Housing Trust
Weaver Vale Housing Trust chose Grafton as its new partner using the
Buildbase brand to provide a more effective repairs service for customers in
West Cheshire.
The partnership has seen the opening of a new dedicated stores facility at
Northwich Buildbase in Wincham, which manages the supply of all materials
to the trust’s property services teams.

By obtaining all materials directly from Buildbase, the trust’s 115 repairs and
maintenance trade staff will save time and money sourcing materials, enabling
them to provide an improved service to residents. The facility also employs
three dedicated Buildbase stores personnel whose role is solely to assist
trust staff.
Graham Roberts, director of Property Services at Weaver Vale Housing Trust,
said: “The trust is delighted to open its new on-site stores at Buildbase.
The facility will enable us to provide our customers with a fast, high quality, and
more cost efficient repairs and maintenance service.

To assist the social housing sector and produce efficiencies Grafton
is an approved framework supplier to Procurement for Housing.
This enables social housing providers to access materials via a fully
compliant OJEU framework.
Who are PfH
Procurement for Housing is the only national procurement
organisation dedicated to the needs of the social housing sector.
PfH is an essential business tool for social landlords. The
consortium generates substantial savings by harnessing the
collective purchasing power of housing organisations. By reducing
procurement costs, organisations can reinvest resources in frontline services, decent homes and vibrant neighbourhoods. Grafton
and PfH are currently delivering significant savings for housing
organisations across the UK.

OGC sets procurement policy and best practice to help the UK public sector achieve value from its spending.

B-Line rapid response and repairs is a division of Breyer Group Plc,
delivering responsive repairs and maintenance to primarily occupied
residential and public buildings for local authorities and RSL’s in the UK.
B-Line maintains more than 4,400 properties for Dartford Council
delivering both reactive repairs and major improvement programmes.
They selected Buildbase to provide a dedicated stores solution within the
B-Line premises at Dartford, supplying a wide range of materials for the
B-Line and Dartford Council Partnership while also managing the van
stock for the B-Line fleet of operatives.

100% core stock availability, as well as being supported by the
surrounding Grafton branch network giving B-Line operatives access to
over 4500 product lines locally. A full range of KPIs has been
implemented to ensure a constant measurement of performance, ensuring
B-Line meets Dartford Council’s requirement.

Where a partner requires, it may be appropriate to set up and operate a
dedicated stores at the customer’s premises or a dedicated unit local to
the housing stock. Once again these are manned by fully trained and
experienced personnel.
The stores are run as a mini-branch with Buildbase staff handling all stock
control and order processing. Suppliers and manufacturers deliver direct to the
stores with backup from the local GMGB brands.

Counter
For some of our customers a more cost-effective
solution is to provide a dedicated trade counter
service within the existing GMGB branch.
This again is manned by GMGB fully trained
staff with a dedicated area within the existing
warehouse and store for the customer’s
materials. By using the dedicated counter and
the ‘call and collect’ service, operatives
are not kept waiting to collect materials.

Purchase Cards
Grafton recognises the need for businesses to operate more efficiently and
drive down the cost of low value procurement. Through Buildbase, PDM, Civils
& Lintels brands, Grafton is able to accept GPC purchase cards and bank
purchase cards.
Purchase cards are issued by the customer’s bank to nominated staff. Each has
monthly and transaction spending limits. With your bank you can also restrict
individual cardholders to individual trade categories, e.g. office stationery
or equipment.
E-Trading
Wherever possible, GMGB businesses employ
e-trading when dealing with partnering
customers. As well as the obvious advantages
- speed and reduction of stationery and
handling costs - e-commerce has enabled the
introduction of efficient new technologies.
These include automatic document matching
of orders against invoices and deliveries,
improved visibility for supply chain transactions
and pricing and increased security.
An e-trading portal solution has been installed
which allows Grafton brands to electronically
exchange key business documents such as
orders, invoices, credits, delivery notes and
statements, with suppliers and customers.
If required electronic systems can be set up to
more carefully control stock via job numbers
and validity periods.

ID Card
SAFETY, SECURITY, VISIBILITY
The Grafton Procurement ID card is a tool that enables organisations to procure
goods efficiently and effectively. It reduces ordering time, enables faster
document delivery and reduces paperwork and administration costs.
The card empowers users with full accountability with appropriate levels of
control. Management information reports produce a clear audit trail, identify
how much was spent, on what products, date of transaction, users ID and
individual job costing data. Goods are charged to the client’s normal credit
account so no additional accounts are required. Clients are secure in the
knowledge that goods will only be supplied on presentation of a live ID card.
The card can be used at any Buildbase or Civils & Lintels depot nationwide.
Each card is logged on to the Grafton secure procurement card registration
system. Each time a cardholder requires materials the card number is instantly
checked against the live file to ensure the card is active and the user is able to
purchase on the company’s behalf.
TRANSACTION LIMITS
The procurement card system can be fully bespoke. Each card can be set
individual transaction limits for control by trade or job function.

Mobile & Web Based Solutions
Grafton is able to offer its clients an easy and cost-efficient way to manage and order van stock and materials
for use on housing repair contracts. Customers include housing associations, local councils with housing stock
and commercial contractors.
The Solution
As operatives use stock from their vans, they send an update on the PDA,
which has all the stock items preloaded, and the system automatically sends
a replenishment order to Grafton.
Benefits to Customers
This service removes the need for customers to manage their own building
materials supplies, saving the cost of running their own warehouse.
It minimises off-job time for operatives, gives fast replenishment of van stock,
and offers just in time ordering to improve cash flow. Less manual
intervention in turn reduces the incidence of human error.
iBASIS
For boiler spares parts identification, Grafton recommends iBASIS. This is
a comprehensive database of boiler and spares information for gas and oil
appliances installed throughout the UK, now available online. Whether you
are a contractor, engineer, stockist, local authority or social landlord with your
own maintenance team, the iBASIS site contains all the information needed to
rapidly and accurately identify requirements for heating boiler spare parts.
Prices updated daily – iBASIS is able to ensure that the published price on
the website is as up-to-date and as accurate as the information provided to
the trade by the manufacturers, ensuring that the trade price you see is
correct. iBASIS has a team of people ensuring the most up-to-date appliance

As a business we work hard to increase focus on the balanced consideration of
economic, social and environmental issues in making business decisions on all
activities, products supplied and services carried out by Grafton Merchanting
GB Ltd.

Sustainable Products
OUR VISION - Grafton Merchanting GB is aiming to become the merchant
business of choice for the supply of all environmental and sustainable products
to the construction industry. We will do this by focusing on our environmental
and corporate social responsibilities and through the training and development
of our staff.
Grafton works with its suppliers to develop and improve the environmental
efficiency by which goods and services are provided throughout the business.
This ensures that products are more environmentally-friendly and have less
impact on the environment, both during production and once installed.

FSC and PEFC Timber
Buildbase was the first national builders merchant to supply Forest Stewardship
Council (FSC) certified timber in most of its branches in 2004. FSC-certified
plywood is now also available from Buildbase branches. The company also
supports the PEFC (Programme for the Endorsement of Forest Certification).
At Buildbase, Jacksons, Hendricks Lovell and L&G Forest Products, FSC
‘chain of custody’ covers the origins of all redwood and whitewood planed
square-edged timber and mouldings.
Detailed documentation tracks certified timber from the forest to the logging
company, sawmill, factory, distributor and merchant.
Grafton’s policy is to ensure that its natural timber products continue to be
FSC/PEFC accredited.
The entire operation is independently audited and completely transparent
to guarantee that the timber is legally harvested and comes from a
sustainable source.
RESPONSIBLE PURCHASING POLICY
Buildbase, Jacksons, Hendricks Lovell and L&G Forest Products have all adopted the
Timber Trade Federation’s ‘responsible purchasing policy’. This demonstrates that
the business is committed to sourcing timber and timber products from legal
and well-managed forests. It also supports the UK/EU global objective to stop
illegal logging.

All Grafton merchanting GB brands are ISO 14001 certificated.
Every trading branch has a Branch Environmental Champion who is
responsible for monitoring, and managing policies and procedures contained
in the branch Environmental Manual. All information on the ISO 14001 system
is on the company intranet site and available at every branch.

Sustainable Product Solutions
Grafton Merchanting GB recognises the increasing importance of supplying
renewable energies and sustainable products for construction needs now and
in the future. In response, we have introduced comprehensive product ranges
designed to provide sustainable building solutions to the construction industry
for compliance with future building regulations. These ranges include the
provision of Solar Thermal and Solar PV, Air source heat pumps, ground
source heat pumps, Biomass heating, rainwater harvesting and heat recovery
ventilation systems.

The Grafton Merchanting GB Environmental Focus Group meets every four
months to review and discuss all environmental policies.

Waste
As a leading national supplier of building materials and
associated products it is paramount that Grafton strives
to reduce waste going to landfill while increasing levels
of recycling.
To this end Grafton has a national deal in place with Biffa, the leading mixed
waste management company in the UK, to help us reduce the volume of waste
we send to landfill. Grafton have dedicated recycling bins at most of our
locations, which has led to our recycling rates achieving an all-time high in
our business.
Future work with Biffa will allow Grafton to increase this recycling rate still
further to achieve our long term aim of zero waste to landfill.
Carbon Reduction Commitment
As part of its commitment to environmental issues, Grafton Merchanting GB is
registered as a stakeholder in the government’s Carbon Reduction Commitment.
GMGB has now been awarded the Carbon Trust Standard.
Our pro-active HSQ&E department and the Grafton Merchanting
Environmental Focus Group are constantly striving to reduce our carbon
footprint and improve our performance in other environmental areas.
Our direct carbon footprint for 2009 was 38,801 tonnes. In 2010 it was
37,648 tonnes. We have set ourselves a target to reduce carbon emissions
by 3% a year. Our tonnes of emissions per £m reduced by 6% from 2009
to 2010.
The energy consumption in our buildings accounts for 35% of our carbon
footprint. We will have automatic metres in all of our premises, which will help
us manage our energy usage more accurately.
Packaging
Our GMGB purchasing team always look to minimise our packaging whenever
we can, as long as it doesn’t compromise safety and quality; we reuse as much
of it as we can, but it is inevitable that some will end up with our customers.
We regularly monitor the amount of packaging waste we produce each year
through our links with Biffpack a recognised compliance scheme.

Grafton Merchanting GB values the major contribution that its employees make
to the success of the business. The good customer service, for which Grafton is
renowned, relies on the expertise and knowledge of its staff. The organisation
operates an active training and development programme which includes
industry qualifications and specialist training. Product champions are available
at the majority of branches.

their product sectors. This alliance with manufacturers and suppliers
ensures that Grafton has robust supply chains that are well-documented and
easily traceable.
All Grafton suppliers adhere to national or international industry guidelines
which govern safety and all aspects of manufacturing. They are also subject to
Grafton’s own sustainable development policy. This ensures that sustainable
development is a consideration at every stage of the procurement process.
The huge selection of products supplied by Grafton’s merchanting operations,
like Buildbase, Plumbase and Jackson Building Centres, range from the basic
core building materials to products and materials that are innovative and offer
the latest technology available. This is especially appropriate for the public
sector which often demands specialist products for particular applications e.g.
purpose-designed sanitaryware and fittings for public buildings and products
that require little maintenance and, most importantly, are easy to keep clean.
Product information and installation advice can also be provided.
Ethical Trading
Our ethical purchasing objective is to ensure that people in the supply chain
