With Our Sincere Gratitude
Welcome Bel Air Presbyterian Preschool Parents,
Your generous participation in this very special evening promises years of fun, laughter and joy for our entire
preschool community. Thanks to each of you for your efforts to plan, organize, contribute and attend an
event that is but a small reflection of the spirit, community and love that our school bestows on all of our
children.
With the departure from the old campus, the past year has been a new experience for most of us. In our new
location, our children are able to occupy bright and spacious new classrooms full of the latest technology and
learning tools. Each morning our wonderful teachers greet every child with hugs, smiles and innovative new
instruction methods. While best efforts were made with the available outdoor space to create a common play
area, we knew we could do better, and so began the idea.
The theme for this year’s fundraiser, “Ready, Set, Play”, took shape as discussions progressed around how
to improve the school environment and experience for our children. As parents and teachers were asked
what single improvement would have the greatest impact on our children’s development and well being, the
overwhelming majority felt that an expansion and enhancement of the existing outdoor space would be most
valuable. The idea was grand and the expense great, but the entire school community supported the choice
whole heartedly and readily agreed to make a new play area the primary goal for our annual fundraising
effort.
Our hope for this year’s event is to fully fund the creation of this play area with roughly 70% of the
fundraising proceeds. As in years past, the remainder will be applied toward tuition assistance programs
and Preschool operations. We are pleased to report that this year’s underwriting campaign has raised over
$55,000, a new BAPP record! This auspicious beginning was accomplished through the generosity of
the many families that contributed, and the extraordinary efforts of our dedicated volunteers, who spent
countless hours planning the many details of a program that culminates with this evening.

Preschoolers always put a smile on my face. Their imagination, creativity, stubbornness, and laughter are a source of joy.
To have your children in our care here at Bel Air Presbyterian is a privilege. We will continue to honor your trust. God
loves these little people and we do too! How does a child spell LOVE? T-I-M-E! That is one of many things we give to
your child on a daily basis. Megan MacMeekin and her staff are committed to excellence. The theme we work on daily is
this, LOVE TO LEARN AND LEARN

Thank you for being a part of our community – for getting comfortable in our new location, for supporting our teachers
and staff with your outpouring of love and encouragement, for your presence on our campus and most importantly,
for entrusting us with your precious children. It is our great pleasure to know your children and to participate in the
development of their young and beautiful minds. I extend a personal note of thank you to everyone for their incredible
support of our fundraising efforts this year. With your generosity, the Preschool outdoor space will be transformed into
a truly interactive and educational environment. The legacy of your gifts will remain for years to come – thank you from

Auction Rules
SILENT AUCTION BIDDING
An auction participant will place a bid using the bid stickers provided. The person with the highest bid at the time of closing will be
considered the winner. Stickers placed after the closing of the silent auction will be considered null and void. Once the sticker is placed
on a bid sheet it cannot be removed for any reason.
All items are offered “AS IS.” Bel Air Presbyterian Preschool (“BAPP”) shall not be responsible for the accuracy of descriptions,
genuineness, authorship or condition of items. You MAY NOT pay for OR take possession of an item you did not win. Once an item
is paid for and is in your possession, the organization is no longer responsible if it lost, stolen or broken.
Items, including gift certificates, may not be redeemed for cash and expiration dates may not be extended. Note that goods, services
and travel packages have various expiration dates specified by the donor and are subject to availability. Most travel packages have
blackout dates specified by the donor. Air transportation IS NOT included in a trip package unless specified.
LIVE AUCTION BIDDING
The live auction will take place during dinner in the dining room.
A bid acknowledged by the auctioneer is a legal contract to purchase the item. The highest bidder acknowledged by the auctioneer or
official staff shall be the purchaser. Every effort will be made to identify and recognize all bids, but it is your responsibility as a bidder
to make your bid known.
In the event of a question as to the validity of any bid, the event staff will have final discretion to either determine the successful
bidder, or to re-offer the item for the auction.
A minimum raise required of at least $100 higher than the existing bid for all live bidding. The auctioneer, at his sole discretion, can
alter raises for any item.
AUCTION FRENZY
During the Live Auction, we will have multiple Auction Frenzies. The concept of a live auction frenzy is to be able to sell an item
multiple times at a set, pre-determined price (at the auctioneer’s discretion) to the first X number of bidders that raise their paddles
that the auctioneer calls upon. The auctioneer will tell the crowd what the item is and how many are available (this will vary based on
how many were donated). Lastly, he will say what the price is; at that time he will say “go” and the first X number of people he calls
on who raise their bid cards will get that item. Invoices will be run to the guests’ tables for frenzy items after the live auction has ended
and the item can be delivered at that time, or picked up at auction checkout at the end of the night. It is at the auctioneer’s discretion
to determine price and winners.
RAFFLE
We are excited to have an extensive Raffle this year. Individual tickets are available for $20 each, and the purchaser can select among
a group of approximately 15 items that they can choose to enter a drawing for. A $100 Raffle Package is available, which includes
6 general raffle tickets and one chance to win a $100 level vacation prize. A $200 Raffle Package is available, which includes 12
general raffle tickets, two chances to win a $100 level vacation prize and one chance to win a $200 level vacation prize. Tickets can be
purchased in advance in the BAPP preschool office or at the event. You do not have to be present at the event to win.
CASHIERING CHECK OUT
All cashiering for silent and live items will be conducted at your dinner tables approximately 30 minutes after the close of the silent
auction. We accept cash, checks, American Express, Visa, MasterCard, or Discover for your purchases.
If you need to leave prior to invoices being completed please call BAPP Monday morning after the fundraiser.

SUGGESTED RETAIL VALUE FOR TRAVEL & HOTEL ACCOMMODATIONS
American Airlines: The maximum one-way rates are used for the 48 states, Hawaii, Canada, Caribbean, Mexico and South America.
Tariff rates are utilized for Europe and Central America.
Other Airlines: Tariff rates are utilized. One-way fares are utilized if two different cities are featured on the departing and returning
flights.
Hotels and Tours: Hotels are valued at rack rate plus sales tax. The rack rate for a hotel is the published full price for which hotel
rooms are sold and is not necessarily indicative of the current market rate.
Cruises: Brochure rate for the cabin plus airfare add-ons offered by the cruise line in the brochure.
Ground Transportation: Unless specifically stated otherwise, no ground transportation is included in any package. The winning
bidders are required to secure and pay for ground transportation from airports to hotels, airports to cruise ships, hotels to included
attractions or tours, etc.
All reservations are subject to availability. Please review text and materials for all restrictions and expiration dates. Blackout dates and
holiday restrictions may apply. Rates are based on the high season that the gift certificate is eligible for redemption.
GUARANTEED MAXIMUM PURCHASE PRICE
Some silent items offer a guaranteed maximum purchase price. Bidding will stop once the guaranteed maximum is met. Some selected
silent items offer multiple items at an established price for purchases (no incremental bidding.)
TAX DEDUCTIBILITY
According to IRS Rules and Regulations, the only tax deduction for the purchase of auction items from non-profit organizations is the
amount paid in excess of fair market value. We suggest that you contact your tax professional to determine the tax deductions (if any)
for your specific purchase(s).
BID BY PROXY
Bid by Proxy will take place with the participant completely filling out the Bid by Proxy form on the event auction website.
Incomplete and/or illegible forms will be considered null and void. A representative will place the proxy amount at the start of the
auction unless it is for the Guaranteed Maximum Purchase Price. If the bid is for a Guaranteed Maximum Purchase item, the bid will
be placed 30 minutes after the start of the auction provided that the item has not been purchased by another attendee at the event.
The delay of placing the proxy bid provides attending guests an opportunity to bid on all auction items.
AIRFARE UPGRADES
The airfare upgrade in the program is based on a two-category plane (coach class and first class). If a plane with three categories (coach,
business and first class) is utilized for the flight, the upgrade will be to the next highest level of service.
BIDDING DISCLOSURE
Suggested retail values are only a guide. There are no minimum bids required to purchase any items other than the minimum raises
in the silent auction, and the established prices for items in the Multiple Silent Auction and Premium Silent Auction sections.
Participants at the event will determine the real value of each item through the bidding. All sales are final and there will be no
exchanges, refunds or substitutions

Auction Bid By Proxy Rules
BID BY PROXY
Bid by Proxy will take place with the participant completely filling out the Bid by Proxy form. Incomplete and/or illegible
forms will be considered null and void. A representative will place the proxy amount at the start of the auction unless it is for
the Guaranteed Maximum Purchase Price. If the bid is for a Guaranteed Maximum Purchase item, the bid will be placed 30
minutes after the start of the auction provided that the item has not been purchased by another attendee at the event. The
delay of placing the proxy bid provides attending guests an opportunity to bid on all auction items.
BIDDING DISCLOSURE
Suggested retail values are only a guide. There are no minimum bids required to purchase any items other than the
minimum raises in the silent auction, and the established prices for items in the Multiple Silent Auction and Premium Silent
Auction sections. Participants at the event will determine the real value of each item through the bidding. All sales are final
and there will be no exchanges, refunds or substitutions.
SUGGESTED RETAIL VALUE FOR TRAVEL & HOTEL ACCOMMODATIONS
American Airlines: The maximum one-way rates are used for the 48 states (Y26), Hawaii (Y26), Canada (Y26), Caribbean
(Y26), Mexico (Y26) and South America (YX). Tariff rates are utilized for Europe and Central America.
Other Airlines: Tariff rates are utilized. One-way fares are utilized if two different cities are featured on the departing and
returning flights.
Hotels and Tours: Rack rate plus sales tax.
Cruises: Brochure rate for the cabin plus airfare add-ons offered by the cruise line in the brochure.
Ground Transportation: Unless specifically stated otherwise, no ground transportation is included in any package. The
winning bidders are required to secure and pay for ground transportation from airports to hotels, airports to cruise ships,
hotels to included attractions or tours, etc.
All reservations are subject to availability. Please review text and materials for all restrictions and expiration dates. Blackout
dates and holiday restrictions may apply. Rates are based on the high season that the gift certificate is eligible for redemption.
GUARANTEED MAXIMUM PURCHASE PRICE
Some silent items offer a guaranteed maximum purchase price. Bidding will stop once the guaranteed maximum is met.
Some selected silent items offer multiple items at an established price for purchases (no incremental bidding.)
PREMIUM SILENT AUCTION
There is no bidding on premium silent auction items since an established price will be charged. Multiple items are available
for these select items.
TAX DEDUCTABILITY
According to IRS Rules and Regulations, the only tax deduction for the purchase of auction items from non-profit
organizations is the amount paid in excess of fair market value. We suggest that you contact your tax professional to
determine the tax deductions (if any) for your specific purchase(s).

AIRFARE UPGRADES
The airfare upgrade in the program is based on a two-category plane (coach class and first class). If a plane with three
