FLEXMLS SEARCHING
There are 6 different search methods within the flexmls® system, allow- ing you to
view either one listing to multiple listings at once. Choosing the right search
method will ensure that you effectively and efficiently searching for properties for
your clients.

Property Searches

Quick Search, Full Search, Map Search, MLS #, Address, Multiple Address

Member Searches

Office Listings, Office/Member Saved
Listings

Listing Carts, Saved Searches
Additional Resources


QUICK LAUNCH
The Quick Launch is a new multisearch tool in FlexMLS. Type in at
least two characters into the
Quick Launch to populate a
search menu with possible
matches.
Access additional flexMLS
categories such as Saved
Searches, Offices/Members,
Contacts etc.
Please note: This does not replace
the manual search options (Quick,
Map & Full Search), if searching for
more than one property these
techniques will need to be utilized.
Click on the selection of your choice to open it in the current page, or click on
the icon to open a new tab.
Tabbed browsing will save you from losing your work on a given page– perform a Quick Search without losing your
CMA information, for example. Your original browser tab will be labeled flexmls Web and the new tab will have the
property address or feature listed in
the tab name (depending on your
web browser).
You can also navigate the Quick Launch menu by using your keyboard arrow keys, use the following to help you:

Use the up and down arrows to scroll through the list of results.

Enter or Tab will open the highlighted item in the list.

Shift+ Enter will allow you to open the selected result in a new browser tab, similar to the icon mentioned
above.
Recent Searches
This release includes the Recent Search feature that will keep track
of your three most recently run searches. Simply click on the Quick
Launch bar and the Quick Launch History menu will appear.

Quick Search
The Quick Search give you a condensed version of the Full Search, add additional criteria or combine with the
Map Search to narrow down results.
First, select your Quick
Search template then
click Use.
 Smart Bar – Type in the
location, address, MLS#,
subdivision or community to
help narrow down your
search.
 The chosen criteria will
populate under the smart
bar, to remove click on the
“x”.
 Continue to add search
criteria until desired results
are obtained.
 Check off criteria that should be included in
the search.
 Once an item is highlighted additional
information will populate (i.e. min and max
amounts).
Click the Clear button to
erase all previously
entered search criteria.

Add a Field
Click on Add A Field to see the list of all of the fields that can be added to your search, also type in to search/
filter. Click on the fields you want to add, they will populate in the Quick Search menu.
Once you have completed entering in your search criteria, look below for the many different ways for you to view
your results.

Map Search
The Map Search allows you to either enter in a specific address, or use the mapping tools to narrow down your search
Instead of directly using
your mouse to zoom in
and out, you can use
these mapping tools.
The Satellite view
will populate the
Google map of that
location.
See the map distance in
kilometers and miles.
Color Legend – helpful when
searching different statuses.
Back/Forward– To revert to the previous mapping zoom level or focus.
See all points on the map– Click the button to return to the initial map
view where all plotted points are visible. This tool is handy if you have
moved the map and lost perspective.
Pan tool– This is the default tool selection when you enter the flexmls®
Map function. To use this tool click anywhere on the map while holding the
left mouse button down, move the mouse and drag the map in any
direction. When the mouse button is released the map will stop moving.
Zoom in– While the Zoom in tool is selected click on a portion of the
map that you wish to Zoom into, while holding down the button move
the mouse to increase the zoom area. A rectangle will appear, this will
be the area in which the map will zoom in, let go of the left mouse button and the map will zoom in.

Use the drawing tools to create an area specific search for your clients by clicking on the
rectangle, circle or polygon. Then create your search area by clicking on portions of the map
you wish to draw, double click on the last point to set the object.
Your Map Search
criteria will
display in the
Quick Search
area. Hover over
the shape to see
it highlighted in
yellow on the
map.
To remove the
polygon click on
the “x” in the
Quick Search
area.
Use the Nosy Neighbor tool to find listing activity and lot dimensions for properties.
Click on the MLS
number to
receive additional
information
regarding that
property.

Mapping Overlays
From the top right click on Overlays, this option will display additional information including counties, areas, geo
zones and zip codes. Click on the Overlay that you wish to view, zoom in and out to see all Overlay areas. When
done click back on the chosen overlay and it will remove it from your map.
Some Map Overlays will
allow you to add them to
your search, click on the
area and then within the
pop-up click on “add to
search’.

VIEWING RESULTS
There are multiple ways to view the listing information, additional flexMLS® benefits can be found in the submenus in each tab.
List View
View abbreviated listing information based on search results, you can sort, change the list view or contact a
listing member.
Select your favorite properties
from your results list, only these
selected properties will display in
the other viewing tabs. See the
section on Listing Carts for more
information.
Click on any of the blue wording
(hyperlinks) within the List View
to view additional options.

Use the drop-down menu
to change the way the
listing information is
displayed.
Click on the column headers or the
Sort button to change the way in
which the listings are sorted.

Detail View
The Detail view will display the F ull Report of the listing.

Report– Chose from multiple different report types including Detail Report, Flyers, and multi-up reports,
change the settings to display public or private listing information.

History- Displays property and listing history.

Tax Info– Automatically connects to the CRS (Courthouse Retrieval System®) populating the report on the
selected listing.

RPR (REALTOR® Property Resource) - A Comprehensive database of information on every parcel of
land in the U.S. It gives REALTORS® accurate data, powerful analytics, and dynamic reports.. position
you with the most complete credible real estate information available anywhere. Please note: This
option is only available to REALTORS®..

Mortgage Info– Sample report for estimating mortgage information

Supplement– Additional information on property features that might not be included in the Detail Report.

ShowingAssist- Showing management tools enabling them to schedule showing appointments, generate
showing feedback and create listing activity reports for sellers.

TransactionDesk – Is an online real estate transaction management system fully integrated with
interactive forms and contracts. TransactionDesk gives REALTORS® the power to manage their
transactions 24x7 from anywhere with internet access.

Documents– View documents that the listing agent has uploaded.

Calculator– Use calculator to estimate the monthly mortgage payment for a property.
Report
5 different types of flyers to
help market your listings or to
show to your buyers.
Change from Public to Private, helpful
if you are viewing listings with a client.

History
After using a search method (Quick, Full, Map) enter into the Detail navigation tab, click on History.
Use the plus and
minus signs to open
or contract changes
within that MLS #.
Tax Info
The CRS– Courthouse Retrieval
System is a TAR/MLS member
benefit, providing you with
property information for Pima,
Santa Cruz, Cochise, and Pinal
Counties.
The CRS tool allows users to create CMA’s, create labels and mail
merge files for prospecting, and much more. We have a few classes
each year on CRS.

Supplement & Documents
View uploaded Documents to the listing, view and print these documents if needed. The Supplement option will
display when a listing agent has entered in additional information on the property. Both of these sections will
only populate if information has been entered under these categories.
Mortgage Calculator
When viewing a listing the Mortgage Calculator will auto populate the purchase price, complete the rest of the
fields with your client specific information. Please note that this calculator does not include taxes or PMI (Private
Mortgage Insurance)..
Did you recently attend an open house
for a listing? You can leave feedback
for the agent on the Open House tab.

Photos
Click on the arrow to
display the full size
picture in a new
window.
Click on the “note” to
add a private note
about this property.
View the Virtual Tours that
have been uploaded. Switch
back to the picture view by
clicking on Pictures.
Click on the
“person” to display
contact information
or to send feedback.
Click here to see the
full screen “Picture

Photo Viewer
Great way to view listing photos in better
detail. FlexMLS now allows uploading photos
up to 3000x2000 pixels in size.
Select the double window icon to populate the full
screen photo viewer.
Navigate to the previous or
next photo by clicking
anywhere the left or right of
the screen, or by using the
arrows on your keyboard.
Use these arrows or the up
and down arrows on your
keyboard to change listings
while in full screen mode.
Use the drop down menu to view
the picture labels, or use the
blue arrow icons to scroll
through pictures.
The ‘X’ icon will
escape full screen
viewing mode and
return you to a
standard view, or
use the ESC key.
The gear icon to select the length
of time each slide will be
displayed.

Maps
View your results in the Map View with the List Preview.
Use these arrows to re-organize
your selected listings.
Select listings to view only those in the List,
Detail and Map view. Click Selected to only
view those selected listings, or click Results
to view all of the search results.
Click on the left button to see the Single Listing
View, This will show abbreviated Detail
information and thumbnail Photos.
Driving Directions
Select the properties you need the directions to. Once selected click on
Driving Directions. Google® maps will display (in a new window).
Click / Drag / Drop the locations
in your preferred sequence.
Also you can add your starting
point.

Use any of these options to see
additional information on the property.
See the Satellite or how the
property is listed within an Overlay.
Click here to
see a full
window view
of the map.

The Hand icon is the default
tool to help you drag, zoom
in/out and select the property
you wish to view.
Nosey Neighbor
allows you to look at a
homes history.
The color wheel can help
you distinguish between
specific ranges in these
categories: Status, Price,
Price/Square Foot by using
color coded listing
identifiers.
Whichever property is currently being displayed will show up with a white star, this
helps you find the property you were currently looking at.

Compare
Compare the Current Listing
against the total number of
listings in the search results. As
you select different listings from
the summary panel, the graphs
will adjust to display the Current
Listing in comparison to the
other listings in the search.
FUNCTION BUTTONS
At the top of each
Search Function you
can complete any of
the following functions:
Save a Search, a Template or a Listing Cart easily by using the Save menu options.
Email interactive version or printer friendly version of a listing.
Choose from multiple print options including the Detail report view and flyers.
See all of the search results in a One-Line CMA, the CMA will populate in a new
window comparing multiple property criteria.
Export listing information into another software product (i.e. Excel).
Confidentially report listing errors to MLS for correction. TARMLS monitors the Report Error emails and will send notifications to agents with listing mistakes or errors.

E-Mail
Choose from a variety of different
email options to meet the needs of
your clients.
Interactive Version allows the
client to click through the listing(s)
to view more information and
photos.
Printer Friendly Version is equal to
a PDF.
Select the Starting
position when they
open the link that they
will see.
You can add a new
client right here if they
are not listed in your
contacts.
Defaults to Public
Version. Recommend
sending this one unless
you are sending it to
yourself or your seller.
Change what
options your
client will be
able to view.
Modify where
your business
card is located
including color
and style.
Have the system notify
you when the client
view the listing(s).

Preview before you
send the email.

Saving
Listing Carts (Collections)
The Listing Cart (Collections) option will save your selected properties to view later or to send to a client. This is
particularly helpful if your search has yielded too many results or if you are watching particular properties.
Check off Properties that you want to add to your Listing Collections.
From the top left click on Save> Save Selected As to create
your listing cart.
Create the Cart Name and Click Save.
Find the Listing Cart or
Saved Searches here.
Saved Searches
Save your Search Criteria for future reference or for a client. After entering in your search criteria click on the
Save> Save Search.
Name your search – keep in mind
if creating a Portal the client will
see the name.
Add additional
criteria.
Add to a
contact or
create a new
contact.

Retrieve Saved Searches
To retrieve your Saved Searches – go to Search then click on Saved Searches.
When you click on the Saved
Search on the left, the
information will populate.
If you added a
description when you
set up the search it will
show it here.
Click on View Totals in
order to populate the
results.
Add a new Saved Search,
Edit a current one,
Rename or Remove.

Add an Auto e-mail
directly from here.

Print
Choose from many different print options including public and private
reports.
Choose which listings
to print.
Use Public Version unless printing for yourself.
Print the List, Detail, Photos, Map
and Compare tab information.
Add additional information to the print-outs by checking
off these options.
To Save your selections for future use, click the Save Button.
Note that there is not a pop-up notifying you that it has been saved.
Preview your results before you Print, e-mail or create
a PDF.
MLS Error Form
Confidentially report an error in
FlexMLS to the MLS support staff.
The MLS technical support staff
will research the error and request
that changes be made to the
listing if needed.

DASHBOARD
Searching for properties can be easy by utilizing your Dashboard to contain the searches that you use most
often. The Hot Sheet, New Search, Listing Carts and Saved Search gadgets can help you efficiently search for
properties for your clients.
Type in the address or MLS # for a
Change gadget settings by using the

MOBILE DEVICE SEARCHING
Log into your mobile device using the m.fl.flexmls.com web address. The mobile site allows users to search
for properties, view nearby listings, view listing carts and saved searches.
Find properties nearby you, remember to have your
location services turned on on your phone.
Click on any of the Saved Search
you have already in your system.
Run either a Standard or Custom Hot
Sheet for a specific area or price range.
Access your contacts information, setup automatic emails or contact portals.

New Search on Mobile
The New Search includes a smart bar for easy searching, status changes, editable list price, total bath and bedroom fields. In addition to this click on Add a Field at the bottom to add additional criteria to your search.
Type Location, MLS#, Address, Zip Code, City, etc. into the
smart bar to bring up a list of options. Select the field that
best matches your needs.
The Basics section includes listing status. Click on the down
arrow to populate the list of options. To add/change a Status
or Property Type click on the white part of the text box and
additional options will appear.
The gear icon brings up what FlexMLS refers
to as Boolean Options, providing you the
option to And, Not, Or the field that you have
entered.
Click here to add any
searchable FlexMLS field
to your criteria. Use the
find a field or scroll
through all of the
options.
