SECTION 2: Start-Up
After successfully installing V-Sperm III (see section 13 of this guide for
instructions) an icon will appear on the desktop. To start the program
either:

The V-Sperm III log-on screen will appear.
V-Sperm III has a security feature. Each
user must be set-up by the Administrator
in order to access the program. Only the
Administrator can sign-in initially:

V-Sperm Set Up:
Authorized Users
Select SET UP >V-SPERM > AUTHORIZED USERS and the screens below will be
displayed.
Only the administrator has an authorization to set-up passwords and new users.
NOTE: Enter new users
by clicking an open cell
under the "Title"
column. A drop-down
menu will appear.
Select the type of user
based on their rights to
the system. Enter the
required information
and click APPLY.
There are four types of users. Each type is permitted different
"rights" to the system:

Administrator: Has all rights – can authorize reports,
set-up passwords and new users.
Authorizing Signature: Has all rights except for
setting-up users/passwords.
Test Performed By: Has all rights except for
authorization of reports and setting-up users/passwords.
Ordering Physician: Has no rights and can only view
information.
Changes can be made to Authorized User's passwords at
any time by entering a new one over the old one and
clicking APPLY.
Changes cannot be made to an authorized user's "title"
if a test report in the database contains their name/title.
An authorized user cannot be deleted if a test report in
the database contains their name/title.
Set-up: Report
To set-up the test report, click SET-UP >V-SPERM> REPORT.

result, click the ARROW pointing to the
parameter to be set.
The Normal Range Settings screen
will appear.
Enter the desired symbol (≥, <, =,
etc.).

Click APPLY to enter.

Enter the name, address, phone and fax
number of the testing facility to be
displayed on the semen analysis report.
Enter the appropriate information.
Check the Show in Report box.
Click APPLY to save the changes.

The system allows the user to select
“Other 1” or “Other 2” to input other
languages into the system.
Chose “Other 1” or “2” from the
Language drop-down menu and the
test parameters will be displayed.
Enter the test in any language.

Set Up: Ports
To set-up the PC ports, click:

Set-Up >V-Sperm> Ports.
Select a port and click APPLY
SQA-V Set-up (SQA-V version 2.45):
All of the SQA-V system and control defaults are set-up in V-Sperm III and
transferred to the SQA-V. To set up defaults both the SQA-V and V-Sperm III must be
activated:

The RS232 communication cable must be plugged into both the PC and the SQAV.
The SERVICE DATA screen of the SQA-V must be displayed. To activate this
screen go to: MAIN MENU>SERVICE>SERVICE DATA.
From the V-Sperm III main screen select: SET-UP >SQA-V
A set-up screen will be displayed that allows the user to input the default settings for
both the SQA-V SYSTEM and CONTROLS.

SECTION 4: Importing/Exporting Data from the SQA-V
Importing the SQA-V data to V-Sperm III
SQA-V Patient and Control test results can be viewed from
V-Sperm III once they have been imported from the SQA-V to
V-Sperm III. Follow the steps below to import data:

The RS232 communication cable must be plugged into
both the PC and the SQA-V.

displayed. To activate this screen go to:
MAIN MENU>SERVICE>SERVICE DATA.
From the V-Sperm III main screen select:
SET-UP >SQA-V
Click the IMPORT/EXPORT navigation button of the
V-Sperm III.
Select IMPORT ARCHIVE (Patient Data) or IMPORT
CONTROLS.
Click CONTINUE on the V-Sperm III import data
screen.
The user is given the option to delete the SQA-V Control
Archive data once the import function has completed.
Select YES or NO.
Exporting the SQA-V data:
The Export data option allows the user to Export the Patient
data archive and the QC archive to an external file (Excel
format) on the PC:

Click the IMPORT/EXPORT navigation button of the VSperm III.
Select EXPORT DATA
Select EXPORT ARCHIVE (Patient Data) or EXPORT
CONTROLS (QC Data).
Enter the path and file name; then click SAVE.

SECTION 5: Navigating through V-Sperm
NOTE: Eight navigation
buttons divide the
V-Sperm III program
into distinct modules.

V-Sperm III is set-up so the user can easily navigate
through the various menus and options by clicking
buttons.
Eight main navigation buttons are always available in
the left margin of the screen to lead the user through a
variety of options.
When a main navigation button is selected, new submenu buttons appear across the top of the V-Sperm III
screen.
The sub-menu buttons allow the user to easily access
the features of the V-Sperm III software.
A variety of icons guide the user through V-Sperm III
features and options. Directional indicator buttons allow
the user to easily move back to the previous menu.
SECTION 6: Patient Data
Locating, Selecting and Authorizing
Records
To select a record, click
this icon.
NOTE: In order to
locate a record in
V-Sperm III, the record
must first be imported
from the SQA-V archive
to the V-Sperm III
database.
NOTE: The patient's
name can be added to
the record in the
V-Sperm database.
Locate new records by
patient ID and enter
the patient's name in
the screen provided.
NOTE: The option to
view the "Authorization
List" is only available to
the user who has
"Authorizing Signature"
rights in the V-Sperm
III program.
Click the Patient Data button and three options
for locating records will appear:
•

Patient List – a complete list of all the
patient files in the database.
•
Sort the records by clicking the
COLUMN TITLES: Patient ID, First
Name, Last Name, etc.
•
Click the ARROW pointing to the
desired record to select it.

Search by Patient – if the name or the
patient ID number is known, records
can be located using this option
•
Enter the first or last name or ID
number of the patient
•
Click SELECT.

Authorization List - a complete list of
all records requiring an authorized
signature. To authorize a report:

Click on the REPORT icon to view a
record before authorizing it.

Click on the √ COLUMN to the left
of the record to be authorized.

complete the process.

Click this icon to run a
graph of the selected

the graph icon next to the parameter to
be graphed. A graph will display the
history of test results for the selected

Activate the Patient Data Screen of
V-Sperm III following the directions

Insert a slide or testing capillary into
the video visualization system of the
SQA-V
Select the desired patient’s record
If the patient has multiple records,
select the appropriate test record by
clicking the record TITLE bar to mark
the test column.
Click the PREVIEW VIDEO button to
view the live specimen.
Click CAPTURE PICTURE to attach a
still image to the patient record.
Click CAPTURE VIDEO to attach a live
video to the patient record (for
POSTVASECTOMY samples this is
recommended).
Once this option is selected, a STOP
CAPTURING button will appear.
A timer will indicate the length of the
recording time.
Click the Stop Capturing button when
satisfied with the video.
A message will indicate Video Saved.
Click OK to end.

All manual entries are tracked via a
traceability function.

To view an image: From the Patient
Data Screen select a test record with a
video/camera icon displayed in the title
bar.
Click the View/Attach Images button.
An Image Browser will display all the
images attached to the selected
patient's record.
Select an image and it will be displayed
in the preview pane.
Click on the image to enlarge it.
Click the SAVE AS button to save the
picture to an external file on your PC.
To attach an image (not video) to a
patient record, click on the report icon
column in the row of the picture to be
attached.
A report icon will now appear in the
column indicating that the picture is
attached to the semen analysis report.

To delete an image, select it by clicking
on it and then use the DELETE key
from the PC keyboard.
Authorize Test Results
NOTE: The Authorize
button is activated
when the user with
"Authorized Signature"
rights is logged into the
system.
To authorize a single test from the Patient Data Screen, select a patient file.

Select a test report from the patient file (if more than one).
Click the AUTHORIZE button.

Delete Records
There are three types of records in V-Sperm III:

Image
All types of records are deleted in the same manner. Highlight the patient record,
test record, or image and use the DELETE key on the PC keyboard.

SECTION 7: Video
Activate the VIDEO navigation button to
view semen samples "live" from the SQA-V
visualization system. Two options are
available from this feature:
•
•
Real Time Video – activates the
video so samples can be viewed.
Video Settings – select grid size,
color and video compression.
Click REAL TIME VIDEO and seven options are available:
•
•
•
•
•
•
•
Freeze – allows the user to view the specimen for counting/evaluating cells.
Grid – the grid can be displayed or removed by clicking this button. Counting
from this grid is the SAME as the SQA-V grid (20 squares – each cell in the
entire grid = 1M/ml as long as the ZOOM on the SQA-V is set to x300).
Copy – captures a picture that can then be saved to another application (such
as Word).
Settings – displays the video capture device settings.
Save Video – captures and saves a video clip to an external file.
Save Picture – captures and saves a picture to an external file.
Full Screen – maximizes the image to full screen. Click the mouse to return
to normal size.
SECTION 8: Controls
SQA-V Control Archive:
The SQA-V Control archive can be viewed
and managed from the V-Sperm system only.
To view a complete table of all archived
control test results the archive should be
imported from the SQA-V to the V-Sperm via
the IMPORT mode (Refer to Section
"Importing Data from the SQA-V Archive"). A
complete table of all archived test results will
be displayed. The user can select requested
records and export the data to a file.
Running Control Test Report:

To run a control test report click the
CONTROL tab in the main navigation
menu:
The user should select the following
fields in the:
• Test Method – Manual or Automated
• Control Media – Latex Beads or
Stabilized Sperm
• Control Level – level 1, 2 or
Negative Control

copy of the report.
A table will be displayed according to
the user’s selected options. From this
table the user can sort the data by
clicking on the title tabs of each
column.
Corrective Action can be filled in for
any test that is out of range by
clicking on the appropriate “cell” in
the “Corrective Action” column. A
menu of corrective actions will be
displayed and the user can readily
select a defined action or write in the
corrective action by selecting “other”.

SECTION 9: Utilities
The UTILITIES navigation button opens an Archive Management function. The user
can view the SQA-V archive and selectively import or delete individual or groups of
records from the SQA-V archive. This feature is particularly useful for importing
POSTVASECTOMY files/test results:
•

After viewing the sample in the SQA-V visualization system, leave the testing
capillary in the testing compartment.
FINISH running the test, SAVE and immediately IMPORT the file to V-Sperm
and ATTACH a video.
In order to use this function:
•
•
The RS232 cable must be connected to both the PC and the SQA-V.
Activate the SQA-V and go to: MAIN MENU > SERVICE > SERVICE DATA.

On V-Sperm III click the: UTILITIES navigation button.
Then select ARCHIVE MANAGEMENT
The SQA-V archive is now displayed in
V-Sperm III.
SQA-V records are color coded:

Dark blue – the current record
the user has highlighted with the
cursor.
•
Light blue - records not yet
imported into V-Sperm (the user
can easily locate new records of
tests just run by the color).
•

White - records already imported
into V-Sperm
The user can now individually select
records by clicking on the left hand
column of the table and:

SECTION 12: Install Software
Overview: DO NOT PLUG IN THE VIDEO CAPTURE DEVICE UNTIL THE END
OF THE INSTALLATION PROCESS OR THE INSTALLATION WILL FAIL!!
Follow the instructions below carefully. First, V-Sperm III software needs to be
installed (before plugging-in the video capture device!), then the Video Capture
software has to be installed (before plugging-in the video capture device). Then the
Video Capture Device and Security Key will be installed. First, software then the
hardware.
NOTE: If installation
fails to start
automatically, run
X:\Setup.exe (X is the
letter of the PC CDROM drive).
NOTE: Refer to the
"System Requirements"
section for details
regarding the minimum
requirements for
running V-Sperm III.
NOTE: Skip to Phase 3
if the MDAC message is
not displayed
NOTE: It is highly
recommended to use
the manufacturer's
automatic default
settings.
Phase 1: Software Installation
Step 1:
Insert the V-Sperm III CD into the PC CD-ROM. Installation will begin
automatically.
Step 2:
The screen will display: Initializing Wise Installation Wizard.
Step 3:
Close any programs that are open or running.
Step 4:
Run the installation program.
Step 5:
When the installation program is finished click YES to proceed.
Phase 2: MDAC Installation
Step 1:
A message will appear if
MDAC (2.6 or above) is not
installed on the PC.
Step 2:
Click OK to install.
Step 3:
Once installed, restart the
computer by clicking OK
when prompted.
Step 4:
The computer will re-start
and automatically begin
installation.
Step 5:
Click YES to proceed.
Phase 3: Collecting Information
Step 1:
When the Welcome screen is displayed, click Next to proceed.
Step 2:
The message "Please wait, installation is looking for a previous
version" will be displayed.
Step 3:
If a previous version is on the computer please proceed to “Phase 6:
Import Data from a Previous Installation”
Step 4:
Click NEXT when the default directory for V-Sperm III is displayed.
Step 5:
Click NEXT when the default name for V-Sperm III is displayed.
Step 6:
Click Next to begin copying files (all information required for
installation has been gathered).

The USB Instant VideoCD driver installation software will now begin
with a Welcome screen. Click NEXT.
Click NEXT when the next screen displays USB Instant VideoCD
information.
Installation progress will be displayed on the screen.*
A message will indicate when the installation is complete.

Answer YES if asked to restart computer.

Do not plug-in the video capture device at this time.
Click FINISH to close the USB Instant VideoCD installation.
*Windows 2000 or Windows XP: a digital signature warning may appear – click

Windows 98: you may be prompted to insert the Windows 98 installation CD.
Phase 6: Installation Complete
Click OK to restart the PC and completed the
software installation.
NOTE: The option to
"Search for the drivers
manually" or "Install
drivers automatically"
may be displayed
periodically. Choose:
Install the drivers
automatically. As a
result the PC may need
to be restarted.
Windows 2000 or
Windows XP: A digital

Video Capture Device Installation
Step 1:
Once the system has been
successfully restarted, plug the
USB Instant VideoCD device
into a free USB port on the
computer. The drivers will be
automatically installed.
Step 2:
Click OK to restart the PC and
complete the Video Capture
Device Installation.
Step 3:
Once the driver installation is
complete, plug in the RCA video
cable as illustrated.
Step 4:
Plug one end of the RCA Video
Cable into the SQA-V's video
output port on the SQA-V rear
panel.
Step 5:
Plug the other end of the RCA
Video Cable into the USB
Instant VideoCD video port.

SECTION 13: Uninstall
V-Sperm Uninstall
STEP 1:
WARNING: Close
V-Sperm and any other
open programs before
beginning the uninstall
process.
From the desktop of the PC select: START > PROGRAMS >
V-SPERM > UNINSTALL.
Step 2:
A message will be displayed: Initializing Wise Uninstall Wizard…
Step 3:
Select AUTOMATIC when the screen asks for an uninstall method.
Step 4:
Click NEXT to continue.
Step 5:
Click FINISH when the next screen notes that the uninstall has been
completed.
Step 6:
Select YES TO ALL if a message asks to remove shared components.
Step 7:
Uninstall will remove shared components/files and close automatically
when the process is complete.
Step 8:
RESTART the computer if prompted to do so.

USB Instant VideoCD Uninstall
Step 1:
Disconnect the USB Instant VideoCD device from the PC.
STEP 2:
From the PC desktop run: START > CONTROL PANEL > ADD OR
REMOVE PROGRAMS > USB INSTANT VIDEOCD >
CHANGE/REMOVE.
Step 3:
The screen will note the initialization of the uninstall process.
Step 4:
Click OK to the message Do you want to completely remove the
selected application and all of its components?
Step 5:
Click FINISH when the USB Instant VideoCD drivers have been
successfully uninstalled.
