Best Western Plus Port O’ Call Hotel Policies
TERMS & CONDITIONS
Thank you for making the BEST WESTERN PLUS Port O’ Call your choice hotel. We are delighted to host your event.
Our professional staff will be pleased to assist you in coordinating your complete catering package. It is our desire to
make your function a most memorable one.
We ask that you note any corrections by initialing these before returning the signed agreement to our Catering
Specialist.
In order to serve you better, we request that you advise the hotel of your menu selection including any dietary
requests 10 business days prior to the function date.
Service Charges & G.S.T.: The hotel reserves the right to change the prices due to current market conditions.
Finalized menus within 60 days of your event will be guaranteed the original pricing. All Prices are subject to a 17%
service charge as well as 5% G.S.T. As per Canada Revenue regulations, the G.S.T. will be calculated on the total
amount of the invoice.
Guaranteed Numbers: A guaranteed number of guests is required to be submitted 3 business days prior to the
function date and is not subject to reduction. In the event no guaranteed number is given, the hotel will prepare and
charge for the original number booked. If actual number of guests is greater than the guarantee, the actual number
will be charged. The hotel reserves the right to substitute a comparable function room.
Deposits and Scheduled Payments:
Weddings & Banquet Parties: A non-refundable $750.00 deposit is required at the time of booking. A secondary
payment of the reflective room rental amount is required 3 months prior to the event. Full payment is needed one
week prior to the event including credit card deposit for incidentals. No personal cheques will be accepted.
Meeting and Conventions: A secure form of payment (valid credit card, certified cheque, or approved credit
application) must be given at the time of your booking to guarantee your function space.
Cancellation fees:
- Cancellation less than 1 week prior to function: 100% of estimated food, beverage, and room rental revenues
- Cancellation more than 1 week and less than 3 months prior to function: 100% of room rental and initial deposit
- Cancellation more than 3 months prior to function: 100% of initial deposit
Loss or Damage: The BEST WESTERN PLUS Port O’ Call Hotel does not accept liability for any loss, theft, destruction
of, or damage to any articles (materials, personal effects, equipment, etc.) left in the hotel prior to, during, or
following the event.
Audio-Visual: A limited supply of audio-visual equipment is available onsite. Audio-visual equipment requests must
be submitted to the catering office within one week of your event. Should you bring in your own equipment, it is the
client’s responsibility to ensure your equipment is compatible with our system.
High Speed Internet is available on a complimentary basis in our meeting rooms. Please discuss your needs in
advance with our Catering Department so we can make your event a success.
Set up & Dismantle Time: Function space is only booked for the time indicated on the catering agreement. All
personal effects must be removed from the function room at the end of the scheduled day unless reserved on a 24
hour basis. Additional charges may apply for extended time.

Decoration & Table Charges: The hotel will not permit affixing of any decorations to the walls, floors or ceiling,
unless the hotel gives prior approval. All decorations must meet Calgary Fire Department Codes. Candles with open
flames are not permitted. Failure to comply will result in additional clean-up charges of a minimum of $200. There is
to be no use of rice or confetti in the hotel.
Outside Food: For the protection of your guests and in compliance with the local health authority guidelines, the
BEST WESTERN PLUS Port O’ Call Hotel will be the sole supplier of all food and beverage with the exception of
wedding and birthday cakes.
Removal of Food: Please note that health regulations prohibit the removal of any food products from the hotel. Buffet
items will be displayed for a maximum of 1 ½ hour for any function to ensure maximum quality and integrity of
product.
Liquor Consumption: It is the policy of the BEST WESTERN PLUS Port O’ Call Hotel to serve alcoholic beverages in
a responsible manner. Persons who appear 25 years of age or younger must present government regulated photo
identification in order to be served alcoholic beverages. The hotel reserves the right to refuse service to persons
under the age of 18 years or to intoxicated persons. The convener of the event is responsibile for the actions and
behaviours of their guests as a result of alcohol consumption. The hotel will remove persons from the premises who
contravene this policy and reserves the right to cease liquor service when applicable. The hotel will, in all cases, refer
to the Alberta Liquor Control Act. Liquor service will end at 12:30am.
Shipping & Receiving: Subject to prior arrangements and space availability, The BEST WESTERN PLUS Port O’ Call
Hotel will accept delivery of materials from meeting conveners at our Shipping & Receiving department between the
hours of 8:00am and 3:30pm Monday to Friday. Please make sure the convener is listed on all deliveries as well as
the date of the event. The hotel takes all responsible precautions to safeguard the property of our hotel. It does not
accept any liability for loss or damage to goods stored at our property prior to, during or after the event. It is the
responsibility of the convener to arrange for materials to be shipped out of the hotel.
Right to Inspect: The Hotel reserves the right to inspect and control all private functions. The conveners for any
function are held responsible for all members of their group.
SOCAN: (Society of Composers, Authors and Music Publishers of Canada). All functions where copyrighted music is
part of the entertainment, are subject to a SOCAN fee by law.
Smoking: In accordance with the City of Calgary by-law, smoking is not permitted in any public space, including
such areas as the foyer or the meeting room facilities.
Guest Rooms: Please inform the Catering department upon booking your function if you require guest hotel rooms
for the event. A block of guest rooms may then be booked under the function name. Please advise attending guests
to quote company name or function name to secure correct guest room rate. This will ensure that the rooms are
reserved for the attendees, subject to a cut off date. Any guest room that is being paid for by the company will be
required to put a credit card on file for incidental charges.
