Sreenidhi has made a mark due to enormous efforts put in by the management and
the staff. Every effort is made to develop necessary infrastructure, excellent faculty,
teaching process, support services and facilities for extracurricular activities.
The dynamic K T Mahhe, who is the secretary of Sreenidhi does not spare any
effort to provide the students with the best facilities. Students are provided state of
the art laboratories, library with latest books and periodicals, a computer centre
with high end systems to provide excellent environment for serious studies. There
is a novel and unique Best Teacher Award Scheme which is motivating the
teachers to do their best not only in teaching but also in building up of the
institution. These efforts have helped the students bring laurels to the institution.
THE CHALLENGE
A student who joins the institution can study for 4 to 7 years. The Challenge was
to keep track of accounts, tracking the status of outstanding fees from 7,000
students. Earlier the student information system was maintained on SAP. They did
not find it convenient, then they started using Excel, which was prone to manual
errors.
OBJECTIVE
A module has been developed for Student Information System on the Tally
platform. Every students’ data needs to be maintained for 7 years. Students data
needs to be tracked for academic year which starts in June, they have to maintain
accounts as per the financial year, which starts from April, therefore the fee is
collected in advance.
As far as the Fee is concerned, there are 2-3 patterns – some students’ fee is
reimbursed partially by the government. The fee a student signs on for, needs to be
continued. Also there are different fee heads, studentwise outstanding fees is
tracked under each head.
THE SOLUTION: Tally.ERP 9
The Student Information system has approximately 7000 students under 7
branches and also those who have enrolled for MTech.
Initially they tried using SAP ERP but switched over to Tally.ERP 9 due to its ease
of use and cost effectiveness. Now, the College is getting the outstanding balance
correctly. Fee report of 7000 students studying in various batches can be generated
in a few minutes.
Fee Collection has also become faster now. The other relief is that there is no need
to maintain a separate record.
Based on the need they generate accurate MIS reports – Course-wise,
Student-wise, Year-wise, Branch-wise, Fee structure-wise outstanding etc. is
tracked.
