Username will be entered in this format fl.xxxx (xxxx is your username – normally your National Realtor® Database System Number). If you forgot your password – this asks you your username and then the system will e-mail you a temporary password. Keep an eye out for webinars that FlexMLS hosts. New ones will be posted for you to sign up for. If you are unable to make the webinar that you signed up for. FlexMLS will e-mail you a link to watch the recorded one. Look for the light bulb for tips throughout this guide. MLS 101 : Introduction to FlexMLS 3 GENERAL NAVIGATION The flexmls® system allows members many options to view information with standardized and customizable functions. Each menu option has drop down options for easy navigation, see below for a short description: Dashboard– This customizable function can display gadgets links (i.e. Facebook®, CNN®), contacts, emails, statistics, listing information and much more. Add/Change– Allows members to add, change and update their listing information. Search– Displays the various types of searches available. Search for property using the Quick Search, Map Search or Full Search. Search and find contact information for MLS members and offices. Daily Functions- An assortment of functions that provide members with Hot Sheets (reporting tool), message center, MLS Intranet etc. Contacts– Members can add contacts, setup user portals, create automatic email notifications, and much more. Taxes– Link to the CRS (COURTHOUSE RETRIEVAL SYSTEM®) website providing members with information regarding the property summary, parcel information, sales history, tax and mortgage history. Statistics– Provides members with many different tools to run productivity reports, market summaries and comparisons. Preferences- Stores and maintains your profile and contact information. Many of flexmls’® general preferences saved searches, reports, portal management and IDX manager. Help The Help menu has been expanded to include User Guides, a list of the Video Tutorials, Forms, and Contact MLS/ Support. Profile tab Your initials will display in the main profile tab but click on the down arrow to access the following SuperUser access (not displayed in picture above), My Profile, and Arrange Menu. You can always return to the Dashboard by clicking on the flexmls® logo at the top left corner. MLS 101 : Introduction to FlexMLS 4 DASHBOARD After logging into flexmls® you will first see the MLS & Home Dashboards. These pages have a number of modules to give you quick access to the more commonly used areas of the system. Click the drop down menu to choose between the MLS dashboard and your customized dashboards. Click Customize to add gadgets, change the layout and much more! Click on the header hyperlink of the gadget to be taken to that area of flexmls. Click-Drag-andDrop your gadgets to place more important gadgets towards the top of your dashboard. Click on any of the gadget hyperlinks to be taken to those results. Click on the drop down arrows to see settings for that selected gadget. Add as many Gadgets to your dashboard as you want. Once you have added a Gadget it will populate with a blue checkmark and state “is already on this dashboard”. MLS 101 : Introduction to FlexMLS 5 MY PROFILE The My Profile page contains fundamental information about you, this will ensure that your clients and other agents will be able to contact you . Have designations to add or to do a quick maintenance. Upload your most used documents for quick access. Add designations to your name and when they will display. The personal photo and logo will display on correspondence with other agents or clients. Security will open another window allowing you to change your password. The General Preferences menu is also under Preferences and there you will find a lot of the personalizing options available including font size, and email settings. MLS 101 : Introduction to FlexMLS 6 DAILY FUNCTIONS This function provides a variety of options that will help you complete your daily tasks such as touring open houses, viewing 24 hour status change reports and obtaining MLS forms. If you are looking to add a home to the Thursday Home Run Tour this is one of the places you can do it. Looking for a member? Or Input forms? Find them all here! MLS Intranet Has an abundance of forms that can be used to assist you with your clients. Changing listings, office or agent information can be found in this section Not sure what area your listing goes in? Click on these to help find it. Some hot topic information will show up here. Do NOT use the Brower back button at the top of your screen or all entered information could be lost. MLS 101 : Introduction to FlexMLS 7 Input New Listing To enter a new listing click on Add/Change on the Menu Bar, then click Add. You can also add a listing, change a listing or work on an incomplete listing from here. In the Add Listing Module you can enter all the pertinent information about the property being listed. There are a couple of navigation tools used within this module to complete your listing. Page Tabs – Use these to move from one area of information to another. Back / Next buttons – Use these buttons to go forward or backward one tab. MLS 101 : Introduction to FlexMLS 8 FlexMLS has an auto-save feature that will automatically save any information entered into your listing every 2 minutes. Should your session get disconnected or interrupted during any session, the listing information will be saved in your Incomplete Listings. When adding a listing, the first tab contains General Listing Information, which includes Property Type, Listing Agent and Co-Listing Agent. If you are logged in as the office admin or broker, you will be able to choose from any of the members in your office. If you are logged in as an individual member, you will only be able to choose yourself as the Listing Agent. To begin adding your listing, fill in the appropriate information. If needed, use the small magnifying glass next to the Listing Agent and Co-Listing Agent fields to look up member information. Once completed either select the tab you want to complete next or click the Next button to go to the Address tab. Address Tab – Enter the complete address information in the appropriate fieldd. All fields in red are required. Once the House Number, Street Name, Area, County, and City have been entered, click Populate Tax Data (optional) to scan the county tax records for a match. If a match is located, Parcel ID, State and Zip Code will auto-populate. If no match is found, you will receive the following error message and will need to contact the County Assessor’s Office if you don’t already have the Parcel ID information to enter yourself. MLS 101 : Introduction to FlexMLS 9 Once all address information is complete, either select the tab you want to complete next or click the Next button to go to the Main Fields tab. The Geocoding Locate Property Map will show up. The Geocoding Locate Property Map allows FlexMLS to verify the correct location of the listing for mapping purposes. Verify that the system has correctly identified the location of property you are listing. A red push pin will mark the parcel that the system has identified. If correct click Use this location above the push pin and you will be taken to the next screen. If incorrect, move your mouse pointer over the red push pin and the pointer will turn into a four-way arrow. Click on the push pin and drag it to the correct location, then release the mouse button. Once the push pin is located correctly click Use this location above the push pin and you will be taken to the next screen. Next – you may get this screen: If it is not an old listing of yours – you would click here. If you choose to use the Copy function, some fields from the previous listing will be auto-filled into your new listing. Check all information for accuracy. MLS 101 : Introduction to FlexMLS 10 Main Tab – Contains basic information fields for the property. Fields such as List Price, Bedrooms, and Bathrooms. Fields in RED are required to be filled out before the listing can be saved as an active listing. If you do not have all of the information required – you can save the listing as an Incomplete. When you put your mouse on Information about that field will explain more about the field. Details Tab – contains the detail of MLS-Specific data fields. Information like Interior and Exterior Features, amenities, appliances may be found under this tab. All Fields in [bracketed] red text or with a red bar across the section are mandatory; the listing cannot be saved until all such fields are complete. MLS 101 : Introduction to FlexMLS 11 - Room Tab – Information about the room sizes will be found here. Information on the length and width of each room can be added in the appropriate field either as a decimal (8.5). No letters are allowed (ft. or in.). For Residential Listings – Living Room, Kitchen and Master Bedroom are required fields Hint – The more information you fill out the more complete you listing will be when clients are looking at it. Photos Tab – MLS requires submission of at least one (1) photograph or other graphic representation that accurately depicts the front exterior of the listed property in the Residential, Rental, Duplex/Triplex/Quad Databases. Visible real estate signs are not allowed in any listing photograph. Export Tab – This page controls if and where the listing information can be exported to outside of the MLS (i.e. REALTOR.com, ListHub, IDX). Listing will still populate to Virtual Office Website’s (VOW) unless this checked. MLS 101 : Introduction to FlexMLS If these are clicked “On” then the listings will not populate to Trulia or ListHub. 12 Save and Retrieve Listings At any time during the entry process you can choose to save the current information and return at a later time to finish. Click here to save the listing if is it NOT complete yet. Click here if the listing is complete and you are ready to input it as a “live” listing in the MLS. Once you click “Save Incomplete” the listing will save and then you will get this screen. This allows you to add additional photo’s or email/print the listing – or to continue entering listing information. To return to an incomplete listing, click on Add/Change from the Menu Bar, then select My Incomplete. The maximum file size for photos is 10MB. The maximum size is 3000 X 2000 pixels. MLS 101 : Introduction to FlexMLS 13 Additional Listing Entry Information Listing Price – Prior to saving the listing as Active, ensure that the List Price information is accurate. When the listing becomes Active, the Original List Price entered becomes a permanent part of the listing record that cannot be altered. You will be able to go back in and change the List Price field; however the Original List Price will always be available as part of the listing information. Spell Check – All items listed with a blue check mark are text fields with a spell check option. Click the Spell Check link at the bottom of the page to run. Field Information – If you have questions about any specific field, click on the red question mark directly to the right of the field. A window will pop up with specific information about that field. , Any fields with special limitations on what can be entered will have a bubble with an orange i located directly to the right of the field name. Hover your mouse over this bubble for a pop-up with the limitation information. Remarks field limitations: Directions 200 characters Public Remarks – (Visible on public and private reports) 800 characters Broker Only Remarks – (visible only on private reports) 500 characters Office Remarks – (visible only to other members of your office) – 200 characters Supplement – 10,000 characters (this field is completed in the Change Listing module and is visible and available to be viewed by the public. Documents To add a Document – From the Change Listing screen, click on Documents then Add Document. Any Public Document you upload to FlexMLS will be available to other Subscribers, as well as to all clients to whom this listing is sent. Change the Document to Private if you do not want others to see it. Remember all Documents attached to a listing are subject to the same Inappropriate Language Policies as Public Remarks for Public Documents and Private Remarks for Private Documents. Double-check all attached Documents to ensure no private client information or security codes are included. MLS 101 : Introduction to FlexMLS 14 Once all documents are added, click Return to the edit listing screen in the upper-left corner to return to the Change Listing screen. There is no limit on the number of documents allowed per listing. To Remove a Document: From the Change Listing screen, click Documents Select the document you would like to remove from the list at the left Click Remove, then click OK to confirm Click Return to the edit listing screen in the upper-left corner to return to the Change Listing screen. Open House / Tour of Homes If you would like to put your home on tour, it is due by 11:00 am on that Wednesday of the tour week. Click here to put your listing on an upcoming Tour of Homes (Brokers Open). Click here to add your listing to the tour. NOTE: You do not need to worry about the dates above. MLS 101 : Introduction to FlexMLS 15 Tour of Homes is scheduled for every Thursday (unless there is a holiday). Put in the information for the tour – hosted by – when it starts and ends and any comments that you have. This information can be reviewed at any time by going to the flexmls main Menu bar, click Daily Functions, then Tour/Open Houses. Make sure you click on Tour of Homes. Put in the dates and then click Next. You can also add your home to the tour from here. If you put your home on tour but are not sure if you did it correctly, give us a call and we can help you verify that it is showing on there. MLS 101 : Introduction to FlexMLS 16 CONTACTS Contact Management– Allows you to add, update and send out automatic emails to your clients. Contact Summary– Overview of your contacts listing preferences, number of emails sent to them and a list of the saved searches. Automatic E-mails- View a list of any automatic e-mails that have been sent to your clients. My Sent E-mails– Review emails that you have sent to clients from flexmls®. Click on the contacts name to display their contact information. Add a contact with all of their information Edit and remove contact here. Class for MLS 204: Contact Management is being held each month, this will give you an indepth look into how to setup your contacts to get the most out of Flexmls®. MLS 101 : Introduction to FlexMLS 17 QUICK LAUNCH The Quick Launch is a multisearch tool in FlexMLS. Type in at least two characters into the Quick Launch to populate a search menu with possible matches. Access additional flexMLS categories such as Saved Searches, Offices/Members, Contacts etc. Please note: This does not replace the manual search options (Quick, Map & Full Search), if searching for more than one property these techniques will need to be utilized. Click on the selection of your choice to open it in the current page, or click on the icon to open a new tab. Tabbed browsing will save you from losing your work on a given page– perform a Quick Search without losing your CMA information, for example. Your original browser tab will be labeled flexmls Web and the new tab will have the property address or feature listed in the tab name (depending on your web browser). You can also navigate the Quick Launch menu by using your keyboard arrow keys, use the following to help you: Use the up and down arrows to scroll through the list of results. Enter or Tab will open the highlighted item in the list. Shift+ Enter will allow you to open the selected result in a new browser tab, similar to the icon mentioned above. Recent Searches This release includes the Recent Search feature that will keep track of your three most recently run searches. Simply click on the Quick Launch bar and the Quick Launch History menu will appear. MLS 101 : Introduction to FlexMLS 18 SEARCHING Flexmls provides 3 standard methods to search for a listing: Quick Search, Full Search and Map Search. Each method provides members with the same search criteria only in a different format. Quick Search Most popular method of searching because it combines both the Full and Map search in one easy to use format. Map Search Displays the Quick Search criteria in a map view, then use the mapping tools to look at listings within a specified area. Full Search The full search is an in-depth search for listings that gives you every searchable field in the flexmls® database. Templates Choose one of the available templates to complete your search, the templates are available on both the Quick and the Map Search options. Easily change search methods while keeping your selected criteria by choosing one of the options in the menu bar. MLS 101 : Introduction to FlexMLS 19 Quick Search Criteria will populate on the left side of the screen, complete the search with any information available. Use the scroll bar to view all search criteria. Check off criteria that should be included in the search. Once an item is highlighted additional information will populate (i.e. min and max amounts). On the right click the “X” if you do not want this criteria to be shown, however it is not necessary to remove items that are not checked off. Click the Clear button to erase all previously entered search criteria. Additional fields can be added to the Quick Search by scrolling down to the bottom of the search criteria menu. MLS 101 : Introduction to FlexMLS 20 Map Search The Map Search can assist you in searching for a specific property, creating CMAs and creating a search area for a client. Click on the “I” icon to see the entered search parameters. The Satellite view will populate the Google map of that location. Overlays can show you counties, area zones, geo zones, zip codes Navigation bar to help you zoom in and out. The Hand icon is the default tool to help you drag, zoom in/out and select the property you wish to view. Nosey Neighbor allows you to look at a homes history. Customize your search area by using the mapping tools. Your Map search criteria will display in the Quick Search area. Hover of the shape to see it highlighted in yellow on the map. To remove the rectangle click on the “x” in the Quick Search area. MLS 101 : Introduction to FlexMLS 21 VIEW RESULTS Once all of the search criteria has been chosen, select how to view your search results by using the viewing tabs: List View– View abbreviated listing information based on search matches. Click on the Listing Agent or Listing Office to view the business card on file. Click on the picture and it takes you directly to the photos for the listing. Click on the MLS# to see the details on the listing. Click Sort to reorganize search results. Click on the “down arrow” for a quick shortcut to edit your Listing. Detail The Detail view will display the Full Report of the listing. MLS 101 : Introduction to FlexMLS Report– Chose from multiple different report types including Full Report, Flyers, and IDX reports. History- Displays property and listing history. Tax Info– Automatically connects to the CRS (Courthouse Retrieval System®) populating the re port on the selected listing. Calculator– Use calculator to estimate the monthly mortgage payment for a property. 22 Detail> History After using a search method (Quick, Full, Map) enter into the Detail navigation tab, click on History. Use the plus and minus signs to open or contract changes within that MLS#. Detail> Tax Info The CRS– Courthouse Retrieval System is a JTHSMLS member benefit, providing you with property information. We hold CRS Classes a few times a year. This will give you an in-depth look into how the CRS program can work for you. MLS 101 : Introduction to FlexMLS 23 Photo Viewer Great way to view listing photos in better detail. FlexMLS now allows uploading photos up to 3000x2000 pixels in size. Select the double window icon to populate the full screen photo viewer. Navigate to the previous or next photo by clicking anywhere the left or right of the screen, or by using the arrows on your keyboard. Use these arrows or the up and down arrows on your keyboard to change listings while in full screen mode. Use the drop down menu to view the picture labels, or use the blue arrow icons to scroll through pictures. The ‘X’ icon will escape full screen viewing mode and return you to a standard view, or use the ESC key. The gear icon to select the length of time each slide will be displayed. MLS 101 : Introduction to FlexMLS 24 Photos– Displays full size picture gallery. Opens the picture in a separate window Contact Listing Agent Write a private note Show/hide picture thumbnails. Map– Displays listing matches on map, satellite or overlay options. Display the Satellite view, Overlays, or get Driving Directions. MLS 101 : Introduction to FlexMLS 25 Compare Compares search results in categories: original price, list price, CDOM, price change and % price change. Function Buttons At the top of each listing you can complete any of the following functions: Save a Search, a Template or a Listing Cart easily by using the Save menu options. Email interactive version or printer friendly version of a listing. Choose from multiple print options including the report view and flyers. See all of the search results in a One-Line CMA, the CMA will populate in a new window comparing multiple property criteria. Export listing information into another software product (i.e. Excel). Confidentially report listing errors to MLS for correction. MLS 101 : Introduction to FlexMLS 26 FLEXMLS MOBILE Log-in using your mobile device by typing in m.fl.flexmls.com into your internet browser window. Use your Flexmls® username and password and you are ready to go! The main log-in screen allows you to enter in search criteria, look at nearby listings, view your current listings & saved searches. The listing search is setup the same way that the Quick Search is in the full Flexmls version. To see the houses on a map view click on the “circle”. Find listings based on your current location. Click on the listing to view additional fields, obtain member/office information, and showing instructions. When you click on PEOPLE it will show your contacts. To find Offices or Members click on “MORE”. MLS 101 : Introduction to FlexMLS 27 HELP ME! Contact JTHSMLS Support Monday-Friday from 8:30 am to 5 pm at 561-746-2707 We are happy to help you! Click on the Help button at the top left of flexmls. Choose from User Guides, Video Tutorials (also located at the bottom of the User Guides), Forums and Contact Support. Depending on function (Quick Search, Contact Management etc.) the User Guides will customize what information is listed. If you don’t find the answer you are looking for, you can select User Guides. Included in these guides are video tutorials that can help guide you through the system.
