Central Virginia Community College Information about CVCC • • • • Central Virginia Community College, a two-year institution established in 1966 as a member of the Virginia Community College System, provides State-supported educational facilities for the city of Lynchburg, the town of Bedford and the counties of Amherst, Appomattox, Bedford, and Campbell. CVCC has grown from an initial enrollment of 87 to a current enrollment of over 6,700. Consisting of approximately 104 acres with a view of the Blue Ridge Mountains, the Central Virginia Community College campus is located at the intersection of U.S. Rt 29 South and the Lynchburg Expressway (Rt 501) within the city limits of Lynchburg, VA. CVCC has four off-site centers located throughout the region. These centers are located in Altavista, Amherst, Appomattox, and Bedford. Each center offers a variety of traditional and distance education courses. Central Virginia Community College myCVCC • myCVCC provides faculty, staff and students with single sign-on access to Blackboard, the Student Information System (SIS) and your VCCS student email account. • Please note: The email address listed under myCVCC is not your faculty email. Please make sure all communication with students is through your faculty email address (@cvcc.vccs.edu). PeopleSoft • PeopleSoft is the VCCS’s data management system for academic information. Teaching schedule, class rosters, and grade rosters can be found in this online system. • How do I access PeopleSoft? o Once you have logged in to myCVCC click on “VCCS SIS 8.9 Student Information System.” Central Virginia Community College CVCC Weekly Bulletin The President’s Office identifies topics and events of interest that have happened on campus to be posted on CVCC’s intranet. Text is provided along with photographs that keep members of the college community informed of happenings here on Campus. Emails are sent to everyone when new information is added. CVCC Daily Bulletin A Daily Bulletin is sent from the President’s Office each morning to everyone on Campus to notify them of upcoming events. Central Virginia Community College MAP Central Virginia Community College Parking at Main Campus • Parking regulations can be found on the CVCC Campus Police Website at http://www.cvcc.vccs.edu/Security/Parking.asp. • Parking decals must be obtained from the Campus Police Office in the Amherst building. • Only one permit will be issued per person. • Faculty and staff must display decal from the rear view mirror of their car. • Faculty and staff who own multiple cars will need to transfer their permit to the car they are driving. • A temporary decal must be obtained from Campus Police if your decal is left in another vehicle or otherwise unavailable. • Handicapped Parking permits must be obtained through the DMV. • Due to space limitations in faculty and staff parking areas, parking decals will not be issued to students, work-study students or other student workers. • All violators, including employees, will be ticketed and subject to the fines as imposed by CVCC. Central Virginia Community College Driving at Main Campus • For the safety of all, drivers must obey all STOP and SPEED LIMIT signs on roadways and parking lots. • All drivers must stop for pedestrians in the crosswalks. • All drivers must stop for schools buses while loading and unloading. Central Virginia Community College Your I.D. Badge • All employees of CVCC are required to have a CVCC ID badge in their possession and must present it upon request of Campus Police, faculty or staff. This ID badge is important for you to have as you conduct college business, such as traveling and purchasing. • New employees must have their ID badge issued within 30 days of beginning employment. • Once you have been given a completed ID Badge Form by your division office, please make an appointment with the Library (8327750) or Off-site Center to have your photo taken and your badge issued. • If your badge breaks, take the broken parts to the Library for a free replacement. • If you lose your badge, the Library will replace it for a $10.00 fee. Central Virginia Community College Virginia Clean Indoor Act • Under the Code of Virginia, Title 15.2, Chapter 28, “Virginia Clean Indoor Air Act”, Central Virginia Community College established a policy to regulate and control smoking of tobacco products within its facilities. • This policy is specifically authorized under Code of Virginia 15.2-2800 and 15.2-2801, which sets forth statewide regulation of smoking. • Smoking is prohibited within all buildings owned or leased by the college, and within vehicles owned or operated by the college. This provision shall include any and all off-campus facilities utilized by CVCC, except for the facilities of any business, industry or other organization where the college may offer specific programs at its site. • Smoking areas are identified around the exterior of facilities and are only permitted within the confines of the two designated Gazebos. The gazebos are located in the rear of Amherst Hall and at the south side of Areva Hall. All campus buildings and other locations are smoke-free. Central Virginia Community College Professional Development Central Virginia Community College The Knowledge Center • The Commonwealth of Virginia utilizes a Learning Management System known as the Knowledge Center (KC). At its core, it is a program that manages the administration of training, making it more convenient for state employees to receive up-to-date training at their desktops, as well as easy registration for some classroom training. Central Virginia Community College Educational Assistance and Continuous Learning Policy • Continuous Learning programs include all full-time faculty rank and classified employees, hourly/wage employees (except student employees and FWS) and adjunct faculty. • Continuous Learning Courses are courses offered at our college to employees at no cost. The courses must be offered by CVCC and may be job related or non-job related, part of a degree program or for professional development; and should have application to the college’s mission. • New employees are immediately eligible to receive educational assistance for tuition and mandatory fees. • No more than 6 credit hours may be taken a semester. Central Virginia Community College Educational Assistance and Continuous Learning Policy • Employees must be currently employed at the College and receive a grade “C” or better. If a grade of “C” or better is not received, the employee must pay back the tuition and mandatory fees, but can continue to request tuition waivers in the future. • If an employee requests to drop out of a class that has been approved for tuition reimbursement, he or she must drop out by the drop out deadline or the employee will be subject to paying for the course and applicable fees. • Employees shall fully complete the Educational Assistance Request Form (VCCS-16) along with a Promissory Note (VCCS Policy 3.10.1.5) immediately preceding enrolling in the course. • All documents of employees receiving educational assistance and continuous learning assistance shall be filed in the HR office as required by State and Federal regulations. Central Virginia Community College Faculty Evaluations • The adjunct faculty evaluation is a three part process. 1. Syllabus reviews are completed for every class each semester. 2. Student evaluations are completed at the end of each semester for both in-class and distance learning classes. 3. Classroom observations are conducted for new adjunct instructors in the first semester of teaching. Central Virginia Community College Workplace Harassment • • • • The Commonwealth and CVCC strictly forbid harassment of any employee, applicant for employment, vendor, contractor or volunteer, on the basis of an individual’s race color, sex, religion, military service and/or veteran status, national origin, political affiliation, age, genetics, care-giver status or disability. The COV and CVCC will not tolerate any form of retaliation directed against an employee or third party who either complains about harassment or who participates in any investigation concerning harassment. The college is committed to a workplace in which all individuals are treated with respect and dignity. Therefore, harassment in any form is a serious offense that will require disciplinary action. Workplace Harassment is defined as any unwelcome verbal, written, or physical conduct that either degrades or shows hostility or aversion towards a person on the basis of race, color, national origin, age, sex, religion, disability, marital status or pregnancy and that: (1) has the purpose or effect of creating an intimidating, hostile or offensive work environment; (2) has the purpose or effect of unreasonably interfering with an employee’s work performance; or (3) affects an employee’s employment opportunities or compensation. Central Virginia Community College Sexual Harassment • CVCC believes that faculty, staff and students have the right to work and study without the worry of sexual harassment. • The VCCS and CVCC shall not tolerate any verbal or physical conduct, by any employee, which constitutes sexual harassment of any other employee as outlined in Part 1604.11, Discrimination Because of Sexual Harassment, of Title VII, Section 703, of Civil Rights Act of 1964, as amended. Upon receipt of a complaint of sexual harassment, the College shall take immediate action appropriate to the charge presented by the complainant. • Sexual harassment is defined as unwelcomed sexual advances, requests for sexual favors, and/or other verbal or physical conduct or written communications of an intimidating, hostile, or offensive sexual nature, regardless of where such conduct might occur. Central Virginia Community College Absence from Class • From time to time an absence from class may occur. Please notify your division office as soon as you become aware of your absence. • Please ensure arrangements for a meaningful activity (either in or out of class) have been made for your students during the class period. Blackboard is a great venue for posting an assignment or project for the students to do during your absence. • The administrative assistants in your division or off-site center will be happy to post a sign outside your classroom with assignment instructions. • A Travel Request is required for adjunct faculty travelling to a conference or school related activity. Please see your division office for additional details. Central Virginia Community College Office Hours • For the fall and spring semesters, all adjunct faculty should schedule 1 office hour per week for each course taught. • For each course taught during a 5-week summer class, 2 hours per week, distributed over at least two days, should be scheduled. If you are teaching a 10-week summer class, 1 hour per week for each course should be scheduled. Central Virginia Community College Policies: DHRM & COV DHRM Policy Number: 1.05 – Alcohol and Other Drugs o It is the Commonwealth’s objective to establish and maintain a work environment free from the adverse effects of alcohol and other drugs. DHRM Policy Number: 1.75 – Use of Electronic Communications & Social Media o The conduct of computer users who access the Internet or send e-mail containing an agency’s domain address may be perceived as reflection on the character and professionalism of the agency. When engaging in such conduct, whether for personal or official purposes, employees are expected to do so in a responsible and professional manner. State Employee Fraud, Waste and Abuse Hotline – 1-800-723-1615 o The State Employee Hotline provides state employees with an opportunity to report significant instances of fraud, waste or abuse anonymously by using a toll-free hotline number. The major objective of the hotline is to identify situations where fraud, waste and abuse may have occurred in state agencies and institutions so that it can be eliminated. If you observe a situation within your own agency that appears to involve fraud, waste or abuse, give us a call—it’s toll free and anonymous. Employee Suggestion Program o Virginia’s Employee Suggestion Program (ESP) is a program that provides all employees with an opportunity to be rewarded for innovative and creative ideas for improving state government. Salaried or hourly/wage employees of the COV may submit suggestions. Central Virginia Community College FERPA • The Family Educational Rights and Privacy Act (FERPA) (also known as the Buckley Amendment) is a federal law that was enacted in 1974 to protect the privacy of students and their educational records. Information about grades or class progress cannot be released to a third party. Please contact the college’s Records Office at 832-7633 with any FERPArelated questions. Central Virginia Community College FERPA • Student information is only released with the student’s written consent unless one of the situations below exist: o School officials, as identified by CVCC, determined by CVCC to have a legitimate educational interest, o Officials of other institutions in which the student seeks to enroll, o Persons or organizations providing to the student financial aid, or determining financial aid decisions, o Accrediting organizations carrying out their accrediting functions, o Parents or legal guardians of a student who have established that student’s status as a dependent according to IRS Code of 1986, Section 152, (Parents must provide a copy of their tax return to the CVCC Office of Admissions and Records) o Persons in compliance with a judicial order or a lawfully issued subpoena, (Persons involved in the serving of a warrant, subpoena, or summons at Central Virginia Community College should be referred to the Office to Admissions and Records). o Persons in an emergency, if the knowledge or information, in fact, is necessary to protect the health or safety of the student or other persons. Central Virginia Community College FERPA • FERPA permits institutions to identify certain items of information as “Directory Information”. This information may be released upon request unless the student, during the first 10 days of the semester, has indicated, in writing to the College Registrar that he/she does not wish this information released. CVCC identifies directory information as the student’s name, address, telephone number, e-mail address, field of study, dates of attendance, current enrollment status (full-time/part-time), number of credits enrolled in, class standing (freshman or sophomore), receipt or non-receipt of a degree or certificate, and academic awards received (dean’s list, honor roll, graduation honors). • To assist with FERPA compliance: o o Blackboard is the only place that grades can be posted. You cannot post grades in any other place, even with secret identification codes. You cannot speak to students about their grades on the telephone. In addition, grade information should not be shared with anyone via email – including the student - unless it is through CVCC email. Central Virginia Community College Payroll Central Virginia Community College Contracts and Pay Checks • Contracts will be emailed during the first week of classes. The VCCS Employment Certification Form will be included with the contracts. • Adjunct Faculty will be paid 4 times during the Fall Semester, 4 times during the Spring Semester and 2 times during the Summer Semester. • Your pay will not be processed by Human Resources and Payroll until all required documents (including official transcripts for ALL college course work taken) are received. • Please contact the Human Resources/Payroll Office directly at 832-7612 for specific pay date information. Central Virginia Community College Tax Withholdings FICA Tax • OASDI = Social Security (Old Age, Survivor, and Disability Insurance) – 6.20% • HI = Medicare • An employee pays 7.65% and the college pays 7.65% Federal Tax • Based on how employee completes their W-4 Form. State Tax • Based on how employee completes their VA-4 Form. Central Virginia Community College Direct Deposit • To support cost saving measures and a “green” campus environment, paper paychecks will not be produced. Additionally, employees will not receive a printed paper earnings notice. • All COV employees are required, as a condition of employment, to enroll in Direct Deposit in order to receive their paychecks. • Employees must view all pay information via PayLine. PayLine is a secure web-based system that provides COV employees with online viewing of their earnings information. • PLEASE NOTE: If you have not worked at another COV agency, you will not be able to log-in your PayLine account until your first paycheck has been processed. If you need assistance with PayLine, Direct Deposit, please contact the CVCC Human Resources Office directly at 832-7612 Central Virginia Community College Benefits Central Virginia Community College Savings for Retirement o Adjunct Faculty are eligible to enroll in the College’s Deferred Compensation or 403(b) plans. o You may participate in the plans via payroll deduction; however, the cash match program is not available. o Enrollment is available in both plans using pre-taxed dollars. Central Virginia Community College CommonHealth • The Commonwealth’s wellness program is called “CommonHealth”. • CommonHealth is available to all employees (except student workers) and their dependents age 18 or older living in the employee’s home, and also to our retirees. • Quarterly programs cover a variety of health and wellness subjects and are presented in a variety of formats—including onsite programs and video presentations—that make it easy to participate. • CommonHealth promotes fitness, weight-loss, nutrition and other wellness programs. • Not only are the programs educational and fun, they help you stay fit and healthy. Central Virginia Community College Workplace Safety and Health Central Virginia Community College Campus Safety: Campus Police Department • CVCC has a Campus Police Department that has sworn police officers on duty between the hours of 7:00am and 11:00pm, seven days a week and security staff is available during other times. The officers are certified Law Enforcement Officers through the VA Department of Criminal Justice Services, and sworn by the Circuit Court of the City of Lynchburg. • Campus Police are also trained in basic first aid, CPR and AED (Automated External Defibrillator) use and can assist, but 911 should be called for medical emergencies. They will escort faculty and students to their cars at night upon request, assist with entering a building after hours and assist with vehicle jump-starts or unlocks. • The phone number for Campus Police is 832-7700 (or x7700 for a campus phone). However, in an emergency you can call 911. • They can also be reached via email at [email protected] . • Please visit Campus Police in the Amherst building (room 2605) to obtain a faculty/staff permanent or temporary parking decal. Central Virginia Community College Emergency Office/College Closings • • • • • • When situations arise, such as inclement weather, causing the College to close during normal business hours (day or evening) the public will be informed through the following means of communication: o Local TV and radio stations o The College’s telephone system: (434) 832-7600 o e2Campus alert system (see next page for more information) In most instances notice of closing or cancellation for day classes will occur prior to 6:00 am. For evening classes, this will normally occur between 3:00 pm and 4:00 pm and this policy pertains to all classes after 5:00 pm. Please pay particular attention to announcements regarding delayed openings. All employees are expected to be aware and respectful of the official opening time and arrive at work in a timely manner. This allows us to serve our community members effectively and efficiently. CVCC offsite centers in Altavista, Amherst, Appomattox and Bedford officially close when the main campus in Lynchburg is officially closed. Delayed openings announced for the Lynchburg campus apply to the aforementioned offsite centers as well. Special classes, seminars or workshops scheduled or contracted to be delivered at a corporate or outside public agency office site will be held as scheduled unless the corporation or outside agency chooses to delay or cancel the class. Central Virginia Community College e2Campus Alert System • CVCC uses e2Campus alert to immediately reach community members in an emergency. This text message system provides information delivered over cell phones, PDAs, Blackberries, email and other devices. When an incident or emergency occurs, authorized senders will provide real-time updates. Examples of these updates include instructions on where to go, what to do, actions to refrain from, and who to contact. • Please do not call Campus Police during an emergency for updates. Updates will be periodically provided as required. • We ask that you sign up for this service for your own safety and for the safety of the students in your classes. The link below may be used to register for e2Campus: https://www.e2campus.net/my/cvcc/ • Please encourage all your students to sign up for this service as well. In the case of an emergency on campus, alerts and mass notification is one way our administration and members of law enforcement efficiently provide information. Central Virginia Community College e2Campus Alert System • Several specific terms will be used when an alert is issued. These will provide instructions which you will be expected to follow in a calm manner. Please keep in mind that your reaction will affect the reaction of those around you. It is important that you become most familiar with these terms and fully understand their meaning. These are: o Evacuation- Evacuate the building quickly and quietly following the evacuation plan for your classroom. o Shelter in Place- Move to the designated interior safe spaces and stay there until the message “all clear” is provided. o Lockdown- Lock the door to your office or classroom (if possible barricade the door), turn off the lights, turn off your cell phone, get low and stay out of site and quiet during the lockdown. If the fire alarm goes off, do not leave unless you smell smoke. Remain in lockdown in your location until someone with authority that you recognize provides notification that the situation is over or the “all clear” is provided. Do not open the door unless you recognize the person of authority on the other side. o One of the most important things you can do to help insure the safety and security of you and your students is to plan ahead. Please become familiar with your surroundings in each of the classrooms where you provide instruction as well as the common areas on campus. Make certain that you have a plan for how you will help any students with special needs in your class. Central Virginia Community College CVCC Emergency Management • As required by the Commonwealth of Virginia Executive Order Number Forty One (2011), CVCC considers emergency preparedness initiatives to be an essential component of the mission of the College. To that end, the administration maintains and coordinates a number of policies and practices to ensure that we are prepared for and capable of responding to and recovering from any type of hazard which may affect our community. Following are some of these initiatives. • The development and maintenance of a comprehensive all hazards Emergency Operations Plan prepares for events such as severe weather or a civil disturbance. • • • e2Campus system is used to immediately reach community members in an emergency via text messaging and/or email. Please see section titled e2Campus Alert System for more information and to register. The yellow boxes on campus are the Alertus Emergency Notification System. They provide information in the case of an incident. These are activated by e2Campus. Fire Alarms are installed in each facility. When these alarms sound, please leave the building promptly and in a calm manner. Building Safety Coordinators provide directions when these alarms sound. Please do not leave the area designated as your safe zone until you are instructed to do so by the proper authority. Central Virginia Community College CVCC CARE Team • The CARE/Threat Assessment Team is composed of CVCC counselors, staff and administrators to address referrals for assessment and intervention with individuals whose actions, conduct or situations may pose a risk to the academic success of the student or the community. Each case referred to the CARE Team is managed with confidentiality and by professionals trained in the process of identifying and obtaining services available to those who may need assistance. Threat Assessment Team • The Threat Assessment Team is coordinated by the Department of Public Safety and Police and is composed of CVCC police, counselors, staff and administrators to address referrals for assessment and intervention with individuals whose behavior may pose a threat to the safety an individual and/or the campus community. Each case referred to the Threat Assessment Team is managed with confidentiality and by professionals trained in the process of evaluating potential concerns and obtaining services and/or taking other appropriate actions. Central Virginia Community College Lost & Found • The CVCC Campus Police Department maintains the campus’ Lost and Found Repository. • If someone has lost their property on our campus, they may contact Campus Police via telephone (832-7700) or come by the office to make a report of lost property. • If you find lost or miscellaneous property on campus, you may either bring the item to the Campus Police Office (Room 2120) or contact them by phone to inform them of the location and description of the item. Campus Police will retrieve and maintain the item until it is claimed by the rightful owner or it is disposed of. • Found property is maintained for 30 days and then disposed of in accordance with the Code of Virginia. Central Virginia Community College Workers’ Compensation • In the event that you should experience an accident or illness that arises out of and in the course of your employment at CVCC, you should report the accident or illness to your supervisor and Human Resources immediately. For medical attention of a nonemergent nature, you must select a physician from the College’s Panel of Physicians. Employees sustaining serious (life threatening) injuries should seek the closest medical facility. Immediately upon stabilization of the injury, the employee should seek follow-up treatment from a Panel Physician. • Workers’ Compensation claims are subject to approval by the Commonwealth’s plan administrator (Managed Care Innovations, LLC) and the Virginia Workers’ Compensation Commission (VWC). A pilot began September 30th, 2013 and CVCC is currently using SAILS for Developmental Math and English (MTE & ENF), Student Success (SDV), General Biology I (BIO 101), Precalculus I (MTH 163), and College Composition I (ENG 101). • Presently SAILS is available to any instructor wanting to use the service; however, in the future all courses will be moved into SAILS. • An instructor may place Kudos for students that are doing well or improving and may place flags for students that have issues such as low participation, excessive absences, low quiz or test scores, etc. An email will be sent to any student who receives a kudo or a flag. • Student Services and the Student Services Coordinator will assist faculty by calling students to alert them of their flags and suggest options that will help them succeed in their course(s) (instructor contact, tutoring, speaking to an academic advisor, etc.). • A flag may be removed from a student account if and when the student acknowledges the flag to either the instructor or Student Services. This may be done in person, on the phone or through email. • Faculty can access SAILS by logging into their VCCS accounts and clicking the SAILS link on the “My Tools” page. • Instructors who teach courses that are not currently using they SAILS system should still be using CVCC’s Early Alert System, which may be found by going to the CVCC Intranet Portal and then clicking the Resources tab at the top of the screen. The Early Alert form is located on the Resources page under the Counseling & Advising heading. Central Virginia Community College Advising Services • Current and prospective students can contact the Counseling Department in room 2100 in Amherst Hall for information regarding admissions, enrollment, transferring, curricula of study, placement testing and general information about Central Virginia Community College. • Students who need to speak with a counselor can call the Counseling Department at (434) 832-7800 or stop by the Counseling Desk to make an appointment. The Counseling Department is open Monday through Thursday from 8am until 7pm and Friday from 8am until 5pm. Walk-ins are usually available during peak registration periods. You and your supervisor will receive an email to your CVCC email address with instructions on how to complete the training. • A limited number of laptops and tablets are available for shortterm use by faculty and staff. Central Virginia Community College Mobile or Removable Devices • The IT Security Standard on the use of Cryptographic Controls - §12.3.1 states the use of encryption will be used for protection of sensitive information transported by mobile or removable media devices or across communication lines. • Mobile or Removable Devices – tapes, disks, flash disks, removable hard drives, CDs, DVDs, printed media, phones and email communication • State agencies must comply with Commonwealth of Virginia security policies. These policies require us to “Prohibit the connection on any non-COV owned data storage media or device to a COV owned network, …” This particular policy only applies to PCs and devices in the CVCC Staff network. PCs and devices in the Academic network are not subject to this requirement. • Mobile or removable devices purchased with state funds are only to be used on PC workstations, laptops and tablets owned and managed by CVCC. • Sensitive data should not be stored on any device that is not encrypted. If you have a work related need to transport sensitive data, please contact the IT Help Desk for assistance. • Mobile or removable devices that require proprietary drivers software to be installed may not work properly on CVCC PCs. Please ensure that you use USB drives that conform to the USB Mass Storage Device standard. Central Virginia Community College CVCC Email (Outlook & OWA) • All CVCC faculty and staff are provided a CVCC email account. • Please check your email frequently for communications from your students, for notices from your department or division and general college-wide notices. • Please put your CVCC email address on your syllabus and ask students to use that to send you messages. • Every CVCC student has a VCCS student email address. This VCCS student email address is the only email address that you can use to send confidential information to students (such as grades). All official email correspondence with students should be sent to their VCCS email account. • Faculty and staff also have a VCCS student email address but all official correspondence should be sent using their CVCC email account not their VCCS student email account. • You can access your email from a PC using Microsoft Outlook, via OWA (Outlook Web Access) from any Internet connected device by going to https://mail.cvcc.vccs.edu , or via a smartphone. Division representatives coordinate with business, industry, academic deans, faculty members, and others to provide non-credit seminars or classes, credit classes, custom certificates, diplomas, and degrees. Division representatives coordinate partnerships with other schools and organizations when in employers’ best interest. Division representatives also work with the Region 2000 Technology Council and dozens of other local organizations and employers to orchestrate the well-established “Grow Your Own” programs, designed to provide a skilled local workforce for tomorrow’s needs by introducing local youth to Region 2000’s many excellent educational and career opportunities. Central Virginia Community College Workforce Development and Continuing Education • Second, the division orchestrates all CVCC non-credit training, including both professional and quality of life classes. Many faculty members enjoy teaching occasional non-credit classes because non-credit instruction can bring added income or provide an opportunity to teach a hobby interest. • Third, the division houses the Region 2000 Career Center, which is the adult and dislocated worker arm of the region’s Workforce Investment Act funding and programs. The Center, located on the lower level of the Plaza off of Memorial Avenue in Lynchburg, is a comprehensive, one-stop facility which houses a number of co-located partners working together to help dislocated workers return to productivity. Central Virginia Community College Workforce Development and Continuing Education • Fourth, the division supports CVCC’s grants programs from proposal to final report. The CVCC Grants Office assists with requests for proposal searches, grant writing, grant management, and grant reporting. • CVCC’s Workforce Development and Continuing Education Office supports all five of the VCCS’s Achieve 2015 goals of Access, Affordability, Student Success, Workforce, and Resources. Central Virginia Community College Blackboard • Blackboard is the online Course Management System used by the VCCS. Blackboard has many useful features for both in-class and distance learning faculty. A Blackboard course site is established for all credit classes. In-class faculty can choose how much they will use this tool. • Why use Blackboard? At a minimum, it is required that you put your syllabus on your course Blackboard site. Place your course materials on the web so that your students have access to your course content 24x7. Offer your students a "backup" option if they misplace syllabi or assignments from class. Central Virginia Community College Blackboard Allow your students to lengthen an engaging discussion that begins in class, but in an online format. Have Blackboard auto-grade quizzes and assessments for you! Help students keep better track of how they are progressing through the class. Broadcast a note to students reminding them of upcoming deadlines. Take some time to familiarize yourself! http://www.cvcc.vccs.edu/Help.asp Central Virginia Community College Academic Information Central Virginia Community College Syllabus Each faculty member, either full-time or adjunct, is required to present a syllabus to the respective Dean’s office for each course offered by Central Virginia Community College. The syllabus needs to contain the following information: 1. Course Title, number, prerequisites (if any) credit/contact hours, and course description 2. Instructor’s name, office room number, office telephone number, college e-mail address, and office hours as posted 3. Textbook(s) and or supplementary books and materials (Append a bibliography if needed) 4. Attendance policy and policy for missing assignments 5. Grading scale and procedures 6. Statements on safety where applicable 7. General course goals 8. Common student learning outcomes established for the course 9. A list of topics which will be covered during the course 10. A list of assignments students will be expected to complete during the course 11. The current ADA statement from the college As a suggestion, faculty members may also want to include a statement that dates in the syllabus are subject to change at the discretion of the instructor. Central Virginia Community College Required Rosters Class • You can access your class rosters by logging in to MyCVCC and then clicking on VCCS SIS:Student Information System. • Please check your class roster regularly during the first week of class and notify any student not listed to contact the Office of Admissions and Records to check their enrollment status. Students not listed on your roster should not be permitted to attend class. • Class attendance must be reported to the Admissions and Records office twice per semester. Attendance verification rosters will be provided by your division office. Central Virginia Community College Required Rosters Never attended • The Attendance Verification Roster is used to report a student that has never attended a face-to-face class or has not demonstrated that they are participating in a distance learning class. • Your division office will provide these rosters after the start of the class. Please return them by the due date, which can be found in the Attendance Procedures information. • If a student attended at least one class or demonstrated participation in a distance learning class, do not report them on the Attendance Verification Roster. • This roster is driven by the financial aid process. Failure to comply with these procedures could put the college’s ability to award federal financial aid in jeopardy. • If you report a student on the Attendance Verification Roster, please do not remove them from Blackboard. Rather, the course should be made unavailable to them. • Once a student has been dropped as a never attended student, the instructor should not allow the student to attend/participate in class or submit assignments. There will be no reinstatement in the course. Central Virginia Community College Grades • Official and final grades are entered by the instructor in the college’s Student Information System (PeopleSoft) • For detailed instructions on reporting final grades, please visit the: Intranet Portal → Resources → Info Technology → SIS Faculty Help or Contact your division office • The Records office posts grades for the college at the end of each semester, so it is imperative that final grades are entered in the “Approved” status in PeopleSoft by the due date as published in the academic calendar. • When submitting grades, you must enter the last date of attendance for students receiving an “F”, “U”, or “R” in a class. This date should be after the withdrawal date as published in the Academic Calendar. Central Virginia Community College Exams • A final exam time is scheduled for all classes. • You are required to give a written exam or some other type of meaningful activity. All classes must meet during the scheduled exam time. • The exam time is calculated in the minutes required for each class by our accrediting body. • Please ensure that your exam time is the same as listed in the exam schedule. Meeting at another time may cause conflicts for your students and others. • If your class meets at an odd time that is not reflected in the exam schedule, please work with the Division Office to find a time that will prevent conflict with other scheduled exams. • You are required to submit an electronic copy of your final exam(s) to your Division Office at the end of each semester prior to exam time. Central Virginia Community College Class Grade Changes • Once a grade has been awarded, it is normally permanent. In situations where there are documented mitigating circumstances or an uncontested error, grade changes must be requested within one year of the receipt of the grade in question. • For a contested grade, the student must follow the timeline and steps outlined in “Appeal of Grades” in the CVCC Catalog & Student Handbook. Central Virginia Community College Retention of Records • The following is the retention requirements for academic departments from the “Library of Virginia”: o Class Rolls and Grade Sheets – Documents that students registered for specific courses, attendance and grades given. Must be retained for at least 3 years after the end of the semester. o Student Examination Files – Documents the testing and grading of students during courses. Must be retained for at least 1 year after the end of the semester. • Please check with your specific division office to determine if there are other requirements for keeping tests and/or other papers. Central Virginia Community College Grading Systems • The College uses a standard grading method (grades A-F or S/U) for non-developmental credit classes. Developmental courses are awarded grades of S, R or U. Under appropriate circumstances and if the student is eligible, instructors may also award grades of I for Incomplete. Grades of W may not be awarded on the final grade roster. • “W” Grades – No grade point credit. A grade of “W” is awarded to students who withdraw or are administratively withdrawn from a course by the official last day to withdraw as listed in the Academic Calendar each term. This is a no-penalty grade and does not affect a student’s GPA. You are encouraged to withdraw any student who stops attending prior to the last day to withdraw. Central Virginia Community College “I” Grades • An “Incomplete” is to be used only for verifiable, unavoidable reasons that a student is unable to complete a course within the normal course time. To be eligible to receive an “I” grade, the student must (a) have satisfactorily completed more that 50% of the course requirements, and (b) must request the faculty member to assign the “I” grade and indicated why it is warranted. The faculty member has the authority to decide whether the “I” grade will be awarded. • Since the “Incomplete” extends enrollment in the course, requirements for satisfactory completion shall be established through consultation between the faculty member and the student. In assigning the “I” grade, the faculty member will (a) complete the Incomplete Form and state the reason for assigning the grade; (b) specify the work to be completed and indicate the percentage in relation to the total work of the course (c) specify the date by which the work must be complete; and (d) identify the default grade based upon course work already completed (e) submit a grade change form to their division office once work is submitted from the student to change the ‘I’ to an A, B, C, D or F. Central Virginia Community College “I” Grades • Completion dates may not be set beyond the end of the subsequent semester (including the summer term) without the written approval of the Vice President for Academic Affairs and Student Services of the campus, or his designee. • An “I” grade will be changed to a “W” only under documented, mitigating circumstances which must be approved by the Vice President for Academic Affairs and Student Services of the campus, or his designee. • NOTE: If the work is not completed by the class end date of the subsequent semester, the student will be awarded a “default” grade of “F”. Instructors should not accept overdue work/assignments after the grade has already been changed to the default grade. The default grade will be final. Central Virginia Community College “X” Grades Audit Request Form • Students desiring to attend a course without taking the examination or receiving credit for the course may do so by registering to audit through the usual registration process and paying the normal tuition. • Permission of the Division Dean or Registrar is required to audit a course. • Audited courses carry no credit and do not count as part of the student’s course load. • Students desiring to change status in a course from audit to credit or from credit to audit must do so by the drop period for the course. • Students who desire to earn credit for a previously audited course must re-enroll in the course for credit and pay normal tuition to earn a grade other than “X”. • Advanced standing credit should not be awarded for a previously audited course. Central Virginia Community College Field Trips • An “Assumption of Risk Form” must be completed by each student before you take a class on a field trip. • This form, available on-line and in your Division Office, should be turned in one week before the trip occurs. • An “Assumption of Risk Form” is a release form that must be signed by every student that is going on the trip. No one will be allowed to go on the trip unless a release has been signed and turned in to the Division Office. This form is your legal protection and protection of the college. • Any time you leave campus with a class, you must have the students complete an "Assumption of Risk Form”. Central Virginia Community College Travel • The travel request form serves several purposes. First, it is your authorization to travel as a state employee, which helps clarify any legal issues regarding liability or insurance. Second, state regulations require that you get Pre Approval for any travel in excess of $500.00. Third, state regulations require that you get Pre Approval for hotel rates over the per diem up to 150% of the per diem rate. Forth, you must have approval for the method of travel (rental car, state vehicle, amount of reimbursement per mile for personal vehicle use, etc.) • This form must be approved and on file in advance of the actual travel date. Central Virginia Community College Academic Honesty and Student Conduct Central Virginia Community College Student Honor Code • • • Academic honesty is taken seriously by CVCC. The policies and procedures for handling violations are found in the student handbook. All faculty should have a statement about the Honor Code in their syllabus. Instances in which students are accused of committing infractions of the College rules and regulations are to be referred to the Dean of Student Services.
