72nd WEST TEXAS RELAYS We are looking forward to seeing you at the West Texas Relays. Please help us with the following deadlines. It is important that we have accurate information in a timely manner. Your promptness is appreciated. Thanks for your help. The Odessa Chamber of Commerce prints a program and we should have all possible participants names printed in that program. Please email us a roster by Feb 18th. Please enter all participants via www.directathletics.com by 10:00 P.M. March 3th. Packets should be picked up at the West Side Ticket office between 10:00 A.M. and 12:00 Noon, on Friday March 4th for Division II Varsity and JV, and between 9:00 A.M. and 10:00, on Saturday March 5th for Division I Varsity and JV. Team Duffle Bags and Coaches Shirts can be picked up at the West Side Nurses Station across from the Ticket Booth. All events will be final events. Shot and discus will be inspected and weighed at the south gate entrance to the shot and discus. Contestants must wear official uniforms. Contestants must wear short indoor spikes or rubber sole shoes on the runways to the pole vault, long jump and high jump. Winners of 1st, 2nd and 3rd places report to the winner’s stand for their medals immediately after their event is finished. Shortly after the completion of the meet final event results and team standings will be available on line. Coaches and contestants will enter the stadium by the northeast track gate. Coaches’ admittance will be by Blue Wrist Band and athletes must be in uniform to enter or leave. No athletes should be on the field unless they are warming up and preparing to compete. Please park buses in the East parking lot. Only participating contestants and working officials will be allowed inside the track and around the finish line and jump pits. The area on the football field between the hashes should be kept clear for contestants to warm up. No camp will be allowed on the playing field. All camps must be set up in the east stands. These rules must be strictly enforced in order to assure the contestants safety and to have an adequate and safe place to warm up. Non-participating contestants must remain in the stands. There should be no Contestants or Coaches in the roped off area in the center of the football field (except for award recipients). No electronic devices will be allowed inside the track or on the field during competition. No dressing rooms will be available for boys or girls. Each team is responsible for their equipment and valuables. A training room will be set up in the east side locker room for boys and girls but you must provide your own tape. An entry fee of $150.00 per team will be charged. Make check payable to the Odessa Chamber of Commerce. Fees are not refundable. Send checks to: ECISD – P.O. Box 3912 – Odessa, Texas 79760. Only authorized persons are permitted on or near the playing field; those in possession of a sideline pass, students in uniform and their sponsors. Spectators are not allowed on the playing field before, during or after the meet. No students or adults shall be permitted on the playing field or track prior to, during, or after the event except those in uniform. Only authorized persons are permitted in the press box. The elevator is for press box access only. Air horns (any device that uses air to make a noise that would be a disruption to fellow spectators or to the athletes on the playing field), sirens and whistles are not permitted in the stadium. No live mascots will be permitted. No Confetti, balloons or signs will be permitted. Use of tobacco is prohibited. No food or drink is allowed; this applies to all support groups as well. No food may be brought into Ratliff Stadium. Ice chests, other than those for the teams, are prohibited. No sunflower seeds are allowed. Climbing or jumping over rails or walls is prohibited. Portable seating and or furniture is prohibited. We are looking forward to having your team be a part of the 72nd West Texas Relays. How to Submit Entries - Track & Field STEP 1 - ACCESSING YOUR DIRECTATHLETICS ACCOUNT Each coach must have a DirectAthletics username and password for his/her team. If you don't know your username and password, click HERE. You will use the same account to enter all meets run through DirectAthletics. **NOTE ABOUT MEN'S AND WOMEN'S ACCOUNTS: You control only one gender at time, so you will complete the below steps for your Men, and then switch to your Women's team and repeat the process (or vice versa). The team you are controlling is listed on the blue navigation bar across the top of your account, for example: Sport: Track & Field Team: Guilford (M) This indicates that you are controlling the Guilford MEN'S team (M=MEN). To switch to your Women's team, you would select "Guilford (W)". STEP 2--SETTING UP YOUR ONLINE ROSTER Before entering an athlete into a meet, you must add all attending athletes to your roster. If an athlete is already on your roster (from previous seasons or meets) you do not need to add him/her again. 1) Upon logging in, click the TEAM tab. (New users will automatically be in the TEAM module) 2) If you have used DirectAthletics before, you will see your existing athletes on your roster. New Users should click the green "Add Athletes" link. 3) Click the green "Add Athletes" link under the Team Roster header. Select an approximate number of athletes you would like to add (you can add more at any time). 4) Enter your athletes' First Name, Last Name, and School Year and click "Submit". 5) You may add, edit or delete athletes on your Team Roster at any time by clicking the TEAM tab. To add athletes, click the green "Add Athletes" link at any time. To delete or edit athletes, check the box to the left of each athlete(s) and then click the red "Delete Selected" link or the blue "Edit Selected" link respectively. STEP 3--SUBMITTING ONLINE MEET ENTRIES Once your athletes are added to your roster, you must submit your entries. 1) In the HOME tab (under Upcoming Meets) or in the SCHEDULE tab, click the green Register button next to the meet you wish to enter. 2) If prompted, choose an entry method. We HIGHLY Recommend using the NEW, "Enter by Athlete" method. 3) Follow onscreen instructions for submitting your entries. You will see a running tally of your entries on the right side of your screen. 4) When you are finished with your entries, click the "Finish" link. 5) You will see a list of your current, submitted entries. Click the appropriate link to receive an EMAIL confirmation or a PRINTABLE confirmation. 6) To edit your existing entries, click the blue Edit Entries button next to the meet name on your Upcoming Meets or complete Schedule.
