Introduction
Wantirna College, in conjunction with the Parents Association, is delighted to offer our Year 11 2015
students the opportunity to participate in the Annual Presentation Ball to be held on Friday 24 th July 2015
and, if required, Saturday 25th July 2015.
The evenings will be held at The Grand, Cathies Lane, Wantirna South and will be commencing at 7.00pm
and concluding at midnight.
We believe this is a wonderful opportunity for our young people to receive modern dance instruction
whilst having fun and experiencing a formal presentation to family and friends. This is often their only
opportunity to have access to such an event.
The Presentation Ball is organised by a committee consisting of Sue Bell (Principal), the Parents’
Association and some Student representatives. Together they will be working hard to create a
memorable and fun event for the Presentees, their Families and friends. We look forward to the
enthusiasm and support of all parents involved.
We believe we have covered all aspects of the evening in this booklet, and ask parents and participants to
read it carefully and, where possible, to remove and return all forms at the back, on or before the due
dates.

Presentation Ball Evenings
Due to the great response we have had to the Ball in previous years we have once again booked two
evenings for our 2015 Presentation Ball. This will be dependent upon the number of students wishing to
be a part of the Presentation Ball.
Rehearsal times and Ball dates will be directly linked allowing the students to rehearse with the same
group of people they will be presented with. For example in 2014 the 4.30 pm rehearsal group were
presented on the Friday night. When allocating groups we try to accommodate specific needs as much as
possible such as VET and work commitments.
Students will be asked to nominate a rehearsal time preference and an evening preference during the first
two weeks of March 2015. This will be done by a poll on the private Facebook group. Students are
encouraged to contact Tanya MacKenzie directly, or on Facebook, to detail any special requests for
preferences. Whist we try to keep friendship groups together, the priority will be around availability.
Students will be advised during the week of the 16 th March which rehearsal group and evening they have
been allocated.
Why be involved in a Presentation Ball
The Presentation Ball gives all those involved the opportunity to socialise in a non-threatening
environment. It is about having fun and learning how to conduct oneself in a more formal environment. It
enables participants to establish and further develop friendships and friendship groups.
It is an introduction to dancing and etiquette in a formal setting that teaches behaviours which are
transferable to any number of social occasions and future business life. It provides the setting that allows
our young men and women to not only dress up, but to learn the behaviours which go hand in hand with
such a presentation
We believe it is an opportunity for every student to shine regardless of how reserved or outgoing, and is
a great confidence builder for all involved. If your partner is not a Wantirna College student please
ensure you obtain a second copy of this booklet for him/her. You may also need to ensure you
communicate ongoing information to them, particularly as the ball gets closer. They will be invited to be
part of our private Facebook group to keep in touch.

Costs Involved
The Presentation Ball Committee endeavour to keep all costs to a minimum. Any monies left at the end
are donated to the Parents Association to be donated to improvements for students in the College. The
2015 costs are set out below.
Initial Deposit
The initial Deposit is $75.00 for all participants and is
due by 26 February 2015.
Second Deposit
The Second Deposit is $70.00 for the girls and $120.00
for the boys. This deposit is due by 16 April 2015.
The two deposits cover the following costs:

suit hire for the gentlemen

flowers - button hole - for the gentlemen

flowers - wrist corsage - for the ladies

meal on the night

gloves for the ladies and gentlemen

some administration cost eg Printing of tickets and booklets etc

Thank you gifts for dignitaries etc.
Other Costs
Some of the other costs that are born by the families (as you choose) include:

the dress

hair

makeup

nails

limousine

official photographs taken on the night, but purchased later.

tickets for family to attend the ‘dinner dance’
Dance Lessons
Dance Lessons are $8.00 a lesson for 11 Lessons. Students can elect to pay the $88.00 upfront at
the first rehearsal or bring $8.00 to each lesson.
Cancellations and Refund Policy
In accordance with the College Refund Policy withdrawal from the Ball before Friday 13 March will result
in all deposits paid being offset against any outstanding fees/charges, or refunded where there are no
remaining costs on record. If the person withdrawing is not a student from the College then all deposits
will be refunded directly.
Withdrawal after Monday 16 March will incur a $40.00 administration fee with any remaining balances
being transferred/refunded as mentioned above.
If a withdrawal occurs after dance rehearsals commence, dance lesson fees will not be refunded for those
classes already attended. If the student elected to pay up front then any remaining balances will be
transferred/refunded as mentioned above.
There are NO transfer of funds or refunds available on purchased family tickets to the event.

Ongoing Communication
We have learned the most efficient way of getting information to the students is through Facebook. Each
year we organise a Private Group on Facebook which the majority of students (including those from
outside the College) become members. To become a member the student needs to accept an invitation
from Ms Bell to become her “Friend”. Once that is accepted they will be added to the private group.
Ms Bell and Tanya MacKenzie (who administers the Private Group) do not look at any posts in any
student’s status, they simply communicate through the Private Group. Other members of the group
include the Dance Teacher and the President of the Parents’ Association.
Those Wantirna students who are not members of the Private Group (because they don’t use Facebook)
are emailed the information. Critical information is also emailed directly to all students.
Students are encouraged to ask any questions on Facebook and those answers are available to all
members of the group. Ms Bell also communicates information, and answers any questions, at the
rehearsals each Monday afternoon.
Students are always encouraged to come and see Tanya MacKenzie, in the General Office with any
questions or enquiries.
Dance Rehearsals
All dance rehearsals are conducted by professional dance instructors. Our Dance Instructor is Jessie
Smith, an ex-student of the College. Each year Jessie organises a male teacher to assist her.
Rehearsals are held on Monday afternoon/evenings. They are conducted in 2 sessions, 4.30pm – 6.00pm
and 6.30pm - 8.00pm. Each rehearsal group will be directly linked to a particular Ball night (students to
be notified of which group they will be in during March 2015). There are 10 weeks of rehearsals with two
in the final week; 10 in the ECA at Wantirna College, and the last one at the venue.
There are other things that occur at rehearsals, like choosing colours, flowers and suit fittings etc. Also
any additional information is shared at these gatherings. Therefore it is important you attend and are on
time for each rehearsal. Whist it is important that you attend all 11 of the rehearsals we do understand
that is not always possible. If you have missed a lesson please take the time to have another member of
the group take you through what you have missed. If you know in advance that you will not be able to
make it to a class please inform Tanya MacKenzie (via the Facebook group or seeing her in the General
Office) as soon as possible. Each rehearsal is fully supervised by Ms Bell and members of the Parents’
Association.
Thursday 23rd July is the final rehearsal at the venue, and it is a vital rehearsal. Please make note of the
date early to ensure your availability. Ladies are to wear the shoes which they will be wearing on the
night of the Ball.
Please note from the dates below, that some rehearsals will be conducted on a Public Holiday, in School
holidays and on a Curriculum day.

What to Wear to Rehearsals
Dance rehearsals are quite physical so all Presentees are asked to dress appropriately for them.
For the ladies this means strapless tops or dresses, tight skirts or short dresses should not be worn
because they will restrict your ability to move freely with the dances.
It is important that all students wear appropriate foot wear. Having bare feet is not acceptable.
Ugg boots and thongs are not considered appropriate. Leather sole shoes are the best option.
The leather allows the student to slide their feet on the floor. Gentlemen usually find wearing their
school shoes the best option. By the 6th or 7th rehearsal ladies should be wearing the shoes they
intend to wear on the night. Long skirts also allow the girls a chance to get used to how to move
in their dresses.
Code of Behaviour
Students are required to sign a contract which commits them to a code of behaviour which ensures the
smooth running of the event and the rehearsals. This includes, but is not limited to:

No smoking or drinking of alcohol or use of illegal substances is allowed by any Presentee at the
Ball or rehearsal, regardless of age.

No alcohol will be served to under age guests (this is a legal requirement which will be enforced)

All Presentees will act in a cooperative and respectful manner at all times, both at the Ball and
throughout the rehearsals.

All ladies must remain in their Presentation attire for the
duration of the evening. Gentlemen cannot change out
of their suits until instructed at 11.30pm.

Wantirna College does not endorse or support any
“After Parties”. These are a matter between the
participants and their parents and are run purely on a
private basis.
Dress Code
Gowns
The evening is based on the more traditional style with
ladies wearing white floor length dresses. Please note that
off white, cream or ivory dresses are not acceptable.
Dresses should represent modesty and good taste and be
suitable for ballroom dancing. Dresses must have some
type of shoulder straps or halter neck. We can no
longer allow strapless dresses. Straps must remain on
the dress until the presentation and dancing is completed.

These straps are essential in keeping the dress in place, particularly when dancing. Please consider
the width of your straps, as thin spaghetti straps tend to cut into shoulders due to the weight of
the dress and become more uncomfortable as the evening progresses.
Please ensure the dress’ hemline is not touching the floor as this creates a problem for you and
your partner, particularly when coming down stairs. Past experiences have shown the dress will
drop a couple of centimetres on the night.
The bodice of your dress should fit snuggly when appropriate underwear is used. Dresses that are
either too small or too large in the bust for the girls who wear them can lead to embarrassing
situations. Body tape is another way to secure your dress.
Ladies will be provided with white elbow length gloves. These are included in the package and will
be brought to the Venue rehearsal at The Grand.
Shoes
Ladies shoes need to be White or Silver only. Consideration should
be given to a comfortable heel height as it is a very long day and
evening. If you choose to wear flat shoes please ensure there is a
strap on them to prevent the shoe coming off your foot when
dancing.
When purchasing your shoes please ensure they fit snuggly to your
foot. Your foot should not move within your shoes when dancing.
It cannot be stressed enough that once a pair of shoes has been
purchased the ladies should spend as much time as possible wearing
them to ensure fewer problems on the night.
It is important that ladies wear their shoes to the final rehearsal at
the venue.
Suits
All our suits are hired through Formal Wear of Melbourne. Suit hire includes:


Please note that black socks are to be
worn with the suit.
Gentlemen will have their suits and shoes
measured up on Monday 15th June at
rehearsals. All the Gentlemen will need to
attend this rehearsal and will be measured at
the end of the first group’s rehearsal or at the
beginning of the second group’s rehearsal.
Suits will be delivered to the College on
Monday 20 July 2015 in time for rehearsals.
Students will need to collect their suits after
their rehearsal. If you are unable to attend this
rehearsal you will need to organise someone
else to collect your suit on your behalf.

On the night of the Ball gentlemen will be asked to bring a change of suitable clothes (and shoes) so
that at approximately 11.30pm they can change and hand back in their suits, shoes, shirts and vests
etc to the Suit hirer.
Mother and Daughter Information Night
This is a fun get together of the girls and with their mother or an older female friend or relation. Over
drinks and nibbles we will talk about some of the possible pitfalls of the evening, and have a few laughs as
we work out how to avoid them. It is also an opportunity for mothers to feel part of the event, and ask
any questions they may have.
Pre-Loved Presentation Ball Dress Sale
As an additional service to the College Community we offer a Pre-Loved Presentation Ball Dress Sale
where we broker the sale of dresses previously owned by Wantirna College students or ex-students.
Students who wish to sell their Presentation Ball dresses simply provide photos and all the necessary
details of the dress, including the size and asking price. These details are then uploaded to a Private
Facebook page where ladies who have paid their initial deposits for the 2015 Presentation Ball are invited
to view the dresses.
All dresses for sale must be professionally dry cleaned, and they must provide subsequent evidence. They
must also be in an appropriate garment bag that is sold with the dress.
The dresses will be available for trying on and sale at the Pre-Loved Presentation Ball Sale on Saturday 21st
March 1.00pm – 4.00pm at the College Uniform Shop. The Uniform Shop accepts cash, credit cards and
EFTPOS. No cheques are accepted
If you are planning to come to try on any dresses you cannot be wearing any:
 makeup, of any sort
 fake tan
 jewellery other than studs or sleepers in your ears
 spray in colour in your hair
These rules are to protect the dresses for sale and will be enforced. If you have any questions please feel
welcome to contact Tanya MacKenzie in the General Office.
The Venue
The venue for the Ball is The Grand on Cathies Lane, Wantirna (Melways ref 63 D 11). All arrangements
for the evening(s) are made by the College with the Venue and there should be no reason for you to
contact the venue directly.

The Grand does have a dress code for its guests for Presentation Balls being Evening wear/ after five
/black tie/ lounge suit. NO Jeans please.
There are a number of things you need to know about The Grand.

This is a non-smoking venue

They can cater for all dietary requirements.

The venue is fully licenced, therefore no alcohol can be brought into the venue

If any damage is made to the venue then the individual(s) responsible may be required to
compensate the venue.
Guests Tickets
Each Presentee is allocated one Table of up to 10 people. Another table of 10 is allocated to their
partner. If a family does not fill the table, we will place another family on the same table. Additional
tickets/tables should be available, if required, in a second round offer. If you require more tickets please
indicate it on the form provided so we can contact you with the second round offer as quickly as possible.
At rehearsals on 19 May students will be provided with Ticket Order forms, (or use the one in the back
of this booklet) and general information about ticket sales. Tickets will be on sale up to 11 June 2015.
The cost of tickets are as follows:

No late tickets can be sold/accepted.
When purchasing tickets we will require:

the name of each person attending

any special dietary requirements

any special seating arrangements eg to be seated near a specific table (or nowhere near a specific
table)
Young children may attend, but the evening is not really geared towards them. In the past many have been
bored and wanting to go home.
Tickets include a 3 course meal, all soft drinks and the dance that follows. Wine and beer are available at
bar prices. Presentees and their partners may not drink alcohol on the night.
Special Dietary Requirements
Please be aware that The Grand do cater for all types of special dietary requirements, including
(but not limited to) vegetarian, halal, vegan and gluten free. It really is just a matter of advising us
on the ticket order form of any special needs.
However, last minute changes and/or inclusion do makes it harder to meet your needs so please
ensure you are aware of your guests needs and advise us at the time of ticket purchase.
Arrival on the Ball Afternoon
All couples need to arrive at The Grand, on Cathies Lane
Wantirna by 3.30pm on the day of the Ball. The
Presentees will need to be completely dressed for the
occasion. Some students choose to arrive by limousine
but there is no one watching them arrive, and there will
not be a photographer on arrival.
Once the Presentees arrive the formal photos individual,
couples and groups, will be taken by the event
photographer. This will be followed by a full rehearsal,
including dancing practice, and end with the entire group

photo. During this time Presentees will be given finger food as afternoon tea. The food is carefully
chosen so there are minimal opportunities for accidents with food and dresses and suits.
Guests will arrive at 7.00pm so they can be seated by 7.30pm. In the foyer is a board that displays the
seating plan for the evening. The Ball commences at 7.30pm precisely so please don’t be late. Entrée is
served at 7.35pm.
Immediately following Entrée the Presentation will occur. Main meal will be served at approximately
9.15pm. Dancing and Dessert follows. During this time family photos can be taken by the event
photographer. At 11.30pm the male Presentee will be asked to change out of their suits so they can be
returned to the suit hirer. The ball ends at 12.00pm.
Photographs
The College engages the Event Photographers for each ball. No
other professional photographers can be admitted to the venue.
Our official photographer, John Travers Photography, will take
single, couple and a group photograph of the Presentees which
will then be made available for collection from school 3 – 4 weeks
after the Ball. Students will be advised on Facebook when that
date will be.
Please note the purchase of these photos are in addition to the
costs outlined earlier in this booklet. The photo package costs
are very reasonable and average between $9.00 - $18.00 per
photo, depending on the number of photos you purchase.
Before the guests arrive photos will be taken of the Presentees by
themselves and with their partners. There will also be a photo of
friends within the Presentation set and a group shot of the whole
Presentation Set.
After the formal presentations are completed John Travers
Photography are happy to take photos of family and friends.
Photography Dos’ and Don’ts
Shiny Makeup
Please be aware of gloss and semi-gloss makeup and its effect regarding photography. The
photographers use relatively bright lighting for photography and this can cause large ugly white
highlights on foreheads when glossy makeup is worn. The photographers suggest you use a
powder to avoid these highlights. However, if you end up with unpleasant highlights on your prints
these can be removed by retouching the print. A charge of @2.00 per print will apply for removal
of highlights.
Spray on Tan
Please be aware of how spray on tan photographs. Often photographers see an ’orange girl’ rather
than a natural tan look. They also see shiny girls and under arms where the tan has stained the
white dress. It may be prudent to give the spray on tan a trial and make a test photo taken with
flash before having it done for the Presentation Ball.
Glitter or Shimmer Spray
Glitter can look great when making your presentation but it reflects as many tiny white dots in
photography. John Travers Photography is often asked about the removal of these tiny white dots
from photos. Also, glitter often transfers to your partners black suits and can look like dandruff in
photos, which is not a good look. If you wish to apply glitter or shimmer sprays we suggest you
wait until after the group photo has been taken before doing so.

Chewing gum
For better photography please do not chew gum whist having your photographs taken.
Using Your Own Camera When the Photographer is Working
Getting everybody in a group all having a great expression
and all looking into the lens at the same time is a challenge
at the best of times, but it is almost impossible when other
people are trying to shoot over their shoulder.
One of the more frequent requests the photographers get
is …’ can we please change the eyes of the person who is
not looking at the camera’. This can be done but it costs
$15.00 to have heads swapped when this needs to be done.
The need for this type of photo manipulation is usually
because another person is taking a photo over the shoulder
of the photographer.
John Travers Photography therefore request that you do
not bring your own cameras with you when you come up
for family photos. They also ask that you please understand
their position when they refuse to take your family photo if
others are doing likewise on their own cameras.
Prints Not Included in Your Set
Other people in the Presentation set (ie your partner etc) may receive a print you would like a
copy of but was not included in the set of prints you received. You can order a copy of any photo
taken at the Ball. All you need is a print number which you then add to your order for reprints.
If you have had photos taken with Family and/or Friends at the ball then these photos will be
available to you to view online. The instruction for viewing them will be included in the original
pack of photos received from the photographer.
Reprints
All prints ordered will be posted to your home address within two weeks of the order being
received by the studio.
Presentee Profiles
As each couple is presented to the Official Guests, the Master of Ceremonies, Mr Pearson will read out a
profile about each Presentee. Please consider carefully what you would like to have read out and try to
make it interesting: remember everyone at the Ball will be listening to it carefully.
Please ensure you provide adequate information for
our Master of Ceremonies to work with Otherwise
he will have to make up your future for you!.
The Student Profile Information Sheet needs to be
completed and returned by Monday 6th July 2015.

must be paid to the General Office Thursday 11th June 2015. No late payments can or will be taken
because on Monday 15th June any spare tickets will be reallocated. This form is the only way to purchase
