“Y” Shaped or Wishbone Headset
Many Transcriptionists prefer an under chin style headset.
They are often lightweight and come in a variety of styles,
materials and fit many stations. While over-the-head style
headsets are typically heavier, many have found that they
can be just as comfortable and great for all-day use.
Perfect for anyone with a smaller sized head, a wishbone
headset fits a bit more tightly on the head and simply
rests against the ear opening. They do not cover
the entire ear, nor does anything insert into the ear.
U-Bow or Band Headset
Headset Plugs
Dictaphone brand desktop machines use a twin-pin plug
while older style Philips/Norelco machines and a few DAC
stations use a 5-pin round DIN plug. All PC’s and many
cassette transcribers use 3.5 mm plugs to connect the
headset to the machine. All PC headsets are stereo and all
or most cassette transcribers are mono. A stereo headset
has two channels, a left channel and a right channel. If
you’ve ever plugged a headset into a cassette transcriber
and only heard sound out of one ear, this is more than
likely because the headset was stereo and the cassette
transcriber can only broadcast sound out of one channel.

Generally headsets come with a choice of three ear bud
styles. Most under chin headsets come with ear buds that
fit into the inner portion of your ear, like a stethoscope
headset, or fit against the outer portion of your ear, but do
not cover it. Over-the-head style headsets generally offer
ear pieces that cover the entire ear with a soft pad and
can be very comfortable, and great for noise reduction.
Hinged Headset
A hinged style headset often has ear pieces that fit into the
inner portion of the ear and are the most adjustable. They
generally rest against the bottom portion of your inner ear and
are very good for all day comfort. They are most commonly
stethoscope style and are available in metal or plastic.
A U-Bow or band style headset simply uses the pressure
from the bow to stay against the outer portion of your ears.
If you’ve experienced these types of headsets falling off
of you, try a wishbone headset as they have a tighter fit.
Warranty
Like all warranties, user abuse or neglect are not
covered, but sometimes headsets just fail. While most
only include a 30-day warranty, TranscriptionGear.Com

in a variety of different ways using digital voice recorders, workstation

transcription program which eliminates the need for a phone line.

has been completed or is awaiting transcription. She is able to manually
override the automatic workflow while having access to statistical reports
and summaries about dictation volumes, turn-around times and individual
performance statistics throughout her company. In addition, the system
allows an Atom Live administrator to establish security settings enabling
only authorized personnel such as Green access to certain files and
areas within the system. According to her, “Being able to go into the
system and manage files and employee workflow has saved me hours!”

Which digital recorder should you buy?
Choosing the right digital handheld recorder can often be a difficult challenge.
There are many makes, models and features offered and it can be overwhelming.

Features to consider
Removable Media
Rewind / Fast Forward
Found in professional grade dictation machines, removable media
allows the user to remove the recording media to either offload
the jobs, replace the card when it fails, or simply insert another
card for additional recording time when offloading isn’t an option.
Many models you’ll find at your local computer electronics store
have rewind and fast forward buttons, however, did you know that
most do not offer incremental rewind? Inexpensive notetakers were
not designed for dictation and transcription. When you press the
rewind button, you go all the way to the beginning of the file, then you
incrementally fast forward to the place where you would like to review.
4-Position Slide Switch
If you are already familar with a 4-position slide switch or your
clients are, we would strongly encourage you to stay with one.
Many professional grade handheld recorders such as Philips and
Olympus offer a slide switch model and this makes the transition
from tape to digital much easier and more widely accepted.

Professional grade machines can prompt for demographics
such as patient ID, case number, etc. This demographic
information is kept with the audio file and is sent to transcription.
The Philips 9600 and 9610 series offer Voice Command. This
eliminates the need for inputing demographics, you can
simply speak numbers, letters and keywords into the unit.
All too often the transcriptionist can’t play some proprietary file
formats created by one brand, due to the licensing restrictions. We
recommend using a recorder that creates a DSS file format, as it
offers small file size which is great for sending work over the internet
and high quality sound recording for optimal playback. You’ll find this
is a standard on both Philips and Olympus professional machines.
Housing / Construction
Warranty
Users will find that construction is very important. For a
professional, we strongly encourage you to consider a handheld
with a metal housing. The Philips 9600 and 9610 models
feature a 100% metal housing for long lasting durability.
Like all warranties, user abuse or neglect are not covered, but
digital machines still have a few moving parts that can break.
We suggest looking at a machine with a minimum 1-year
warranty on parts and labor such as Philips or Olympus.
Many authors like the ability to insert audio into an existing recording,
as well as overwrite part of an existing file with new audio. Generally
you’ll only find editing functions on the professional grade machines.

Hardware and Software Requirements - Digital dictation is often software
and hardware combined. Make sure to check the technical specifications
of the product to confirm that your PCs are within the manufacturer’s
requirements. Some digital dictation solutions require a dedicated PC
to act as a server, find out how this hardware is provided. You may want
to provide the server yourself if you have this capability. If not, look for a
vendor that will provide support and the hardware as a turnkey solution.
Sizing and Scalability - Scalability refers to the ability to size the
solution, small or large, to your individual needs. You may want to
select a digital dictation platform that not only meets your needs today
but can be upgraded or expanded later as you grow. Be sure to ask
and know how much it will cost to expand and grow the solution.
Third-Party Costs - Digital dictation may require more than just a purchase of
equipment and software. Consider other factors such as: your phone lines and
phone system, your network, extended warranties, and vendor training over
the web or at your premises. These other costs may or may not be included.
Workflow and Automation - Digital dictation can be simply defined as the
replacement of cassette tapes for recording with digital recording devices.
Digital dictation can also be defined as a software application that centrally
manages the digital recordings of many workers, for automatic distribution

to dictate today. Utilizing a Philips or Olympus
professional recorder, a user can dictate wherever he
or she goes. When ready, simply dock the handheld
on any Atom-enabled PC and it will take care of
the rest by encrypting it for security and sending it
to the Atom System either via LAN or the Internet.
Atom Player turns your PC into a professional
transcriber. With an available foot control and
transcription headset, you are able to transcribe
just like you would with any standard transcribe
machine. The optional Document Management
System makes transcription easier than ever.
Dictation Software
The Atom Dictate software turns your PC into
a professional, fully integrated dictation station.
It features Automatic File Transfer and routing
capabilities for audio, flexible concurrent licensing
(up to 16 simultaneous users), security configuration,
flow auditing and encryption features as well as
support for barcoding. Unlimited Audio Templates
can be used for canned reports, normals, etc. Edit
and review completed reports – QC has never
been this easy! Listen or edit your audio already on
the Atom system. Dictators can create an orginal
