Administration System) online Help Menu for Canadian Power & Sail Squadron members. This new online Help Menu will be constantly updated and changed as WBAS is improved for CPS Members. The Introduction section contains information on why CPS implemented WBAS in the document WBAS Introduction. Other statistical documentation is also included in the Introduction section. Below this you will find WBAS Support Procedures containing a document outlining how to request help with WBAS as defined by the CPS IT Committee. Other sections include Support Contacts, Frequently Asked Questions and TIPS, WBAS Support Contacts, Documentation organized by Officer Role, Software and Hardware Manufacturer contacts for your computer, links to Microsoft Support for Internet Explorer issues specific to secure sites like WBAS. TIP: If you look in the top left corner of your screen you will notice the following; By default WBAS Help will open to the Contents of the Help Menu. You may also click on Index for a listing of key words that will take you directly to that section of the Help Menu. Search allows the Help Menu to be searched by key words in the same manner as standardized software Help Menus. Conservative figures from analysts at Thomas Weisel Partners, a merchant bank in San Francisco, estimate a $10 billion virtual higher-ed market by 2003 and an $11 billion corporate-learning market by the same year. That's $21 billion from almost nothing and it's the kind of market that makes venturesome investors drool. At 2 WBAS Introduction the University, this is evidenced in the Global Campus Initiative and similar programs that contribute to a regional trend. Nationwide, this growth translates into 3.2 million students who enrolled in an online course in fall 2005 - representing almost 17 percent of all higher education students. In the Midwest, 460,000 students from 11 states took an online course in the same academic semester. One Midwestern program is the University's Engineering and Computer Science Online program, originally initiated in 1998. Since then, it has enrolled students from more than 20 countries, and it currently draws more than 550 students per year. Just four years before that, there were fewer than 40,000 students taking classes online. And though many courses are being taught online with few or no face-to-face class sessions, there are also a plethora of hybrid courses sprouting up -- a sign that more instructors are 3 Printed Documentation welcoming the forums and online course supplement as valuable teaching tools. ______________________________________________________________________ ________ What is heard over and over again in regards to the online training market is that it is convenient for working people to schedule learning at their own pace around their own schedule. There are no worries about facilities, parking, travel expense, schedules etc. At home online training is convenient and in this economy taking a stronger hold of the Education Market. CPS Instructors are now needed more than ever in traditional and new capacities. WBAS and Microsoft Products To utilize WBAS with 100% of its features and to receive support you must be using a Windows Operating System such as XP and login in via Internet Explorer. Why does WBAS only run on Windows Operating System Products such as XP using Internet Explorer. As it is extremely difficult and costly to design and support such a large application to run on multiple operating systems and web-browsers it was decided that we would implement a system that was designed to work with the majority of home computers. Some functions may not be available or may not work as expected. I have found that on a MAC even with the MAC version of Internet Explorer it is impossible to complete work as a Web Master as the editing simply loops. Other users have discovered other issues with different web browsers running on XP. Internet Explorer installs by default on XP and allows you to access all functions of WBAS. Please ensure you are using Internet Explorer if you are experiencing any strange WBAS behavior. Why WBAS? CPS is a volunteer based organization. In that spirit, when office technologies emerged in the 80ies, CPS volunteers developed the first computer based database system. This first generation level of office automation replaced labour intensive paper records and help stabilize staffing level to 11 or 12 employees while membership continued to grow from 8000 to 37 000 members. In addition, in the late 90's, CPS also managed the database of two government programs. The existing Restricted Operator Certificate – Maritime for maritime radio and the new Pleasure Craft Operator Card programs. In addition to our database of 150 000 members and ex-members, the PCOC database presently contains 250 000 operators and the ROC-M database 305 000 operators . 6 WBAS Introduction Since 2000, our existing system designed in the 80ies could no longer support the needs of CPS and these large complex membership and qualification databases. The system was: · · · · · · · Fragile Difficult to maintain Fragmented (more than 7 separate databases) Inaccurate (due to fragmentation) Un-scalable Obsolete technology (DB3 and Clipper) Did not integrate with Web site and e-commerce technologies Following many discussion about updating the system, it was determined that the IT needs were too extensive to expect donation of any volunteer time and expertise to make this happen quickly. A Request for Proposal (RFP) was issued to seek a solution developed by professionals. The RFP was developed by a committee. They looked at: · · · Existing needs Future Needs of the Staff and Squadron Volunteers Existing Solutions on the Market The public RFP was sent to selected solutions providers and was posted on the National Web site. Solution was to be Open Architecture Technology: Common Industry Standard Products for: · Applications · Database Management System (DBMS) · Communication Systems · No Proprietary Software unless held in Escrow Browser Based · Commonly Used Browsers · Bilingual potential to the End User Vendor Qualifications · Proven experience in like organization · Demonstrated Track Record for Implementation and Maintenance Facilities to house: databases, applications and network websites with complete security · Unlimited growth potential. · 24/7 Support · Application and Facilities 7 Printed Documentation Quick and Easy Migration of Databases Cost Effective Affordable to CPS To survive in the face of the new generation technology savvy boaters, CPS had to reach the 21st century and be able to offer the ability for the public to browse our services online and register to services online. This meant the implementation of a state of the art e-commerce environment that could also be deployed to squadron and district volunteers who want to manage their squadron's or district's affairs on-line and efficiently. Since early 2008, all squadrons and district can manage their operations on line and have a web presence for announcing their courses without the need of an expert volunteer webmaster. Material orders with CPS Headquarters are done on-line by ecommerce. All squadrons can use the National e-commerce facilities to collect credit card transactions form its members and the public. Membership officers can manage membership renewal and obtain all necessary reports online. 8 WBAS Support Procedures WBAS Support Procedures This document defines the WBAS Support Procedure for receiving assistance with WBAS the Canadian Power & Sail Squadron online promotional, learning and database tool. For all WBAS Support Requests the following procedure must be followed as defined by the IT Committee and authorized by OpCom. WBAS Support Procedures Your WBAS Support options should be exercised in the following order; · · · · Consult the Online Help Menu that you are currently reviewing. Within the Online Help Menu review the FAQ section and ensure your system is configured as per the Initial Configuration section. Contact your District Support Representative, their names and contact emails are located in the Help Menu under WBAS Support Contacts. If the District WBAS rep is unavailable, fill out the online Support Request form for technical support from HQ at the following link; http://www.cpsboat.ca/?WCE=C=17|K=1016~0 *The online form will be responded to by HQ during normal business hours. · During office hours, if requiring immediate attention, call or email CPS HQ for WBAS Support at 1-888-CPS-BOAT or email [email protected] For non-technical support please contact HQ at 1-888-CPS-BOAT or via the following email addresses: · · Changes to Membership and student information in WBAS; [email protected] Course/sticker and Merit Mark information; [email protected] 9 WBAS Change Procedures Change Request Procedures Note: Change Requests are authorized for District Commanders and WBAS District Officer to prevent duplication. Please forward Member change requests to either of these CPS Officers in you area for formal submission to the IT Committee to be considered. Status of Change Request will be submitted by WBAS user to District Commanders and WBAS District Officer. In order to reduce duplication and wasted effort Change Requests will be submitted by WBAS District Rep or District Commander after being reviewed for content and clarity. An online form will be provided to WBAS District Rep and District Commanders to present a comprehensible detail of the request. The Online Form will be completed by WBAS District Rep on behalf of member including as many details as possible on the issue and contact information for further clarification. The details in a Change Request must include; · · · · · Detailed description of what is requested Rationale for the request Officer role or department affected Expected or anticipated benefits derived from the change Additional Comments (optional) Receipt of submission will be acknowledged and requests reviewed by the IT Committee and the appropriate stakeholders involved in evaluating the change request. The IT Committee will evaluate the Change Requests based on the following criteria; · · · · · · · · Who has authority for the change What is the priority Resources required Evaluate benefits of change 3rd party participation Do we require Specification for Quote Who authorizes action to implement change Time-line schedule for the above activities should be established Some decision will be clearly an IT requirement and some will require policy change and specific budget approval. It is necessary to control these decisions without bogging down the realization of possible benefits they may offer. If, after full evaluation (including cost benefit) a change is deemed warranted, it will be prioritized and 11 Printed Documentation scheduled with appropriate notification. However, if after full evaluation a change is not considered warranted, appropriate notification of decline will be sent to the respective WBAS district Rep/District Commander. For special certificates with stickers for advanced courses please contact Lynda Green [email protected] or [email protected] ext. 28. 16 Initial WBAS Setup for Login and Excel Downloads Changes to Internet Explorer to allow WBAS Navigation Canadian Power and Sail Squadrons online Web Based Navigation System know to CPS as WBAS utilizes Secure Access and requires initial configuration to allow you to successfully access the online Member site. This is a one time setup for Internet Explorer. Open and Internet Explorer Web Browser Window then click on the Tools option in the menu bar as shown below. Left click on Tools will provide the following drop down menu. Click on Internet Options. Internet Options will open. Click on the Privacy Tab. 17 Printed Documentation From the Privacy Tab click on Sites Button "Per Site Privacy Actions" 18 and a new window will appear Initial WBAS Setup for Login and Excel Downloads Type cps-ecp.ca in the Address of website then click Allow then Okay Allow Pop-Ups To ensure all Reports can be displayed from the CPS Member Site you must set your browser to allow Pop-Ups for CPS. From the Internet Options Privacy Tab as used in Changes to Internet Explorer topic above select the following. 19 Printed Documentation Click on Settings The following window will appear. 20 Initial WBAS Setup for Login and Excel Downloads Type *.cps-ecp.ca in the Address of website to allow then click Add At the bottom of the screen change the Filter level to Low Click Close and Okay Viewing Documents in Excel To import to Excel please adjust these settings. This will correct the small yellow error you may see in the bottom left hand corner of your browser and other Excel issues. Go To Tools 21 Printed Documentation Internet Options Select the Security Tab 22 Initial WBAS Setup for Login and Excel Downloads Click on the Sites Button the following window will appear. 23 Printed Documentation Type https://www.cps-ecp.ca in Add this website to the zone: Click Add and Close Button In the Internet Options - Security Tab that is open click on Custom Level Button in the bottom of the window Reset Custom Settings to Low. 24 Initial WBAS Setup for Login and Excel Downloads Click the Reset Button Click Yes to the 'Are you sure' Prompt Click Okay on the next two windows and your computer is set up for the CPS WBAS Secure Site. 25 Frequently Asked Questions and Tips Safari Certification Warning When using Safari web browser you may see the following warning message; This does not mean our certification from Go Daddy and authorized certificate provider is invalid. What this message means is until you log in you are not on a secure site and identity cannot be verified. Our Certification is for the secure logged in Member site. Once logged in you will notice the URL changes to HTTPS for secure site and you no longer receive the certification warning. If you are really concerned about this warning use Firefox or Internet Explorer where you will see the lock once you log in. Notice the Address Prior to logging in is not a secure website address; http://www.cps-ecp.ca/public.asp Once logged into the Canadian Power and Sail Member site the Address changes to HTTPS which defines that the site is secure and using port 443 which cannot be traced. https://www.cps-ecp.ca/members/members.asp?WCE= FAQs and TIPs 27 Printed Documentation *Most WBAS issues have been addressed on the WBAS site at https://www.cpsecp.ca/members/ select the following link; Help about login, cookies & browser set up http://www.cps-ecp.ca/public.asp?WCE=C=47|K=224861 Please note that although some Adobe and Microsoft Tips are provided throughout the Help Menu supporting their software is beyond the scope of WBAS Help Desk. TIP: There are numerous selections when working on WBAS that require confirmation thru check boxes, these are important please take the time to read and select or deselect check box options especially when designing your website or creating online courses. TIP: Please note that due to Internet Explorer limitations once the adjustments are made in Internet Options for the initial WBAS Configuration, you must open another Internet Explorer window to log into WBAS as the initial Internet Explorer window will hold the previous settings. TIP: Running both Anti-virus and another software company's SpyWare software may result in compatibility issues which will cause odd behaviour while using WBAS and your computer in general. This can happen with McAffee Anti-virus and Spyware products; http://service.mcafee.com/FAQDocument.aspx?id=TS100376&lc=1033 FREQUENTLY ASKED QUESTIONS: I receive an error when exporting to Excel This is caused by Initial Internet Explorer Security Setup being incomplete, please correct all Internet Explorer Initial Setup configurations. Please refer to the Help Menu for Internet Explorer Initial Setup. Internet Explorer Initial Setup Please refer to Initial Setup in the Help Menu I have Windows 98, NT, 2000, ME or XP. Will it work? (What conditions and limitations) WBAS has been tested and designed to work with Windows Operating systems up to XP. I have Windows Vista: Will it work? We are testing WBAS on VISTA and have not yet discovered any user issues. Is it okay to upgrade to Internet Explorer version 8. 28 Frequently Asked Questions and Tips As with most websites we are currently working to upgrade all functions to work with IE 8. In the meantime if you upgrade and find you are having any difficulties you can use Internet Explorer in compatibility mode as Microsoft acknowledges this issue. http://www.microsoft.com/windows/internet-explorer/features/enhanced-navigation.aspx I have a Mac. Will it Work? WBAS is designed for use with Microsoft Windows products although most WBAS functions work on MACs. I have Dialup. What are the limitations? We have members that are able to use WBAS via dial-up internet connection. I am getting errors or unable to work with Adobe .pdf files. Check Adobe Version – Adobe can be updated thru the Adobe Help Menu or at the Adobe site www.adobe.com A warning comes up that the “Certification Authority” is not recognized. Now you want to create labels for envelopes so that you can mail a newsletter, a notice, etc. The following steps will create labels that can be stuck onto envelopes. You will need to know the name of the Excel spreadsheet. When the spreadsheet is on the screen, its name will appear near the top of the screen. It will likely end with the extension XLS. Once you know the name of the Excel file, close Excel and do the following. Start WORD. Select Tools (this is at the top of your screen next to File Edit and View drop-down menus). Select Letters and Mailings Select Mail Merge Select LABELS Near the bottom of the page click on NEXT- Starting Document Label Options, select the number of the label you are using, such as Avery #5160 Address labels. Click on OK Next-Select Recipients, Browse, click on CPSA0401.XLS, or whatever the name of the Excel file may be. It may also be CPS0401.dbf or something else. If you get a window “Select Table”, choose “Database”. The database shows up. You want the first name to come before the last name, so drag the top of the column for first name and move it into the first column so you have first name, last name, etc. If you want to eliminate those that have email addresses, do the following. . . DataBase Error 50000 You may see a Database error 5000 popup window when entering student marks if a specific student is not selected. This error is accurate and reflects that a specific student was not chosen by highlighting the student name and selecting yes to correct student found. 48 Frequently Asked Questions and Tips If you do not specifically select a student as shown below from the entering student marks document this error will appear. Search for students and the window below will open when multiple students are found Click on the red underlined name otherwise the system will be unaware of which student you wish to update and the data error 50000 will appear. After clicking on the name in red the following window will appear allowing you to select 'yes' to correct student found. 49 Printed Documentation Click the next button and enter your student marks. Consistent WBAS logouts\Overflow Error While entering data on WBAS, I have to log in repetitively and lose information already entered. If you are receiving constant disconnects from WBAS or you are unable to continue to enter information. This may be caused by Internet Explorer Temporary Internet Files. If you close the Internet Explorer window you are currently working in and open a new one you should be able to again enter information into WBAS. If this is a ongoing issue please change the size of your Temporary Internet file size as shown in the step by step procedure below. Updating your Internet Explorer can also resolve many time out and disconnect errors. Anti Virus and Firewall Warning Constant disconnects requiring you to log in multiple times can also be caused by some anti-virus software that will clear your cookies or prevent cookies from being added to your system. Clearing the cookies deletes your information while you are online and this will force you to login to WBAS again. Contact your anti-virus software manufacturer to assist with changing your settings. Please post any helpful information to the WBAS forum to assist other members. Some AntiVirus system such as Norton 360 will occasionaly clean up the Temporary Internet File. This may interfere with your current browsing session and logged in status. 50 Frequently Asked Questions and Tips Internet Explorer has had some confirmed issues with constant logins to Secure Sites while using older version of Internet Explorer. Update your Internet Explorer by using Windows Update located on your computer. Update is ussually found by going to Start – All Programs – Windows Update. If you are working form a Corporate Network (in the office), there may be a Network policy preventing your browser from accepting any session cookies. After Entering Data Repetitively, I get an Overflow message When this occurs, close all your browser sessions. Re-open and login on the CPS site. This may occur because your computer Temporary Internet File is overflowing. Follow the instructions below to increase the size of your Temporary Internet File. Changing the Size of the Temporary Internet File Open Internet Explorer Click on ”Tools” then ”Internet Options” from the drop down selection. On the general tab of internet options (the tab it opens to) Click on the ”settings” button 51 Printed Documentation The following window will open. In the Temporary Internet Files and History Settings window, you can change the disk space to use for Temporary Internet Files. It is typically set to a small 50MB and could have been set to a lower value to provide a false sense of security. Typically increase the Disk space to use by increments of 50MB and see if the situation is improved. 52 Frequently Asked Questions and Tips Click OK on this screen and the Internet Options screen to close. Technical Reason for Increasing the Temporary Internet File directory size As you browse the internet, this directory collects all tracking cookies and keeps some files for quick access in frequently browsed sites. As you edit content for the course calendar or the Web content editor, a session file grows as you add content to a WBAS wizard page until you submit its content. This is particularly true when you work on tables and add images to the content. When working on adding a lot of content, save frequently to reset the session file. AntiVirus Software Certain anti virus software has been know to conflict with secure web to sites. For privacy reasons: too many costly to develop filters are required to allow officers to view members of other squadrons or district. Case 2 - Deceased Member:You will not find a deceased person in your list even if the member was in good standing. Click here to fill and submit an electronic form to HQ. HQ staff will enter the submission on your behalf. Case 3 - Lapsed or Missing Member: You know a volunteer should be a member of your squadron or district but the online tool does not find him/her. Merit Mark can only be awarded to members in good standing. Please verify your membership directory or the unpaid member list. The volunteer will have to normalize the situation by paying the dues of the year the hours were worked. Even if you submit the electronic Merit Mark request form, HQ will not process the request for a non member and will not act to correct the volunteer status. Case 4 - Previous Year Forgotten Submission: You or your predecessor forgot to submit Merit Mark requests for work done prior to 2006. Click Next 162 Training Officer On the last step please ensure you have checked registration by Credit Card. to allow Once you have entered the payment, tax and if necessary cancellation policy click Submit and you are done. 163 Printed Documentation Challenging an Exam a second time The registration process is similar to registering a new student except that you do not have to reenter the person's full information in the registration process. Use the Certificate Number in the original class list Excel sheet to “Search” the person and use the same person. DO NOT USE the Registration ID which is just that, a course or event registration unique ID. The student is no longer available as not all students re-write or write after a “fail” or “did not write”. To keep the statistical information the student has to be re-registered but the process is quicker. Follow these steps: Export the original Excel class list. Find and use the Certificate Number (7th column) in the original class list Excel sheet to “Search” the person in the first registration screen and to select that same person. DO NOT USE the Registration ID (1st column) which is just that, a course or event registration unique ID. The rest of the registration screen will be pre-populated with the information you had already entered previously. Then the student is available again in the Qualification wizard. On Line Processes for Squadron to Enter PCOC or ROC-M Marks The WBAS process to enter Pleasure Craft Operator Card (PCOC) for BoatPro or Accredited Boating and Restricted Operator Certificate- Maritime (ROC-M) marks is now available and similar to the process to enter marks for any other courses as described in the WBAS Help menu www.cpsecp.ca/CPSHelp/Entering_Student_Marks.htm with additional steps required to maintain the Audit Trail required by these government certification programs. There are presently 2 new online processes that can be followed: the On Site Electronic Mark Entry Method or the Off Site Electronic Mark Entry Method. Depending upon the availability of technology in a given squadron and the availability of Internet access, wired or wireless, in a given exam location, squadrons may chose one or the other method. Benefit to Squadrons and Candidates: These two new electronic Mark Entry Processes are made available to squadrons to improve customer (candidate) service. The use of one of these processes will help reduce the delay between the time the exam is written and the time the card is issued. The present paper method and data entry done by Headquarters staff suffers large delays in the spring and early summer due to all applications being mailed by squadrons at the same time. Even with hired temporary staff, the backlog can climb up to 5 or 6 weeks when thousands of applications are received at the same time. Note: the On Site Electronic Mark Entry Method will be used at the January 2010 Toronto International Boat show for challenged exams. For those squadrons and instructors with little or no access to the Internet and WBAS, the Mark Entry Process by Headquarters Staff will remain available and will continue to follow the present paper and mail process. 1. On Site Electronic Mark Entry Method By using the On Site Electronic Mark Entry Method squadrons no longer need to carry paper copies Applications for PCOC or Applications for ROC-M and the students and examiners no longer need to complete them. Squadrons will be able to print a PDF temporary certificate once the exam mark has been entered online. It is the method best suited to demonstrate the fastest customer service to all candidates writing the PCOC or ROC-M exams if the technology is available in the exam room. a. Pre Requisite 170 Training Officer • The course must have been created on the online calendar and all candidates registered. To save you time, it is recommended that you allow candidates to register online. For walk in candidates, allow them to register online on the Squadron PC, on the day of the exam, before writing the exam. • It is recommended that the instructor has a print-out of the registered candidate/student list • Exam must be marked on location (in the exam room or adjacent to the exam room) • The student must stay until the exam is marked • Have a PC or Notebook with Internet access in the exam or marking room • Have Adobe Reader on the PC • Have a inkjet or laser printer attached to the PC to print the completion and temporary certificate • Enough paper and ink for the printer (one sheet per student) • Exam booklets for each students • Exam Answer Sheets for each students • Follow test protocol (click for Test Protocol) • Back up paper PCOC or ROC-M Application forms in case of technology or Internet access breakdown b. Mark the Candidate Exam i. Verify that the candidates has completed the exam ii. Verify that the candidate has completed the identification part of the exam answer sheet and that the information matches that in the registration file and photo identification card. iii. Use the appropriate marking key to mark the exam. c. Enter the Candidate Qualification If the candidate has not been registered to the PCOC or ROC-M course or exam, you must do it before attempting to enter qualifications (see pre-requisite). Once that is done or if the candidate was registered go to step c.-i. i. After the exam is marked, go to “Squadron Administration”. Select “Course Management” ii. On the “course Management” page, select “Maintain Qualifications” 171 Printed Documentation iii. On the qualification wizard, you can either enter the student name or just press search for a list of all candidates registered to a course or exam in your squadron. Click “Search” iv. Select the name of the candidate by clicking on the correct person’s name 172 Training Officer v. Confirm that you have found the right candidate “Yes” then select “Next”. Or click on the red underlined name if multiple students found. 173 Printed Documentation vi. Verify the Correct Exam Date, the candidate’s name and date of birth**, enter the total exam mark, change course status form the default “Pass” if the candidates has failed. Ask the successful candidates if he accepts the one year complimentary membership: if not remove the default tick mark in the “Complimentary Membership” field. Select Today’s date for the start of the new complimentary membership. You will see the large calendar after pressing the small calendar graphic beside the date field. Select “Submit” once all the date is entered and correct. Warning! For the “Accredited Boating Exam” provided to the Boating course candidates, Regular membership is included later upon successful completion of the complete 100 question Boating Exam. Therefore, please remove the default tick mark in the “Complimentary Membership” field. ** Note: If an error is found with the candidate’s name or birth date, staff and volunteers cannot change it in the database. Include the required correction in the e-mail you will send to CPS Headquarters as per step e. ix. Also, after you print the temporary certificate in step d. , make the correction with the pen and have the correction initialled by the examiner and candidate. vii. The confirmation notice will appear. If the candidate was successful, this is your only chance to print the temporary certificate of completion without having to contact CPS HQ. 174 Training Officer d. Print and Save the Certificate of Completion i. Select “Certificate of Completion”. ii. A separate Window will open with the PDF Certificate of completion. iii. Save a copy of the certificate in the format PCOC_lastname_initial.pdf iv. Print a copy of the certificate on your local printer v. Have the candidate sign the document. Sign and print your name on the document. Enter the date on the document. 175 Printed Documentation vi. The candidate may leave with this temporary certificate. Tell the candidate that the PCOC or ROCM will be printed within 1 to 2 weeks. If the PCOC candidate has opted for the complimentary membership inform the candidate that a membership card will also be mailed separately and not to confuse it with the PCOC. Note: The certificate is generated with a unique “Activity” number at the top. In case of verification by enforcement authorities, HQ staff could confirm if the certificate is genuine or imitated. e. Financial and Audit Trail Process i. At the end of the Mark Entry session, you must submit the applicable Application Fees to be charged to your squadron account. This will also notify HQ staff that you have processed PCOC Applications and Membership or ROC-M Applications. 176 Training Officer ii. Stay on “Squadron Administration” “Course Management” and, just below the “Maintain Qualification” tool, select PCOC BoatPro Squadron Application Fees, Accredited Boating (PCOC) Squadron Applications*** or ROC-M Squadron Application Fees. *** Accredited Boating is the PCOC exam included in the Boating course material kit; it is at no charge to squadrons. iii. Enter the appropriate quantity “Qty” of successful (Pass) candidates’ Applications processed that day, then Select “Add to Cart” 177 Printed Documentation iv. Verify the content of the cart. You can update the quantity by changing the quantity, then select “Update”, or you can remove a Line item by selecting “Remove”. Select “Check Out”. v. On the check out screens, verify your information on page 1 of 3. Select “Next” on page 1 and 2 to get to page 3 of 3. vi. Select “Payment Type” “Squadron”. Select Pay Now 178 Training Officer vii. After “Pay Now”, you will get the Transaction confirmation screen. Your squadron will automatically be billed the processing fees for the successful candidates. viii. The successful candidate ROC-M, or PCOC and Membership Card are immediately queued. ix. e-mail [email protected] to confirm that you have submitted qualifications and financials online for PCOC or ROC-M for the number of candidates, where the number this time is the number of all candidates (include fail, and did not write). This step is temporary (1st year) to ensure the integrity of this new process. x. Gather all answer sheets. All completed answer sheets must be immediately returned to CPS HQ by express mail. This is very important for the audit trail in case CPS gets audited by Transport Canada. A squadron that does not return answer sheets within 2 weeks of the exam being written will be prevented from using WBAS for any future courses until all the answer sheets have been received. 2. Off Site Electronic Mark Entry Method 179 Printed Documentation The advantage of this Off Site Electronic Mark Entry Method is to accelerate the delay between the time the exam is written and the card is received by the candidates. In this case, paper applications for PCOC or Applications for ROC-M are still required and are to be used as temporary certificates. You will also be able to print a PDF temporary certificate once the exam mark has been entered online in case your squadron wants to present them at a formal squadron graduation event. a. Exam Location Pre Requisite • Applications for PCOC or ROC-M for each student • Exam booklets for each students • Exam Answer Sheets for each students • It is recommended that the instructor has a print-out of the registered candidate/student list • Follow test protocol (click for Test Protocol ) • Exam must be marked on location (in the exam room or adjacent to the exam room) • The student must stay until the exam is marked b. Offsite (Officer Home) Location Pre-Requisite • The course must have been created on the online calendar and all candidates registered. To save you time, it is recommended that you allow candidates to register online. For walk in candidates, registration may be done with the application form. You will register them later (Off site) • Have a PC or Notebook with Internet access in the exam or marking room • Have Adobe Reader on the PC • Have a inkjet or laser printer attached to the PC to print the completion and temporary certificate • Enough paper for the printer (one per student) c. Mark the Candidate Exam (Exam location) i. Verify that the candidate has completed the appropriate application form and temporary certificate and that the information matches that in the registration file and identification card. ii. Verify that the candidate has completed the identification part of the exam answer sheet and that the information matches that on the application form, the registration file and identification card. iii. Verify that the candidates has completed the exam 180 Training Officer iv. Use the appropriate marking key to mark the exam. v. Complete the examiner part of the Application form and hand in the candidate copy as a temporary certificate. vi. Inform the candidate that this certificate is valid for 90 days. Once the qualifications in step 2. d. are entered by you or the Squadron officer, the card will be automatically printed and mailed within 1 to 2 weeks. The additional delay will depend upon when the Squadron officer enters the qualification data online. vii. If the PCOC candidate has opted for the complimentary membership, also inform the candidate that a membership card will also be mailed separately and not to confuse it with the PCOC. d. Enter the Candidate Qualification (Off site or Officer Home location) If the candidate has not been registered to the course or exam, you must do it before attempting to enter qualifications (see pre-requisite). Once that is done or if the candidate was registered go to step d. i. i. After the exam is marked, go to “Squadron Administration”. Select “Course Management” ii. On the “course Management” page, select “Maintain Qualifications” iii. On the qualification wizard, you can either enter the student name or just press search for a list of all candidates registered to a course or exam in your squadron. Click “Search” 181 Printed Documentation iv. Select the name of the candidate by clicking on the correct person’s name 182 Training Officer v. Confirm that you have found the right candidate “Yes” then select “Next” or click on the red name if multiple students found. 183 Printed Documentation vi. Verify the Correct Exam Date, the candidate’s name and date of birth**, enter the total exam mark, change course status form the default “Pass” if the candidates has failed. Ask the successful candidates if he accepts the one year complimentary membership: if not remove the default tick mark in the “Complimentary Membership” field. Select Today’s date for the start of the new complimentary membership. You will see the large calendar after pressing the small calendar graphic beside the date field. Select “Submit” once all the date is entered and correct. Warning! For the “Accredited Boating Exam” provided to the Boating course candidates, Regular membership is later included upon successful completion of the complete 100 question Boating Exam. Therefore, please remove the default tick mark in the “Complimentary Membership” field. ** Note: If an error is found with the candidate’s name or birth date, staff and volunteers cannot change it in the database. Include the required correction in the e-mail you will send to CPS Headquarters as per step e. ix. 184 Training Officer e. Print and Save the Certificate of Completion i. The confirmation notice will appear. If the candidate was successful, this is your only chance to print or save (for future printing) the temporary certificate of completion without having to contact CPS HQ. As the candidate already have the Application form as a temporary certificate, you do not have to complete this step (skip to 2. f. ); however, your squadron may host a graduation event and you may like to hand in another certificate at that event when presenting the new Associate Members. ii. Select “Certificate of Completion”. 185 Printed Documentation iii. A separate Window will open with the PDF Certificate of completion. iv. Save a copy of the certificate in the format PCOC_lastname_initial.pdf v. Print a copy of the certificate on your local printer 186 Training Officer vi. Have the Examiner or Training Officer sign and print his name on the document. Enter the date on the document. The graduated candidate may sign the document and use it in lieu of the manual Application Temporary certificate. vii. Have a good graduation event! Note: The certificate is generated with a unique “Activity” number at the top. In case of verification by enforcement authorities, HQ staff could confirm if the certificate is genuine or imitated. f. Financial & Audit Trail Process i. At the end of the Mark Entry session, you must submit the applicable Application Fees to be charged to your squadron account. This will also notify HQ staff that you have processed PCOC Applications and Membership or ROC-M Applications. ii. Stay on “Squadron Administration” “Course Management” and, just below the “Maintain Qualification” tool, select PCOC Squadron Application Fees, Accredited Boating Mark Entry Summary or ROC-M Squadron Application Fees. *** Accredited Boating is the PCOC exam included in the Boating course material kit; it is at no charge to squadrons. 187 Printed Documentation iii. Enter the appropriate quantity “Qty” of successful (Pass) Applications processed that day, then Select “Add to Cart” 188 Training Officer iv. Verify the content of the cart. You can update the quantity, or remove a Line item. Select “Check Out”. v. On the check out screens, verify your information on page 1 of 3. Select “Next” on page 1 and 2 to get to page 3 of 3. vi. Select “Payment Type” “Squadron”. Select Pay Now 189 Printed Documentation vii. After “Pay Now”, you will get the Transaction confirmation screen. Your squadron will automatically be billed the processing fees for the successful candidates. viii. The successful candidate ROC-M, or PCOC and Membership Card are immediately queued. ix. e-mail [email protected] to confirm that you have submitted qualifications and financials online for PCOC or ROC-M for the number of candidates, where the number this time is the number of all candidates (include fail, and did not write). This step is temporary (1st year) to ensure the integrity of this new process. x. Gather all answer sheets and the Headquarter copy of the application forms (temporary certificates). All completed answer sheets and application forms must immediately be returned to CPS HQ by express mail. This is very important for the audit trail in case CPS gets audited by Transport Canada. A squadron that does not return answer sheets within 2 weeks of the exam being written will be prevented from using WBAS for any future courses until all the answer sheets have been received, and the processing of future PCOC or ROC-M candidates will be delayed. Price List To access Price List click on Training Department in the light blue area on the left then on Price List in the main window. Here you will find a PDF document containing important information on Course Material. 190 Training Officer Direct link to Price List Note: Squadron and District Training Officers must go to the Training area of the Squadron Administration Portal to order course material. Note: To bill the Squadron ensure that payment type is set to Squadron on Step 3 of Check out. This is also shown in Ordering Supplies topic. Registering Students Even though you will not be entering the Course Marks for PCOC or ROC students we appreciate Training Officers taking the time to register these students. To begin registering students click on Squadron Administration - Course Management as shown below. In the main window click on Course Calendar (you may have to scroll down to see course calendar). 193 Printed Documentation Once your click on Course Calendar the following window will open. Enter your Squadron and other information to narrow your search and click on View Events Now A search results window will open similar to the following. 194 Training Officer Note: To prevent searching for each student entry right click on the course name and open in a new window or new tab. Click on Pay Now 196 Training Officer Enter the student first and last name and remove the check from members only box or you may search by entering a members number in the last name field. If multiple names are found double click on the red underlined name to select the correct CPS Officer then proceed in the same manner as if only one Officer was found. Dues Activity Report The Dues Activity Report is available from Squadron Administration - Membership in the light blue area on the left. 205 Printed Documentation From the Membership Screen select Dues Activity Report. The following screen will appear. Select start and end date for the report as well as the Squadron and District. Click Submit Report Another window will open that will state 'Please be patient while your document is being generated. You may minimize this window and continue on with your work.' 206 Treasurer Once the report is generated it will appear in the window as an Adobe PDF file. You can save and print this document. Financial Activity Report To access the Financial Activity Report log in to WBAS in the light blue area on the left click on Squadron Administration then Financial and the following will open. Click on Financial Activity Report and make the appropriate Date, Squadron and District selections in this screen. 207 Printed Documentation Click Submit Report Another window will open with the message 'Please be patient while we generate your report'. Then the report will appear in this window. You may save or print this report. 208 Treasurer Squadron and District Financial Statements To access the Squadron and District Financial Statments log in to WBAS in the light blue area on the left click on Squadron Administration then Financial and the following will open. Click on Squadron and District Financial Statements Form You are now on the Forms page. Click on Squadron and District Financial Statement Template. Click on Open - then fill in the Excel template and submit to Alice Hinton at CPS HQ by standard mail or via email [email protected] by April 30th of each year. 209 Web Master Web Master Access Once logged into WBAS the Web Master will have access to the following areas of Squadron Administration. For detailed information please refer to the respective Officer book as shown below. Membership Financial Course Management Communications Supplies Refer to the Membership Book Refer to the Treasurer Book Refer to the Training Book Refer to the Communications Book Refer to the Supply Book Accessing Web Content Manager To access the Web Content Manager, log into WBAS then click on Squadron Administration 211 Printed Documentation In the main screen after clicking Web Master click Web Content Manager. You then have access to edit the following areas by clicking on names in red. 212 Web Master Note: Only active pages are visible online. You can edit/create the site Website Banner, and you can edit the circled content and links. Take a look at www.cps-ecp.ca/Quinte, www.cps-ecp.ca/Niagara, www.cpsecp.ca/Rideau or www.cps-ecp.ca/Brant . Brant and Quinte are live and linked to our National Web site. We recommend that the Web Site Banner be kept simple with Squadron Name, Tag line, and Squadron Burgee or area picture/burgee art work. Replace the pictures of books by the burgee or other significant art work for your squadron. The Home page can be edited from the “Welcome to the Homepage” link. For the other pages, just click on one of the links. You cannot edit the Course and Events Calendar as they are taken form the National course and event calendars. Do not edit the “Squadron Home”, “CPS Home”, “Course & Events”, “Events Calendar” and “CPS Home Page”. The Course & Events” and “Events Calendar” are populated automatically from the National calendar. 213 Printed Documentation The content editor is the same as the one used for the Course Event calendar. To make a page that is not ready to be visible to the public, just de-activate it from the page menu once you have selected that page to edit. Instructions on the Content editor screen are provided on the page. Again we have the same issue as for the course calendar: an uploaded image may not appear immediately in the “Image gallery”. You will have to save, get out of the page under edit and come back. We do not recommend that you use pictures much larger than 200 px by 200px. For an occasional group picture, you may indulge with a larger one 350 by 350 px. If you have multiple photos and high resolutions photos, we suggest you link to a one of many free Photo servers. The National map will not point to your squadron new site until you are ready and tell us to do so. Important - Content Publishing Delay With a traditional web site, as soon as content is uploaded it is available for viewing on the live site. A developer can upload a page and immediately go view it to make sure it looks the way it should The WBAS is a content management system and does not publish immediately. Therefore, changes made in the Content Editor are not immediately reflected in the live site, and it may take some time before they are. Remembering this can avoid a considerable amount of frustration when a page does not update immediately. This also applied to hiding and showing a link. All changes have this publishing delay. This delay is dependent on various factors, including how busy the server is. Users have found it may be as long as fifteen minutes or longer. This may also be due to your Internet Explorer Settings if you are not set to check for a new page every time you Click on the Start button and then click on Control Panel. Then double-click on the Internet Options icon. Once you double click on the Internet Options icon you will be presented with a screen similar to Figure 1 below. 214 Web Master Figure 1. General Tab of Internet Options To access the settings for the Temp. Internet files you will click on the Settings button designated by the blue box in Figure one above. When you click on the Settings button you will be presented with a screen similar to Figure 2 below. 215 Printed Documentation The settings dialog shown in Figure 2 is broken down into two sections as described below: Check for newer versions of stored pages The options in this section tell Internet Explorer what it should do when you visit a web page. Every time you visit a web site Internet Explorer stores a copy of this web page in the Temporary Internet Files folder. When you revisit that same web page, whether or not that information is downloaded again or taken directly from locally stored copy is decided based upon the setting you choose in this section. These settings are described below: Every visit to the page If you select this option then every time you view a web page that you had viewed previously, Internet Explorer will check to see if the web page content has been changed since you last viewed it. If it has changed, Internet Explorer will display the new page and store a copy of it in the Temporary Internet Files folder. Setting this selection can increase the time it takes to view a web page, but will guarantee that you are viewing only the most current content from that page and not content that was stored in your Temporary Internet Files. Recommendation: Use this option if you always want to see the most current content of a particular web site. Every time you start Internet Explorer If you select this option Internet Explorer will only check web pages for newer content the first time you go to it since starting Internet Explorer. That means that if you start Internet Explorer and visit a web site, Internet Explorer will check for new content. If you go to that site again in the same session, having not restarted Internet Explorer, the web site will not be checked for newer content and Internet Explorer will display the content from the Temporary Internet Files. Using this option can reduce the amount of time it takes to display a web page but there is no guarantee that the content that is displayed when you revisit a web site is the most current. If you use this option and want to see the most current version of a web site you can click on the View menu and then click on Refresh. Recommendation: Use this option if you only care about seeing the most current content of a web site during that one session of Internet Explorer. For most people this option is the best choice. Automatically Selecting this option will have Internet Explorer manage how it checks for new content on web sites. When you visit a web site Internet Explorer will not check for new content when you revisit a web site during the same session or even the same day. Over time Internet Explorer will determine whether or not images are changing on the pages you visit, and if they do not change will check for newer images even less frequently. Using this option will display the web site in the quickest manner but at the time same give you no guarantee that you are viewing the latest content. 216 Web Master If you use this option and want to see the most current version of a web site you can click on the View menu and then click on Refresh. Recommendation: With the high speed of Internet connections these days you should generally not use this option. Never With this option Internet Explorer will never check to see if the content on a web site is the most current and you will always be given the content stored in the Temporary Internet files. If you want to see whether a specific page has been updated even when this option is selected, click the View menu, and then click Refresh. Recommendation: You should never use this option. The Content Manager The Content Manager lists all the pages available for editing on the site, along with each page's status (active or not active) and the date of the last edit to that page. The following is a list of pages that should be of interest to most Web Masters for editing: Page Title Description Website Banner This is a banner that is displayed on the top of every page of the site. Welcome to the members Homepage This is the main page that users will see when they go to the squadron home page at http://www.cps-ecp.org/squadron Squadron Home This is just a link to the squadron home page and does not have any editable content. Bridge A page for information regarding the squadron bridge Courses A link to the course information section on the national site – not editable here Course Information A page for information regarding courses offered by the squadron Member Benefits Events Calendar A link to the event calendar on the national site Publications Squadron publications History A page for history of the squadron 217 Printed Documentation Image Gallery Classified Links A page for links of interest Contacts A page for contact information for the squadron The following is an example of the left side menu of the Squadron’s home page. It allows a visitor to your site to navigate to any page by clicking on one of the headings. If any one heading seems to not be useful for the site, it can be deactivated by following the instructions in the section “How to Hiding/Showing a Link in the Left Navigation”. 218 Web Master Using the Web Content Manager for the First Time When you login to the Web Content Manager for the first time all pages will be activated (visible) and will have the default “Under Construction” text on them. 1. If you have not edited any content on your site before, the first step is to customize the “Website Banner” which is displayed on the top of all pages. 2. The “Welcome to the members Homepage” is the first page visitors see when they visit your site. This is second page you should edit. These two pages are circled in the following picture. 3. In the next section we will begin by editing the “Website Banner” and continue on to edit the “Welcome to the members Homepage” and other pages in the following sections. 219 Printed Documentation Editing a Page These steps apply regardless of whether you have added content to a page already or not. If this is your first time using the Web Content Editor, all pages will be enabled but will have the default “Under Construction” text on them. For this example, we will edit the “Website Banner” which is displayed at the top of every page of your site. Perform the following steps from the Content Manager to edit a page: 1. Before starting these steps, make sure you have logged in and are on the Web Content Manager screen. 2. Click the underlined heading of a page, eg: “Website Banner”. This will open the content editor. For a list of pages and their meanings see the section entitled “The Content Manager”. 220 Web Master 3. When you enter this page for the first time, it will have some default wording. It can be removed by simply highlighting the text with your mouse and pressing the delete key on your keyboard. For now, let’s just change the 4 asterisks, “****” to the name of your Squadron. 221 Printed Documentation 4. Click your mouse right after the “****” and then backspace over them to remove them. Using the content editor is very much like using a word processor so if you are familiar with word processing many of the same concepts apply here. 5. Type in the name of your Squadron: eg: “Fredericton”. You should now have a page that looks like the following: Note: In the menu bar, “size” is for size of the text and is only available in 7 sizes. If you want to change the style of your text, click “B” for bold type, “I” for italics, or “U” for underlined type. Remember, there is only so much space between the picture box and the right side of the page, so your text has to fit within this space. The smaller the picture the more space you have for your type. 222 Web Master You can also adjust the alignment of your text by clicking on any of the alignment buttons (left, center, right, justified). 6. Once you have made all your changes, click the “Update >>” button located at the bottom of the page. 7. You will be presented with the following screen: 223 Printed Documentation 8. Click “Done”. You will be returned to the Content Manager. 9. You can now repeat this entire section but for the “Welcome to the members Homepage” page. For now, just place some simple text to greet your visitors. Later we will learn how to create a more impressive page by adding images. Editing a Page (For Advanced Users) For web masters with experience editing Hypertext Markup Language (HTML) code directly, the Content Editor provides a means to edit the source HTML of a content page. This can be useful for making formatting adjustments to a page that can only be done through HTML or for users who wish to editor their content in an external editor such as Dreamweaver. For most users, the regular Content Editor features are sufficient and it is strongly recommended that all edits be done in the normal editor unless the user has a very good reason for using the source editor. WARNING: If you choose to use this feature be very careful that your HTML is formatted correctly! Improper coding of tags can corrupt the page editing capability making it impossible to edit the page again. You are also strongly discoursed from importing HTML from existing web pages as this can often lead to many problems, including broken pages and security problems. To access the Source Editor: on the Body Content editor window 1. Click on the “View/Edit Source” button toolbar. This is the last button to the right which looks like a set of angle brackets <>. 224 Web Master 2. A new window will appear showing the source of the page. You may make edits in this window and then click the “OK” button to save and close the window or you may simply click the “Apply” button if you wish to save without closing the window. Along the stop of the Source Editor are 6 buttons: · Cut/Copy/Paste – Allows you to cut, copy or paste text from/to the source edit from other programs. · Undo – Undo your changes · Redo – Redo changes that have been undone. · Search and Replace – Allows you to find and replace text within the page. These commands function similarly to those found in any word processor or text editor. Along the bottom of the source editor are several more buttons or controls: · Wrap Text – Checking this box will cause text in the editor to wrap at the edge of the screen instead of allowing it to scroll left-right. · Cancel – Abandon all changes · Apply – Save Changes · Ok – Save and Exit the editor 225 Printed Documentation Content Editor Features Before leaving the Content Editor, let’s go over the items that you see on this page. You will spend most of your time on this screen so it is a good idea to be familiar with what is on it. You will see several items on the page. Each one is editable: 226 · Heading: The heading of the page may be entered in the “Heading” field but the default heading should be acceptable on most pages. This is also the title that appears in the left-hand navigation menu for those pages that are in the menu. · Activate: The Activate check box is used to set whether this content page will be published (visible) or not. If this box is not checked, then this page will not be accessible and will not appear in the left-hand navigation. Instructions on how to hide and show items in the left hand navigation are in the section “Hiding/Showing a Link in the Left Navigation”. Web Master · Image: Use this area to upload images to the image library. Before an image can be used on a page it must be added to the image library. See the section on using the Library Image Function for a more complete description of how to add images to your pages. · Body Content: This editor provides a way to edit your page content. Content may be pasted from other sources such as MS Word, other word processors or a web browser. This editor area works similarly to a word processor. Ensure that you use the “Paste from Word” feature when pasting from Word, other word processors or HTML sources (Web Pages). See the section on Pasting from Word for more details. Other aspects of the editor are covered in more detail in following sections. For more information on using the Content Editor see, the PDF document linked from the Web Master section of Squadron Administration or use this URL: https://www.cps-ecp.ca/members/members.asp?WCE=C=62|K=226690 NOTE: At any time, click the “Cancel” button to abandon changes and return to the content manager. Linking to Documents on Your Pages – Using the Database Link Function The database link function is similar to the Library Image function in that it allows you to use files that you have uploaded into the WBAS. In this case, instead of displaying an image, a link is created to a file. When users view a page with a link, they will be able to click the link and 227 Printed Documentation view the document that you have linked in. This can be useful for posting squadron communications such as minutes of meetings or newsletters. It’s best to post documents in a web-accessible format. For example, if you are posting your meeting minutes or other communications, it is best to convert them into PDF files before uploading them. That way, people do not need to have the same word processor as you. Adobe Reader, for viewing PDFs is freely available and is already on most computers. Converting documents to PDF is beyond the scope of this book since it is different depending on which program you are using. Images should be in one of the accepted web formats: JPEG, GIF or PNG. Pasting Content from a Word processor For larger amounts of text it is often better to write the content in a word processor such as Word before putting it on the web. This allows you edit the content more easily and to do spell check and other operations on it. It also may be the case that you have a document that was previously created for print but now you would like to publish it to the web. The Paste from Word feature should be used for this. For content coming from a word processor or another web page you should always use the Paste from Word feature. Using this feature will clean up the markup in your Word document and make it suitable for the web. If you do not use this feature, content pasted in from other web pages may make your site inaccessible or display incorrectly as it may not interact well with the WBAS. Do not paste content directly into the Content Editor. Instead, use the “Paste from Word” feature. It is a must that you do this. Rule of Thumb: If you did not type the content in the WBAS use the Paste from Word feature. To use the “Paste from a Word program feature, follow these steps. For this example, we will use a document that was already created in Word. Our document is the History of the Fredericton Squadron. 1. In Microsoft word (or any other word processor/web browser), select the text you want to copy and use that program’s copy feature to copy it to the clipboard. In Word and most Windows programs you can press CTRL-A to select everything and then CTRL-C to copy it. 2. Back in the WBAS, open the editor for the page you wish to paste the content into. We will use the History page. Click it’s heading from the Content Manager. 228 Web Master 3. Position your cursor within the document where you would like the pasted content to appear. In our case, we want to replace the “Under Construction” text with our own so we select it all, delete it and position our cursor in the top left of the page. 4. In the Content Editor, click the “Paste from Word” button. 229 Printed Documentation 5. The “Paste from Word” dialog will appear. 6. Copy and paste your content from Word into this dialog and click “OK”. 230 Web Master 7. The window will close and your content will be pasted in the page. 8. You can now use the formatting features of the Content Editor too bar to further format this text. Don’t forget to click the “Update >>” button once you are done to save your changes! Adding an Image to your Page 231 Printed Documentation 1. Position the cursor within your document where you would like the image to appear. Do not forget this step as it is very important or the image insert will not work! To do this, click your mouse within the edit window. If you do not see the flashing cursor within the edit area, click again. 2. Click the “Library Image” button on the editor toolbar. 3. The Hyperlink dialog will appear. 4. Type an optional text description of the image in the “Title Alt” field, click the image you wish to insert and then close the dialog. · 232 The image should now be in your document. Web Master NOTE: If you do not see the image you recently uploaded in the Hyperlink dialog, exit the editor and go back in. It may take some time for images to be made available after uploading. Now that the image is in your page you can position it a little better. Let’s move this image to the top right of the page. To edit the placement of an image that is already in your page you can drag the image around. If you want to change the image’s alignment, you can do this by clicking the “Image” button and changing the settings on the screen that pops up. 1. Click on the “Image” button. The “Image” dialog will appear. 233 Printed Documentation 2. Click on the drop-down list for “Alignment” and select “right”. 3. Click the “ok” button to save this change. Your image should move to the right as show in the picture below. 234 Web Master Now the image is on the right but it is still not in the correct spot. We want to the image to be in the very top right. If you now try to drag it to the top right, it will not go completely to the top right corner. Instead we will have to drag the image to the top left. The reason for this is because of how HTML works. In order to get the image on the very right, it must be placed before all the text. 4. Click and drag the image to the spot right before the word “Mission”. You screen will now look like the following: Don’t forget to click the “Update >>” button to save the changes to your page! Uploading an image or document Before a document is made available in the Database Link, it must be uploaded to the system. To upload a document, follow these steps. In this example we will upload some meeting minutes that were converted into PDF. 1. Click “Browse” in the Image and Document Upload area while editing a page 235 Printed Documentation 2. A “Choose File” dialog will open up. Locate the file you wish to upload from you computer and click the “Open” button. Any file type can be uploaded but remember that people will need to be able to view these files on the web. Images of types JPEG, PNG and GIF are acceptable as well as documents from word processors or PDFs. TIP: It is recommended that you use files that people cannot modify. For example, it is better to upload a PDF than a Word Document. It’s also important to upload files that people do not need special software to run, if possible. 3. The “Choose File” dialog will close and you will see the previous screen. Now click the “”Click to Add File” button. Be patient, it may take some time for the file to be uploaded to the CPS server depending on how big the file is and how fast your Internet connection is. 236 Web Master 4. The name of the file should be displayed below the browse dialog. 5. Click the “Update >>” button. This will save the upload. Once you return to the editor, you should be able to use the Document Link button from the editor toolbar to add the image to your page. It may take some time before the document you uploaded is made available. Once the document is uploaded, continue on to the next section to add a link to your page. Creating the Link 1. Go back into your document and then type the text you would like to have as a link. For example, if you are posting your monthly meeting minutes for August, you could create a link with the title “August 08 Minutes”. Then select this text by clicking and dragging the mouse over it, the same way you select text in your word processor. 237 Printed Documentation 2. Click the “Database Link” button appear. 3. Click the on the editor toolbar. The Hyperlink dialog will icon next to the file you wish to use and then click the “Insert” button. 4. The text you had selected show now appear as a link (blue underlined text). Don’t forget to click the “Update >>” to save the changes you have made to your page. 238 Web Master Using Tables on Content Pages We will now move on to do some more advanced formatting of a page. In this section we will edit the “Bridge” page and add a list of the Bridge Members in your Squadron in a table. However, these same instructions can be used to add a table to any page. 1. From the Web Content Manager screen, click the underlined heading of a page, eg: “Bridge”. This will open the content editor. For a list of pages and their meanings see the section entitled “The Content Manager”. 239 Printed Documentation If you have not edited the “Bridge” page before, you should see the following screen: 240 Web Master 2. Use your mouse to select the “This page is “under construction” text and then delete it. 3. When all the text is removed, click your mouse inside the content editor so that cursor is in the upper left corner. When inserting tables, your cursor must be within the content editor or the insert will not work. 4. Click the “Insert Table” button on the toolbar. Notice that a small grid will appear in the bottom right of the content editor. It is pictured below: 241 Printed Documentation This grid allows you to pick how many rows and columns you want in your table. Use your mouse to pick how many rows and columns you want in your table by moving your mouse over the grid and clicking. For example, if you want two columns and 8 rows, click on the square in the second column and the eight row (see the picture below). 5. Click on the square in the second column and the eighth row of the grid to create an 8 row, 2 column table. If you have fewer bridge officers you can create a smaller table. If you have more than 7 officers, create an 8 row table for now and we will 242 Web Master learn how to make a bigger table later. Your screen should now look like the following. Notice the table on your page. It has light gray outlines around the cells. Let’s add a heading to the table with “Position” and “Name”. We’ll make the heading bold so that it stands out from the rest of the table. 6. Click your mouse in the first cell in the first column. 7. Click the Bold appear in a bold. button on the toolbar. This will make the next text you type 8. Type the word “Position” into the table cell. 9. Do the same thing for the first cell of the second column, but instead of “Position” type “Name”. Your screen should now look like the following: 243 Printed Documentation 10. Now continue by entering the positions of names in your table by clicking in each cell and typing in the information. 11. Once you are done, save the page by clicking the “Update >>” button at the bottom. Adding Rows to a Table If you have more than seven bridge officers, the eight row table created above will not be big enough. To add more rows to your table you can complete the following steps: 1. Click within the last row of your table. in the toolbar. A small menu will appear near 2. Click the “Edit Table/Cell” button the bottom right of the content editor. 244 Web Master 3. Click on the “Table Size” item in this little menu. The “Table Size” window will appear: 4. Click on the button for “Insert Row (Below)”. Click this button for as many new rows as you want. 5. Once you have added enough rows, click the “Close” button in the bottom right of the “Table Size” window and you will be returned to your page. 6. Continue adding items to your table. Don’t forget to click the “Update >>” button at the bottom of the screen to save your page when you are done! If you need to delete a row or column, place the cursor at the last row or column that requires deletion and use the same procedure as above but use the “Delete Row” or “Delete Column” buttons. Using the Library Image Function You may wish to add images to your web pages. If you do not have the material on your hard drive, like Course Covers, and you want to download them from the CPS website to insert into your web page, you must first go back to “Squadron Administration and click on “Course Management” 245 Printed Documentation The Squadron Administration page will now appear. Click on “Library of Course Covers” 246 Web Master The “Library of Course Covers” link will start the download of a zip file containing all the course covers. You can open this file to get the course cover you want. 247 Printed Documentation Once you have the image you would like to upload, using the upload images “browse” button, you can search for the image on your hard drive and when you click the “open” button the image is sent directly over the net to the CPS server and stored on its hard drive. Images should be in one of three formats: 248 o JPEG – For photographs taken with a digital camera or scanned pictures o GIF – For small computer generated images with very few colours, such as icons and logos. Web Master o PNG – For larger images that are not photographs such as large logos or drawings. Now that we have learned how to edit pages and how to find some images, let’s edit our “Welcome to the members Homepage” page and add an image to it. 1. Click on the “Welcome to the members Homepage” in the Content Manager. 2. You should see the following screen appear. Note that the page in the picture below is the Fredericton Squadron page and you may have entered different text on your page: 249 Printed Documentation Now we are ready to add an image. The first step is to upload an image to the CPS server so that we can use it in our page. Uploading an Image (or other file) Before an image is made available in the Image Library, it must be uploaded to the system. To upload an image follow these steps: 1. Click “Browse” in the Image and Document Upload area while editing a page 250 Web Master 2. A “Choose File” dialog will open up. Locate the image you wish to upload from you computer and click the “Open” button. Any file type can be uploaded, but for this example, we will only use image files of type JPEG, PNG or GIF. TIP: Make sure the suffix is named at the end your file name such as: boat sunset .jpg, boat sunset .png, or boat sunset .gif 3. The name of the file should be displayed below the browse dialog. You should now be able to use the Library Image button from the editor toolbar to add the image to your page. It may be necessary to exit the editor before trying to add the image as it sometimes takes a moment for the image to be available. The name and file will appear below the browser only once. If you go out then come back to this page, it does not show. Hiding/Showing a Link in the Left Navigation At this point you should have a few simple pages added to your site. Not all squadrons will want all the links in the left-hand navigation. For example, you may not want to use the “Classified” page. Notice in the screen shot that all the pages on the Fredericton site have “Active” next to their names except “Classified” which has “Inactive”. This indicates that “Classified” will not be shown on the Fredericton site. Hiding pages you are not going to use or pages you are not going to use right away helps keep your site clean. Visitors do not like browsing a site that has a lot of useless information or pages that say “Under Construction”. It is better to hide a page until you have content on it. To hide or show items on the left navigation follow these steps: 251 Printed Documentation 1. Click on the underlined name of the page you wish to hide or show, eg: “Image Gallery”. The “Edit Squadron Content” page will be displayed. 2. On the “Edit Squadron Content” page set the check box next to “Activate (if not set, content is Deactivated)” according to the following: o Checked – Page will be displayed o Unchecked – Page will be hidden 3. Once you have set the check box, click the “Update >>” button at the bottom of the page to save this setting. You can repeat these steps for any page you wish to hide. If the page is already hidden (deactivated) you can use these steps to show it again. Create an External Link Links- How to Create or Change from within content. • Highlight the text area that you would like to be linked as shown below. • Click the “Hyperlink” icon. • From the Hyperlink “Source” dropdown menu, select the type of link you would like use. Target menu selection allows you to choose to open in the same window by selecting Self, you many use Blank to open in a new window a site outside of CPS.
