Dear Delegates:
Greetings and welcome to Japan. We have a busy week of meetings ahead and the following
materials may help give us guidance along the way.
The materials below include a delegation name-list, delegates photos, the week-at-a-glance, and
meeting/map details for each meeting. Please be familiar with the materials and keep them available
during the week in the event you find yourself making your own way to a meeting.
Delegation Ground Rules are simple –
1. Everyone is on time and attends all meetings/events.
2. Everyone takes a turn paying for a taxi.
3. Anyone not having a great time needs to sing some Karaoke.
Please review the next day’s agenda and notes the night before so you have an idea what is about to
happen next. We will gather each morning in the Hotel Okura Tokyo lobby to leave for our day of
meetings. However, there are times when the morning meeting time changes, and there are days
where the transfer time between meetings will be tight. Please also be alert for unexpected changes
as circumstances dictate during the week. In any case, it is important that we arrive at meeting
locations with enough time remaining to exchange business cards and still be sitting down to start the
meeting on time. Your assistance is greatly appreciated.
Have fun and let us know if you have questions or suggestions. My mobile phone and email will be
operational all week in Japan as needed.

Ticket Cost = One Way = approx. 14,050 yen travelling on reserved ordinary car seats (basic fares
and express charges) during regular season periods
For Green Car (Business/First Class = bigger seats) = approx. 18,690 yen
Tickets can be purchased at JR Ticket Offices, JR TOKAI TOURS, and major Japanese travel

Can likely be purchased through the concierge as well.
Please book and pick up your tickets in advance of Friday as it will be difficult to buy a ticket on
Friday morning as the station will be very busy.
