Summer is approaching quickly, and your summer Youth Week will be here soon. Before you head off to camp, you need to know a few things in order to prepare yourself, your leaders and your students for the week. This booklet includes: Youth Weeks theme Adult leader/chaperone guidelines (make a copy for each leader before the trip) Guidelines for students (make a copy for each student before the trip) Responsibility agreement form (bring to registration) Summer missions offering information Background check policy and forms (bring form to registration) Schedule Church group information sheet and T-shirt order form (bring to registration) 1. We suggest you schedule an informational meeting with your students and their parents to explain the camp guidelines so they will know what is expected of them regarding behavior, attitude and dress. You and your leaders will be in charge of your students, and we want to be sure everyone is aware of these guidelines. 2. We need at least two volunteers from each church to help with small group studies and request more volunteers for those churches with larger groups. Volunteers from churches will be leading the middle school small groups. Our BeDoTell staff will be leading the high school groups during that time. The small group time will revolve around activities reinforcing teaching points made during the large group study times. We need two adults in each classroom, co-teachers sharing the duties to lead the study and to assist. College students are welcome as co-teachers with an older adult. We will have same-gender classes, so we will need two-person teaching teams of two males or two females. If your church does not provide multiple co-teachers of the same gender, volunteers will be paired with a co-teacher from another church. Co-teachers will teach a class of students from various churches Tuesday through Friday. *Please let my assistant, Laura Sampson, know the names of your small group leaders before May 13 by visiting www.bedotell/onmission and completing the form for background check policy & volunteer names or by calling (800) 395-5102, ext. 5566. 3. On Monday, the first night of camp, we will have a leader meeting at 6:30 p.m. to share additional camp information. Please arrange for at least one chaperone to attend the meeting in Room 101 of the classroom building, located behind Hatch Auditorium. Seating charts will be given out at this time. 3 2016 LIVING ON MISSION SUMMER YOUTH WEEKS 4. All adults attending camp must comply with the background check policy provided in this packet. The background check verification form located in the policy must be brought to camp at the time of registration. This policy can be found on page 16. For those using FirstPoint for background checks, please note the deadlines listed in the policy. We ask that you confirm with my assistant that you are aware of the background check policy by visiting www.bedotell/onmission and completing the form for background check policy & volunteer names, or by phone. 5. One of our daily camp themes involves equipping students to share the gospel. We will inform the students of an app for their phone to assist them in sharing the gospel. There may be other times that we ask them to respond by texting. We know many of you take their phones away and we are so grateful – especially anytime they are in Hatch Auditorium during the mornings and evenings. But we did want you to be aware of our promotion of using technology in a useful way. 6. Also, we are discussing ways to study the Bible during small groups this summer. It would help if every student and adult brings a hard copy of God’s Word, not a Bible on their handheld devices. We have seen a decrease in students even knowing where the books of the Bible are located. Last summer I shared that while working on my doctoral dissertation, I discovered that out of the 4,281 students from camp who took the North Carolina Baptist Youth Ministry survey, 3,744 failed the biblical literacy portion. We must do what we can to increase their knowledge of God’s Word, how to discover for themselves the truths of the gospel. They need to know how to explain that their faith in Jesus Christ is not based on their opinion, but on the Word of God. Our prayer is that all who believe in Jesus will have a foundation in God’s Word in order to stand boldly in this generation. YOUTH WEEK THEME: E V E R Y … O N E , T H I N G , D AY, W H E R E ; LIVING ON MISSION “But you are a chosen people, a royal priesthood, a holy nation, God’s special possession, that you may declare the praises of Him who called you out of darkness into His wonderful light.” 1 Peter 2:9 Each day we will look very specifically at: • Tuesday — God’s big picture for everyone Purpose: To help students see that the Bible is not a random collection of stories, but God’s big story. • Wednesday – Free to be me, everything about me is found in Jesus Purpose: To help students understand that true identity is found in Jesus Christ. This study will help students evaluate the false voices around them that distort their true value and true self and will also help students respond to truth by trusting in God’s Word rather than in false voices. • Thursday – It’s what you do every day Purpose: To help students examine their lifestyles to see if they show Jesus to others and allow Him to show off through them. • Friday – Share God’s story everywhere Purpose: To help students develop a strategy and plan to share Jesus with others as requested in Acts 1:8. 5 2016 LIVING ON MISSION SUMMER YOUTH WEEKS II. RESPONSIBILITY THREEFOLD 1. Caswell staff provides pleasant accommodations, meals and other great facilities. 2. The Baptist State Convention of North Carolina provides the BeDoTell Team (band, drama, media teams) to lead the programs, which include worship, small group study, track times and materials for church group devotions and daily quiet times. 3. Each church should provide one adult chaperone for every eight students of the same gender. Students attending camp must have completed sixth grade. 1. CASWELL STAFF YOUTH WEEK SUMMER CAMP 2. ADULT LEADER/CHAPERONE GUIDELINES Please give a copy of these guidelines to each adult from your church going to camp. INTRODUCTION Summer Youth Weeks generate years of memories for those who participate. For most students and adults, the week is a “mountain top experience” that challenges and strengthens their walk of faith. For a few others, the week is one of frustrations, strained relationships and that “I don’t want to go back” attitude. What makes the difference? The difference between a good experience and a bad experience at camp is directly related to preparation prior to the week and participation during the week. Let us share some ingredients that may help this be a positive experience for you and your church group: PRAY | Pray for yourself, leaders and students. IDENTIFY | Identify the needs of each student. WORK | Set goals for what you want from camp. COMMUNICATE | Communicate rules and responsibilities. ASSIGN | Assign eight students for one adult to pray for and develop. 7 TWO DIFFICULT ISSUES EACH CHURCH AND THEIR CHAPERONES NEED TO BE PREPARED TO DO 1. Dress Code – You are assigned the task of enforcing the camp dress code. This area causes more conflict between churches and students all summer, especially when one church decides not to abide by the dress code. Ladies, please check the dress code and make sure your girls comply with the guidelines BEFORE they come to Hatch. If one of your students arrives not properly dressed, a BeDoTell team member will approach you as the chaperone to address the issue with your students and ask you to take them back to your residence to add a sweater, change, etc. Please understand this is not the role of the BeDoTell Team. Our team is focused on seating people in order to start services on time and getting themselves prepared for the service. It is your role as chaperone to monitor your teens’ dress based on our camp guidelines. 2. Seating Chart – The main leader is asked to join us on Monday night at 6:30 p.m. in classroom 101 behind Hatch Auditorium for additional rules and information and to be given the Hatch seating chart and wrist bands. All attendees will be given color-coded wrist bands that must be worn at all times and will designate the area of the auditorium your group will be sitting in each day. We rotate where churches sit so that no one is always seated in the back. There are no “bad seats” because of the large screens that televise the services. Seating is a difficult issue in that over 1,000 people must be seated in under 15 minutes. It is important for everyone to work together to make this work smoothly. Our BeDoTell Team will be on hand to assist your group as you enter – we are in partnership with you. It’s amazing how fast a negative spirit can ruin the atmosphere and even the attitudes of an entire group. Our desire is for your group to be seated together and to be able to hear and see well. When you arrive at Hatch Auditorium, go to the back of the line that is formed behind your assigned color cone that coordinates with the wristband color your group is wearing. Please do not cut line or stake out a couple of people to go early and save your spot in line. Ask all your group to arrive together, enter together and sit together. We thank you in advance for your help in making the services – and entrance to the services – a pleasant, God-filled experience for everyone. I V. L E A D A D U L T C H A P E R O N E , Y O U T H D I R E C T O R OR YOUTH MINISTER — PRE-CAMP 1. Before going to camp, plan to have at least one meeting with all students and adults who will participate in the Youth Weeks camp, as well as parents. 2. Share the pre-camp devotion together (found in the church group devotional guide). 3. Prepare the items you will need to take to camp, including what you will need for church group devotions each night. A list of supplies is given in the church group devotional guide. Also, you may wish to include a snack for the devotion time. Consider bringing water and coolers for your group – it’s hot at Caswell! Lastly, print a copy of the “Monday Quiet Time” for each person to complete on the trip to camp. 4. Discuss responsibilities and expectations, including behavior and appropriate dress, with all participants. A. ADULT EXPECTATIONS 1. There must be one adult chaperone, age 21 or older, for every eight students of the same gender. A group of male and female students must have at least one male and one female chaperone. The chaperone(s) must reside with the group and supervise the group’s participation/activity on and off campus. 2. All adults attending camp must have completed the background check procedure as outlined in the background check policy included in this packet on page 16. 3. _Adults should be adults! They should model the behavior and participation that is expected of the students in worship, in study, at play, while dining and in the residence building. 8 B. ADULT RESPONSIBILITY 1._ Assign each adult specific teenagers they are responsible for during the week. For example, one female chaperone will be assigned up to eight girls. Make sure you have assigned places to meet before each activity in order to keep up with your students. 2. During the morning and evening, adults should be with their students during quiet time (8:30 a.m. - 9 a.m.), with their church group in morning wake-up (9 a.m. - 9:25 a.m.) and morning celebration (11:15 a.m. - noon), and all adults should be in evening worship with their students (7 p.m. - 10 p.m.). Church groups will sit together in their assigned areas. 3._ An adult study is held at the same time as student small groups. The adult study and training will be a special time to help you minister to teenagers as well as help you in your spiritual journey. 4._ The behavior of your teenagers is your responsibility. Please ask them to be quiet. If need be, ask other students who may be a distraction to your group to be quiet as well. 5._ Please help us enforce the appropriate dress policy at all times. This is a Christian camp, and we want to ensure that our dress is modest. Each student should have received a list of appropriate dress. 6._ Be an encourager. Discover special things about the students from your church, and then let them know you appreciate that special part of who they are. 7. Know who in your assigned group has made a personal commitment/profession of faith in Jesus Christ. 8. Pray daily for each person under your responsibility. C. SMALL GROUP STUDY LEADERS 1._ We need at least two volunteers from each church to help with small group studies and request more volunteers for those churches with larger groups. Small group sessions are 55 minutes Tuesday through Friday mornings and are composed of students from various churches. 2._ All materials are provided for you and must be followed during small group study time. We have included a Q&A section to help you understand your role as a small group study leader. *Q&A for Small Group Leaders How many small group study co-teachers does my church need to provide? We need a minimum of two volunteers per church, and if your church has four or more adults coming to camp, we would appreciate more than two volunteers. College students ages 18-21 are welcome as co-teachers with an older adult. One can teach and one can assist, or both can teach and swap out days, but two adults must be in the small group studies each day. This should be considered when choosing your chaperones. If you bring an even larger group, it would be helpful to provide more volunteers. When churches provide volunteers, we are able to keep camp costs lower by not hiring additional staff. All volunteer small group leaders will teach middle school age students this summer. Our BeDoTell staff will teach high school. We need same-gender teaching and assisting this year: Adult ladies will teach the girls, and adult men will teach the guys. How old do you have to be to teach? You must be 18 or older. Background check information is not available to the public on a minor. All chaperones, whether teaching or not, must have background checks. (For attendance at camp, all adult chaperones must have a background check completed.) Can husband and wife teach together? No, because of gender-specific classes and legal issues in which a husband or wife cannot testify against their spouse. If an issue were to occur, we would be unable to properly pursue the issue without accounts from minors. Can I choose who I want to work with? Yes. Please let Merrie Johnson’s assistant, Laura Sampson, know the names of your small group leaders before May 13 by visiting www.bedotell/onmission and completing the form for Background Check Policy & Volunteer Names or by calling (800) 395-5102, 9 ext. 5566. You can specify whom you would like to work with at that time. Please keep in mind that we need same-gender coteachers this year: Adult ladies will teach the girls, and adult men will teach the guys. What if I don’t have anyone to work with? You will be paired with another volunteer when you get to camp. What is the difference in responsibility for the co-teachers? Co-teachers can share the teaching responsibility, assigning specific days or portions of the lesson to each teacher, or one leader can be designated as the lead teacher who is primarily responsible for presenting the small group study and facilitating questions, with the other leader as the assistant who handles much of the crowd control and discipline. This will be discussed between the co-teachers prior to small group time. Where can I get the small group study materials? These are available at our website, www.BeDoTell.com. Under the events tab, select “Summer Youth Weeks” and scroll down the page to download a copy of the small group study. In an effort to reduce camp costs, we no longer mail hard copies. If you have trouble downloading the material or do not have access to the Internet, please contact the Youth Evangelism & Discipleship office at (800) 395-5102, ext. 5566 or [email protected]. Do I have to get the supplies and bring them to camp? No. The camp provides these to you. Each small group teaching team receives a resource box that contains all supplies needed to teach each lesson. This box is given to you at the Monday meeting at 4 p.m. You will only need to bring your copy of the small group study. What if I have never taught a small group before? Talk with your pastor or youth pastor. They should be able to provide you with training or literature. Information is also available on websites such as www.LifeWay.com and www. SimplyYouthMinistry.com. The small group study material is designed to be extremely easy to follow and teach. D. SKATEBOARDS, CD PLAYERS AND LASER POINTERS These items are not allowed. The prohibition of skateboards is for safety reasons; the prohibition of the large portable radio system is to respect the airspace and noise level of other people and other church groups; laser pointers are distracting and blinding and may be confiscated by a program leader if necessary. (If a leader needs a CD player system for programming, this is understandable and acceptable. Please bring a small CD player and be responsible for how and when it is used.) E. SMOKING Each church may have a policy in place regarding underage smoking and tobacco use. Please be aware that underage smoking is illegal. We remind you that the camp policy states, “Smoking is prohibited in any building on campus.” We further request that any adult smoker do so in designated areas only. Please refer to www.fortcaswell.com to find those locations. F. CELL PHONES The use of cell phones is up to the discretion of your church. Please make sure they are not brought to worship or small group study. This may mean you have an adult chaperone collect them as you enter worship or small group study. 10 G. APPROPRIATE DRESS 1. Please review the dress code guidelines, available with camp materials received from our office and online at www.BeDoTell.com. 2._ When not at the beach or pool, wear cover-ups over one-piece bathing suits or tankinis. Please, no two-piece bikinis. 3. Do not wear T-shirts or other clothing with offensive language, advertisements or pictures. 4._ Remember that the evening service is worship, so dress appropriately. This means no short shorts, tank tops or oneshoulder/halter/strapless tops, including tops of dresses. 5. Spaghetti straps are to be two inches wide. 6. Shorts must be fingertip-long: With your hands down by your sides, your fingertips must be touching fabric. 7. No hats or caps are to be worn in worship – morning or evening. 8. No bare feet in the cafeteria, Hatch Auditorium, or the classroom building. 9. Please remember to monitor your group so others will not complain to camp staff. H. AFTER HOURS 1._ The program schedule is designed to give you adequate time to have church group devotions, clear the campus and get ready for bed before lights out at 11:45 p.m. 2. _Church group devotions should be over by 11 p.m. Groups assigned meeting places for devotions outside their sleeping areas should move quickly at 11 p.m. to their housing. 3. C _ amp staff will expect the campus to be completely cleared shortly after 11 p.m. If lights remain on after 11:45 p.m., this will be an indication that you need help, and someone will check with you. 4. Doors to the classroom building will be locked at 11:15 p.m. 5. I_f your students are found on the grounds after hours, security will bring them to you. Before the fact, please decide on appropriate discipline for this trespass and communicate it to the group before the first night (or even better, at the pre-camp meeting), and be prepared to take action as needed. 6. I_f you are staying in the barracks at Caswell, please help us enforce the lights out and quiet time rules. If your group is not trying to sleep, others who are will be affected. Teamwork among the adults will go far in helping all enjoy camp to the fullest. I. MORNING QUIET TIMES AND CHURCH GROUP DEVOTIONS Materials for morning quiet time, small group study, morning celebration, evening worship and church group devotion are all related and focus on the camp theme. 1._ Morning Quiet Times should be completed before coming to Hatch. Please help students find the time around your breakfast schedule to do these. They are located in their student workbooks. There is a quiet time for Monday that we provide for you to copy and allow them to do on the trip to camp or to find a place once they arrive at camp. 2._ The church group devotion is not an afterthought at the end of the day; rather, this material brings together what has happened during the day and provides opportunity for reflection and personal or group application. We encourage you to use the devotional material prepared. You may choose to lead this time yourself or ask one of the adult chaperones to be responsible for this material. Either way, it will require that you familiarize yourself with the material and prepare for this prior to leaving for camp. (Note — the church group devotion material includes items to bring with you to Caswell.) 11 J. POST-CAMP What happens when you return home is just as important as what happens at camp. Please begin planning now for how you might follow up on what happens in the lives of your students at camp. 1. Pay particular attention to those students who make decisions concerning their Christian faith. Find ways to help them apply their camp experiences to their everyday lives. 2._ We provide a sample worship/sharing outline that can be used on your return to give students an opportunity to share back at home what they learned at camp. 3._ Also included in the student workbook are two extra weeks of quiet times to help students continue to make their time with God a daily reality. Studies have shown that it takes 21 days of repetitively doing a task to make it a habit; we want to help our students make daily quiet times with the Lord a habit! 4._ On the last day of camp, if you have students who have made professions of faith or feel called to ministry, you will be given resources that will help in their continued spiritual growth. The book, “New,” is for first time decisions and the CD, “Discovery,” is for those being called to ministry. 5._ Commitment cards will be given to you on the last day of camp for you to follow up with the individuals from your church who make decisions and commitments. K. ONE DISTURBING NOTE — PLEASE READ! Every year, there is a waiting list for summer Youth Weeks. Space is reserved for those who participate in the program and take care of the facilities. Thus, if a church group consistently or flagrantly disregards the guidelines, it will be denied a reservation the following year. L. MOST IMPORTANTLY 1. 2. 3. 4._ Bring a good attitude, openness to hear God’s voice, flexibility and a prayerful spirit. God is going to do a mighty work. Be prepared to pray daily for your group members. Find out all you can before you come as to where the students are spiritually. Let us know upon your arrival the names of those who have not committed to a personal relationship with Christ. Let us know those who will need our special attention and prayer. The BeDoTell Team has prayer times at 8:15 a.m. and 6:15 p.m. every day and wants to pray for your group specifically. These are the ingredients for a successful camp experience. We pledge to do our part in preparing for a good experience, and we trust you will do the same. S T U D E N T G U I D E L I N E S *Print and read the guidelines below with your church group before you go to Caswell. These should help you in packing and in understanding expectations for the week. A. DRESS CODE Please dress appropriately for a Christian assembly at all times. We like the fact that the 1,000 people who will be with you at Caswell are a very diverse group of people. However, this means that things that might not bother you may offend other people. OTHER GUIDELINES 1. Caswell has a designated beach area and a swimming pool with qualified lifeguards on duty in the afternoons. Swimming in other areas is extremely unsafe because of the strong undertow. 2. For safety reasons, no one is to go into or on top of the forts after dark. 3. The beach is off limits after dark. 4. _If you get hurt and cannot find your counselor, go to the first aid station at the Reception Center, or send a friend there for help. 5._ If you lose your meal ticket, you may get a new one for $1 at the Reception Center (the small building where your group registered the first day). 6._ Please bring a Bible. You will need to have your own Bible during morning quiet times, daily group studies and other times during the week. Write your name, church and town in your Bible. Don’t forget to bring a pen. 7. Please do not bring expensive jewelry or large sums of money. 8. Skateboards, CD players and laser pointers are not allowed. 9. No smoking. Please be aware that underage smoking is illegal. 10. Drugs, alcohol, firearms or fireworks are also illegal and are not allowed. 13 2016 LIVING ON MISSION SUMMER YOUTH WEEKS VI. RESPONSIBILITY AGREEMENT FORM (Please bring this completed form with you to registration.) I have read and distributed the material appropriately to our leaders. We understand that as leaders, we are responsible for working with our students to ensure that the camp rules are upheld so that our focus may remain on Christ. Our students have received the camp rules and will hold accordingly to those rules in their daily routine. _______________________________________________ Church ___________________________________________ City _______________________________________________ Pastor ___________________________________________ Date _______________________________________________ Youth Minister/Youth Leader ___________________________________________ Date 14 2016 LIVING ON MISSION SUMMER YOUTH WEEKS VII. 2016 YOUTH WEEKS MISSIONS OFFERING During the summer of 2015, campers at all seven Youth Weeks packaged food to help alleviate hunger in Haiti. Thanks to the hard work of campers and their giving hearts, we received $75,269.08 in offering! This allowed us to meet our goal of purchasing and packaging 250,000 meals. We have now packaged 1,250,000 meals for Haiti at Summer Youth Weeks – Go God! He provided in 2015; are you ready to see what God can do through you in this offering in 2016? This is our sixth summer packaging meals for Haiti. We have worked with Change This World, which has now partnered with Feeding Children Everywhere to reach more countries as well as the U.S. We are once again planning to package 250,000 meals. Each meal costs 25 cents, so our total offering goal is $62,500—or $7,813 each week of camp. We know this can be done – it’s a God-sized task, but the students who have attended Youth Weeks the last four summers have proven that we can meet the challenge! We are not only packaging food to feed the hungry, we are also providing a way for the gospel of Jesus Christ to be shared with those receiving the meals. These meals are cooked in schools, in communities and in hospitals in Jacmel, Haiti. We are asking youth groups to start NOW in helping to reach our goal for 2016. Plan a night to decorate containers with pictures from www.FeedingChildrenEverywhere.com, collect change from now until camp and bring it with you to Caswell. Hold a fundraiser where the proceeds will be used for the 2016 missions offering. We offer appreciation to the many churches that received special offerings during Vacation Bible School to help reach our goal in 2014 and 2015. Our partnering ministry in Jacmel, Haiti, is the House of Abraham. God has given them a vision to not only help feed those in their community and to raise children to be future leaders, but to also educate others in learning a skill in order to get jobs to provide for their families. Any additional offerings we raise this summer will go for other projects at the House of Abraham. We want this continued partnership to rebuild Haiti one meal and one person at a time. BACKGROUND CHECK POLICY Please read the following background policy information below issued by John M. Butler, executive leader of Business Services for the Baptist State Convention of North Carolina. The forms mentioned can be found in this document. To:Churches providing volunteers for events for children, youth or developmentally challenged adults From: Baptist State Convention of North Carolina (BSCNC) Date: All 2016 camps and conferences Background checks on all adults – anyone under age 18 cannot be a volunteer from a church or chaperoning a group — who will be chaperoning, participating in group activities or accompanying children, youth or developmentally challenged adults from your church to BSCNC events are a necessary part of protecting them and your church. The Baptist State Convention believes that you, as a church, need to know that you are doing everything you can to protect the children, youth and developmentally challenged adults of your church and also the assets of your church. It is our hope that you have already put in place a policy that requires background checks for anyone working with children from cradle roll up to those who have reached age 18 and developmentally challenged adults. The Baptist State Convention must have a form from your church on adults who are attending or working at such events. We have formatted a sheet on which you can list people who have had background checks and are cleared to work or chaperone. It will be the responsibility of your church to get the background checks completed on all adults going with your group at least one week prior to departure. Any adult from your church working or chaperoning children, youth or developmentally challenged adults whose name is missing from this sheet will not be allowed to stay on the premises where the event is held or to work with the event in any capacity. This must be done for the protection of all attendees, your church and the BSCNC!! Your church can choose any background company that you like. The BSCNC realizes that if you have not done background checks in the past, you may need to get in touch with a reputable company. At the BSCNC, we have used FirstPoint Resources in Greensboro, N.C. Scott Hall, manager of FirstPoint Resources, is a Baptist and he attended North Carolina Baptist Assembly as a youth. Scott has told the BSCNC that he will give churches a special rate of $10 per person for a criminal background check and a sexual misconduct check. That is a real bargain!! FirstPoint does charge a one-time $25 set-up fee, and FirstPoint requires an on-site inspection to be sure that the information you receive is safeguarded both for the potential volunteers and for your church’s security. FirstPoint will arrange with your church for the on-site inspection. Questions should be directed to Scott Hall – not the Baptist State Convention. 16 Scott has asked the BSCNC to emphasize that FirstPoint needs time to set up your account and complete the background screening reports. You cannot call them on Wednesday or Thursday to set up a new account before volunteers are leaving on Sunday or Monday to go to camp or a Deep Impact event and expect to have the reports back. Please contact them to set up your new account a minimum of 30 days before your volunteers leave for camp. Then, FirstPoint should be able to process the background checks within a 6- to 10-day time frame. For those who routinely drive to such events, you may want to also include a driving record – that would be an additional expense. If you would like to use FirstPoint, you must call Scott Hall directly at (800) 288-7408 ext. 3037 or email at him [email protected] to set up an account for your church. Please identify yourself as a church that received the letter from the BSCNC regarding adults helping at events for children, youth or developmentally challenged adults. For your convenience, I am attaching a FirstPoint form (use this form only for FirstPoint Resources) that every candidate will have to complete VERY LEGIBLY. If it is not highly readable (all numbers and letters must be clear and readable because FirstPoint does not know your name, address, etc.) when faxed to FirstPoint, your staff will be called to clarify information, or you will have to ask the adult to resubmit the form to you. You will need to maintain a file with copies of all forms and a copy of the report on each person cleared in the background check. This will be valuable information in a court of law should your church ever be sued for the actions of any adult working with children, youth or developmentally challenged adults. Again, I remind you that you can choose any company you wish to do the background checks; however, the names of all adults attending these events must appear on the form to be presented to Registration when your group arrives at the site of the event. Parents can order and pay for merchandise for their students, and the merchandise can be picked up the week of camp. B. ONLINE STREAMING OF EVENING SERVICES AVAILABLE Tuesday through Friday evening services are available for online streaming each week during the summer at www.livestream.com/bedotell. The last week of camp, we will livestream the services for all five nights – Monday through Friday, August 1-5, 2016. 23 2016 LIVING ON MISSION SUMMER YOUTH WEEKS XII. CHURCH GROUP DEVOTIONS Each day at camp concludes with your church getting together to reflect on the theme of the day and what the students may have learned that day. You will gather your students in your house or if you are staying in the barracks, a classroom building room will be assigned to you at registration. We have written a devotion for each day to be used during your time together. It continues with the theme for the day as well as introducing what may be coming the next day. The Church Group Devotion booklet is available for download at www.BeDoTell.com or upon request from our office. Please make copies to share with the adults who will be leading in this time for your own youth group. Some churches ask the older students to help with this time in leading as well. Some supplies are needed, so make sure to read this before you arrive at camp. Also, host a meeting before you leave for camp for parents and teens together by using the pre‐camp devotion to guide you. Invite a notary to this meeting and have all your forms notarized at once. 24
