CANVAS AUCTION PRESENTED BY 2016 ADVERTISER BUYERS GUIDE CONGRATULATIONS!! You are now the successful Advertiser of a Chuckwagon Team and Driver and have purchased the right to advertise on a Chuckwagon canvas at the 2016 Calgary Stampede GMC Rangeland Derby! To understand your purchase, perks and paperwork, please review this document in its entirety. We have organized the process into an easy to follow timeline format. We encourage you to submit all required forms as far in advance as possible so that we can focus on making your Stampede experience as memorable as possible. 1 FREQUENTLY ASKED QUESTIONS PAYMENT – When is payment for the tarp due? Payment for the full purchase price of the tarp is due April 22, 2016. Please see page 2. SUB-ADVERTISING – Can I share the cost of the tarp by selling nights to other companies? Absolutely! Please see page 3. TARPS – How do get a tarp made for our driver’s Chuckwagon? We have supplied you with some companies. Please see page 4. FORMS – Do I need to fill out any forms before Stampede? We require information to help ensure your Stampede experience is a great one! For a list of required forms and due dates, please see page 2. PASSES – How many passes will I receive for each night? If your tarp purchase price was over $100,000, you will receive 20 VIP passes and 25 Barn passes for each night of Stampede. If your tarp purchase price was under $100,000, you will receive 15 VIP passes and 25 Barn passes for each night of Stampede. Please see page 5. VIP AND BARN PASSES – How are they different? VIP passes allow the holder entry into the park at any gate, access to the hosting area by the Barns and Grandstand Tarmac or Infield seating access to watch the races. Barn Access passes only give the holder access to the hosting area by the Barns so these guests must pay to enter the park and pay to watch the races. Please see page 5 BARN DELIVERY PASS – What is it and how does it work? This is a delivery pass only and allows ONE vehicle to enter the hosting area through the Nat Christie Gate to drop off supplies/food etc. during very specific times during the day. Everyone in the vehicle must have a VIP pass to enter the park through this gate. Please see page 8. CANOPIES – Where do I get a canopy/tent to protect my guests from inclement weather and how big can it be? Stampede will provide one of two canopies at no cost to you: a 10’ x 15’ if you would like to have a BBQ at your space or a 10’ x 20’ if you will not be using a BBQ. Please see page 7. FOOD SERVICE – What options do we have for serving dinner? Stampede Catering is an excellent choice, but you are able to use any caterer licensed by Alberta Health Services. You may also choose to bring in your own BBQ and cook for your guests. Please see page 9. BAR SERVICE – How does the bar service work and what is the cost? CHUCKWAGON COMMITTEE ADVERTISER LIAISONS In the days immediately following the 2016 Canvas Auction, each new Advertiser will be assigned a volunteer liaison from the Committee. These volunteers are a dedicated resource for Advertisers and Sub-Advertisers as you prepare for the Stampede. Please note that most of our liaisons work full-time so their ability to conduct volunteer duties during business hours will vary. The Committee highly recommends a face-to-face meeting, as soon as possible following the 2016 Auction, between the Advertiser and liaison to develop a rapport and discuss this guide. If a face-to-face meeting is not possible, please ensure that you establish the best method in which to exchange and/or discuss information. If Advertisers and liaisons can communicate absences and respective busy times, it will also benefit this working relationship. It is imperative that the deadlines be strictly adhered to. 2 SUB-ADVERTISING OR CO-HOSTING There are two different options and requirements if you are not going to be the sole advertiser for the 10 days: SUB-ADVERTISER • You can sell off a night or nights (up to nine) to other companies or organizations by signing and submitting the Sub-Advertiser Agreement form • The Sub-Advertiser is then responsible for the production and cost of the canvas and all related hosting costs for their night(s) • The Sub-Advertiser must submit all pertinent forms to the Chuckwagon office CO-HOST • You can share the hosting space with another company or organization under your umbrella. • You will remain responsible for the hosting space and submission of all forms and payments and the drivers canvas. • You will receive all of the VIP and Barn passes and will be responsible for distributing them to your Co-Hosts as necessary. CLICK HERE TO ACCESS THE SUB-ADVERTISER FORM. 3 CANVAS DESIGN RULES We know you want to have the coolest canvas on the track, but we do have a few rules to follow: 1. Canvas designs must be in good taste and will be subject to approval by Stampede officials, acting in their sole and unfettered discretion. A photograph or electronic file of each canvas must be submitted to the Rodeo and Chuckwagon Office for approval by absolutely no later than May 31, 2016. 2. The driver’s name must appear on BOTH sides of the lower FRONT corner of each canvas. 3. Advertisers will be responsible for the cost of: a. All canvas design, sign work and production of the canvas; and b. Any special paint scheme on the wagon - with permission of the driver. 4. Signage is restricted to the wagon canvas - no corporate signage or messaging is permitted on the wagon box, running gear or equipment. 5. If choosing to attach any interchangeable Advertiser message on a common canvas, it must be no bigger than 1’ x 3’ feet and is required to be attached by Velcro along the entire perimeter. 6. There will be two 2016 GMC sponsorship decals placed on the wagon box - one on each side near the back. These will be supplied by the Calgary Stampede and affixed to the wagon box by a member of the Calgary Stampede Chuckwagon Committee. 7. All tarps must be delivered to the drivers by no later than 12:00 noon, July 7, 2016. 8. A letter (approximately 2’ x 1.5’) will be attached by the driver to the top front portion of the canvas Please take this into consideration when designing your canvas. Please contact the driver to get exact dimensions of their wagon and canvas. Common canvas dimensions are 80” x 80”. CLICK HERE TO ACCESS THE CANVAS DESIGN FORM. 4 ACCESS PASSES During the third week of June, the Advertiser Package (applicable passes, etc.) will be ready to pick up from the Chuckwagon Office. Your parking pass will be included in your advertiser package. Pass Type No. Seats Provided? Rush infield seating is limited to the top three rows but you are welcome to sit anywhere in the infield. The top three rows will be held until 8:30 pm nightly at which time, unused seats will be released to the general public. The pass also allows for standing room on the Grandstand tarmac. The Barn Access passes allow the holder entry into the hosting area back at the Barns via Stable Gate prior to the races, the Fourth Furlong gate or the Infield tunnel gate after the races. You must enter the park at one of the three main gates and pay admission before making your way to the Barns. If your canvas purchase price was over $100,000, you will receive 20 VIP passes and 25 Barn Access passes for a total of 45 maximum passes per night. If your canvas purchase price was under $100,000, you will receive 15 VIP passes and 25 Barn Access passes for a total of 40 maximum passes per night. Each Advertiser will also receive 2 additional VIP passes for your caterers. If you are not using caterers, you may use them for additional guests. You may upgrade any number of your 25 Barn Access passes for VIP Access Passes at a cost of $35/ pass/ day. Barn Passes DO NOT provide any Gate or Grandstand admission. CLICK HERE TO ACCESS THE ADVERTISER VIP PASS REQUEST FORM The Parking pass is for a designated lot in close proximity to the hosting area. You will also have the opportunity to purchase two additional passes in a separate lot. GRANDSTAND TICKETS For guests receiving the no-cost Chuckwagon Barn Access passes, standing room evening show tickets can be purchased daily from the Grandstand Ticket Office inside the park. Standing room is on the tarmac in front of the Grandstand - a great place for watching the Chuckwagon races! Grandstand and Clubhouse, seating is reserved. This a perfect compliment to your Barn Access Passes as these tickets will provide your guests with gate admission and great seats to watch the races and evening show. To purchase, contact the Calgary Stampede Ticket Office at 403.269.9822 5 2016 CHUCKWAGON CANVAS BUYER’S PREFERRED PARKING We are pleased to offer successful Chuckwagon Canvas Buyer’s theopportunity to purchase additional preferred parking on site, inventory is limited. Please note, as a Canvas Buyer you will receive one (1) complimentary parking permit for a satellite Stampede lot with your package. CONVENIENT LOCATION The Preferred Parking Lot is conveniently located inside Stampede Park. Since the parking is located inside the entrance gates, every person in the vehicle will be required to have proper gate accreditation (i.e. tickets/passes). VALID FOR ALL 10 DAYS Option 1: Purchase an all-inclusive 10 day permit. Option 2: Purchase a bundle of 10 individual day permits. Stalls are limited to a maximum of two (2) Preferred Parking permits per day per wagon, valid throughout the entire 2016 Stampede. CHUCKWAGON BARN ACCESS The Canvas Buyer’s will have vehicle access privileges to the Chuckwagon Barn area between 8:00 a.m. to 10:30 am and 2:00 pm to 4:30 pm each day to drop off supplies, etc. for their wagon outfit. Accreditation is required. HOW TO ORDER If you are interested in taking advantage of the Preferred Parking Lot offer, please complete the attached form and forward along with full payment to the Calgary Stampede Parking Department. The deadline for ordering your parking permit(s) is May 31, 2016. ALTERNATE OPTIONS For Stampede 2016 there will be alternate parking options available to you for purchase. Please contact the Parking Office or the Rodeo Office for more information. QUESTIONS? Should you have any questions regarding the Preferred Parking Lot permit offer, please feel free to contact the Parking Office at 403-261-0153 (Between the hours of 9:00 am to 5:00 pm – Mon-Friday) 6 BARN HOSTING As an Advertiser, you have the option to participate in corporate Hosting adjacent to the Chuckwagon Barn. You will be assigned a hosting space in the Barn Hosting area where you can entertain guests, clients, co-workers and family and treat them to a tour of the barns where they can meet your driver and his equine athletes. Hosting spaces are situated to allow for traffic flow and to accommodate a required fire lane. Each hosting space will be bordered by a chain link fence and an immovable safety barricade. Your Advertiser Committee Liaison would be happy to organize a tour of the hosting area prior to Stampede so you can familiarized yourself with the area. Please note that your hosting space is for you and your sub-advertisers only and is non transferable. This area is governed by a number of City, Provincial and Federal regulators. It is the individual advertiser’s responsibility to comply with all regulations and requirements. Your liaison and the advertiser coordinator can assist you in ensuring compliance. In an effort to maximize your hosting experience and to reduce the increasing risk to people and horses in the Chuckwagon Barn area, the Stampede will: • Erect a canopy over your hosting space to provide shade and protection from inclement weather. The size of canopy will be dependent upon your food service choice. • Supply signage so your guests can easily find your hosting space. • Provide a shuttle service for guests requiring assistance into the infield. • Supply garbage and recycling barrels at each hosting space • If you wish to bring in a golf cart, it must be approved for permit. The permit will be affixed to the cart upon arrival. Access is restricted to between Lot 25 and the Stable Gate (No Infield access). • Supply access to a 3-prong, 110 watt power service and potable water nearby. We ask that you keep power requirements to a minimum to avoid tripping breakers. Please bring your own power cords and individual security needs such as a BBQ lock. CLICK HERE TO ACCESS THE HOSTING SPACE REQUEST FORM CLICK HERE TO ACCESS THE HOSTING RESPONSIBILITIES FORM CLICK HERE TO ACCESS THE GOLF CART REQUEST FORM 7 MOVE-IN AND SET-UP Thirty-eight Chuckwagon drivers will be moving equipment, wagons, feed, horses, etc. into the Chuckwagon barn area prior to Stampede. For your benefit and the benefit of the drivers, a move-in schedule has been pre-arranged to lessen traffic congestion. Advertiser move-in: Monday, July 4, 2016, noon to 6pm Your canopy will already be set-up upon your arrival. You can use this time to drop off tables and chairs, put up some signage and décor and familiarize yourself with the area. Final set-up of your hosting space can be completed and food deliveries can be made on Friday, July 8th. BARN DELIVERY Each Advertiser will be given one (1) Barn Delivery pass for the 10-days of Stampede which is to be used for daily food delivery and supplies to the barn hosting area. You must have this pass to access the hosting area at the Nat Christie gate. Each person in the vehicle must also have a VIP Access pass. If you are using an outside Caterer, they will require the Barn Delivery pass as well as VIP Access passes for each day. Please note that this is a delivery pass only, parking is not included. Vehicle access is strictly enforced to the following times: July 4 Noon to 6:00 pm Move-in July 8 - 17 8:00 am to 10:30 am 2:00 pm to 4:00 pm Midnight to 12:30 am 1 pm to 6 pm Move-out July 18 Vehicles left in the Barn area outside of these hours will be towed at owner’s expense. 8 FOOD SERVICE AND CATERING OPTIONS The Stampede is strictly governed by Alberta Health Services (AHS) regulations and the Calgary Fire Department. If you plan to feed your guests there are three (3) options to choose from: 1. We encourage you to use Stampede Catering services. They are an easy and convenient option as they are located on park and are licensed by Alberta Health Services. Space is limited so act quickly. For further information, contact them at 403.261.9370. 2. You can use any outside Caterer licensed by Alberta Health Services. 3. You can bring in a standard size barbecue and do your own cooking. Tow behind or oversized units must be approved by the Chuckwagon office. If you choose option 2 or 3 on the Hosting Space Request form, you will be sent an Alberta Health Services Vendor Notification form. Portions of the form will already be filled out for you. It must be completed and returned to the Chuckwagon office by May 31, 2016. Inspections by AHS and the Fire Department will be conducted both before and during the Stampede. These inspections will assess compliance with the following regulations: • Barbecues must be one (1) meter away from all canopies. • Barbecues must be located along the fence line. • You must supply a fire extinguisher with a minimum rating of 2A-10BC • Food items and dirty dishes cannot be left in the hosting space over night • Dish washing sink units must be kept clean. • You must include a temporary hand wash station in your hosting space that includes warm water, soap and paper towel 9 ALBERTA HEALTH SERVICES (AHS) The Calgary Stampede is licensed by AHS for the overall hosting venue of H-Barn. The AHS monitors and regulates washrooms, water service, hand wash stations and dish washing facilities. Each Advertiser and Sub-Advertiser must submit the Environmental Public Health Temporary Food Establishment (Vendor) Notification form if serving any food in their hosting spot. The form will be tailored to the uniqueness of the H Barn hosting area and portions of it will be completed by the Calgary Stampede to be consistent amongst all advertisers. It will be forwarded to you once you have submitted the Hosting Space Request form. The completed form must be submitted to the Chuckwagon office by May 31, 2016. The Stampede will submit all of the advertisers’ forms to the AHS together. The Stampede will provide sink units with hot and cold running water for dish and utensil washing. They will be set-up amongst the hosting spaces. Please scrap dishes off before washing them as to not clog the sinks. Inspections by AHS and the Calgary Fire Department will be conducted both before and during the Stampede. These inspections will assess compliance with the regulations outlined here. Feedback is provided to the Chuckwagon office and a date for rectification is provided. On-the-spot enforcement may be imposed by regulators if they deem necessary. • AHS requires that all cooking/catering staff have the appropriate Food Safety Course certification. http://albertahealthservices.ca/eph.asp • If using a barbecue, it must be one (1) meter away from all canopies • If using any type of cooking device, you must supply at least one fire extinguisher with a minimum rating of 2A-10BC • Food items and dirty dishes cannot be left in the hosting space overnight • Dish washing sink units must be kept clean. • All hosting spaces must include a temporary hand wash station supplied by the advertiser. It must be cleaned and properly maintained throughout the 10 days. 10 BAR SERVICE Barn hosting access is exclusive and guarantees an experience of a lifetime for your guests! If you wish to offer alcoholic beverages in your hosting space, there are two option to choose from. Each of these options includes: bar set up, beverage refrigeration and a trained bartender exclusive to your hosting space for the hours of 4:30 to 7pm and from 9:15 to 11:00pm nightly. The AGLC has stipulated that all alcoholic beverages must be supplied and served by the Calgary Stampede. *Please note that the Calgary Stampede will compensate all liquor service and support staff working in the H-Barn hosting area. Advertisers or their guests do not need to additionally tip their bartenders. BAR SERVICE OPTION 1 A selection of beer, wine, ready to drink beverages Cost: $225 (+ GST) per night plus consumption Menu Beer (Budweiser, Bud Lite and Corona) Feature Wine Ready to Drink (Mott’s Caesar, Jack Daniels and Cola, Palm Bay Cooler) Soft drinks and bottled water 3.50 3.50 3.50 1.75 * All beverages prices include GST but are subject to a 10% service charge. BAR SERVICE OPTION 2 A selection of beer, wine, ready to drink beverages and Hi-Balls Cost: $300 (+ GST) per night plus consumption Specialty items can be pre-arranged and added to Bar Service Option #2 but extra fees associated with restocking/return will apply. Be advised that the Stampede has exclusive official sponsors and some requests may not be possible. CLICK HERE TO ACCESS THE LIQUOR SERVICE FORM 11 4.00 3.50 3.50 3.50 1.75 DAILY HOSTING ITINERARY The Chuckwagon barn is the living and training quarters for the Chuckwagon families, their horses and staff. This area is busy and potentially dangerous, particularly before and after the races. It is the responsibility of the Advertiser to ensure that their guests adhere to the following itinerary and Barn Rules. 2:00 - 4:00 pm Set-up of your hosting area 4:30 – 6:30 pm Feed your guests, tour the barn area 6:30 pm Turn off your barbecue, bar service concluded 6:30 – 7:00 pm Vacate the barn area to allow drivers and outriders time to prepare for the races Post races Return to your hosting area thirty minutes after the last heat 10:30 pm Last call 11:00 pm Conclusion of bar service Midnight The Barn area must be cleared for the night BARN RULES For the safety and comfort of guests, driver and horses please adhere to the following rules: • • • • • No amplified music Smoking in designated areas only Obey all instructions from Calgary Stampede staff, Chuckwagon committee members and riders at all times Do not touch or disturb any of the equipment or horses in this area Respect your neighbors and their hosting space GUEST MANAGEMENT The map on the next page shows the three (3) Park Entrances as well as the location of the Chuckwagon Advertiser Hosting Area. Prior to the races, your guests must make their way to the barns via the Stable Gate. When heading to the races, they can take the people tunnel into the Infield seating area or the 4th Furlong Gate around to the Grandstand and Tarmac area. Post races, you can make your way back to the hosting area the same way. Guests departing the hosting area after 10:00pm will not be able to leave through the Stable gate due to the nightly fireworks. The Calgary Fire Department designates a “HOT ZONE” which is highlighted on the map. Below are some tried and true ideas, and information on how to promote your brand at the Calgary Stampede. DÉCOR Advertisers have the option of adding decor to their driver’s barn and stall space to market your brand. Decor may include; * Flags or draping * Incorporation of an Advertiser’s colours * Signage at the end of your driver’s shed row * Name plates for the horses If you are interested in advertising your company in your driver’s barn, please keep in mind that some drivers have stall decor of their own, so it is essential that you consult with your driver before proceeding with any plans for marketing in these areas. Think of the shed row area as an extension of a driver’s personal home. Safety for the equine athletes is paramount, therefore, all decor must be prearranged with the driver. All decor must be removable to eliminate any permanent damage. No stickers please. ON-PARK PROMOTION Many Advertisers like to promote their products while on Stampede Park. All promotions on Stampede Park beyond the Chuckwagon barns must be submitted in writing to the Calgary Stampede by May 31, 2016. These requests must be emailed or faxed to the Rodeo and Chuckwagon Office and must include the following details: * Date(s) of execution for the concept; * Mechanism of employment; and * Item, signage, etc. that will be utilized to promote the Advertiser. Please note that the Calgary Stampede has existing sponsorship contracts, and that certain sponsors have exclusive rights that may limit promotion by some Chuckwagon Advertisers beyond the Chuckwagon H Barn area. Advertiser requests will be reviewed and approved within 5 business days. FLUOR ROPE SQUARE Advertisers can apply to have their company promoted during a free pancake breakfast held at Rope Square in Olympic Plaza. This event is off-park and held over seven mornings during the Stampede. Supplies and pancake batter are provided, the Calgary Stampede Downtown Attractions Committee facilitates your involvement, and the event is free to guests, visitors and business people in the downtown core. If you wish to partake in this event, it is critical that it be planned in conjunction with your driver. Rope Square is a perfect opportunity for corporate team building and interacting with the public. Likewise, your driver can meet fans and educate people about the sport. Official race wagons can not be transported from the park Other than coordinating with the driver, the Advertiser must simply supply volunteers (cooks!). In order to maintain this support, all participants, including chuckwagon Advertisers and Sub-advertisers, are expected to consistently demonstrate good behaviour and a spirit of sportsmanship, leadership and ethical conduct, to maximize the advertiser experience, and that of our guests, competitors and the fans of the GMC Rangeland Derby, through: a. Consistent demonstration of a spirit of sportsmanship, leadership and ethical conduct, all in the best interest of the safety of all participants and animals, and the integrity of the sport of chuckwagon racing, the GMC Rangeland Derby (the “Derby”) and the Calgary Stampede; b. Ensure their participation, and the participation of any and all individuals associated with their chuckwagon canvas advertisement in the GMC Rangeland Derby, is conducted in accordance with this Advertiser Code of Conduct; c. Exhibit standards of professional behavior which will maintain public confidence and trust in the integrity of the GMC Rangeland Derby, the sport of chuckwagon racing and the Calgary Stampede. 15 FIRE BULLETIN SCOB06 – 003 Re: Straw Bales used for display in public places. The Calgary Fire Department is issuing this guideline to all users and suppliers of display straw bales within the City of Calgary. 1) Bales used indoors, outdoors within 3 metres of any permanent or temporary structure, on any patio or near any heat source shall be treated and prepared as outlined in sentence (2) before being allowed into any public venue. 2) The owner, in accordance with AFC Division C Article 2.2.1.2., shall maintain a written record of tests and flame proofing treatment carried out. Treatment shall be as follows: • Straw or Hay Bales used for indoor or outdoor public displays shall be treated with a Fire Retardant that complies with CAN/ULC - S109-03 “Flame Tests of Flame-Resistant Fabrics and Films”. • All bales shall be compressed by ten (10) to twelve (12) inches and bound with steel wire or ½ inch steel banding. • Each bale shall be dried by evaporation. • Each bale shall be tagged with a non-combustible tag stating the date treated, the ULC approved fire retardant product used and the name of the company doing the treatment. • If bales should become wet, they shall be immediately removed to the exterior of the building, dried by • evaporation and retreated before being used again. • Bales cannot be broken apart to enhance the display. 3) A Fire Department Inspector may ask to test any display bale at their discretion and the bale shall pass the flame test as described in point (4). If any of the bales tested at this display fail the flame test, all bales shall be removed from the venue and be retreated prior to reuse. 4) Fire Department Inspectors will test bales to be displayed in the following manner: • Bale will be removed from the public for testing. • Ignition source will be an open flame as produced from a butane lighter. Flame will be applied for 10 seconds. • Bale is allowed to ignite, but upon removal of the flame source the bale cannot sustain combustion on • its own for more than 3 seconds. Flame must self extinguish and cannot continue to smoulder for more than 30 seconds. • Multiple surfaces on each bale will be tested and must pass the above detailed test. 5) In large open area venues where bales fall outside of the parameters of sentence (1) untreated bales will be permitted to be used under the following conditions: • Must be a large open area venue • Must be a minimum of 3 metres away from any permanent or temporary structure • Must be a minimum of 3 metres away from any heat source • Must be a minimum of 3 metres away from any entrance or exit to the venue • Must be a maximum of 5 untreated bales per group • Must be a minimum of 3 metres spatial separation between bale groups. • Any bales that become broken apart must be removed from the venue, this includes the loose straw. 6) Upon inspection, if guidelines for untreated bales are not strictly adhered to all untreated bales shall be removed from the venue. 16 PREMIUM VENUES The 2016 GMC Rangeland Derby isn’t just something you watch, it’s something you experience.
