in Table Maintenance And in Cost Maintenance Connections 2010 July 21st 23rd Connections 2010 July 21st 23rd Added the ability to add state load fees to sales orders and invoices based on the customer s Ship To/main state Previously, this was done manually but it has been automated based on selection criteria This was a critical enhancement for Petroleum Marketers in Texas but the enhancement is flexible enough to handle other states requirements Connections 2010 July 21st 23rd Sales Order Setup Miscellaneous Item Maintenance: Need to set up a Miscellaneous Item Code for the Load Fee The item can be a charge, where the Sales G/L is assigned, but no cost or inventory G/L accounts are necessary If you want to track Cost and Inventory, it is suggested that a Miscellaneous Item is used. If no G/L accounting is required, this can be a Comment type of item Connections 2010 July 21st 23rd PetroLink Setup Select checkbox to initiate the Load Fees option Connections 2010 July 21st 23rd Once the Activate Load Fees is selected it will Allow access to the PetroLink Load Fee Maintenance screen Enable the Load Fee Exempt checkbox in the Sales Order Entry/Invoice Entry Connections 2010 July 21st 23rd The State Code drop box is pre-loaded with all US States and Canadian Provinces If data has previously been entered for a selected State Code the information will automatically populate. The Sales Order/Invoice Customer/Ship to State value from address lines will be matched for this fee Connections 2010 July 21st 23rd To allow for multiple fees per state a Sequence number is supported One Alpha-numeric character. 0-z (allows for both upper and lower case letters for a total of 62 sequence options) Connections 2010 July 21st 23rd Apply Load Fee to Misc Item Setup Misc item/charge that will be applied to a sales order/invoice if applicable based on the Load Fee You can enter the code using a leading / or just the code Connections 2010 July 21st 23rd This section is used to specify the From Quantity To Quantity Fee Amount Allows you to control the calculated Fee Amount by Quantity Breaks Operates Similarly to Quantity Breaks in Pricing Connections 2010 July 21st 23rd This Section handles Quantity Increments above the Maximum To Quantity setup Example For Increments Above is 10,000 and For Any Portion of QTY is 5,000 Then any quantity on the sales order/invoice above 10,000 gallons will have an added fee amount of $7.50 per 5,000 gallons. Connections 2010 July 21st 23rd Apply Special Rules At Least QTY - Enter the minimum quantity that will apply to a specified rule Less Than QTY - Enter the maximum quantity that will be applied to a specified rule Apply Rule There are 4 types of rules Minimum Load Maximum Load Add to Load Fee Subtract from Load Fee Special Rule Adjustment Enter the substitution or addition to the specified rule. Connections 2010 July 21st 23rd The next process is to associate products with the Load Fee and Associated Rules The Assign Products button will bring up a separate screen with all Inventory Item Codes that are NOT a type = Discontinued A Grid is displayed with checkboxes for fee/rule applications: Fees Based on the Customer s State Code UOM If the UOM factor is something other than 1 the system should multiple the quantity ordered/shipped times the UOM factor and use that number for calculating the Load Fee SR Based on the Special Rule for the specific State Code/Sequence Connections 2010 July 21st 23rd Fee is automatically added to the Sales Order There is a default comment on the Lines tab of both Sales Order Entry and Invoice Entry for the Load Fee LOAD FEE: SS-s where SS = State Code and s = Sequence number.
