Foreword
On the basis of the experience gained from SMS@WEB and PCD@WEB, SalesPlus has been
developed an optimal tool for the handling of all quotations and orders.
Orders for complete installations as well as single components can be handled by one login and in
one system.
The customer- and project data have been extended and the calendar management makes it
possible for efficient customer care. Futhermore, it is possible to check the processing status of all
your orders online at any time.
With the help of the integrated product configurator, you can easily create your quotations quickly
and get professional quotation documents for your customers.
The integrated section of “parts/info” provides comprehensive information data bank on parts,
accessories and hygiene products which can be ordered directly, quickly and in an uncomplicated
way.

Some information before starting your work:

SalesPlus is optimized for a screen resolution of 1024 x 768.

The Microsoft internet explorer is the only web browser which should be used to open the
SalesPlus website. Other web browsers may open SalesPlus but may not allow all
applications to work properly with the program. Some functions might be lost and available
controls could be restricted

If you wish to add SalesPlus to your favorites, please proceed as follows:
After having selected “Add favorite”, click on the link which is saved under “favorites” with
the right mouse button. Then click on “properties” and enter the following URL address:

1. Login to the system
1.1 Login via the Extranet
Via your login for the GEA Farm Technologies Extranet, you can also log into SalesPlus
automatically.
www.salesplus.gea-farmtechnologies.com.
Choose your country and get to the Extranet by clicking on “Login“.

In the register “My GEA FarmTechnologies“, you can then select SalesPlus and start.

If you do not want to login via the Extranet, you can directly login into SalesPlus as follows:

1.3 Change of your password
In order to change your password, please enter your username and the password you received at
the beginning. Afterwards click on “Kennwort ändern”.
In the screen shown below, you can now type in your new password and enter this in “Neues
Kennwort” and “Kennwortwiederholung”. Then please cklick on the button “Ändern”.
You can directly use your new password for the next login.
Hint:
Please consider the following recommendations when choosing your new password:
 Mix of upper and lower case, figures and special characters
 Keep password a secret
 Do not hand on password

2. Settings
If you work with SalesPlus for the first time, please click on “Settings“ in order to save your
individual data there:
Make sure the right time zone is selected for your location.
By clicking the option “do not add up amounts“, every part number which is entered more than once
in an order, will be saved as a single entry.
By entering figures in the fields “margin in %”, you can define the %-margins you want to insert into
your price calculations by default. This figure can be changed again at any time.

3. Customer data
Under the tab “Customer“ you can enter and manage your customers.
You can call up all customers or start with particular initials in the overview. To create a new
customer, just click on “New Customer” and follow the next steps.
3.1 Address
If you want to enter a new customer or administrate an existing customer, you have the following
options for your general customer data:

3.2 Partner data
Here you can make notes or administrate your custom´s data. Under “partner data” you can add
contact persons of the customer like owner, milker, technical contact and so on.
3.3 Equipment Details
On this page you have the possibility to manage information about the installation of the customer.
If you want to contact the customer at a certain date, you can enter a “reminder date” in the field
“Date of call-back“. This will be transfered automatically to your calendar.

On this page, you have the possibility to add further information on the customer‟s installation.
It is possible to add information on the bulk tank and its cleaning and information on the heat
recovery system by “Add new line“.

4.3 Local Labor Data
Similar to local parts, you can also define local lobor data and add those to your quotations.
Data which have already been entered can be changed directly in the overview or be deleted if
required.
In order to enter another service, please click on
the line which will appear. You have to enter the price yourself.

4.4 Payment conditions
Here you can save your conditions of payment individually, according to your line of products for
example.
To create a new payment condition, first click the button
. Now you can give
your payment condition a description.
You can now enter your payment condition into the field under the description.
Then save your data.
Later, you can use those as predefined text modules for your quotations:

5. Calendar
In the calendar, the appointments which have been set up in the quotations or in the installation
details of the customer are saved automatically as a “commemorative date“.
Days for which an appointment is saved, are displayed in green in the calendar.
By clicking on the month you will see a list of all appointments e.g. May. If you click on the week
you will see all appointments of that week. By clicking on a single date you will see all appointments
for this day.
For every appointment, the title of the configuration and the name of the customer are displayed.
By clicking on the title in green, e.g. EuroClass 800 2 x 15, you can directly go to the corresponding
detail with a hyperlink.

6. Order status
To see the status of orders which have already been sent, please click on the tab “Order status”
and choose the year in which the orders to be checked, had been entered - in this example 2009.
SalesPlus now shows you all orders belonging to your customer number.
6.1 Overview of all orders
In this overview you will see all important information about your orders like order number, creating
date, order type or amount. If you click on the order number, the order details are displayed at the
bottom of the screen.
Status: There are shown 4 different stati:

This order has already been commissioned and the “shipment” was booked.
Black date: The desired delivery date is in the future.

Red date: The desired delivery date is in the past and at least one position is
missing!

These orders have been canceled.
You can see from the order details, which positions of an order with a black or red date
have already been delivered and which have not.
Sort: By klicking the two arrows
, you can sort the orders up or down as you like. You have the
possibility to sort by the GEA order number, by the date the order was saved, by the type of order,
by the amount, by the status or own purchase order number.

Exporting the order details as XLS or XML:

With the drop down button you can choose in which shopping basket you want to move the part
numbers. The whole order will be copied and then can be edited from you.
This function only works for spare parts orders, not for configuration orders (Type: SalesPlus)
With this function it is very easy to make one order many times in less time for example monthly
detergent orders.
6.2 UPS Order Tracking
When you open an order where UPS has been selected you will find a new area on the right side
named “Order tracking”. There you will find the UPS icon and the UPS number. If no UPS is
selected this area will not appear.

6.3 Downloading order confirmations, delivery notes and invoices
1. Confirmation of order:
You have the possibility to download an order confirmation to each order as XML if you click on:

Additionally to “order confirmation” you will find „deliveries/invoices“:

 The delivery note can be downloaded as XML file.
 Exact information about delivery date and delivery amount.
 Several deliveries are listed separately.

Explanation to XML
The Extensible Markup Language (XML) is an international format, which structures text-data
according to defined rules. XML can therefore be used to exchange data between different
computer-systems via the internet.
What can the XML file from SalesPlus be used for? You can transmit and import SalesPlus-data
to a local ERP system of a subsidiary without SAP or to a dealer owning his own ERP system.
Many ERP systems have a XML interface and can be used for data interchange that way.

 Dealer of GEA, who want to transmit quickly their order data and invoices to their own ERPSystem.

7. Parts/Info
This part contains all spare parts of GEA Farm Technilogies which could be important for you. Here
you can search for spare parts, request further and order them.
7.1 Search for parts
You have several possibilities to search for parts. You can search by our product tree (see 7.1.1)
or even directly search for parts. (see 7.1.2.)
7.1.1 Search by the help of the product catalog (PSC)
On the left, you can search for items by using the product catalog list and by clicking on a product
type. It will open up more options until you get to item level.
Installations
Spare parts
Generally the components can be found in the field of the installations. This means: here one finds
e.g. the complete vacuum or milk pumps which can also be ordered generally/currently in the
configuration of an installation. You will not find an old „Autotronic“ pulsator here. Often, exploded
drawings of components which are helpful for the further search are stored here.
The area spare parts is sub-divided in a more detailed form. For example in the field of “Spare
Parts Milking Equipment“, it is subdivided in functions per milking parlour component. Here, one can
easily find parts for an “Autotronic” pulsator which can still be ordered. In the field of the spare parts,
there are parts which can only be found in one particular component (special parts) or parts which
are used in various ways - that means in various components (general/others).
Now, you have different options to find parts if you do not know exactly the material number or
description. Either you choose point spare parts directly or you navigate through the component
fields.

b. Search path directly via the menu item “Spare parts”
When searching via the product catalog the “search path” is always shown above the products
which were found:
Within the “search path”, you can directly go back and modify your search in order to search your
required parts in another search area e.g. animal comfort – ventilators - other variants.
In order to search in excess of the current categorie, use the drop-down menu on the right of
“search” and change to “global search”. In this case the complete field of components and spare
parts is browsed.
Note - limit search – global search
On the right side you see a box which is limiting your search to the categogie where you are
in right now. This will improve your search and will save time because you are searching
only in one special area.
If you want to search in all products of GEA Farm Technologies again please change to
“global search”.

7.1.2 Full-text search
The search criterion is entered at the surpreme level for an effective search. In order to do so, one
has to click on Start, so that the whole search tree can be seen.
Now you can enter every incomplete search criterion in the search box, sizes/dimensions or part
numbers (or a combination of that) by using one or more asteriks (*).
If you want to search for parts but you only know part of the search criterion, please write an
asterisk (*) after the word. In the example above we search for pulsators.
If you enter an asterisk in front of the word additionally, all articles containing the word pulsator are
listed.
You also have the possibility to combine several serach criterions. If you search for all “diodes“ with
“40A“, please enter an * in front of and after the word “diode“, as well as an * in front of and after
“40A“. There should be two blanks between the asterisks.
The same procedure can be applied for part numbers and incomplete part numbers.

Note
The deeper you go into the search area, the more limited the search for parts is. If you only
want to search for pulsators in the field of “Constant Cows” for example, the system only
searches there. The advantage is that you get a result very quickly as the sytem only
serarches for a few part numbers in a narrow field.
But you can also opt for a search in the complete product catalogue by changing the search into
“global search“ (drop-down menu):
The search takes a longer time as the system browses the complete field of components and spare
parts. But this way, all parts which start with “Pulsat“ are listed
.

7.1.3 Symbols
In the product catalogue, several symbols are used which will be explained here briefly.Depending
on the products different symbols will appear.
Additionally to the symbols, these information are displayed for each part: part number, description,
material dimensions, weight, discount group and price.
Bill of material – Breakdown in sub-itmes, parts marked in grey will not be delivered
with the rest, but have to be ordered separately.
Complete list of spare parts (all spare parts).
Used by – List of the parts which contain this part.
Enlarged picture is shown on the right side.
Additional information concerning the material, e.g. part number was replaced by
another material or a part number must be ordered in units of 10 pieces.

A detailed drawing of the material is available. If you move the mouse over the
drawing, the correspondant parts are highlighted in the bill of material (see below)

If you open the drawing of a part number and move the mouse over the position numbers in the
drawing, the corresponding part numbers on the left (in the bill of materials) are highlighted in

In order to mark all positions at the same time and to delete them if required, please use the

If there are any products in the shopping basket, you have the possibilities as follows:
1. Move artikels into another shopping basket – see description below.
2. Change quantities – enter the correct quantity and then click ”Refresh“
3. Delete one or more lines – tick the box left to the part number to mark the line, and then click
„delete“.
4. Add a cell for comments – Here you can enter comments in each line, e.g. position 1 for
customer A and position 2 for customer B.
Important: These comments are intended only for internal use and will not be transmitted to
GEA Farm Technologies.
5. Sort the order – You can sort every column, which contains an up- and down-arrow.

Hint
Not all material numbers, which are entered in a list of parts or in a drawing, or which were
found by searching, are displayed with price- and shopping basket-symbol.
These part numbers are invalid and therefore unsaleable.
That is why these parts can not be ordered and not be imported into a shopping basket.
If there is a spare part, the symbol advises you of further information:

6. Excel-export of the shopping basket
The data of the shopping basket can be exported by clicking top right
in a CSV file, which you
can edit with MS Excel.
The file looks as follows and contains all information from the shopping basket including the notes
and headlines.
So you can…

…export the shopping basket as a CSV file.

…print the shopping basket before sending
3.
…transfer the order into your ERP system
4.
…send the file to another SalesPlus-User. The other user can, in turn, use the file for the
upload in SalesPlus and complete the order.
5.
…print the notes for each line, to be able to allocate easier the order to the customer.

7.2.2 Entry of an order
There are three options to enter an order; manual entry, upload of an external file and directly via
the spare parts catalog.
7.2.2.1 Order via the spare parts catalogue (PSC)
In order to move the desired position into the shopping basket, click on the symbol for the shopping
basket. If there is no shopping basket next to the position, the article can not be ordered. There can
be different reasons for that. A note symbol may indicate a replacement number which you can
order instead.
After having clicked on the shopping basket, you can enter a quantity and choose a shopping
basket. If you choose 5 pieces for example, this volume is adopted to the shopping basket “Daily
Order”.
If this part was not the desired part, simply click on “Start“ or “Search“ in order to start again.

7.2.2.2 Manual entry
First, choose a shopping basket. In this case the shopping basket “Daily order” was choosen. You
can recognize this by the grey shading.
The bar for quick entry then appears at the bottom of the screen.
Enter the desired quantitiy and part number and then click either on the green + or tap Enter. If you
do not enter a quantity, the quantity 1 is choosen automatically. In order to switch from field to field,
use either your mouse or the tab button. If there is a minimum order quantitiy, SalesPlus corrects
your entry according to the requirements.

7.2.2.3 Upload of external files (CSV; TXT; XML)
The button “Upload file” enables you to import an order. You have the choise of 3 different formats
to do so which you find enclosed. The file, which has to be uploaded, first has to be created and to
be saved on the computer. After that is done start the upload. Below you see the procedures for a
CSV file, a txt file and XML file.
1. CSV files
We recommend you to use the format CSV (comma separated value) for the upload of a file. The
easiest way to create such a file is to use Microsoft-Excel. In the file, the quantity should be
indicated in the first column, the part number in the second and any comments in the third.
SalesPlus automatically adds the part description after a successful upload.

Please save you file as follows in Windows Vista and choose the type „CSV (MS-DOS)“:

Status of import:
Subsequently, you will receive an exact feedback concerning the import status for every single
position:
Part numbers which are not accepted for one shopping basket because of particular restrictions are
directly moved into the shopping basket “File system”. From there, you can move the part into the
adequate shopping basket.
Advice: OK – The material was transfered, so that the material number will be transfered into the
shopping basket.
Hint: The amount of the order was adapted automatically because of a minimum order
quantity.
Error: Different error messages are possible:
1. Line format is not correct
2. Material can not be ordered
3. Material number does not exist
4. Shopping basket not possible -> Material was moved into basket File System
Part numbers, which are limited and therefore not admited to a certain Shopping basket, will directly
be moved to the File System basket. Then you can move the part to the correct shopping basket.

2. Text format - TXT
In text files, please insert one material with its quantity per line. Please comply with the following
structure for this:

Please make sure that you push “enter” once after the entry of the last part number. This is
important for a correct upload.

Every line is embedded in <item> … </item>, the quantity in <quantity> … </quantity> and the
material number (with or without “-“) in <material>

7.2.3 Availability of spare parts
As you can see in the figure, the coulor status shows, if an article is available or not:

In SAP a “delivery plant” is set up. SalesPlus will check the stock and tell you with the traffic light if a
material is available or not right now. It is always showing the current availability status for the spare
parts which are in a shopping basket since several days.

7.2.4 Move articles into another shopping basket
You possibly decide to change your order/part number from a monthly into an express order. In
order to do this, click on the field above the left column and then choose „select all“. Next, choose
“Express Order” in the drop-down menu and finally click on “Move to Shopping shopping basket“:
Possibly, you only want to add some parts to the shopping basket Express Order. In this case, click
on the field on the left of the line containing the part number which you want to put into the shopping
basket Express Order. After that choose “Express Order” in the drop-down menu and click on
“Move to shopping basket”
The articles stay in the shopping baskets until you either send the order, delete the articles or move
them into another shopping basket – even if you logout of SalesPlus.

To send your order, please click on the button “create order“ in the shopping basket. The upcoming
screen offers the following settings:
1. PO Number: In this field you can type a number as you like. The number can for examlpe
conform to your own order number of your ERP system. Later it is shown in the tab „ Order
Status“ and simplifies finding the order.
2. Shipping Type: Here you can select the possible shipping types.
3. Ship-To Address: Selection of the destination address by the help of the drop-down menu. If
any addresses should be missing when processing the order, please contact your responsible
sales person.
4. Delivery Date: This is automatically given and depends on the shopping basket.
5. Remarks: Here you can add comments, which can comprise any type of information which are
necessary for processing the order, as well as questions to the sales department or Customer
Service.
6. Order positions: You have a complete overview of the whole order. If you want to make
modifications, click on „Back“ to get to the shopping basket and there you can make your
modifications.

8.1.2 Create a new configuration
a) Pre-configured data
You can start a new configuration by clicking on the following button:
After that, please choose the order type:
The next step is deciding if the order is to concern a complete system or a component/upgrade. In
order to create a bill of material which is not part of any predefined package, please choose
“Manual specification“.
Now you have to select a product group:
As soon as you have selected a product group, the corresponding parts are displayed.

The „preconfigured milking parlors“ shown, already contain the main parts. Because of that, it is a
lot easier and time-saving for you to create a configuration this way, than to create a manual
configuration.
In the following, you are guided through the configuration. It is very important to process every drop
down choice box! This procedure is very important because by choosing a value, all subsequent
values are checked by the system automatically and the otions may be adjusted. This means that
the “questions“ and “answers“ can vary because of a selection made at the beginning of the
configuration.
Important: Please answer all questions from top to bottom!

As soon as you have processed all choice boxes on a page, you get to the next group (page) by
clicking the button at the top right-hand corner:

back to groups you have already processed at any time.
Status of configuration:
In the left corner the configuration status is shown. If the configuration was edited correctly, the
“Status OK” is green displayed:
If the configuratuon is not settled yet or if it contains a mistake the “Status: incomplete/inconsistent”
is red displayed.
If this symbol is displayed next to an answer, it‟s about a mandatory field, which has to be
answered!

b) Manual configuration
If you have chosen the manual configuration, you have to process all choice boxes. In the bottom
left-hand corner, all groups which still have to be processed are shown. Groups already processed

c) Manual specification – file upload - empty BOM
After having chosen the manual specification, you have to choose the products you want to insert. A
prouct code for the analysis of quotations is created from this.
Now you have 2 possibilities:
1. Add partnumbers manually by entering them in the lower left corner.
2. Upload a file. For this please click on “Add part number from Parts/Info“ and follow the next
steps

d) Favoriten / other users
Configurations can be added to your own „Favorites“ and therefore be used several times.
Additionally it is possible to send a configuration to another user, so the other user can use your
configuration as well under “favorites” (see article 8.3).
To select this configuration, please act as follows:
1. Create a new configuration
2. Choose Favorites / other users
3. Your own favorites can be chosen under „Favorites“ at the left side.
4. At the right side „Configurationen from other users“ can be chosen.
5. By clicking „Select“ the configuration will be transfered to the quotation file.
6. By clicking on the “waste basket”, the configuration will be deleted.

8.1.3 Display and edit bill of material
After you have completed your configuration, the corresponding bill of material is displayed. In order
to see this, simply follow the navigation on top of the screen:

In every bill of material of a configuration there are green highlighted headlines. These headline
devide the bill of material into several components and thereby enable the allocation of individual
part numbers to the particular components. These headlines appear in the bill of material of the
configuration as PDF file and in the bill of material of the quotation as well.
If required, the bill of material of the configuration can be maintained with the following steps:
1) Add part numbers: Enter material number and amount and confirm with „Enter“ or „+“.
2) Calculate prices: After confirmation, the gross prices per material number are displayed.
Pricing mistakes will be marked with yellow exclamation points. That means, that there is not
deposited a price for this material number.
3) Create a PDF file: The system creates a PDF file of the bill of material devoid of price, but if
you first handle step 2 it creates a PDF file of the bill of material with price.
4) Enable quantity fields: To change the quantiry fields you first have to click on this field.
5) Change amounts: To change an amount, please enter the changed amount and conform with
„Enter“. To delete an amount, please delete the amount and conform with „Enter“. Each change
will be shown with a small “*”.
6) Add local part: If you choose this function, all local parts are available, which were created
under „Dealer“.
7) Add part number from “Parts / Info“: SalesPlus jumps to this part and there can be searched
for a number and be added to your bill of material.
8) Add a part number from a product: If you choose this function, all configurations are
displayed and a part number can be chosen.

8.1.4 Configuration Data
If you click on
the corresponding dealer and the listed end customer, as well
as general data are displayed. Under „description“ the description of the configuration can be
appointed. This will then be used and displayed in the calculation and in the quotation. Please
always confirm changes with „save data“.
8.1.5 Price calculation
Via the button „Price calculation“ you get to the calculation sheet for your configuration:

If necessary, you can add margins and additional costs for the installation here. You can overwrite
local parts which you have added manually with the required description.

creation date.

8.1.6 Create a quotation document
If you want to create a quotation document please click on “quotation document”.
For the creation of a quotation, you add further information and select a picture for the cover here:
Hint: All positions which are marked with an *, have to be completed!
Special agreements, trade-in, service-agreements:
In this field special agreements can be entered, as for example: „ As an advanced payment I take
your second-handed cooling tank for a price of € 5.000,00.” These agreements appear on an own
page in the quotation document.
Payment condition dealer:
In the Drop-down field the user can choose a condition of payment, which he created under
„Dealer“ (see 4.4 conditions of payment).
In the description field can be entered a new condition of payment.
There also appears an own page in the quotation document for the conditions of payment.

Via “Options“ you can opt for these further possbilities:
 Draft:
Inserts a watermark “Draft” on the pages and makes it possible to change
the configuration, the calculation and the quotation document at a later
date.
 Don’t include quote texts:
Creates a quotation document without detailled product information.
 No pricing overview:
Creates a document without any price information.
 No price breakdown:
The document only contains the total price without any breakdown in
product groups.
 Gross prices only: Creates a quotation document with gross prices only.
 Include VAT: Includes VAT in the price overview.
As soon as the necessary inclusions for the quotation are completed, you can generate the
quotation document by clicking on “Create quote“
The quotation is created as a PDF file and displayed at the bottom of the page
The quotation document also contains the phone number of the customer, so that it is available on
the printed exemple without opening Sales+ again:
If you want to create the same quotation again, but with another cover, a different annexe or a
different addressee, please make your changes and click on “create quote again – than the old PDF
file is “overwritten“! If you want to keep the old quotation, save it locally and create the new
quotation after that.

8.2 Send order
In the project folder an order can be created and sent via the button “Create order“.

The fields „Internal memo“; „Notification“ and „Special agreement“ at the left side, can be filled to
your own imaginations. These texts will directly be transfered to GEA Farm Technologies.
Ship to: Here you can choose the ship to of this order.
In the description field „special agreements“ you can enter textes for the Customer Service.
Requested delivery date: The delivery date is indeed filled automatically, but can be set back as
you please.
Order number: In this field you can enter a number as you please. This number can, for example,
conform to the order number of your own ERP-system. The number will be displayed in „Order
status“ and it facilitates to find the order again.
Transfer: As soon as you completed all necessary choice boxes you can now send the order by
clicking the button “Transfer”. Now it will be transferred to GEA Farm Technologies.

In order to open the single project folders, please click on „Enter folder“ or directly on the name of
the project folder which is highlighted in green: Button „Enter folder“ or directly choosing the name
of the offer.
To sort the file choose between the four criteria in the menu bar above. The program will then sort
up or down all files according to this criterion. You have the possibility to „Sort by name“, „Sort by
date“, „Sort by customer“ or „Sort by dealer“.
Hint
In SalesPlus all files, configurations, pricings and orders have an individual
Identification number (ID). These numbers are visible at first sight, because they are
displayed directly previous the description. If you ask an employee of
GEA Farm Technologies for help, then give him that number, so your quotation can be found
easier and you are helped more quickly.
After opening a folder, you can see the file content including all configurations, calculations,
quotations and orders at a glance. At the right hand side you see different symbols with different
functions, which are described in the following chapter:
From this view you can directly open the detailed configuration or the calculation of the project.

8.3.1 Configuration: Copy, create variant, send
Used symbols:
Copy configuration
Creates a 1:1 copy of the original configuration, but is independent of it.
The copy can be copied into the same folder OR to the favorites.
Lokal parts in the bill of material are copied as well.
Create a variant
Creates an identical configuration which is dependent on the original configuration.
This type should be used if you want to show additional charges for different variants
of equipment in the quotation. Lokal parts in the bill of material are copied as well.
Send configuration:
Enables you to send a configuration to another user. The person can insert the data
directly into his/her project folder.
(The name of the addressee has to be entered in the form of the username, e.g.
PUBLIC.JO)
If you send a configuration, the username of the addressee is automatically saved in
the select list. If you want to send another configuration to this user again, the person
can simply be chosen from the list. This configurations will be displayed under
“favories/other users” of the user.
Delete configuration
Quotation document: You are directly forwarded to the quotation.
Material Planning: By clicking on this button, the material of the quotation for the
material planning is activated in Bönen. The activation is visible because of the green
hook on the left side next to the date. By clicking this button again, the planning will be
deactivated and the left green hook disappears.
